Guide to Renewing Your Japan Visa Online and In-person

‘How do I renew my visa in Japan?’ we hear you cry. We know it’s a baffling subject. But we’re here to make this often confusing and sometimes stressful process a little easier. Here’s how to renew your visa in Japan.

First, a quick disclaimer: we spoke to an immigration lawyer in Tokyo when drafting this article, but it should not be taken as legal advice. Always check directly with the nearest Immigration Bureau about your specific visa situation.

Renew your visa in Japan: Your options

If your long-term visa in Japan is getting close to its expiry date, it’s time to start thinking about visa renewal. There are a few different ways to renew your visa in Japan. If you work for a company based in Japan, your employer may take care of the whole process for you — you lucky duck. Just confirm this well in advance, as some companies will only supply paperwork to support your application and not actually apply for you. If they do do the whole process for you, don’t be afraid to remind them when it’s close to time for you to renew. They’ll usually ask you to supply some documents like a photo and a copy of your current Residence Card, and then bam, you’re done.

Everyone else has to take matters into their own hands and submit the application themselves. This can be done in-person, or more recently online as well. Let’s have a look at the newest method first.

How to renew your visa in Japan online

Thanks to COVID, the infamously slow Japanese bureaucracy system sat up and dragged its visa application process into the 21st century — sort of. In March 2022 they opened up their online visa management system . Now we’ll be honest, we’re not exactly fans of the online visa management system. It’s clunky and it took us so long to set up a new account that it would actually have been quicker to just go to the Immigration Bureau. Long story short, we don’t recommend it except in certain situations — like if you live far away from your closest Immigration Bureau. But enough complaining, if for whatever reason you want to give it a shot, we want to make it easier for you.

To start with, here are the things you can do via the online visa management system:

  • Renew an existing visa (this includes Working Holiday Visas )
  • Apply for permission to ‘engage in activities other than that permitted’ (i.e. permission to work if you’re on a student visa)*
  • Change your visa type
  • Certificate of Eligibility (conditions apply)
  • Acquisition of visa (conditions apply)
  • Re-entry permit (conditions apply)

Things you can’t do:

  • Extend a ‘Diplomat’ visa
  • Extend a ‘Temporary’ visa (AKA tourist)

*NOTE: This is one of the things we had a lot of trouble with. Although officially it says you can apply for this online, we could not work out how to do that without attaching it to a visa renewal application.

There are two main steps to apply: Registering as a new user, and making an online renewal application. Both steps are convoluted, but we’ve layed them out for you step by step.

Register as a new user

Before you can apply, you will need to register as a new user. This is a whole process in itself, and you may rage quit several times (we’ll admit we did).

Things you’ll need before you start

No, seriously. If you don’t prepare all of this exactly right, you will not be able to make a new user account .

  • My Number card (if you don’t have one, then you find the My Number card online application here . Make sure it’s the type with a chip and photo, not just a paper one).
  • A compatibale IC Card Reader. You can buy them from Amazon or another e-site, or borrow one from a friend. List of compatible readers is here .
  • JPKI app (JPKI利用者ソフト) installed on your computer ( download here ).
  • Install the latest JAVA update (Java8 Update 371) on your computer.
  • Download and enable the “JPKI利用者ソフト” extension ( App Store / Google Play .

Keep in mind that the JPKI App (JPKI利用者ソフト) doesn’t have an English language setting. And frustratingly, your computer might not like the Japanese characters used. If so, you’ll end up being confronted by strings of question marks instead of text. So even if you can read Japanese you’ll be stumped. When we tried on a Windows laptop we found that going into the Language and Region settings and enabling the Beta setting for Unicode UTF-8 helped — but didn’t completely solve — the issue. On the other hand, when we tried on a Mac we didn’t have this problem and were able to read everything.

How to create an account

Got this far? Congratulations and we’re sorry, it’s not necessarily smooth sailing from here. Now it’s time to create a new user account. First, head to this page and switch the language to English (you can only change the language from this page). Now:

  • Attach your IC Card Reader to your computer and open the JPKI app.
  • Press the button near the bottom left that says “自分の証明書(U)”.
  • A new dialogue box will open. Make sure the top option “署名用電子証明書” is selected, then press “OK”.
  • Enter your password (the one you set when you applied for your My Number Card).
  • A new dialogue box will appear that shows your information according to your My Number Card. On the bottom right of the dialogue box, press “有効性確認(V)”. Enter your password again.
  • Another new dialogue box will open which says “要綱性確認結果:「有効」”.
  • Now go back to the Immigration Services Agency of Japan (ISA) online visa system webpage and scroll to the bottom where it says “Register a new user”. Press “Foreign national (applicant)/other.”

If you’ve done everything correctly up until this point, you should be taken to a page that allows you to create a new user account. You’ll need to input your name, email address, phone number, user classification (self, lawyer, legal representative), and Residence Card number (case sensitive). Then, agree to the terms and conditions, and you’ll be sent to the confirmation screen. You’ll receive an email fairly quickly that prompts you to set your password — just note that the URL they send is only valid for 30 days so make sure to set your password soon after receiving the email. After setting your password you’ll get another email with your user name.

Making an online visa renewal application

Once you’ve got your user details, you can apply online to renew your visa. Before you start make sure you have everything you need prepared because you cannot save an application and return to it later . You also can’t make changes to, or cancel, an application that has already been submitted . In other words, get it right the first time.

If you do want to make changes to an application, you’ll need to go in-person to an Immigration Bureau. They won’t be able to make changes to your application for you, but they will help you cancel it. Then, you’ll have to wait a couple days for the cancellation to be processed before being able to apply again. (Don’t ask us how we found this one out).

Also, note that you will have the option to select whether to receive your new Residence Card by mail, or go and pick it up from an Immigration Bureau. We were later told by the Immigration Bureau that if you are applying for ‘permission to engage in other actitivies’, you have to choose to pick up your new card in person so it can be stamped.

Before you start your application have these things handy and ready to go:

  • Scans of the required documents for your visa type, listed on the ISA website (link in Japanese). Merge all of your documents into one pdf, no larger than 10 MB.
  • Picture for your visa in JPEG format (3cm x 4cm) with a file size no larger than 50KB. Yes, 50KB — this might take several rounds of compressing to achieve.

A copy of your passport is not required, but our lawyer mentioned that they upload a scan alongside the documents. When you’re ready to do your application also make sure you have your My Number card and Residence card nearby.

The online application process

Once you’ve got everything prepared, it’s time to start the application. First you’ll need to log in to the system. To do this you’ll need to attach your IC Card Reader and follow the same steps we outlined above in “How to create a new user”. Only this time, when you go to the ISA online visa management system website scroll to the blue log in section and press “Foreign national (applicant)/other”. You’ll be prompted to enter your My Number card password again, then enter your online visa management system log in credentials. After logging in, you’ll have a couple of options. You want the one that says “Enter Application Information”.

  • Select the application type and your current status of residence.
  • Fill in your identification details.
  • Confirm your details.
  • Then you will be taken to a screen where you can attach your documents* and photo.

*NOTE: You can only upload one document in total, no larger than 10MB. That’s why we said to merge everything into one pdf. You will not be able to add or change this document after submitting the application. Double and triple check you haven’t forgotten anything. If you’re not sure whether to include something, err on the side of caution and just include it in the merged pdf.

  • Fill in the Extension of the Period of Stay Application Form (specify if you want to pick up your new visa/resident card in person at the immigration office, or receive it by post)
  • Upload your documents
  • Wait for confirmation email
  • Receive an email with your application number
  • Wait for the result

… if it’s positive

  • Purchase a 4,000 yen revenue stamp
  • Take the revenue stamp to Immigration upon pick up, OR
  • Send the specified form by post with the revenue stamp pasted on to it
  • Receive your visa!

How to renew your visa in Japan in person

Did that stress you out? Us too. That’s why we honestly think that when you want to renew your visa in Japan, applying in person is still the way to go. It’s far more straightforward, you just have to be prepared to wait a while. Honestly, we definitely spent more time messing about trying to get the online system to work than we did waiting at the Immigration Bureau.

If you do choose to go to the Immigration Bureau, just make sure you have all your documents filled out, printed, and ready to go. We recommend over preparing your paperwork, it’s better than being sent away because you forgot something. But then again, at least someone checked your documents before letting you submit them, with the online system the pressure is all on you to get it right.

Things you’ll need to renew your visa in person

Before you go to your regional Immigration Bureau, you’ll need to prepare these things:

  • Extension of the Period of Stay Application Form
  • Passport-size picture
  • Other supporting documents*

*NOTE: Just like with the online application, the exact documents you need depend on your visa type. You can find a list of documents sorted by visa type here .

What to do at the Immigration Bureau

Your experience at the Immigration Bureau will depend on which one you go to. You may have to line up, or take a number and wait to be called. In either case, when it’s your turn hand your documents over to the Immigration Officer to be checked. They’ll give you two things to fill out. One is like a receipt confirming your application has been submitted (write your name on this one). The other is the postcard they send to you when your application has been processed (write your name and address on this one). When the Immigration Officer has finished checking your documents, they will stamp the back of your current Residence Card (to show your application is being processed), and stamp and give you back the receipt (don’t lose it!). They’ll keep the documents you submitted and the postcard you wrote your address on.

Once this is done, it’s time to go home and wait. Your postcard will arrive in the mail once your application has been approved. The official site says this can take anywhere from five days to four weeks but it has been known to take longer.

When your postcard arrives, head back to Immigration with 4,0000 yen worth of revenue stamps (you can buy these at a convenience store — they’re called inshi in Japanese) and this form and repeat the waiting process.

Hand over your postcard and stamps and receive your new visa (Residence card).

Tips for when you have to wait at the Immigration Bureau

  • The Tokyo Regional Immigration has very bad phone reception, you may want to bring a book or something else to keep yourself entertained.
  • The Tachikawa Branch Office of the Immigration Bureau is very small so you might have to wait outside, check the weather and bring an umbrella just in case.
  • Bring some drinks to stay hydrated and snacks to keep you full — waiting is always worse on an empty stomach.

How soon can I renew my visa before it expires?

You can renew your visa up to three months before it expires. If you opt to renew your visa in person, you will receive a stamp on the back of your Residence card which extends the validity for the duration of the process (two months). This means that you needn’t worry if the application process extends over the validity of your visa.

Which office should I go to?

If you’re in Tokyo, the most common one is in Shinagawa, but there is also a Branch Office in Tachikawa. For convenience, it can be tempting to go to one near your workplace, away from your residence, but be careful as you could be turned away. Check on the website or call before you go, as some don’t accept everybody — you might have to be living in that city. You can find a list of immigration bureaus here .

Why do I only get a one year visa renewal instead of a three year or five year visa?

It is hard to say for sure. There are many cases of people who applied for five years and only received three years or one year. For people renewing for the first time, one year is the most common. Conversely, some people who only apply for one year might receive three years…

What time is best to go to Immigration?

This varies, depending on the office. The general consensus is that it’s best to arrive either that a bit before it opens or a short time before it closes. That said, you will still probably wait for around one to two hours. Also note that certain times of the year are busier than others. For example, March and April are notoriously busy because that’s both when many people start new jobs, and language schools and universities start the new academic year.

Do the staff at Immigration speak English?

Most staff at Immigration Bureaus speak at least some English. And while they may not be as fluent as you might hope, they do try very hard to make sure you get the help you need. If you’re uncertain about something, don’t be afraid to ask for an English speaking staff member — just know that you might have to wait even longer.

What if there’s a problem with my application?

If your application is missing something, an Immigration Officer will usually notice when they check your documents. They might ask you some questions or ask you to come back with the correct documents. If there’s an issue during the application process you might receive a letter asking you to come to Immigration with certain documents. Or you might receive a phone call from Immigration to ask you some questions. Neither of these things are too big of an issue though, so don’t worry too much.

Is it worth applying to renew your visa online?

We spent more time trying to set up and apply on the online system than we did applying in person at an Immigration Bureau office (including travel time). The online renewal system might be a good option if you live really far away from an Immigration Bureau office, or aren’t able to get to one when they’re open. However, based on our experience we’re not going to tell you it’s quick or easy.

How to extend visa in Japan – the complete guide with links

As long as a person is a mid-long term resident in Japan, the visa duration extension is necessary. So, if you are a second-year college student, you might need to extend for longer. If you are continuing your work, you also need to extend your contract with your employer. Therefore, you need to go to a local immigration office to apply.

Meanwhile, the  MOJ  website is not the friendliest place for you to navigate through. Don’t worry, because we have made a list of procedures for you. Also, you can find all the official documents with hyperlinks in this guide! Let’s get started!

Who can apply?

(1) Students (studying aboard, cultural exchange and research) (2) Work-related (3) Spouse or relative related

As you probably expected, most students or salarymen need to extend their status. Spouses can also extend their statuses. In a nutshell, people who are  mid-long term residents  can all apply to this.

Except for the three major groups above, business owners or lawyers can also apply with a different set of procedures.

When can you apply?

According to Immigration Control Act, Article 21, they start to accept applications  90 days  before your current visa expires. That gives you three months ahead of time to get all your documents ready.

According to  the MOJ web page description (JP) , you can explain any reason and apply before 3 months under the necessary time needs.

Where to apply?

There are multiple bureaus of immigration services and offices (mainly at the airports) spread all over Japan. Each bureau has from 1 to 11 branch offices based on the foreign population in each administrative region.

However, you need to be very careful whether the office accepts applications for your jurisdiction – where you entered your home address (we explained the concept between  jusho  and  address  in this article).

For example,  the Tachikawa office  handles Tokyo and Yamanashi’s immigration documents. If you live in Chiba, then you cannot go to the Tachikawa office.

*Covid-19 Update: Due to the overwhelming amount of foreigners in Japan, expect a long wait at the office. The current hours are from 9:00-15:00.  That means you cannot pick a number and wait in line after 15:00!  The office still operates until 17:00.

How to apply?

The extension of the period of stay requires you to submit a few documents to prove that you are eligible to stay in Japan. The required documents are different depends on what type of staying you are applying for.

Here is a list of documents that you need no matter what visa you hold :

  • Extension of the period of stay application form, you can  download it from the here   (Applications are different based on your visa status)
  • The last 1-2 pages of your application form should be prepared by your institution (school, corporation, hospital, etc.) 
  • Your passport (not expired)
  • Your resident card
  • A 4cm x 3cm picture of yourself in light background without patterns or shadows, and write your name in the back (make sure you look straight ahead)

  • Make sure the certificates are issued within 3 months of their issuance
  • In most cases, if you are just missing one document, they will give you an envelope, so you can mail the missing document rather than make another trip.
  • They will make a photocopy of the important documents. However, there may be cases of never returning an official document. Ask before you submit anything.
  • If you cannot write kanji well, you can always download the form online and print it out before.
  • They have extra printed forms at the office in case you made any mistakes.
  • If the document is in any other language, make sure you translate it into Japanese

According to  the guideline from MOJ , you should be able to extend your period easily  unless  you have done:

  • Did not pay your insurance and nenkin, as well as did not file for tax
  • Overworked (more than 28 hours per week)
  • Broken law or caught in severe bad behavior
  • You do not meet the criteria for staying in Japan
  • Did not meet the required attendance rate for your classes

It is very unlikely that you will be granted the extension again once you are rejected once, but there are always cases that you can explain your situation if you have a valid reason.

A Japanese tourist visa is required for all non-visa-exempt nationalities and those who are not eligible for eVisa. Japan tourist visa application can only be lodged in person at a Japanese embassy in your country of nationality or residence.

Tourist visa validity

Japan single entry visa is valid for 3 months. You cannot extend this period of validity and if you change your passport before you use it, you must apply for a new visa.

Duration of stay

In most cases, the duration of allowed stay inside Japan is 90 days. In some cases, it can be lower, about 15 or 30 days.

Allowed number of entries

The standard Japanese tourist visa is a single entry only.

Multiple entry tourist visas are also issued but only to select nationalities with additional requirements.

Allowed ports of entry

With a Japanese tourist visa, you can enter Japan at any international airport or seaport.

When to apply

The processing time is 5 business days after the visa application is deemed complete by the receiving embassy. This can in turn take a few extra days or even up to 2 weeks.

It can take even longer if additional documents are requested from you or your application is sent for further review. Apply well in advance to ensure you receive the visa before your travel dates.

  • Earliest : 3 months before traveling
  • Latest : 2 weeks before traveling

Who requires a tourist visa

The following nationalities require a tourist visa to travel to Japan

  • Nationalities that are NOT visa-exempt (currently, 70 countries are visa-exempt)
  • Nationals that are NOT eligible for Japan eVisa (currently, nationals and residents of 14 countries are eligible for eVisa)

North Korean nationals are not eligible for Japanese visas and are always denied entry.

Documents required

The following are the required documents for a Japan single entry visa for individual tourists (not on organized tours through travel agencies):

  • Passport valid for the duration of stay
  • One passport-size photo
  • Completed Visa Application Form (use Adobe Acrobat Reader to fill out the Visa application form digitally, then print it and stick the passport photo)
  • Confirmation of reservation of tickets (air or sea) both to and from Japan OR Information about the planned schedule of flight or cruise, including entry and departure dates both to and from Japan
  • Proof of sufficient funds – certificate of income or tax statement AND bank statement
  • Travel Itinerary plus any tickets or leaflets supporting your travel plans

The documents may vary depending on the receiving embassy and you may be requested to submit additional ones.

NOTE There are minor differences in the required documents for independent tourists from China, Russia, CIS countries, Georgia, and the Philippines. These are listed below.

Chinese travelers

Generally, Chinese tourists visiting Japan come on tours organized by authorized travel agencies.

As an independent Chinese traveler, it is possible to obtain a tourist visa for Japan if you have sufficient financial capability.

You must prepare your own travel itinerary in advance and approach an approved Chinese travel agency to facilitate and lodge the visa application for you. There is currently no way to apply at a Japanese embassy in China independently.

The period of stay granted for tourist visas to Chinese nationals is usually 15 or 30 days.

Travelers from Russia, CIS Countries, and Georgia

Independent tourists from any of the CIS (Commonwealth of Independent States) countries, Russia, or Georgia traveling to Japan, can obtain a single-entry visa.

The required documents are more or less the same as for other countries but you must submit 2 Visa Application Forms and 2 photos.

Travelers from the Philippines

In addition to the general document requirements, you must also submit:

  • Birth certificate issued by the National Statistics Office (PSA) on security paper. If the certificate is illegible, crumpled, or parts of it are missing, also submit a birth certificate from the local government.
  • Marriage certificate (if married)

Photo requirements

The passport photo must meet the following requirements.

  • Taken within the last 6 months
  • Must be of size 45mm x 35mm
  • In color against a plain white background
  • Taken looking straight forward and face visible clearly
  • On a good quality paper

Tourist visa fee

The fee for the Japan tourist visa is 3000 JPY payable in the local currency of the embassy where you apply.

Visa fees may be lower for some countries.

Online payment for the visa fee is not possible.

Crucially, you don’t need to pay the visa fees when you apply. You will pay only if your Japan visa is approved. Japan is one of the few countries in the world that charge visa application fees after the visa is issued and don’t charge for unsuccessful applications.

Processing time

The processing time is 5 business days. 

However, this period starts after the embassy confirms that your application is complete which is known to take a few days or longer.

In reality, you can expect your visa to be issued within 2 weeks in most cases.

How to apply for a Japan tourist visa

You must apply at a Japanese Embassy or Consulate General with jurisdiction over the area where you live or the one with jurisdiction over the country in which your passport is issued.

Effectively, this means that you must apply in the embassy in your own country or the country where you are legally a resident . 

If there is no Japanese embassy in your country, see which embassy nearby has jurisdiction over your country – it’s usually the closest one in a neighboring country. Check the Japanese embassies and consulates around the world.

Applying for Japan tourist visa at the embassy is usually a 5 step process.

Step 1: Gather all the necessary documents.

Step 2: Apply in person at the Japanese embassy.

Step 3: Remain available to reach – the embassy may request additional documents or an in-person interview.

Step 4: If your application is successful and your visa issued, go back to the embassy to collect your passport

Step 5: Pay the visa fee in cash in the local currency

If your application is rejected, you won’t be able to apply for a tourist visa again for the next 6 months unless there are major changes to your circumstances. There are no other penalties and there is no fee to be paid.

Entry Procedure at the Border

Regardless of the border you enter Japan at, your flight origin, or your nationality, the entry procedure in Japan is pretty much always the same.

The border officer will check that you meet all requirements, including that your visa is valid, your purpose for entering Japan, and the planned length of your stay. 

Assuming everything is in order, the officer will grant you “landing permission” by affixing a seal of verification for landing in your passport. At this point your visa expires and you are allowed to stay in Japan for up to 90 days (or as much as provided in your visa).

Please be aware that we will decline applications that have incomplete documents. Each Temporary Visitor Visa applicant must submit the following documents: * Consulate General of Japan will not make copies. If you need original documents, please bring the original plus one copy.

  • An application form completed and signed. Blank forms are available at Japanese consular offices. You can also download by clicking on visa application form ( Sample ) in PDF format. Chinese citizens must write their names in Chinese characters, as well as in Roman letters. Korean citizens in principle are asked to write their names in Chinese characters, as well as in Roman letters. Please include your e-mail address and contact phone information. An applicant with an arrest or criminal record must provide a copy of his/her court and/or arrest record (including cases that ended with an acquittal or pardon), along with an English translation of those documents if they are in any language other than English. Even if the case did not go to trial, please provide a letter that explains in detail the circumstances surrounding the arrest. We would like to know about the charges, time served, fees paid, and probation (if any).
  • Valid passport ( original plus one photo copy of the face page) with sufficient space for a visa (This means at least one empty, blank visa page. US passports use the rear pages for amendments, and are not acceptable as blank visa pages ). If you already have a valid Japanese visa in your passport, please include a signed consent form as shown in the sample at this link: http://www.ny.us.emb-japan.go.jp/en/d/Consent.pdf . If you submit a PERMIT TO REENTER THE UNITED STATES or a REFUGEE TRAVEL DOCUMENT issued by the U.S. government, it must have a validity date at least six months beyond the date of visa application.
  • A passport-sized photograph: 2-inch x 1.4-inch photograph on glossy photo paper taken within the last six months with plain background. Photograph may be attached to the application form with glue (not tape or staples) or you may submit the photograph unattached.
  • Green Card or valid I-94 and U.S. resident visa to re-enter the United States (F or J visa holder must show an I-20 or DS-2019 with the valid signature of an appropriate official in order for re-entry). If you will be entering a third country after leaving Japan, you must show a valid visa to enter that country (or a national passport of that country). We ask that all applicants submit their original immigration documents (green card, I-20, etc.) or a NOTARIZED copy of the documents. * Please note: In principle we do not accept an application from B-1 and B-2 U.S. visa status holders.
  • A confirmed reservation record of your round-trip flight to/from Japan. An e-ticket or print-out from a travel agency, airline or travel website is acceptable. The print-out should include: -Your name. -Your confirmation number/record locator. -Your airlines, flights and all departure and destination cities. -Your complete round-trip flight itinerary, starting and ending in the US. This should include all of the countries you are visiting other than Japan, if applicable. * Please note: We do not require the purchase of tickets, but we do require a confirmed reservation. We are not responsible for tickets which may be unusable due to the delay or denial of a visa. For those with non-revenue ticket holders: a) Actual Non-Revenue ticket (original plus copy of all pages), plus a printed entire flight information from the airline company b) A copy of the employee ID of the airline employee who obtained the flight coupon, or a letter from the airline proving the employee works for the airline, and that the applicant is authorized to use the non-revenue ticket
  • If traveling for BUSINESS, original letter from applicant’s company signed by an authorized executive officer, on company letterhead, stating: a) applicant’s position in the company, duration of employment, and monthly or annual salary b) nature/purpose of visit in detail c) dates/duration of stay intended d) contact person, company name, address and phone number of business contact in Japan e) guarantee of financial support during applicant’s stay in Japan and return transportation from Japan * Additional documents may be requested during the course of examination.
  • If going to attend a CONFERENCE, conference brochures plus a paid registration form and invitation will be required. In addition, a letter from the home institution/company giving the circumstances of the trip as in 6.a ) ~ 6.c ) from the visa applicant’s home institution/company, plus the applicant’s financial resources such as listed on 8.a) will be required.

Requirements for Extending Your Current Visa in Japan

So the period of stay on your visa allowing you to stay in Japan is nearing the end, and you want or need to stay longer! (Happens to a lot of us!) Do you have everything you need to extend the visa? 

First, please note that this article is for extending work or long-term visas. For extending short-term visas (usually not allowed), please see the FAQ section. Also if you are changing to a different type of visa, then you must apply for a Change of Status of Residence . You can read our brief article about it here .

Required Documents when applying for Extension of Period of Stay

How long you are allowed to legally stay in Japan (granted to you by your visa) is called the “period of stay” , so this process is applying to extend your period of stay.

Here’s a list of documents that you must have:

Application for Extension of Period of Stay (printed on A4 size paper)

Your passport or Certificate of Eligibility (if you can’t, you need a note about why you cannot produce these materials)

4cm x 3cm picture taken within 3 months of sending the application and with your name written on the back (in case it falls off the application); not required for applicants under 16

Your current Residence Card

Supporting documents and/or statements that will prove that you are eligible to continue your stay in Japan*

*Since the supporting documents vary per visa, here are just some of the examples.

Student Visa

For those who have a Student Visa, you must also prepare the following:

Certificate of Enrollment in university, school or language/vocational school

Certificate of School Attendance

Certificate of Academic Record

A copy of your original Registration Certificate

A copy of your original Results Certificate 

Supporting documents that will prove that you can fund your extended stay in Japan

Spouse of Japanese National

For those who have a Spouse of Japanese National visa, you must also prepare the following:

Family registry (Koseki Tohon) of your Japanese spouse that proves you are married

Residence Certificate (Jyumin-hyo) of Japanese national showing every person that lives with them including you

Tax certificate and tax payment certificate (needed to show taxes calculated based off of income and to prove that you and your spouse have been paying your taxes accordingly) 

Letter of Guarantee by the Japanese citizen or foreign resident that you're currently residing with

Please note that if you’re applying to extend your status as a “Child of a Japanese National” on the same type of visa as Spouse, then the materials required are slightly different.

Keep in mind to apply for the extension period of stay is 3 months prior to your visa expiration. Don’t wait until the last minute as you might be informed you are missing something when going to apply.

The process for extending your visa is usually quite easier than getting one, especially since it takes less time and you aren’t required to submit as many documents as the first time.

Once you have compiled every important document and other requirements, you can simply visit the nearest Regional Immigration Services Bureau from your current location in Japan. You will submit all your requirements there along with the required revenue stamp which costs 4,000 yen or so. You can usually buy the stamp at the immigration center.

It would usually take about 2 to 4 weeks before you hear about the results of your application. If approved, you will have to go pick it up.

Where to apply for extension

There are 17 different Regional Immigration Services Bureau, District Immigration Services Offices, and Immigration Centers throughout Japan. Head to the one closest to you to apply.

Why was my visa extension rejected? 

As we stated, it’s usually simpler to extend your period of stay than to apply for a new visa, but there are times the application is rejected. Here’s some of the common reasons::

The purpose of your stay is already fulfilled and the Immigration Bureau deemed it unnecessary to extend your stay.

Your financial status isn't sufficient to fund your stay in Japan according to the financial documents submitted.

You failed to pay your taxes.

Something in your application is contradicting and/or inaccurate or false

You can't extend your Student Visa if you failed to comply with the required attendance.

You can't extend your Spouse Visa if you're not living with your spouse, your marriage has ended, or it shows that you're actually married for convenience.

Can I apply for a visa extension while overseas? 

No, you have to apply for the extension while in Japan. 

What if I have a short-term visa and I want to extend my stay?

Most of the time, you will not be allowed to extend your short-term stay past the alloted period of time. You are expected to leave at the end of your stay, and you can always choose to come back. There are only very select circumstances under which the Minister of Justice may grant extensions (such as being stranded in Japan during the pandemic), but most cases are not approved.

Also please do note that Japan has become much stricter about allowing tourist visas to be changed to a long-term visa - many applications for the change of status of residence have been rejected under stricter conditions in recent years. (Exceptions have been made for people having to stay due to the pandemic but otherwise, you will have to leave to reapply for a long-term visa.)

Long-Term Stay In Japan: Complete Guide To Visas And Statuses Of Residence

If you come to Japan for work, study, or cultural activities other than tourism, you'll be required to have an appropriate visa upon entering the country. This article introduces the main types of visas for long-term stays in Japan and the procedures required in order to obtain them.

Types of Visas Required for Entering Japan

If you visit Japan as a tourist and plan to stay for less than three months (*1) without engaging in work or other paid activities, in many cases, a visa is not required. Japan has short-term stay visa exemption arrangements with 68 countries (*as of June 2020).

Nationals from The People's Republic of China, Russia, and the CIS countries, Georgia, the Philippines, Vietnam, and other countries will be required to hold a short-term stay visa or tourist visa . These visa procedures can be made at the Japanese embassy or consulate in each country.

However, if you plan to work, study, or engage in cultural activities, a working visa or another type of long-term stay visa is required.

We introduce the main types of long-term stay visas and the procedures required to obtain them.

The most important thing you need to know about applying for a long-term stay visa and the right to reside in Japan is that you'll be dealing with two different institutions: the Ministry of Foreign Affairs , which gives you the permission to land in Japan, and the Immigration Bureau of Japan (Immigration Services Agency), which belongs to Japan's Ministry of Justice and issues the residence cards for foreign nationals living in Japan.

In other words, you'll have to go through a set of procedures before coming to Japan to obtain permission to enter the country ( visa ), and then do another set of procedures after you've landed in order to ensure your stay (status of residence) . You'll need a different set of documents for each of these procedures because two different institutions are involved.

Procedures for Obtaining a Long-Term Stay Visa for Japan

To start the application procedures for obtaining your visa, you'll first need to complete the following steps:

1. Visit the Japanese Embassy in Your Country

The Japanese embassy or consulate in your country is the first place to go for advice on visa-related matters. (See the list of worldwide Japanese embassies and consulates .)

Visit the embassy first to see what procedures are necessary to obtain a visa for working or studying in Japan. Here is where you can get a visa application form , one of the documents that you need to prepare for the procedures.

2. Contact Your Japanese Connection

In order to apply for a long-term visa, you'll need a connection in Japan. Your connection can be your employer, the school where you plan to study, or a Japanese acquaintance who agrees to become your guarantor. The cooperation of a Japanese party (your employer, host school, or Japanese friend/relative) is required to get some of the documents necessary for the visa. (*2)

A document you'll need right away before your arrival is the Certificate of Eligibility (COE) , which is issued by the Immigration Bureau of Japan. The Certificate of Eligibility (COE) is required for all long-term stays visas and certifies that you fulfill all the conditions for being allowed to enter Japan.

Your Japanese connection will have to apply for your Certificate of Eligibility (COE) at their Regional Immigration Bureau. After your COE is issued, your Japanese acquaintance will need to send you the certificate.

*2 It is advisable to apply for a long-term visa only if you have concrete perspectives of living in Japan after arriving here.

3. Prepare the Documents to Apply for a Visa

To apply for any type of long-term stay visa, you'll need to submit the following documents to the Japanese embassy in your country. - Visa Application Form (*for some countries, two forms are required) - Your Passport - One or two photographs - Certificate of Eligibility (the original and one copy)

Depending on your nationality, some additional documents may be required. Check the official website of the Japanese embassy or consulate in your country for details.

After your application is examined, you'll be called to pick up your passport from the Japanese embassy. If everything goes well, you'll receive your visa for landing in Japan. Please be aware that the visa expires in three months; you need to do the procedures at the Immigration Bureau to ensure your status of residence within 90 days after entering the country.

It usually takes around five workdays for a visa application to be processed.

1. Work Visa

Apply for a work visa if you plan to engage in remunerative activities in any of the following professions:

Teaching, arts, religious activities, journalism, business management, legal/accounting services, medical services, research, engineering, humanities, international services, nursing care .

Period of stay Three months, one year, three years, or five years. (*The period of stay is decided when you get your status of residence at the Immigration Bureau of Japan.)

To apply for a status of residence with a work visa , you'll need to apply for a residence card at your Regional Immigration Bureau by submitting the following documents: - Application for the status of residence - Your passport - A passport-size photograph (3 cm × 4 cm) - Documents detailing your position in the company or organization, the salary you will receive, and the duration of your contract. - Documents attesting your previous academic and professional history - Documents related to the receiving company or organization, such as company registration, statement of profit and loss, etc. (*these are usually provided by the company)

In addition to the above, depending on your profession and nationality, some other documents may also be required. For example, artists may be asked to submit documents showing their previous achievements, and researchers may need to provide academic and professional qualifications.

2. General Visa

If you come to Japan as a student , or to engage in cultural and training activities , or as a family member of a foreign national with a work visa, you'll need to apply for a general visa.

Exchange students, interns (*only for unpaid internships), trainees, or students of Japanese language and culture all fall into this category.

Periods of stay Cultural activities: three months, six months, one year, or three years. Students: From three months up to four years and three months. Training: three months, six months or one year Dependent (family member of a foreign national): from three months up to five years.

Soon after your arrival in Japan, visit your nearest Regional Immigration Bureau and start the procedures for obtaining your status of residence. You'll need to prepare the following documents. - Application for the status of residence - Your passport - A passport-size photograph (3 cm × 4 cm) - Documents regarding the school or institution receiving you. (*The required documents vary depending on the type of institution, so please inquire at the Immigration Bureau at the time of your first visit.)

If you are a family member of a foreign national working in Japan, authorized copies of marriage/birth certificates that attest to your relationship with the holder of the work visa, a copy of their residence card, as well as documents related to their employer will also be required.

3. Highly Skilled Professional Visa

Foreign nationals who engage in advanced academic research activities, advanced specialized/technical activities, or advanced business management activities, and already have a contract with a receiving Japanese institution can apply for a highly-skilled professional visa .

The applicants are evaluated using a point-based system that takes into account previous professional achievements and qualifications.

4. Specified Visa

Foreign nationals who come to Japan on a working holiday program or for paid internships , individuals with Japanese ancestry, as well as spouses/children of Japanese nationals or of permanent residents should apply for a specified visa .

Those participating in a working holiday program, paid internships, and other types of work not covered by the work visa will need a specified visa for designated activities. A long stay of up to six months for sightseeing and recreation will also require a visa for designated activities.

Period of stay Designated activities: from three months up to five years, or a designated period up to five years. Spouse/child of a Japanese national: from six months to five years Spouse of a foreign national employed in Japan: from six months to five years

After your arrival in Japan, visit the Immigration Bureau in your region to apply for a residence card that attests your status of residence.

5. Start-up Visa

Entrepreneurs supported by municipalities in Japan and their spouses or children can apply for a start-up visa . The period of stay is six months.

6. Diplomatic Visa

Members of diplomatic missions receive diplomatic visas for a period of stay that corresponds to the length of their mission.

7. Official Visa

Individuals who come on the official business of foreign governments or international organizations recognized by the government of Japan and their family members receive an official visa. The period of stay ranges from 15 days to five years.

Important Note about the Limitations of Your Visa

If you wish to engage in other activities than those stipulated by your visa, you'll need to apply for special permission at the Immigration Bureau. For example, if your visa and status of residence are for teaching, you'll need special permission to engage in paid work (remunerative activities) unrelated to teaching.

We've summed up the main types of visas for long-term stays in Japan. Remember that, if you come to Japan for other purposes than tourism, you have to obtain the status of residence corresponding to your visa, which means applying for your residence card at the Immigration Bureau of Japan.

It takes around two to three weeks for your application to be processed and your residence card to be issued by the Immigration Bureau. In the meantime, your main identification document will be your passport with the visa and landing permit you received upon arriving in Japan.

If your status of residence allows you to stay one year, three years, or five years in Japan, please be aware that an extension of the status of residence is needed if you plan to continue living in Japan.

A short term visa is a type of visa that is required to enter Japan and is issued for activities such as tourism, recreation, sports, visiting relatives, sightseeing, attending courses or meetings, business contacts, and other similar activities. A short term visa is one of the visas that you can apply for at Japanese embassies or consulates abroad. Foreigners who have a short term visa are not allowed to engage in activities such as work or permanent residence. The period of stay for a short term visa is 90 days, 30 days, or 15 days or less.

The extension of a short term visa is not permitted in principle. This is because a short term visa is issued on the premise that you will return to your country and you are only allowed to do what you planned to do within the period of stay. When applying for a short term visa, you need to submit documents that prove your date of return and purpose of stay. These documents are necessary for the Japanese government to manage the entry and stay of foreigners and maintain public order. Therefore, foreigners who have a short term visa must return to their country as planned in principle.

However, there is a possibility that you can extend your stay if you have “truly unavoidable humanitarian reasons or equivalent special circumstances”. Special circumstances are cases such as the following.

• You became ill or injured during your stay in Japan and need medical treatment in Japan

• A foreigner who came to Japan for childbirth assistance or care needs to take care of them for a while longer

• You were unable to return to your country due to a disaster or accident that occurred during your stay in Japan

You must prove these special circumstances objectively. It is important to obtain a medical certificate or other document that shows that your condition requires you to extend your stay.

If you can cope by returning to your country once and then re-entering Japan, you will not be granted an extension of your short term visa in principle. You cannot extend your stay for reasons such as wanting to enjoy sightseeing for a while longer, having a lover and wanting to spend some time together, or not being able to complete the marriage procedures during your stay in Japan.

The procedure for extending your short term visa is as follows

• You can apply after half of your period of stay has elapsed

• The application destination is the regional immigration bureau that has jurisdiction over the address of the person who invited you

• The examination period is usually about two weeks

• There is no special period, so the result will be notified during the period of stay

• You may not be accepted if you apply at the last minute

A visit to the Immigration Office is inevitable during your time in Japan, especially if you wish to stay long-term. Whether you want to extend your Japanese student visa or change it to another visa, there are a few requirements and necessary documents you’ll need to produce in order to complete the process.

Read on to learn about what you need to do to extend, or change, your Japanese student visa.

The basics you need to know

You can apply at your local immigration bureau to extend or change your student visa from 3 months prior to when your current visa expires. 

Once you submit your application for visa renewal, your current visa is automatically extended for 2 months from the date of the current expiry date. During this time, your application is processed and you will be notified of the result.

If your application to change your visa is rejected, you will be given a temporary status to allow you to prepare for departure. However, you can re-apply and what you need for your re-application depends on why your initial application was rejected. 

What you need for your application

In general, the documents you need for extension or change of visa are more or less the same regardless of category. You may need additional documents depending on your individual situation. 

These documents include:

  • The application form
  • A portrait photo
  • Your current passport
  • Your Japan residence card

For visa status changes where you change from a student to a work visa, you will also need to include:

  • Documents that prove your employment, salary, period of time you need to be in Japan etc. For example, a contract with your employer, invitation letter, and so on
  • The company’s most recent financial statements
  • The company’s withholding tax report
  • Description of the company’s activities
  • Certificates of degree, certified transcripts, or certificates of diploma
  • Documents to prove previous working experience

Your employer may help you apply for your visa change or at least provide the necessary documentation from their end.

Online applications

According to Nikkei Asia , foreign students in Japan will no longer have to visit the immigration bureau to apply to extend, renew or change their Japanese student visa. Instead, students can complete the process online.

The change is meant to help ease wait times at immigration offices, while also preventing the spread of coronavirus.

Previously, online visa status changes could only be done online by a small handful of companies and organisations that can complete the procedure on behalf of their employees. 

More information is still yet to be released at the time of writing this article. However, the idea is for visa holders to be able to submit an online form from their computer or smartphone. Applicants will also need to provide electronic forms for required documents.

TIPS: What you need to know about getting a Japan visa

Planning to travel to Japan any time soon?

Applying for a visa can be daunting, but it shouldn't stop you from taking that trip to see the Land of the Rising Sun. With some proper preparation of all the necessary documents, you'll be able to get approved for your Japan vacation.

There are different types of Japanese visas but we'll focus more on the tourist ones for those who want to go on a quick leisure trip to experience the country. There are two common tourist visas: the single-entry allowing holders to enter Japan once and stay for as long as 90 days, and the multiple entry visa which lets the holder enter the country many times within a specified period for at least 15 to 30 days each stay. Here are the requirements you'll need to get ready.

  • Valid Philippine passport  in good condition, must be signed and have at least two blank visa pages
  • Visa application form which you can download here
  • Your itinerary in Japan which includes your port of entry, where you intend to stay and the contact number of the accommodation
  • A passport photo 2 x 1.4 inches with a white background taken within six months
  • If your birth certificate is "late registration," you must also submit a  Baptismal Certificate  and a Form 137  from high school or elementary, both of which must be issued within at least three months
  • You only need to submit a birth certificate if you have never applied for a Japan visa before
  • You will also need to write a letter of authorization for the Japan Embassy to verify your birth certificate
  • Original Marriage Certificate (if married) issued within one year
  • Bank Certificate  of a personal account (not company/business) issued within three months
  • A copy of your latest Income Tax Return

If someone else will be shouldering your travel expenses, you must also submit the following:

  • Guarantee letter
  • Proof of relationship between applicant and guarantor
  • Bank Certificate and Income Tax Return of the guarantor

Once you've acquired all the requirements, choose an accredited travel agency from this list from the Japanese Embassy. Fees may cost P950 to P1,200 for a single entry visa, depending on the travel agency.

Multiple-entry requirements

Want to get a multiple-entry visa? This type of visa has some conditions for issuance, so it may not be as easy to get one. For instance, you will need to have a history of travel as a temporary visitor to the country in the last three years.

If you pass the conditions, you will need the same requirements as above but also include an explanation letter for requesting multiple entry, proof of your travel to Japan in the last three years, and proof of financial capacity. 

So how much money do you need in your bank account to get your visa approved? The Japanese Embassy hasn't really specified a certain amount but what's advised is to have enough to fund your travel expenses. 

As for how long a tourist visa is processed, it will usually take seven to 10 business days. It's best to get your visa processed a month before your trip so you have ample time to request documents that you might not have around.

Additionally, you don't need to book a hotel or a flight before your visa is processed. In fact, travel agencies advise against it. It's best to book once your visa is approved.

Remember, just because you submitted all your documents, it doesn't automatically mean that you'll be granted the visa.
