Visit Rochester is a private 501c-6 organization. It is the official destination marketing organization for Rochester and Monroe County. Its work leads to the attraction and care of 1.7 million annual visitors. Visitors include tourists, meeting and convention delegates, sporting event participants and attendees, visitors to friends and relatives, and business travelers. Each employee of Visit Rochester has a very important role in the creation and servicing of visitor business.

Job Description/Responsibilities

Visitor Services Specialist:

  • First point of contact at Visit Rochester
  • Answer and distribute all incoming phone calls
  • Welcome and engage with all visitors
  • Provide visitor support
  • Handle all outgoing mail
  • Maintain internal CRM system for visitor requests and packets
  • Assist in approving special event requests
  • Oversee bulk distribution and brochure inventory

Accounting Specialist:

  • Input, post and file Accounts Payable.
  • Create check payments, post, file backup documentation and mail check disbursements.
  • Generate Accounts Receivable invoices, mail and file.
  • Create bank deposits.
  • Review and contact customer to collect past-due invoices.
  • Collect W-9’s and 1099 reporting.
  • Solicit and record in-kinds for frontline and office needs.

Planning your visit.

Experiencing our vibrant campus in-person is the best way to learn more about the University of Rochester. The Office of Admissions will be providing students and their families the opportunity to take a tour with a current student and attend an in-person information session.

Campus tours

We’re excited to welcome visitors for our one-hour, in-person campus tours on most weekdays. A current student tour guide will walk with you around the River Campus while sharing their personal experiences and answering your questions along the way.

Information sessions are a great way to get an overview of the University of Rochester’s unique approach to learning, as well as the admissions process – all with plenty of time for questions and answers with our admissions counseling staff.

Group visits are available for high schools and community-based organizations to bring a larger group of students (15+) to the University of Rochester for a student-led campus tour.  Group visits are available on most Mondays-Fridays. Please submit your request at least three weeks prior to your intended visit date.

Groups of school, community-based organization, or independent counselors are welcome to request separate campus visits to the River Campus of the University of Rochester.  A minimum of three weeks notice is requested in order to best meet the requests of visiting counselors.

This is your ideal opportunity to see if Rochester is the place for you. Attend a session about the admissions process or student life. You can also talk to current students as they show you key landmarks on campus, share their stories, and answer your questions about Rochester.

Multicultural Visitation Program

This program brings together high school seniors from diverse backgrounds to experience Rochester on a more personal level. Admission to MVP is a competitive process that considers your academic and personal qualities.

Yellowjacket Experience

These exclusive events are for all admitted students, including transfers. Whether you can’t wait to enroll or you’re still deciding, come be a Rochester student for a day and see what the next stage of your life could be like. Virtual and on-campus events will be offered in late March and April.

Transportation

GPS destination: 252 Elmwood Avenue Rochester, NY 14511 Google directions to campus

Once you reach 252 Elmwood (the main entrance of the River Campus), turn onto Wilson Blvd. Stop at the Visitor Parking and Information Booth (in the middle of the street) for parking instructions. Plan to arrive at least 15 minutes early to give yourself enough time to park.

On more popular visit days, we often have our visitors park off campus. If this is the case, parking details will be in your event confirmation email. You can always call our office to double check.

The University’s River Campus is about two miles from the Greater Rochester International Airport (airport code ROC). Commercial taxi services, ridesharing options, and car rentals are available from the airport. Cab fare is about $10, depending on the number of people and luggage.

The Rochester city buses stop at several locations on the River Campus, as well as at the Medical Center and Eastman campuses on all routes. For schedules and bus route information, visit Rochester Transportation Services .

The Rochester Amtrak station is located at 320 Central Avenue, Rochester, NY 14605. Taxi services, ridesharing options, and car rentals are available, and the station is located on the municipal bus line that serves the River Campus.

Global Engagement

Faculty and staff travel.

All University staff traveling internationally on University-sponsored or supported travel are required to register well in advance of departure. Faculty are strongly encouraged to register.

Register Your Travel

High-Risk Destinations If you are leading a program of trip involving students to a high-risk destination, you MUST receive University approval prior to departure. Our definition of a high-risk destination and details regarding the approval process can be found on the Travel Reviews, Approvals, and Restrictions page.

Any academic or business travel abroad undertaken by Rochester faculty; or staff is considered University-sponsored or supported international travel. This includes work-related travel that is developed, funded, or administered by the University. Please refer to the checklist below for our pre-departure recommendations.

  • Use the Worldcue Trip Planning Tool Members of the University can access updated, destination-specific intelligence information from our intelligence provider via the Worldcue Planner (Net ID required).
  • Review the  CDC travelers’ health  page
  • Review the US Department of State’s Country Information 

High-Risk Destinations If you are leading a program or trip involving students to a high-risk destination, you must receive  University approval prior to departure. Our definition of a high-risk destination has recently changed and can be found on the  Travel Reviews, Approvals, and Restrictions page.

US Sanctions Certain countries and regions are subject to US economic and trade sanctions by the Office of Foreign Assets Control (OFAC) of the US Department of the Treasury. For the most up-to-date and complete list, visit the OFAC  S anctions Programs and Country Information page .

Any proposed transaction, contract, collaboration, purchase, or other transaction in, or involving, a sanctioned country or entity (whether governmental, non-profit, or commercial), or individual based in a sanctioned country, should be discussed in advance with the University’s  Office of Research and Project Administration  (ORPA).

Information Security Rochester faculty and staff who travel internationally with laptops, phones, and other mobile devices risk their information security through possible loss, seizure, or tampering.

To reduce the risks associated with traveling with these devices, read University IT’s  Information Security Guidelines for International Travel .

  • US citizens can apply for a passport directly through the US State Department. Please review the  processing times  and  expedited services .
  • Non-US citizens can obtain a visa from your destination country’s  embassy or consulate in the US .
  • We have also negotiated a reduced rate with VisaCentral, a visa and passport services vendor. For a fee, they can assist you with routine and expedited applications.  Access the VisaCentral Portal. Research the visa requirements and timelines well in advance of your departure as it can be a lengthy process.

Proof of evacuation and repatriation coverage If you’re required to show proof of evacuation and repatriation coverage to obtain a visa or other travel document, request a letter online . But in order to receive this letter, your travel must be considered University-sponsored or supported. See tab #8 for more information on this policy.

  • 3. Book Travel The University’s preferred travel vendors are  DePrez Travel Group  and  Town and Country Travel . When possible, please arrange your travel through one of these two agencies.

Register with Rochester All University staff traveling internationally on University-sponsored or supported travel are required to register well in advance of departure. Faculty are strongly encouraged to register. The registry is a convenient, one-stop service that supports emergency communications and access to University-provided travel assistance services. Register with the US Department of State After registering your travel with the University, we strongly encourage you to register with the embassy of your country of citizenship: US citizens : Use the State Department’s Smart Traveler Enrollment Program (STEP) to receive destination-specific health and security alerts. Non-US citizens: Use the  Go Abroad Embassy Search .

Most individuals or groups traveling as part of University-sponsored or supported activities or programs will have pre-departure training or orientations as part of their itinerary.

  • All travelers are encouraged to make appointments with their primary care physicians for a pre-departure physical a t least 60 days in advance of travel .
  • You should also discuss Immunizations, prescriptions, and advice tailored to specific destinations and health conditions.

Passport Health Travel Clinic For a fee,  Passport Health  partners with the University to offer comprehensive travel services to individuals planning an overseas trip. Its healthcare professionals are travel experts who can help you plan a safe, worry-free trip. To learn more or to schedule an appointment, call (585) 275-8884 or  contact Passport Health online .

Review your Rochester Travel Assistance Services, provided by WTP (Medical and Security Evacuation).

Travel assistance is DIFFERENT than health insurance coverage. Thus, travel assistance has a separate ID card.

All University faculty and staff are covered under Rochester Travel Assistance Services, provided by WTP, when traveling for University-sponsored or supported activity. There is NO additional cost for this benefit . Travel Assistance provides support services in case of emergencies, including:

  • Emergency medical services
  • Security evacuation services
  • Emergency travel arrangements
  • Information services

PRINT your WTP Travel Assistance Services ID card (PDF) University NetID required or download the number from the tab below. If you’re required to show proof of evacuation and repatriation coverage to obtain a visa or other travel document, request a letter online . But in order to receive this letter, your travel must be considered University-sponsored or supported.

Global Travel Contact Card

Download the University’s emergency numbers straight to your phone’s contacts by scanning this QR code with a smartphone to download the KeynectUp card. Simply open the camera app or any QR scanning app (such as Snapchat) and let the lens focus on the code. Then, click the link that pops up to start the KeynectUp card download process. You may also download the card by vis iting the Aerogami site on your phone .

Global Partnership Fund (GPF)

The GPF was established to promote research and scholarly collaboration across the globe, focusing on relationships that are scalable and sustainable and will likely lead to future research and academic outputs (e.g., joint publications, grants, and other funding, co-teaching, etc.). Awards are available primarily to support University academic and research faculty to offset the costs of international research and teaching collaboration, either at Rochester or abroad.
