How to Write a Cover Letter That Will Get You a Job

I ’ve read thousands, maybe tens of thousands, of cover letters in my career. If you’re thinking that sounds like really boring reading, you’re right. What I can tell you from enduring that experience is that most cover letters are terrible — and not only that, but squandered opportunities. When a cover letter is done well, it can significantly increase your chances of getting an interview, but the vast majority fail that test.

So let’s talk about how to do cover letters right.

First, understand the point of a cover letter.

The whole idea of a cover letter is that it can help the employer see you as more than just your résumé. Managers generally aren’t hiring based solely on your work history; your experience is crucial, yes, but they’re also looking for someone who will be easy to work with, shows good judgment, communicates well, possesses strong critical thinking skills and a drive to get things done, complements their current team, and all the other things you yourself probably want from your co-workers. It’s tough to learn much about those things from job history alone, and that’s where your cover letter comes in.

Whatever you do, don’t just summarize your résumé.

The No. 1 mistake people make with cover letters is that they simply use them to summarize their résumé. This makes no sense — hiring managers don’t need a summary of your résumé! It’s on the very next page! They’re about to see it as soon as they scroll down. And if you think about it, your entire application is only a few pages (in most cases, a one- or two-page résumé and a one-page cover letter) — why would you squander one of those pages by repeating the content of the others? And yet, probably 95 percent of the cover letters I see don’t add anything new beyond the résumé itself (and that’s a conservative estimate).

Instead, your cover letter should go beyond your work history to talk about things that make you especially well-suited for the job. For example, if you’re applying for an assistant job that requires being highly organized and you neurotically track your household finances in a detailed, color-coded spreadsheet, most hiring managers would love to know that because it says something about the kind of attention to detail you’d bring to the job. That’s not something you could put on your résumé, but it can go in your cover letter.

Or maybe your last boss told you that you were the most accurate data processor she’d ever seen, or came to rely on you as her go-to person whenever a lightning-fast rewrite was needed. Maybe your co-workers called you “the client whisperer” because of your skill in calming upset clients. Maybe you’re regularly sought out by more senior staff to help problem-solve, or you find immense satisfaction in bringing order to chaos. Those sorts of details illustrate what you bring to the job in a different way than your résumé does, and they belong in your cover letter.

If you’re still stumped, pretend you’re writing an email to a friend about why you’d be great at the job. You probably wouldn’t do that by stiffly reciting your work history, right? You’d talk about what you’re good at and how you’d approach the work. That’s what you want here.

You don’t need a creative opening line.

If you think you need to open the letter with something creative or catchy, I am here to tell you that you don’t. Just be simple and straightforward:

• “I’m writing to apply for your X position.”

• “I’d love to be considered for your X position.”

• “I’m interested in your X position because …”

• “I’m excited to apply for your X position.”

That’s it! Straightforward is fine — better, even, if the alternative is sounding like an aggressive salesperson.

Show, don’t tell.

A lot of cover letters assert that the person who wrote it would excel at the job or announce that the applicant is a skillful engineer or a great communicator or all sorts of other subjective superlatives. That’s wasted space — the hiring manager has no reason to believe it, and so many candidates claim those things about themselves that most managers ignore that sort of self-assessment entirely. So instead of simply declaring that you’re great at X (whatever X is), your letter should demonstrate that. And the way you do that is by describing accomplishments and experiences that illustrate it.

Here’s a concrete example taken from one extraordinarily effective cover-letter makeover that I saw. The candidate had originally written, “I offer exceptional attention to detail, highly developed communication skills, and a talent for managing complex projects with a demonstrated ability to prioritize and multitask.” That’s pretty boring and not especially convincing, right? (This is also exactly how most people’s cover letters read.)

In her revised version, she wrote this instead:

“In addition to being flexible and responsive, I’m also a fanatic for details — particularly when it comes to presentation. One of my recent projects involved coordinating a 200-page grant proposal: I proofed and edited the narratives provided by the division head, formatted spreadsheets, and generally made sure that every line was letter-perfect and that the entire finished product conformed to the specific guidelines of the RFP. (The result? A five-year, $1.5 million grant award.) I believe in applying this same level of attention to detail to tasks as visible as prepping the materials for a top-level meeting and as mundane as making sure the copier never runs out of paper.”

That second version is so much more compelling and interesting — and makes me believe that she really is great with details.

If there’s anything unusual or confusing about your candidacy, address it in the letter.

Your cover letter is your chance to provide context for things that otherwise might seem confusing or less than ideal to a hiring manager. For example, if you’re overqualified for the position but are excited about it anyway, or if you’re a bit underqualified but have reason to think you could excel at the job, address that up front. Or if your background is in a different field but you’re actively working to move into this one, say so, talk about why, and explain how your experience will translate. Or if you’re applying for a job across the country from where you live because you’re hoping to relocate to be closer to your family, let them know that.

If you don’t provide that kind of context, it’s too easy for a hiring manager to decide you’re the wrong fit or applying to everything you see or don’t understand the job description and put you in the “no” pile. A cover letter gives you a chance to say, “No, wait — here’s why this could be a good match.”

Keep the tone warm and conversational.

While there are some industries that prize formal-sounding cover letters — like law — in most fields, yours will stand out if it’s warm and conversational. Aim for the tone you’d use if you were writing to a co-worker whom you liked a lot but didn’t know especially well. It’s okay to show some personality or even use humor; as long as you don’t go overboard, your letter will be stronger for it.

Don’t use a form letter.

You don’t need to write every cover letter completely from scratch, but if you’re not customizing it to each job, you’re doing it wrong. Form letters tend to read like form letters, and they waste the chance to speak to the specifics of what this employer is looking for and what it will take to thrive in this particular job.

If you’re applying for a lot of similar jobs, of course you’ll end up reusing language from one letter to the next. But you shouldn’t have a single cover letter that you wrote once and then use every time you apply; whatever you send should sound like you wrote it with the nuances of this one job in mind.

A good litmus test is this: Could you imagine other applicants for this job sending in the same letter? If so, that’s a sign that you haven’t made it individualized enough to you and are probably leaning too heavily on reciting your work history.

No, you don’t need to hunt down the hiring manager’s name.

If you read much job-search advice, at some point you’ll come across the idea that you need to do Woodward and Bernstein–level research to hunt down the hiring manager’s name in order to open your letter with “Dear Matilda Jones.” You don’t need to do this; no reasonable hiring manager will care. If the name is easily available, by all means, feel free to use it, but otherwise “Dear Hiring Manager” is absolutely fine. Take the hour you just freed up and do something more enjoyable with it.

Keep it under one page.

If your cover letters are longer than a page, you’re writing too much, and you risk annoying hiring managers who are likely sifting through hundreds of applications and don’t have time to read lengthy tomes. On the other hand, if you only write one paragraph, it’s unlikely that you’re making a compelling case for yourself as a candidate — not impossible, but unlikely. For most people, something close to a page is about right.

Don’t agonize over the small details.

What matters most about your cover letter is its content. You should of course ensure that it’s well-written and thoroughly proofread, but many job seekers agonize over elements of the letter that really don’t matter. I get tons of  questions from job seekers  about whether they should attach their cover letter or put it in the body of the email (answer: No one cares, but attaching it makes it easier to share and will preserve your formatting), or what to name the file (again, no one really cares as long as it’s reasonably professional, but when people are dealing with hundreds of files named “resume,” it’s courteous to name it with your full name).

Approaching your cover letter like this can make a huge difference in your job search. It can be the thing that moves your application from the “maybe” pile (or even the “no” pile) to the “yes” pile. Of course, writing cover letters like this will take more time than sending out the same templated letter summarizing your résumé — but 10 personalized, compelling cover letters are likely to get you more  interview invitations  than 50 generic ones will.

As a professional writer, I’ve applied for many roles across journalism and publishing — and in that time, I’ve discovered how to take a so-so application and turn it into one that shines.

In this article, I break down common job application elements, share tips on how to improve a job application, and provide a handy cover letter template.

Before we dive in, let’s cover the main elements of a job application. Generally, it consists of an application form, a request for a resume and cover letter, and fields where you can explain your experience and other details that demonstrate your suitability for a role. 

You’ll typically find the following sections in a job application:

Next, I’ll share nine tips to improve your job application so you wow hiring managers and stand apart from other candidates. 

1. Carefully read the job description 

Before applying for a job, review the job description. This ensures you understand what the role entails and helps you determine whether you meet the requirements . 

Let’s say you're thinking about applying for a media strategist position. You see that the role requires you to have a “proven record of achieving sales goals across media channels” and “extensive knowledge of customer relationship management software.”

If you lack these qualifications, you should consider applying to another position that better fits your work history. That way, you can highlight relevant skills and experience, increasing your chances of advancing in the hiring process. 

2. Research the company 

By researching the company you’re applying to, you can better explain in your application how your skills, qualities, and achievements align with its mission and goals. 

During your research, focus on five key areas : 

  • Mission statement 
  • Company values
  • Products and services 
  • Current initiatives and projects
  • Company leadership 

You can find this information on the organization’s website. However, to get a full picture of a company, you should also explore its social media platforms, newsletters, customer and employee reviews, and recent news coverage.

3. Follow directions

In the early hiring stages, recruiters and hiring managers often reject candidates who don’t follow application instructions. This is because attention to detail and the ability to follow directions are important qualities for everyone to have.

So, if you want to make it to the next round, carefully follow all instructions around submission materials, naming conventions, and other items in the job application.

For example, lifestyle media brand The Everygirl specifies what applicants should include in their job application for a social media editor position: a resume, social media handles, ideas for content, and more.

4. Tailor your resume to the position

Your resume should align your skills and experience with those outlined in the job description.

You can show this overlap by using specific keywords. This is important, as many employers use an applicant tracking system (ATS) to eliminate applications that lack key information. 

Consider the following job description for a content creator position. If you were applying for this role, you’d include keywords like the ones in bold: 

  • Create video and image content for Instagram, Facebook, and TikTok. 
  • Write clear and compelling social media copy. 
  • Optimize content for SEO to improve search engine rankings. 
  • Design attention-grabbing infographics using Canva .

For example, you might add to your resume a line such as, “Wrote SEO-optimized social media copy.”

5. Use numbers to illustrate your impact

Recruiters want to know more than what you did at your last job. They want to see how your actions impacted the company. 

Numbers give them this information. When you use figures and percentages in your resume, you show recruiters that you can achieve measurable results for their organization. 

Ariella Despins , former career support director at career advice site Work It Daily, suggests answering four questions to effectively incorporate numbers into your resume: 

  • How often? 

For example, a project coordinator might craft their resume points as follows: 

  • How much : “Implemented a new project tracking system, increasing workflow efficiency by 20% .”
  • How many : “Trained 10 group members on project management best practices.” 
  • How often : “Generated progress reports for senior management twice a month .” 
  • How long : “Led a project team for six months , meeting key project milestones on time.”

6. Create a custom cover letter

Your cover letter should explain why you’re a good fit for the position and what attracts you to the company. 

This is where the research you conducted earlier comes in handy. Connect what you learned about the organization and its culture to your qualifications and achievements. 

As an example, let’s say the company you’re interested in values innovation and initiative. 

In your cover letter, you could show that you embody these values by explaining how you introduced your previous employer to a cutting-edge productivity tool and helped the company integrate the software into its workflow.

7. Use proper formatting

Improperly formatting your resume and cover letter can indicate a lack of professionalism. So, make sure you check these key elements while formatting:

  • Length. Keep your resume to one page and your cover letter to two to four paragraphs. 
  • Margins. Set your margins to one inch on all sides for both documents. 
  • Spacing. Use 1 to 1.15 line spacing for both documents. Also, leave a blank space between each job position on a resume and in between cover letter paragraphs to break up text. 
  • Structure. Your resume should feature sections for your work experience and bullet points for job duties. Meanwhile, your cover letter should tell a story about your qualifications and achievements using full paragraphs. 
  • Font and font size. For both documents, choose popular, easy-to-read fonts like Times New Roman or Arial in sizes 10 to 12.  ‍
  • File format and name. Submit your resume and cover letter as PDFs to ensure consistent layout and formatting across devices. (But be sure to check that the company accepts PDF uploads!) Unless the company notes otherwise, include your first and last name and either “resume” or “cover letter” in the file name.

8. Provide thoughtful answers

Many job applications will ask you to answer specific questions — similar to ones you might encounter in a job interview.

Hiring managers assess your application answers for insight into your skills, experience, personality, and decision-making process. Therefore, you should craft thoughtful responses that allow recruiters to evaluate your character and how you’d respond to a given situation. 

One approach is to use the “STAR” method . When using this method, you describe the “Situation” you faced, the “Task” you needed to achieve, the “Action” you took to address the situation and accomplish the task, and the “Result” of your actions, as well as lessons learned.  

For example, here’s how a journalist might use the STAR method to answer the question, “Tell me about a time you failed.” 

As an education writer at a newspaper, I was assigned a story about a new academic department at a local college. 

As part of my reporting process, I interviewed faculty within the new department but couldn’t get in touch with key decision-makers. I realized I needed more time to secure interviews to tell a complete story. 

I explained the issue to my editor, requested an extension, and apologized for the inconvenience. He kindly granted the extension. 

I conducted the necessary interviews and completed the story within the extension window. This experience taught me to create a plan for handling interview scheduling challenges. That way, I can always submit future stories on time.

While applying for jobs, resumes are considered one of the most important documents

Job hunting can be a stressful and frustrating process. Most working professionals looking for new jobs spend hours perfecting their resumes and job applications from the language to the font used. To stand out, they draft interesting and creative job pitches that often attract the recruiter's attention. Given it's the digital age, most job-seekers email their resumes to prospective employers. However, recently, a job applicant adopted a different approach by sending a hard copy of their CV and cover letter instead of sending it online. 

X user Aditya shared the post along with a picture of the CV sent through Blinkit and wrote, ''Someone sent over a well-thought-out CV and cover letter through @letsblinkit to apply for a PM role. The hustle is real. This candidate already gets a head start.''

Reacting to the post, one user wrote, ''I guess, this gonna become the new normal in Blr now?''

While applying for jobs, resumes are considered one of the most important documents, which gives a potential employer a work profile of the candidate. Jobseekers are often told to present their qualifications on the resume in a manner that will make them stand apart from the rest of the applicants.

Recently, Nolan Church, CEO of salary data company FairComp and former recruiter for giants like Google and DoorDash shared what red flags to avoid while drafting a resume. Mr Church told  CNBC Make It  that people should avoid sentences with more than 25 words. "All of these sentences should be less than 25 words maximum," Mr Church said. "Probably even shorter than that. Because the goal of a resume is for me to very quickly understand what you've done."

He shared that recruiters have "three to five seconds" to go through each resume. "Time is the enemy in life and is the enemy in business," the former Google executive told the media outlet. "The faster that we can move, the faster that we can solve problems." 

MR church further suggested that applicants should avoid a 'word salad' of keywords. He said people should highlight what they did that benefitted the business, like getting new clients or exceeding sales goals, and use numbers to complement it.

Fact Sheet on FTC’s Proposed Final Noncompete Rule

The following outline provides a high-level overview of the FTC’s proposed final rule :

  • Specifically, the final rule provides that it is an unfair method of competition—and therefore a violation of Section 5 of the FTC Act—for employers to enter into noncompetes with workers after the effective date.
  • Fewer than 1% of workers are estimated to be senior executives under the final rule.
  • Specifically, the final rule defines the term “senior executive” to refer to workers earning more than $151,164 annually who are in a “policy-making position.”
  • Reduced health care costs: $74-$194 billion in reduced spending on physician services over the next decade.
  • New business formation: 2.7% increase in the rate of new firm formation, resulting in over 8,500 additional new businesses created each year.
  • This reflects an estimated increase of about 3,000 to 5,000 new patents in the first year noncompetes are banned, rising to about 30,000-53,000 in the tenth year.
  • This represents an estimated increase of 11-19% annually over a ten-year period.
  • The average worker’s earnings will rise an estimated extra $524 per year.

Scotland's First Minister Humza Yousaf has resigned – days after he cut the SNP's powersharing deal with the Scottish Greens.

It followed a bitter row over the SNP's climbdown on climate targets as he said the agreement between the parties had "served its purpose".

As a result, his former Green allies teamed up with the Conservatives, Labour and Liberal Democrats to get behind two no-confidence motions, one in himself as leader of Scotland and another regarding the entire Scottish government.

Now attention turns to another SNP leadership contest and what the divisions in Scottish politics could mean for the future of the independence campaign.  

On the Sky News Daily , Matt Barbet speaks to Paul Hutcheon, political editor of the Daily Record, and Shona Craven, from The National, about how the SNP can move on after Mr Yousaf's resignation.

Plus, Connor Gillies , our Scotland correspondent , explains how the leadership election will unfold.  

Scottish Greens co-leader Patrick Harvie has told Sky News his party will not be backing a motion of no-confidence in the Scottish government which is due to be voted on tomorrow.

"We've made it clear all along that our issue was with Humza Yousaf and the decisions he made last week that broke trust with not only our party, but everybody who wants Scotland to have a progressive pro-independence majority government," he said.

"That's what we had, and we no longer have that as a result of Humza Yousaf's decisions."

A no-confidence motion in Mr Yousaf was tabled by the Scottish Conservatives last week.

The move came after the first minister ended the SNP's cooperation deal with the Greens and opted to try and pursue a minority government.

But the move backfired and after days of pressure, Mr Yousaf announced he was standing down on Monday.

The no-confidence motion in the first minister has been withdrawn by the Tories as a result.

But the wider motion of no-confidence in the government - which was put forward by Scottish Labour on Friday - is still set to be voted on tomorrow.

The conversation with Foreign Secretary Lord Cameron now turns to Iran, and the idea that there is a "reluctance in government" to move against the Islamic Revolutionary Guard Corps.

He says: "All of the things we need to do to put pressure on Iran and to make sure that where they act illegally we can act against them are in place through our sanctions regime we have enhanced.

"We've sanctioned the IRGC in its entirety."

Lord Cameron adds that when he asks law enforcement and police whether the extra step of proscription is necessary: "The answer is no."

"There is a disadvantage, to be frank about it, from proscription, which is it would effectively end diplomatic relations.

"And while our diplomatic relations are pretty terse... we are actually able to have that conversation."

The minister says he wants to be able to have these conversations himself, rather than asking allies to send a message.

"You need at some level those diplomatic relations," he adds.

Foreign Secretary Lord Cameron is appearing before the Lords International Relations and Defence Committee, where the conversation has focused on the conflict in Israel and Gaza.

He was asked about reports of "mass graves" at Nasser hospital, with Palestinians claiming that 283 bodies were found in one location.

Israel has said claims that it buried bodies there are "baseless".

Responding to this, Lord Cameron said the UK agrees "this needs to be investigated".

"It is extremely disturbing."

However, he added: "I'm very nervous about going beyond that because I think with some previous events in this conflict people jump to conclusions too quickly.

"It's had an enormous impact on social media and elsewhere, I think we need the Israelis urgently to get to the bottom of what happened."

Gardai will not be assigned to physically police the border with Northern Ireland, the Irish Department of Justice has said, amid a row over migrants crossing from the UK to the republic.

The department yesterday announced its own expanding role in immigration registration duties would "free up" 100 gardai for frontline enforcement work, including deportations.

But in a statement today it has clarified the work required to make the 100 gardai available for frontline duties would take up to 12 months.

It emphasised the protection of an open border on the island of Ireland was a "key priority to the communities on both sides", but said: "It is not the case that these Gardai will be assigned to physically police the border with Northern Ireland."

It comes after the Irish prime minister insisted the UK must respect an existing arrangement to take back asylum seekers (see 9.19am post).

Simon Harris told Sky News the UK must honour the agreement as a new Irish law is being drafted to ensure the UK is seen as a safe country for migrants despite Rishi Sunak's Rwanda plan.

The prime minister has claimed the increase showed his scheme was working.

This afternoon Mr Sunak's spokesperson said there are "operational agreements" between the UK and the Republic of Ireland but "not a legal obligation" to accept the return of asylum seekers (see 12.33pm post).

Speculation is rife about who could enter the race to be the next leader of the Scottish National Party after Humza Yousaf resigned yesterday.

One name mentioned repeatedly by key SNP figures is John Swinney, the former deputy first minister, but it appears he is still considering his move.

He said today: "I'm giving it all a great deal of thought to make sure that I come to the right decision for my family, my party and my country."

The longtime MSP declined to stand in the leadership race last year, saying it was time for a new generation of SNP members to come to the fore.

Asked what had changed, he said: "Events change, don't they? Nothing ever remains the same.

"What's changed is that my party finds itself in a very different and more difficult situation than it found itself in 12 months ago.

"I would not be doing a service to the many, many, many people who have contacted me, asking me to stand, and if I don't think about this properly, it wouldn't be my style to ignore the representations made to me - I'm someone who listens and addresses the points that are put to me and that's exactly what I'm doing just now."

Nominations have now opened in the SNP leadership contest to find a replacement for First Minister Humza Yousaf after he announced he was stepping down yesterday.

Senior figures have backed former deputy first minister John Swinney for the top job, while a smaller number of the party's parliamentarians have backed former finance secretary Kate Forbes.

Mr Yousaf has said he will stay on to allow a successor to be chosen.

How does the contest work?

The SNP's national secretary announced nominations had opened yesterday at 11.59pm.

They will close next Monday.

Prospective candidates will need to gain the support of 100 members from 20 different SNP branches in order to qualify for the contest.

What happens next?

Whoever wins the contest will then need to be able to win enough votes in Holyrood to be elected first minister.

The SNP needs just two votes to secure an overall majority.

The most likely backers for the SNP would be the Greens, given both parties are pro-independence.

However, the Greens announced last week they would not support the first minister in a confidence vote after Mr Yousaf scrapped the powersharing agreement between the party and the SNP, which eventually led to his political downfall.

Kate Forbes narrowly lost out to Humza Yousaf in last year's SNP leadership contest.

Ms Forbes has told Sky News she is considering entering the race again in the wake of Mr Yousaf's resignation.

The former finance secretary faced backlash during her campaign last year after admitting she would have voted against gay marriage in Scotland when it was made legal a decade ago.

The Free Church of Scotland member also told Sky News that having children out of marriage is "wrong" and something she would "seek to avoid".

However, the MSP for Skye, Lochaber and Badenoch stressed that "in a free society you can do what you want".

Ms Forbes had argued that "continuity won't cut it".

After losing to Mr Yousaf by 48% to 52%, she said: "If we are to continue to win elections, we need to continue to listen and maintain trust."

Ms Forbes turned down the role of rural affairs minister, which at the time was seen as a demotion.

Although her views on social issues remain unpopular with some of her MSP colleagues, she was one of the few SNP ministers who did not delete her WhatsApp messages during the COVID pandemic.

Ms Forbes would face resistance from the Scottish Greens, who have previously ruled out working with her.

SNP colleague Fergus Ewing is backing Ms Forbes, saying she is "head and shoulders" above any other potential candidate.

Kate Forbes has exclusively told Sky News there is "a lot of support" for her across the SNP as she confirms she is considering standing to replace Humza Yousaf.

In her first and only interview since the first minister quit she was asked if the contest could become a John Swinney coronation and said "the membership need to be behind the next leader and process needs to reflect that".

Sky News understands Ms Forbes will make her final decision within the next 24 hours.
