The first line of the heading should contain the date, while the name and title of the addressee should be written on the second line, your name and title on the third line, and the subject of the report on the fourth line.

Write the "Introduction" section of your travel report. The introduction of a typical travel report relates the background of the trip and contains background about the people and places that you have visited. This section of the report should be approximately a quarter of the entire length of the report.

Compose the "Discussion" section of your travel report. This is the main section of your report and the bulk of the length should be here. What is a Travel and Expense report? (Plus how to automate them)

The global business travel industry is worth about $1.28 trillion dollars , with the US responsible for spending more than one third of that amount. No matter where your business is located, chances are that travel is one of your three largest expenses, with salaries and SaaS also in the lead.

What are T&E reports?

Travel and expense reports are physical or digital documents that include all of the relevant details for a travel-related expense, including the amount of the purchase, the date, and expense category. Original receipts are typically also included with T&E reports so that if a tax return is ever audited, the business can provide evidence of reimbursable expenses. 

Elements of a travel and expense report:

  • Date of purchase
  • Vendor purchased from
  • Expense categories such as the client, project, account, or department 
  • Name of employee who purchased the item
  • Any additional notes about the purchase
  • The subtotal of the purchase
  • Any tax or VAT associated with the purchase
  • The grand total (including tax)
  • A PDF, JPG, or PNG file for the receipt or invoice

Why are travel and expense reports important?

Agency travel and relocation reporting

GSA collects and reports on agency travel data for first and business class travel, senior federal travel, and business and relocation travel.

First class and business class transportation reporting

Each agency must report all first class and business class transportation used by federal employees while traveling for official business in the GSA Travel Reporting Tool by December 30 of each year. If the agency does not have any first class and business class travel data to report, they must submit a negative report.

Within this report, agencies must justify each use of first class and business class travel. This requirement applies to travel by air, train, or ship. Authority for travel reporting comes from Federal Travel Regulation (FTR) Part 300-70 .

Senior federal travel reporting

Each agency must report information twice a year on senior federal officials and non-federal travelers who fly aboard their government aircraft in the GSA Travel Reporting Tool . Each year, data for the period from October 1 to March 31 is due on April 30, and data for the period from April 1 to September 30 is due on October 31. If the agency does not have data to submit, but owns a government aircraft, it must submit a negative report.

You can find regulations regarding management, control, and travel on government aircraft in 41 CFR 300-3 , 301-10.260/266 , 301-70.800/808 , and 301-70.900/910 , and in OMB Circular A-126 , "Improving the Management and Use of Government Aircraft."

Business and relocation travel reporting

Each agency must report all business and relocation travel as part of their agency's Travel Reporting Information Profile (TRIP) in the GSA Travel Reporting Tool .

According to the Modernizing Government Travel Act [PDF] , agencies must report their summarized total travel and relocation expenditures by November 30 of each year for the previous fiscal year. GSA reviews the information and submits a governmentwide report to Congress by January 31. Agency data is available to the public on the Business Travel and Relocation Dashboard .

Per diem localities with county definitions shall include "all locations within, or entirely surrounded by, the corporate limits of the key city as well as the boundaries of the listed counties, including independent entities located within the boundaries of the key city and the listed counties (unless otherwise listed separately)."

When a military installation or Government - related facility(whether or not specifically named) is located partially within more than one city or county boundary, the applicable per diem rate for the entire installation or facility is the higher of the rates which apply to the cities and / or counties, even though part(s) of such activities may be located outside the defined per diem locality.

Dubai: If you wish to apply for a travel report in the UAE but do not know how to go about the process, here is all you need to know about travel reports in the UAE?

What is a travel report?

A travel report also goes by a few other names, like:

- Entry/Exit report

- Entry/Exit certificate

- Movement report

The report is issued by an immigration authority and shows the exit and entry dates and locations (ports of entry or exit), the applicant’s passport number and other immigration related details.

In the UAE, the report will be issued either by the Federal Authority for Identity and Citizenship (ICA), or, in case of Dubai visas, by the General Directorate of Residency and Foreigners Affairs (GDRFA).

According to Sirajudeen Ummer, Public Relations Officer at Dubai-based First Gate Business Services, there are two types of travel reports.

“One is the overall travel report and the other is the last trip information. Also, the cost of the travel report for a person on a family visa and an employee on a company visa is slightly different,” he said.

Where can I go to get a travel report?

- DubaiNow app - Recently, the app DubaiNow has enabled Dubai visa holders to apply for immigration services online.  This includes the service of getting a travel report for one’s dependents.

- Amer centre for Dubai visa

- ICA customer happiness centre

- Authorised typing centres

Documents required

According to Sardar Ali, public relations officer at Al Ain-based Saifee Typing Services, if you are applying for the travel report in person, you would be required to provide the following documents:

- Sponsor’s or applicant’s original Emirates ID

- Applicant’s original passport with visa page copy

- Passport sized photograph

Who needs an ICA report?

There are various situations when you may need to get a travel report.

1. Cancelling residence visa when outside the UAE - According to Ummer, quite often when a person is outside the UAE and wishes to cancel their residence visa, they request for a travel report.

“This is done in order to know whether the individual is inside or outside the country,” she said.

2. Company closure – If a company is shutting down, the business owner is required to prove that they have no employee left on the company’s visa.

3. Migrating to a new country – at times the country that you are migrating to may require your travel history to conduct background checks.

4. Expat applying for tax exemption from country of origin – In some cases, you may need to apply for tax exemption if you are not living in your home country.

5. Other Applying for an equivalency certificate – When you are applying for in UAE, the ICA report is a mandatory document to be uploaded while applying for certificate equivalency on the Ministry of Education portal.

Man in custody after fatal shooting of NYPD officer during traffic stop: Reports

A suspect is in custody in connection to the fatal shooting of NYPD officer Jonathan Diller during a traffic stop in Queens on Monday.

According to the New York Times , the man in custody, Guy Rivera, 34, was sitting in the front seat of an SUV that was illegally parked in Far Rockaway around 5:48 p.m. Monday when Diller and his partner approached the vehicle.

As they approached the vehicle, Rivera displayed a gun and fired it through the passenger window. The bullet struck Diller in the torso underneath his bullet-resistant vest, police said, and he later died at Jamaica Hospital.

The New York Times, citing an internal police department report, reports that Diller's partner, Veckash Khedna, returned fire and shot Rivera in the back. The news outlet also reports the second man in the vehicle, Lindy Jones, 41, was taken into custody after shooting but has not been arrested or charged.

Police said Monday evening that Rivera was also taken to Jamaica Hospital, where he was said to be in stable condition.

Rivera refused to get out of car when asked, police say

"He was given a lawful order numerous times to step out of the car. He refused. When the officer took him out of the car, instead of stepping out of the car, he shot our officer," NYPD Chief of Detectives Joseph Kenny said at a news conference Monday night.

"It's because of a senseless act of violence that we witness a person had a total disregard for the safety of this city," Mayor Adams said at a news conference Monday evening. "It is the good guys against the bad guys and these bad guys are violent. They carry guns and the symbol of our public safety, which is police uniform, they have a total disregard for," Adams said.

"Tonight this city lost a hero, a wife lost her husband, and a young child lost their father,"  Police Commissioner Edward Caban said on social media . "We struggle to find the words to express the tragedy of losing one of our own. The work that police officer Jonathan Diller did each day to make this city a safer place will NEVER be forgotten," Caban said on X.

"Our prayers are with his family, loved ones, and brothers and sisters in blue," Caban concluded.

The NYPD said Diller made more than 70 arrests during his time on the force. Diller leaves behind his wife, Stephanie, and their child.

How to Write a Visit Report

Whether you’re a student or a professional, a visit report helps you document the procedures and processes at an industrial or corporate location. These reports are fairly straightforward. Describe the site first and explain what you did while you were there. If required, reflect on what you learned during your visit. No additional research or information is needed.

Things You Should Know

  • Check the report requirements before writing down general information about the visit. Explain the site’s purpose, operations, and what happened during the visit.
  • Identify the site’s strengths and weaknesses. Add recommendations for improvement and describe what you learned there if you’re a student.
  • Give your report a title page, write clearly and objectively, and include relevant pictures in the report. Proofread it carefully before submitting it.

Describing the Site

Step 1 Look over the requirements of your visit report.

  • Reports are usually only 2-3 pages long, but in some cases, these reports may be much longer.
  • In some cases, you may be asked to give recommendations or opinions about the site. In other cases, you will be asked only to describe the site.
  • Ask your boss or instructor for models of other visit reports. If you can't get a model, look up samples online.

Step 2 Start the paper with general information about the visit.

  • If you visited a factory, explain what it is producing and what equipment it uses.
  • If you visited a construction site, describe what is being constructed and how far along the construction is. You should also describe the terrain of the site and the layout.
  • If you’re visiting a business, describe what the business does. State which department or part of the business you visited.
  • If you’re visiting a school, identify which grades they teach. Note how many students attend the school. Name the teachers whose classes you observed.

Step 4 Explain what happened during the visit in chronological order.

  • Who did you talk to? What did they tell you?
  • What did you see at the site?
  • What events took place? Did you attend a seminar, Q&A session, or interview?
  • Did you see any demonstrations of equipment or techniques?

Step 5 Summarize the operations at the site.

  • For example, at a car factory, describe whether the cars are made by robots or humans. Describe each step of the assembly line.
  • If you're visiting a business, talk about different departments within the business. Describe their corporate structure and identify what programs they use to conduct their business.

Reflecting on Your Visit

Step 1 Describe what you learned at the site if you’re a student.

  • Is there something you didn’t realize before that you learned while at the site?
  • Who at the site provided helpful information?
  • What was your favorite part of the visit and why?

Step 2 Identify the strengths and weaknesses of the site.

  • For example, you might state that the factory uses the latest technology but point out that employees need more training to work with the new equipment.
  • If there was anything important left out of the visit, state what it was. For example, maybe you were hoping to see the main factory floor or to talk to the manager.

Step 3 Provide recommendations for improvement if required.

  • Tailor your recommendations to the organization or institution that owns the site. What is practical and reasonable for them to do to improve their site?
  • Be specific. Don’t just say they need to improve infrastructure. State what type of equipment they need or give advice on how to improve employee morale.

Formatting Your Report

Step 1 Add a title page to the beginning of your report.

  • If you are following a certain style guideline, like APA or Chicago style, make sure to format the title page according to the rules of the handbook.

Step 2 Write in clear and objective language.

  • Don’t just say “the visit was interesting” or “I was bored.” Be specific when describing what you learned or saw.

Step 3 Include any relevant pictures if desired.

Travel reports from people who have already traveled all over the world are often very exciting and provide valuable information about the potential travel destination before a vacation. It is interesting to read which countries you have visited, in which environment you may live there permanently or which experiences you have brought with you from your trip. In addition, there are of course some travel reports that are only exciting because the author managed to get himself into trouble - as long as nothing bad has happened to the author, these posts should be particularly entertaining. I've also gotten myself into trouble on a regular basis while traveling.

Puerto Rico reports dengue fever epidemic. How likely is the disease in Ohio?

Dengue fever is on the rise in Puerto Rico, and island officials have declared it an epidemic .

At least 549 cases have been reported so far and more than 340 people have been hospitalized, according to  the island’s health department .

"As of March 21, 2024, the Department of Health's epidemiological surveillance of diseases has observed a 140% increase in dengue cases for Puerto Rico compared to the same period last year," the department said in a press release on Monday.

So, what is the disease? What are its symptoms? And what's the likelihood of it coming to Ohio? Here's what you need to know.

What is dengue fever?

Dengue fever is a viral infection transmitted to humans through the bite of infected mosquitoes, according to the World Health Organization . It is found in tropical and subtropical climates worldwide, mostly in urban and semi-urban areas.

What are the symptoms of dengue fever?

According to Johns Hopkins Medicine , symptoms include:

  • Sudden high fever
  • Severe headaches
  • Pain behind the eyes
  • Joint and muscle pain
  • Swollen glands
  • Rash that appears 3 to 4 days after the fever starts

Is dengue fever a risk in Ohio?

Although the two types of mosquitoes that transmit dengue are found in some counties, the virus is not endemic in the state, according to the Ohio Department of Health .

So far in 2024, there are seven reported cases of dengue fever in Ohio, according to the CDC . But all were contracted while travelling, not in the state.

Is there a vaccine for dengue fever?

A vaccine is available, according to the Centers for Disease Control and Prevention . It is recommended for children ages 9 through 16, but only when they have been previously infected with dengue and living in areas where dengue is common.

Is dengue fever deadly? What is its mortality rate?

While most infections show no symptoms or only cause mild illnesses, dengue fever can be severe or fatal, according to the WHO.

The CDC reports that fewer than 1% of dengue patients died from 2010 to 2018. However, the mortality rate can be as high as 13% in untreated patients.

Where else has dengue fever been reported?

Rio de Janeiro  declared a public health emergency  in February, just before Carnival , amid a surge of dengue fever in Brazil.

In the first few weeks of 2024, Rio documented more than 10,000 cases of dengue fever, nearly half of the total cases reported in the entirety of 2023, which amounted to 23,000, according to officials from the Health Ministry.

Peru and Florida also dealt with dengue fever in 2023.

CDC issues a travel warning following dengue outbreaks

Dengue is an ongoing risk in many parts of Central and South America, Mexico and the Caribbean, according to the CDC. Travelers to areas of risk should protect themselves by preventing mosquito bites. Also, the CDC says travelers might be at increased risk for dengue fever in these countries, which are reporting higher-than-usual cases:

  • French Guiana
  • Saint Barthélemy
  • Saint Martin
  • Turks and Caicos Islands

What we know about Baltimore’s Francis Scott Key Bridge collapse

The Francis Scott Key Bridge in Baltimore collapsed early Tuesday after being hit by a cargo ship, with large parts of the bridge falling into the Patapsco River.

At least eight people fell into the water, members of a construction crew working on the bridge at the time, officials said. Two were rescued, one uninjured and one in serious condition. The remaining six are presumed dead.

Police Officer Is Killed During a Traffic Stop in Queens

The authorities arrived in the Far Rockaway neighborhood at about 6 p.m. and found the police officer and a man wounded by gunfire.

A police officer died on Monday after being shot during a traffic stop in Queens, the police and city officials said.

The suspected gunman, Guy Rivera, 34, who was sitting in the passenger seat, was also wounded, the police said. He was the first to fire his gun during the evening encounter in Far Rockaway, striking the officer, Jonathan Diller, in the torso below his protective vest, Police Commissioner Edward A. Caban said at a news conference at Jamaica Hospital, where Officer Diller was taken.

The officer’s partner returned fire, striking the man, who was also taken to Jamaica Hospital, where he is being treated for his injuries, officials said at the news conference. The driver, Lindy Jones, 41, was taken into police custody.

“This is a devastating moment,” said Mayor Eric Adams, who also spoke at the news conference. “We have to bury another cop,” he added.

Officer Diller joined the Police Department in February 2021, according to city records. He has been recognized three times for “excellent police duty.”

In a social media post, Commissioner Caban said Officer Diller and his wife had a young child.

“We struggle to find the words to express the tragedy of losing one of our own,” the commissioner wrote.

The police said the episode had begun shortly before 6 p.m. on Monday, when Officer Diller and his partner from the Police Department’s community response team approached the car because it was illegally parked at a bus stop on Mott Avenue.

Officer Diller asked Mr. Rivera several times to get out of the car, according to a police spokesman and Joseph Kenny, the Police Department’s chief of detectives.

Mr. Rivera refused, pointed a gun at the officer and fired.

Mayor Speaks After Police Officer Shot and Killed in Queens

This dangerous individual inflicted a level of violence that took the life of a police officer, of a husband, a son. And we could see it as the role that police officers play every day as they move towards violence. But the reality is, this is a loved one that we lost. A young man.

Officers in the area sprinted toward the scene, according to security footage from a Mott Avenue deli about two blocks away.

Jummai Ezedebego, 57, who was nearby at the Far Rockaway-Mott Avenue subway station, also heard the gunfire and watched as other passengers scattered and helicopters whirred overhead.

“Everybody was running and the police started coming,” Ms. Ezedebego said.

Later that night, officers put yellow police tape around a gray S.U.V. parked on Mott Avenue. Shards of glass littered the sidewalk, and the front passenger door window appeared to have been pierced by a bullet.

Mr. Rivera has 21 prior arrests, including for first-degree robbery and selling drugs to an undercover police officer, the police said. He was released on parole in 2021. Mr. Jones was arrested on a gun charge last year.

Before Monday, the two most recent New York police officers killed in the line of duty were Wilbert Mora and his partner, Jason Rivera. The officers were gunned down in January 2022 as they answered a domestic disturbance call in Harlem.

“We should never be here,” Commissioner Caban said at the news conference. “And we’re here far too many times,” he added.
