Writing a thank-you note is one way to show appreciation for a vacation or trip. Of course, what you write in a thank you card to say thank you for a vacation will vary.

  • Are you thanking someone for taking you on vacation?
  • Do you want to thank the friend who organized an amazing trip?
  • Are you an adult thanking your parents for covering the cost of a family vacation?
  • Do you want to say thank you for a wonderful trip to friends? 

Below is my template for a vacation thank you note followed by many thank you messages. 

Thank You Note For a Vacation or Trip Template

You can write a handwritten thank you note, send an email, or write a text message. Here is a template for writing a thank you note for a vacation.

Since the reason you are saying thank you for a vacation can vary so much, please be sure to read through the examples. It’s hard to put every possible scenario into one template!

[1] Dear [Person’s Name],

[2] Thank you for the [great/awesome/another adjective] vacation. I/We enjoyed the sights and activities (in your note, be specific about what you enjoyed). And I/We are grateful for the wonderful memories we made together. [Thank you for covering the costs of the flights, meals, hotel, etc. – if applicable], which made it possible [easier] for me/us to go on the trip.

[3] Sincerely,

[4] [Your Name]

Template notes

[1] The Greeting. You can also remove the Dear and start with the person’s name or choose another salutation, such as Hello.

[2] The Thank You. Write a short thank you message. Share a favorite vacation memory and include compliments. Customize the message based on why you are saying thank you for the vacation. See the examples below for inspiration.

[3] The Closing. Other closings could be Thanks Again, Kind Regards, or Warm Regards.

[4] Your Name. Remember to sign your name!

If you send a text message, you probably do not need to start with a greeting, and you can remove the closing and your name. Text messages are generally more casual than a written notecard.

A handwritten note will feel more personal and could be sent in the mail or handed to the person.  I like the idea of purchasing note cards on vacation that can be used for thank you cards upon your return. You can also review my guide for choosing a note card.  

A trip and a vacation are sometimes synonyms, although their definitions differ. You can read an opinion on the difference between a vacation and a trip here . For the example thank-you messages, I will not be too technical about their meaning. Instead, I will use vacation and trip as time away from your normal daily life.

Thank You For a Vacation Example Messages

Here are example messages for saying thank you for the vacation. Remember, if you are writing a handwritten note, you’ll need to include a greeting and closing (see the template above).

Many of us fear expressing our thanks to others. We might worry that our efforts will be misinterpreted or make the person on the receiving end uncomfortable. Or we might struggle to find the right words to express how we feel. Here’s how to do it right.

  • Keep it genuine : The goal of expressing appreciation should be to let someone know how their actions have impacted you and/or others. If you have any other agenda, your message will not be authentic.
  • Share what you appreciate and why : Focus on the impact their actions had on you and explain both  what you appreciate and why . This will help the other person understand the reason you feel the way you do.
  • Send it : E-mails get lost and handwritten cards get saved. Write your message on a piece of paper, post-it note, or card and give it directly to the person. If you are at work, you can also leave it on their desk or in their “mailbox.”

In March 2011, I was shipwrecked while traveling in Indonesia . Once I was back in the States, I felt an overwhelming urge to thank the many people who offered help.

It also made me realize how important it is to send a thank you message to friends for a trip — whether your trip went perfectly or you had some bumps in the road. 

The shipwreck, and the days that followed, were awful. I was blown away by the kindness and generosity of everyone who donated money. The kind donations brought me to tears — and helped me quickly replace my computer, clothing and toiletries.  I cannot tell you how moved I was by all the private messages as well.

Having this experience made me realize how valuable it is to have friends, family and a blogging community that support me in my travels.

How Do You Say Thank You for a Wonderful Trip?

While my shipwreck was far from wonderful, there were so many generous, thoughtful people I wanted to thank in the aftermath. No matter what happens, there’s always a reason to send a thank you message for a trip. 

You can send a simple thank you message via text, mail a card, or even deliver a small gift. 

If something went wrong and someone helped you out, be sure to thank them in a personal way. Calling or thanking them face to face is best. 

If someone let you stay in their home, a small gift might be in order. They saved you a lot of money!

Did a friend or family member go out of their way to meet up with you while you were in their area? Thank them for their time and make sure they know you appreciate them.

Maybe you want to send a thank you to the people who joined you on your trip. It can be hard to travel with others, so thank them for all the fun and memories.

You might want to send a holiday thank you message to someone who hosted a special dinner or celebration.

If someone brought you on a special trip, it’s nice to give them a thank you gift to share your appreciation. Here are some good ideas for gifts to thank someone for a trip:

Flowers. Flowers are a beautiful way to show thanks for a gift. I recommend ordering from 1-800-Flowers because they have a huge selection at different price points and deliver throughout the US.

(One note: does your recipient have pets? Make sure your bouquet contains no toxic flowers to dogs and cats. Avoid lillies, tulips, daffodils, and poinsettias. Instead, some flowers safe for both cats and dogs are roses, gerbera daisies, sunflowers, orchids, petunias, and freesia.)

A killer charcuterie board. One of my friends sent me and my fiancé a charcuterie board to congratulate us on our engagement, and it was the best gift ever! Boarderie delivers fantastic artisanal charcuterie boards featuring cheese, meat, and nuts, candied figs, gourmet hot peppers and more!

A nice bottle of alcohol. If your recipient drinks, a nicer-than-average bottle of wine or spirits makes a lovely gift. A bottle of champagne is always a great choice, in my book! I recommend getting something a little bit nicer than what people would ordinarily buy for themselves.

Sending a thank-you note after an interview, a networking event, an informational interview, or any other event related to your job search is a great way to show your professionalism. After you get hired, it is also a way to maintain contact with people you met during your job search.

Thank-you notes aren't just for job searching. Sending a written note, email, or LinkedIn message to people who have helped you on the job or have done something that will enhance your career is a good way to cement relationships and show your appreciation.

Send one. You should send a thank-you letter whenever someone helps you with your job search. For example, you should send thank-you notes after job interviews, internships, and informational interviews.

If someone did something nice or helpful at work, send them a thank-you email.

Consider the format. Some people send handwritten thank-you notes, and others send typed letters. Some formal organizations (like law and accounting firms) might prefer a traditional handwritten note. A handwritten note also allows you to give a personal touch to your message. However, most companies are fine with a typed letter. Think about the company culture when deciding the format of your letter.

Send it as soon as possible. You want to send your letter as soon as possible. This is especially important for an interview thank-you letter; you want to remind the interviewer that you are a strong candidate before he or she makes a decision. For this reason, you might choose to send a thank-you email instead of a note or typed letter.

You can also send an email and then follow up with a note.

Be concise. Keep the letter short—no longer than a page. You want to say thank you sincerely but briefly.

Sell yourself. If this is a thank-you letter for an interview, use the letter as a chance to remind the employer why you are an ideal candidate. Remind them of something you discussed in the interview, or provide some new information that you forgot to mention. This may be your last chance to make a strong impression.

Proofread. Be sure to thoroughly edit your letter. All your communications must look professional and polished.

Thank-you letter samples are a useful way to guide your writing. A sample can help you decide what kind of content you should include as well as how to format your letter. 

Thank-you letter templates can also be very useful. They help you with the layout of your letter, such as how to organize the different sections of your message.

While letter samples and templates are great starting points for your own message, you should always edit a message to fit your situation. A personalized letter or email will make the best impression.

There are guidelines you should follow for writing your letters, including standard length, margins, font, and format. Sending a properly formatted, grammatically correct letter or email message will leave the reader with the best impression.

Salutation: In formal situations, start with, "Dear Mr./Ms. Last Name:" If it's more casual (to a peer, for example), it's appropriate to start with a less formal greeting.

​First Paragraph: Your first sentence should state that you are reaching out to thank the recipient for what they have provided you. In this first paragraph, you might include another sentence reiterating your thanks. Third (optional) Paragraph: Use your optional third paragraph as a way to maintain your relationship with this person going forward. If you feel like you have something to offer them in return, you could mention it in this paragraph. Alternatively, you could suggest that you'd love to treat them to a coffee or simply that you would like to stay in touch. Ultimately, you should tailor what you say to your relationship with the person, but the goal of this paragraph is to keep the door open to future communication.

​Finally, in your closing paragraph, reiterate your gratitude with a simple, short final sentence.

A handwritten card or note of thanks is one of the most heartfelt and meaningful ways to express gratitude. Maybe you can’t repay your recipient for the nice thing he or she has done, but you can reflect the thoughtfulness with the time and care you put into writing and sending a warm, gracious thank-you card or note.

Simple Thank-You Messages  

If you’ve chosen a card with a printed sentiment (more than just “Thank You”), then you don’t have to add very much. Briefly mention the specific gift or kindness you’re thanking the recipient for. Then add a warm thought like one of these…

  • “I’m humbled and grateful.”
  • “You knocked me off my feet!”
  • “My heart is still smiling.”
  • “Your thoughtfulness is a gift I will always treasure.”
  • “Sometimes the simplest things mean the most.”

  • “All I can say is wow! (Except, of course, I’m grateful.)”

  • “Thank you for being my angel.”

Writing tip: Sign and send your thank-you card while the gift or event is still fresh in your mind. Within three days is ideal, but in most situations a “thanks” will be appreciated no matter how late it arrives.

Thank-You Messages for a Gift  

Birthday, holiday and just because.

Here are some questions you could try to answer when writing a thank-you for a birthday , holiday or just-because gift: What was the gift? What do you like about it? Why was it a good choice for you? What do you plan to do with it? How did you feel when you opened it? How did it make you feel about the giver? Below are some message examples that answer one or several of those questions.

  • “Thank you for the bling hanger for my marathon medals. You know me so well!”
  • “I love the milk-glass vase. I’ll think of you every time I see it on my table.”
  • “Thank you for the fun and funky purse. I don’t know where you find such unique things!”
  • “The table runner you sent for my birthday is perfect! I can tell you spent a lot of time picking it out, and it makes me smile to think about how thoughtful you are.”
  • “I was so thrilled when I opened the new hiking boots. You knew exactly what I wanted.”
  • “Thank you so much for the new alarm clock. I’d been needing one, and the one you chose is perfect to use with my phone!”
  • “Bless your big and generous heart!”

Writing tip: Here are a few words to describe gifts: fabulous, perfect, touching, beautiful, unique, appreciated, awesome and much-needed. Some words to describe gift givers: generous, thoughtful, creative, sweet, considerate and caring.

Graduation, wedding, baby and other life events

The challenging thing about these life-event thank-you notes is that you likely have several of them to write. It’s fine to develop a general formula for what you’ll write, but anytime the task starts to become burdensome, put down your pen and come back to it later. You want to sound appreciative and enthusiastic, and you’re more likely to come across that way if you write five thank-you cards a day over 10 days, rather than 50 all at once.

  • “Wow! We are so touched by your generous wedding gift. The place settings will be used and enjoyed often—and we’ll think of you every time.”
  • “Thank you for adding to the joy of our wedding with your warm wishes and thoughtful gift. We love the candlesticks and how they look on our hall table.”
  • “Thank you for the adorable fire engine sleeper and bib for Ben. You put a smile in our hearts. Can’t wait to send you a picture of him wearing it!”
  • “From the bottom of my heart, thank you for organizing the group gift of the car seat and stroller for my baby shower. You shouldn’t have. (But it’s so nice you did!)”
  • “Thank you for the e-reader! I’m already using it and loving it. I really appreciate you thinking of me on my graduation.”
  • “I so appreciate your thoughtful graduation gift to me. The watch is beautiful, and it almost makes me look like a real grown-up when I wear it 😉 Thank you so much. You’re the best!”

Some things never go out of style. Sending a thank-you card in a  timely fashion is one of them. Say “thanks” in minutes with a Hallmark Personalized Card !

Writing tip: You get a little more time to write thank-you cards for graduation , wedding , shower and baby gifts. You’re not hard to buy for—you’re easy to love because you write such a nice thank-you when someone gives you money or a gift card! Here are some ways to make a giver feel great about choosing that option for you.

  • “Thank you for the generous gift card to REI! It will be such a big help in getting ready for my big camping trip. It’s much appreciated.”
  • “Thank you for the birthday $5! You’d be surprised at how happy this little tradition of ours always makes me. Burger and fries, here I come!”
  • “I just used the birthday money you sent toward a new power sander. I’m really excited to start using it. Thanks so much for making it happen!”
  • “Just wanted to say a big THANK YOU for the coffee shop gift card. Do you know me or what?”
  • “Thank you for your thoughtful and generous gift. I haven’t decided how I’ll use it yet, but I wanted you to know how happy and grateful I am.”

Writing tip: There’s no hard-and-fast rule on whether to mention the specific amount of money you were given in your thank-you message. If it feels tacky or wrong to you, then skip it. But if you feel like it highlights or helps identify the gift, it’s perfectly fine to include.

Thank-You Messages for Help  

House or pet sitting, yard work or housework, help during a busy or difficult time, above-and-beyond assistance with a project at work… anytime someone steps in and makes your life a little easier, call it out with a thank-you note.

More general examples

  • “This has been a challenging time, and I appreciate you so much.”
  • “You have no idea how much your help has meant.”
  • “For all the little and big ways you’ve pitched in…thanks!”
  • “There was nothing random about your acts of kindness. Thank you for all you have done.”
  • “I can never thank you enough. But this is a start.”
  • “You always know how to make life brighter for everyone you know.”
  • “I can’t possibly repay you.”
  • “You are always so helpful.”
  • “You make the world a nicer place.”
  • “You went above and beyond, and I am touched and grateful.”
  • “You took common courtesy to an uncommon level. We’re so grateful for your help.”

More specific examples

  • “Thank you for taking care of the lawn while Kevin was in the hospital. I don’t know what I would’ve done without you.”
  • “For my burden-bearing, laughter-sharing, forever-caring friend…a very happy, hug-filled, heartfelt thanks.”
  • “The best way to thank you for your work on my project is to keep you informed of the outcome—and I promise to do that. Meanwhile, you have played such an important part and your help won’t be forgotten.”
  • “It’s harder and harder these days to get the number of volunteers we need—but you made time in your busy schedule to step up. That means even more as every year gets busier.”
  • “I’m using you as an example to my kids of someone unselfish, giving and ready with a can-do spirit. I hope they turn out just like you.”
  • “Thank you for the wonderful meals you brought and arranged during Emily’s bed rest. Our hearts have been deeply touched by your kindness.”

Writing tip: If writing a thank-you takes you back to high school and turns your writing awkwardly stiff or formal, then relax and try to write like you speak. If you’re a person who would say, “Thanks so much for watching our dog!” then say, “Thanks so much for watching our dog!” Just exactly like that.

Thank-You Messages for Hospitality  

When someone opens his or her home to you for a meal, a party or an overnight stay, that definitely calls for a written thank-you.

  • “A big thank-you to you both for letting me crash at your place (again) during the conference. You always make me feel just like family.”
  • “Thanks for the great time…and the great memories.”
  • “Thank you so much for hosting my shower. I felt like a total VIP.”
  • “My heartfelt thanks to you for opening your home to me during my visit. I loved every minute of my stay.”
  • “What a great party! You really know how to make good times happen. Thank you for letting me be part of it.”
  • “Thank you for a lovely evening filled with laughter and good conversation. I’m still smiling.”
  • “Thank you for the unforgettable meal. You’re incredible.”
  • “Your home is so warm, welcoming and delightful. I felt so pampered.”
  • “I didn’t want to leave. Don’t let that scare you—I promise not to show up all packed and ready to move in. It’s tempting, though.”

Writing tip: Thank-you advice from a longtime Hallmark writer: “I think about what has touched me in the notes I’ve received from people. I try to just let my heart speak and not worry that I’m being ‘gushy’ or ‘over the top.’ When you’re sincere, I don’t think you can be.”

How to Create the best Mission Trip Support Letter

Mission trip support letters are easy to write if you know what to include. The following are some quick tips on what to put in, what to avoid and how to share your mission trip support letter.

But first, let’s make sure you know why you’re writing your mission trip support letter. When you write a support letter, you’re doing way more than just asking for money and prayer – you’re inviting someone to participate in your trip. While they won’t be hopping in the van with you, they will be filling the vital role of providing support in your mission trip experience. Keep this in mind as you write and send your mission trip support letters.

10  MISSION TRIP SUPPORT LETTER WRITING  TIPS

1. Keep it short. One page is plenty. Two pages should be your maximum. Quality trumps quantity.

2. Make it look good. First impressions matter. If designing documents isn’t your cup of tea, find a friend who can help. Including a picture of you or your team is an easy win.

3. Proofread it. Errers are fairly noticeabl… and often avoidable. Have someone help you by reading your letter for any errors before you hit PRINT.

4. Be interesting. Share about what you are doing, the place you are going and the people you will be with on your mission trip. Don’t drag out your mission trip support letter with tons of minute details. (YouthWorks provides a Community Info Sheet for each of our communities; you might include some of those details about the community you’re headed to in your support letter.)

5. Make it personal. People want to support you ! Don’t send a generic support letter from the team when you can send a personal letter from you. While you might share some details about your team, also include what your hopes, fears and needs are.

6. Don’t forget the details. Where is the mission trip? What are the dates? What will you be doing on your mission trip? Is there a send-off service beforehand? How much money are you trying to raise? If they want to donate money, where do they send it and who are checks made out to? A great way to ask for money is to suggest a couple options for dollar amounts (e.g. “I recommend a gift of $50, $100 or $150, but of course, any amount is more than welcome.”)

You should also include whether or not donations are tax deductible. Ask your church if gifts qualify. Also, many qualifying organizations recommend that checks have nothing written on the Memo line as it can jeopardize the gift’s tax deductible status. If the gift qualifies as tax deductible you might write something like this: “Gifts are tax deductible. You can make checks out to ABC Church, but please do not write anything on the Memo line as this could jeopardize your gift’s tax deductible status.”

7. Don’t just write a “fundraising letter.” Support is so much more than people’s money. At the same time, there is nothing to be ashamed about when offering people the opportunity to be generous in supporting your mission trip. If asking for money is part of the support you need, make it secondary to asking for prayer. Even if people can’t contribute financially, they can certainly still support you.

8. Ask for prayer. And be specific when you do. Give them 4 or 5 things they can pray for, for example: the community and ministries you are visiting, your team, your travels, etc. (If you wrote a team covenant, there is probably some great things to pray for in there!)

9. Be humble and respectful. Don’t make the place you’re headed seem destitute in an effort to make your mission trip sound more significant. Remember that Jesus is the hero, not your team. Use language that honors what God is already up to in the place you are headed. Use phrases like, “serve alongside,” “partner with” and “learn from.”

10. Say thank you. A great way to end your mission trip support letter is with gratefulness for the people you are asking to partner with you in this mission trip. Thank them in advance for whatever way they choose to support you.

Intentionally pick your people. Don’t forward your mission trip support letter to all your Facebook friends. Instead, take 10 or 20 minutes to think through whom you should send your support letter to. A few groups of people to consider include family, friends (even if they don’t have money to give you), people you know from church, people you know from school, people you want to invite to know you better, etc.

Don’t overload someone. When requesting financial support coordinate with your team to make sure the same family in your church doesn’t receive 20 letters from 20 different mission trippers.

  Use snail mail. It’s easy to forget the attachment to a Facebook message, but there’s something meaningful about getting a mission trip support letter in the mail. When you put it in an envelope you could even include a separate picture asking for prayer during your trip. Who knows – you might wind up on someone’s fridge. 🙂

Consider print quality. If you’re printing your letter or picture, make sure you use a printer that doesn’t make your letter look like it’s from the 1980s. Maybe your church or a friend can help, and if not them, invest a little money at a local print shop. It’s worth the extra trouble.

Sending mission trip support letters is an important part of your mission trip process. They begin a story that you get to continue telling after the trip! Include others in your story by writing a really great support letter.

Add Specific Details

Tell the donor how you are going to use the funds for your mission trip. Whether it is for travel expenses or for funding the needy, you should include such details to help the donor understand how the money is going to be used.

Express Your Gratitude To The Donor Again

At the end of the letter, express your gratitude again to the donor. This is the ideal way to end the letter. By thanking the donor again, you are reconfirming the fact that you sincerely appreciate the kind act done by the donor.

Make The Letter Unique

Dear Friends and Family, 

I am excited to share with you the opportunity that God has given me. This summer, it has been placed on my heart to go on a mission trip to Belize, Central America, through Praying Pelican Missions. As God wills, I will be there June 18-25 serving. We will be ministering in Belize City and partnering with a local pastor who is eager for us to come and serve the members of his church and community. As we arrive, some of the ministries that were expressed as needs include construction for the church, hosting vacation Bible school, connecting with youth, church services, as well as evangelism to the community and visiting an orphanage to show love to the children who do not have families. 

I am excited to be a part of partnering with the local church to bring Christ’s love to the people of Belize, and I realize I will be blessed abundantly in return. However, as I know God is calling me to serve, I am relying on Him for strength and wisdom as I plan and raise financial support. I know all good things come from Him; for if it is His will, all will be provided. As I have now expressed my heart to you and desire to serve in Belize this summer, I know that I am not able to do it on my own. And as you feel called, I would be blessed if you would consider supporting me prayerfully and/or financially. 

The total cost of the trip is $1,200, which I need to raise by May 3. I am also seeking prayer partners to pray for our group, the ministries, safety, the people of Belize, and the trip as a whole each day throughout the trip. If it is your heart to be a prayer partner for us, I would feel overwhelmingly blessed; it takes all of us as the body of Christ. And if you feel God calling you to support me financially, please know that your gifts will be received as grace and will be used to serve those who are in need. Dear Family and Friends, 

Recently, a challenging and exciting opportunity was presented to me, and I’d like to share it with you. I feel called by the Lord to go to Belize, Central America, from June 18-25 with Praying Pelican Missions to share the love of Christ with kids, teenagers, and adults! I will be traveling with other students from my church, and I ask that you would pray for me and my team as we pursue this adventure that God has called us to. Belize is located on the southern portion of the Yucatan Peninsula, borders Mexico and Guatemala, and faces the Caribbean Sea to the east. 

This summer, our missions team will be reaching out to the local people of Belize by leading church services, building relationships through sports ministry, teaching vacation Bible school, helping with service projects, and engaging in evangelism. There are more than 280,000 people who reside in Belize, many of whom live in material poverty and more still who have never heard the message of hope through Jesus. But the local church is on the move and at work leading souls to Jesus. I can’t wait to serve alongside the local church and aide them in their outreach!

Each team member is responsible for raising a portion of the trip’s cost. The entire cost of the trip is $1,500/ person. If you would like to partner with me as I prepare to go to Belize, you can send a check to West Lakes Church. All contributions are tax deductible. But most importantly, I ask that you would pray for me and my team before and during our trip!

Volunteer thank you letters are letters organizations send to people who volunteer their time and energy in support of that organization’s cause. Since volunteers contribute so much to nonprofits despite being unpaid, organizations use volunteer thank you letters to show their appreciation. 

Why Are Volunteer Thank You Letters Important?

Volunteer thank you letters matter for several reasons. Starting off, volunteers deserve your appreciation. Above all else, volunteers are kind-hearted people who gladly give their time and energy to your organization simply because they want to help you carry out your mission. Make sure they know how much that means to you.

Next, volunteer thank you letters can inspire volunteers to come back and volunteer for your organization again . If you don’t thank your volunteers for their help, then they probably won’t be too inclined to help out again. Building a strong base of volunteers will make your events and operations run more smoothly and efficiently, and volunteer thank you letters are a great way to ensure supporters keep coming back to help.

Lastly, these letters can help volunteers feel a personal connection to your organization and form a relationship with your team. Being specific about what volunteers have done and signing the letter from your volunteer coordinator are ways to make the letter more personal. How Do You Write A Volunteer Thank You Letter?

You might already send your volunteers thank you letters, but chances are, you’re not including all of the necessary components. Here are elements every volunteer thank you letter should include:

  • The salutation. Begin your letter with a greeting. Besides the headline, this is the first thing volunteers will see when they open your letters, so it’s important to start off on the right foot. Always address volunteers by name for a personal touch. For accuracy purposes, just use first names without titles and reference your volunteer database  to make sure you’re using their preferred names.
  • Show your appreciation to your volunteers. Let your volunteers know right off the bat why you are writing to them: to thank them for all of their help and support of your organization.
  • What your volunteer has done and their impact. This is where your volunteer thank you letters might be lacking. Be specific about what each individual has contributed to your organization. Additionally, explain why what they’ve done is important and how it has impacted your organization and those you help.
  • Upcoming volunteer opportunities. The main purpose of this letter is simply to thank volunteers. However, it doesn’t hurt to let them know about any upcoming volunteer opportunities you may have. Just remember that this is just to inform volunteers, so don’t be pushy about it. After all, they’ve already done so much for your organization.
  • Contact information for future reference. Invite volunteers to contact the volunteer director or another relevant member of your organization directly. This way, volunteers will have a specific point of contact they can reach out to with any questions about your organization, any upcoming opportunities, or potentially becoming a donor or board member.
  • A closing. Close the letter genuinely. Maybe you’ll tell them you hope to see them at another event again soon or that you wish them a happy holiday season if it’s that time of year. However you choose to conclude your letter, keep that genuine and appreciative tone throughout.
  • Personal statement of gratitude.  If you haven’t already, make sure this letter is specific to the volunteer it is going to. It’s best for someone who actually met or interacted with the volunteer to write or sign the letter. Take notes at the event so you don’t forget what each volunteer contributed individually. Alternatively, simply sign the letter from your organization’s volunteer coordinator.

Standard Thank You Letter for Volunteering Tips

This volunteer thank you letter template is super general, so you should change it to best fit your organization. Adapt these letters to your organization and cause. For example, if you find a quote about volunteerism that aligns with your nonprofit’s values, make sure to include it. Another way you could gear this letter towards your organization is to leverage any volunteer records you have. That way, you can add a more personal touch.

Speaking of a personal touch, make sure each letter is specific to the volunteer you’re writing it to. Ways to do so are double-checking that the name you’re addressing them by is correct, describing what that volunteer did, and praising them for anything that made them stand out as a volunteer.

If you want to improve your volunteer program , ask your volunteers for feedback. Giving your contact information or providing a survey link will allow volunteers the opportunity to share their experiences with you and offer any suggestions for the future.

Most importantly, send it soon! No one wants to receive a letter for an event they volunteered at months ago. A general rule of thumb is to send out your thank you letters within a week of your event or volunteer opportunity.

When you’re talking about the event the volunteer attended, make sure to quantify the event’s success. This could be the amount of money you raised, the number of people you helped, or anything that communicates the event’s impact. One way to make this letter more meaningful is to include an anecdote about one of the kids the volunteer has helped.
