we are booked on a 12 day tour italy and switzerland. paid in full. this tour leaves end of may.

we have since checked the website to find only 2 departures ticked as confirmed,

we were not told the tour was unconfirmed at the time of booking or payment.

we would not like to find at short notice this tour has been cancelled. we would expect a full refund if the product we have purchased cannot be supplied.

anyone had any experience re this issue?

The Trafalgar that I know is a highly reputable and successful company.

If, for some strange reason, your tour doesn't fly due to Trafalgar problems (such as low enrollment), rather than yours, you will get a full refund, or an offer to transfer to another tour. At some point, there will be a closing date, at which point they must finalize all their bookings and arrangements.

thanks for your answer. have some concerns because others have reported negative experiences re short notice cancels by trafalgar.

There are some very fair comments about Trafalgar Tours on the London forum. Here are a couple that I found. You can go to the London forum, then in the search bar for "search in the London forum" type in Trafalgar Tours (in quotation marks) and you will get all kinds of comments to read.

<<Go to the Trafalgar website. You will have to sign in under Community and will find a wealth of information about your tour and ages of participants. People who have been on TT's give all types of comments on tours etc in that particular area.>>

<<We have been on 3 Trafalgar tours, and really like them I'm in my early 50's and my mom is 70. We like the idea we are met at the airport and taken to the 1st hotel and at the end of the tour taken back to the airport. Also you are on a schedule so have a watch on your wrist. The tour guides are strict about their schedules. You will find a variety of people on these tours and different ages, There is a seat rotation on the coach so this way every one gets a good seat, and there always seems to be some one who can't figure it out but no big deal. If your tour is an overnight they do keep you very busy so not much time on your own especially if a included dinner is involved. The dinners are ok, breakfasts are pretty good nice variety of foods. If you have a 2 night stay that is better, but do take xtra camera cards, because at some hotels you don't have internet so down loading might be a problem. I hope you have fun we always do and you do form friendships with the other travelers. We always go online and check out the hotels we are staying at to look at the reviews and see where they are located that helps.>>

p.s. Once you are on the search results for "Trafalgar Tours" you can look just above the first entry on the right hand side and choose "sort by" date, rather than relevance.

thanks for those answers. we have had an email from trafalgar to say they can cancel at anytime. usually it is done 30-45 days from date of travel.

that is not very long before departure to organise something. perhaps they need to reduce the number of tours to ones they know from experience are likely to meet their quotas?

people will lose confidence in the brand is after paying in full the product is not deliverable?

we will be looking at plan b now.

wish we were more careful with looking at the issue of definite departures. paying for a product in full 6 months out and then to be told 1 month out the tour is not going is not acceptable. regards.

pully ~ I think you will find that all tour companies will operate the same way. By that I mean they will take bookings and payments up until a cutoff date and if they don't have enough registration they will cancel with full refund. Some companies do take a deposit and then require the balance to be paid at a future date, but always well in advance. I can't think of a company that will offer a tour on spec. And they will not run a tour if they don't have enough registrants to pay for it. I can see that you are doubting the whole process, but in reality, people do not lose confidence in the brand, it's just how tours work.

In another area, the same thing happens with educational programs or events in the community. If there is not enough enrollment to pay for the speaker or instructor, it's cancelled with full refund. i.e. they have to have enough money to pay for the room, room setup, speaker, refreshments etc.

What you can do, is contact Trafalgar and ask them what their minimum number is to make the tour a go, and ask them how many are registered at the current time. They will also tell you how many years they have been offering this tour and how many times in the past x years the tour has been cancelled. This might give you more information to go on because you are wanting your plans to actually happen.

yes we have done that and the email said our travel agent can contact them 2 months prior to travel to see how the bookings are going. so still nothing definite and that at 2 months prior.

i understand they sometimes offer alternatives but if not in our time frame it will be of little use. plus how do we know the product will be of the same standard etc?

we are capable and willing to make our own arrangements, others may not be so lucky.

in hindsight we would have been better off doing just that.

i have since done a search of complaints re this company and there are many. too bad we did not do that prior.

offering fewer tours that they know from experience they can fill would be better for consumers.

we have also found that there are companies that offer definite departures and going to nz for 3 weeks next month, and a river cruise in may.

very disappointed with the uncertainty around the booked and paid for trip, which is the 2 weeks following the cruise .

but it will inform our decision when next we chose to travel.

What you need to do is have plan B (or indeed C) in mind. Look at other Trafalgar tours that coincide with your dates, even to alternate places, so if the tour is cancelled you can immediately tell your TA what you would like instead. Even a more expensive tour is an option, and a good agent may well be able to get it for you for the price already paid. Alternatively, look at other tour companies (many offer the same/similar tours) and there may be one that fits the bill. All tour companies operate this way and have a "magic number" which, when reached, means the tour is viable. I know Insight give about 45 days warning of cancellation. Hopefully your worry will be in vain and you have a fabulous holiday. Good luck!

yes we are working on a plan b. actually some operators do have confirmed departures. we know because we have 3 other trips booked and paid for and they are all confirmed.

insight is a company which is part of the same consortium, for want of a better word as trafalgar. part of the group also includes, contiki, and several others. i think the over all thing is called THE TRAVEL CORPORATION, if you google you will see all the brands under that name.

we really want the tour we have paid for in full in advance.

Trafalgar announces 100% Definite Departures to help agents “close the sale”

Post date: Mar 6 2019

Date: Mar 6 2019

By: Travelweek Group

TORONTO — It’s go time for Trafalgar, which has just announced 100% Definite Departures on Europe & Britain trips for the 2019 summer season.

The announcement was made by Gavin Tollman, Global CEO, who noted the tough year the company’s agent partners have had.

“We know it’s been a challenging sales year for our agent partners with high consumer interest yet a later booking window. So as part of our #AgentsFirst commitment, we are going 100% definite to help our valued partners close the sale and reassure their clients that now is the best time to book,” he said.

Tollman also noted that the offer complements Trafalgar’s extensive suite of offerings and accolades: “With our existing deposit guarantees, our extensive range of 100+ award-winning European trips, and our 4.7/5 independent Feefo rating, now combined with our 100% definite departure status, agent partners can sell us with 100% confidence.”

Agents are reminded of the company’s ‘JoinTrafalgar’ experiences that support World Heritage Listed Sites on 63% of trips and include visits with female artisans at social enterprises, as well as ‘Be My Guest’, which celebrates 10 years in 2019 and features culturally-immersive experiences like cooking lessons and after-hours dining at the Vatican.

When guaranteed departures aren't guaranteed

Headshot of Niall McIlroy

You've saved up, booked a guaranteed departure tour nearly a year ahead, looked forward to the trip of a lifetime and then, just before you're due to go, the tour company calls to tell you it's cancelled.

There simply aren't enough other travellers on the trip.

You're offered a departure the following week but that throws up all sorts of problems at the last minute. Can you take more time off work? Will you be able to organise accommodation - and afford it - for the extra week leading up to the new departure date? The flights are already booked. All of a sudden decisions need to be made, more money spent. Things can start to go wrong while uncertainty hangs in the air. It is a nightmare that can and does happen.

When brochures are released ahead of each travel season, a small number of dates are usually nominated as Guaranteed Departures but with high demand for organised tours in 2014, some companies have been announcing additional dates on which itineraries are certain to operate.

Get in front of tomorrow's news for FREE

Journalism for the curious Australian across politics, business, culture and opinion.

As a result, travellers may feel they are on firm ground when looking for definite dates next year. But check out the terms and conditions and you'll find a fair bit of wriggle room. Guaranteed departure doesn't really mean certain, it's better to think of it as a date during the high season when the company is confident that it will get sufficient numbers for that tour to be viable. At other times the term is used when the company feels it has sufficient numbers already for the tour to proceed, barring cancellations.

Many of the biggest travel companies own a number of brands which cater for luxury, family, small-group or coach touring, and these tend to be governed by the same "guaranteed departure" policy. For instance, Globus, which has been offering tours for nearly 90 years, also has Cosmos Tours for the more price- conscious, Monograms for independent travellers and Avalon Waterways for river cruisers. And where applicable, the terms and conditions match across the board.

The Globus website states that "the tour departures marked 'GD' or 'GUARANTEED DEPARTURE' are guaranteed to operate". This is followed by the caveat that the guarantee does not apply in situations where Globus deems there is a threat to passenger safety, industrial action or strikes that affect the tour or "force majeure" incidents such as war or natural disaster. Globus also says that most itineraries are guaranteed that haven't been cancelled within 45 days of the published departure date for Europe and the UK, and within 30 days for USA and Canada, Asia, and South and Central America trips. During high season, this is extended to 60 days for Europe and the UK and for the US and Canada.

Dates marked as guaranteed departures were easy to find across the Globus family for tours departing in 2014, undoubtedly because they had reached some unstated minimum number of passengers. I randomly chose Globus' eight-day French Sampler from Paris to Monte Carlo which runs between April and October, 2015. There were guaranteed departures every month except October. Similarly, the seven-day Wonders of Jordan tour offered between March and November had guaranteed departures scattered throughout the period. But what happens when a departure not marked "GD" is cancelled?

Globus' terms and conditions state that if a departure is cancelled or rescheduled because of "operational requirements", i.e. too few travellers, their responsibility is to either offer the same or a similar holiday with the traveller bearing any additional cost or refund the amount received from the customer. If airfares are included, the customer must also bear the cost of rescheduling or cancellation. The same applies to cancellations made by Cosmos, which recommends that travellers ask the advice of a travel agent on the "best tour option for you".

Every single date for the randomly chosen Six Countries, Venice and Paris had a guaranteed departure for the rest of 2014 while the 14-day Mediterranean Flavours 2015 tour had five guaranteed dates between April and October.

Monograms provides schedules for those seeking independent holidays and, as such, is not bound by guaranteed departures or minimum traveller numbers.

Insight Vacations, Trafalgar Tours, Contiki Holidays, Creative Holidays and AAT Kings all operate under the banner of The Travel Corporation. Trafalgar's First Class Europe & Britain brochure says that trips are classified as "Definite Departures" once a minimum number of travellers have booked that date, and denotes these on the website with a green tick.

Deep in the fine print of terms and conditions it states that Trafalgar reserves the right to cancel or reschedule a departure and that it will refund the price of the tour or offer a comparable holiday, refunding the difference if the latter is cheaper but charging the additional cost if it is not. The website allows users to list itineraries showing definite departures. Some tours had plenty - Trafalgar's eight-day Best of Greece tour had a definite departure listing on each of its twice-weekly itineraries this year, with many in 2015. Conversely, none of the 24 listed dates for the 15-day Best of Finland Russia and the Baltic States package were "definites".

The brochure of sibling company Insight Vacations adds that capacity is adjusted each year to ensure the majority of departures operate.

AAT Kings is very clear on the policy - guaranteed departures are just that and passengers booked on a tour that is cancelled will be notified no fewer than six weeks before the scheduled date. Passengers will be given the choice of a suitable alternative or refund.

Peregrine Adventures is leading the way when it comes to reassuring travellers that a tour will depart as planned. From January 1, tours are guaranteed to leave as soon as one person books even in the unlikely event that there are no more bookings. Peregrine specialises in trips with smaller groups, with an average of nine and a maximum of 16.

But sometimes guaranteed departures are something of a misnomer. Tucan Travel has nominated guaranteed departure dates on some itineraries and, on a dedicated page on its website, states "guaranteed departure means that the tour will definitely operate on the day it is scheduled and will not be cancelled for lack of participation". But delve into the terms and conditions to find a watered-down definition of guaranteed departure which states that these tours are "generally" guaranteed to leave regardless of whether minimum numbers are reached (four people for adventure tours and 10 people for overland tours and budget expeditions).

Adventure holiday specialist World Expeditions often focuses on small-group tours, almost all of its departures leave as scheduled. World Expeditions has a dedicated page on its website listing hundreds of guaranteed departures from the subcontinent and South America to Spitsbergen.

It has to be noted that travellers are largely left in the lurch if they've booked airfares and their tour is then cancelled. No longer needing the flights will not get you a refund from anyone.

According to Acting Commissioner for Consumer Protection David Hillyard, there is no specific protection available if a guaranteed departure is cancelled. But as with any transaction, consumers must be compensated if they don't get what they paid for.

"Consumer guarantees under Australian Consumer Law require that the operator provide a refund or offer a replacement travel option to the affected consumer in the event of a tour being cancelled," Mr Hillyard says.

There are also provisions relating to non-negotiable contract terms and conditions that may be unfair, although Mr Hillyard did not recall a complaint where this has been the case.

But there are measures to try to minimise any loss. It's wise to get travel insurance that pays out the cost of a tour and accommodation or flight change expenses if a tour is cancelled or amended for reasons beyond your control. Most international plans do not automatically include this cover - it has to be added. As an indication, basic travel insurance for a two-week visit to England next June would cost $91 per person. To also insure against the amendment or cancellation of a 14-day tour worth $3000 brings the premium up to $114 - not an unreasonable amount for peace of mind, and worth its weight in gold if your long-awaited package trip falls foul of minimum numbers or you're offered a departure the following week and have to shell out for a room.

Mr Hillyard also suggests travellers pay by credit card as, in some instances, they could be eligible for a chargeback from the bank if they don't get what they paid for. The Australian Consumer Law gives tips and information at packsomepeaceofmind.gov.au.

With much variation between policies on guaranteed departures between groups, the best advice is to read the fine print carefully, speak to an accredited travel agent, or phone the company for clarification before booking.

Tour Operators: Are ‘Guaranteed Departures’ Guaranteed?

By Michelle Higgins

  • Jan. 7, 2007

AFTER taking time off from work, reserving plane tickets and finding a pet sitter, the last thing travelers want to find is that their vacations have been canceled because too few people signed up for the tour. But that’s what usually happened when a tour operator didn’t get enough paying customers to cover the cost of a trip — until now.

To encourage bookings and gain the trust of travelers whose trips have been canceled, a growing number of tour operators are promising to run certain tours no matter how many people sign up. The so-called guaranteed departures began showing up in the brochures of escorted-tour operators like Trafalgar Tours and Globus & Cosmos in 2005. Others quickly followed suit.

Collette Vacations, based in Pawtucket, R.I., just started offering guaranteed departure dates for trips in 2007. Travel Alliance Partners, a collection of 33 North American tour operators, put together a catalog of 64 guaranteed-to-run tours for 2006 that was so successful it rolled out another one for 2007 with 92 trips from its members. Travelers can book the trips at www.guaranteeddepartures.com. Country Walkers, a soft-adventure travel company in Waterbury, Vt., started guaranteeing departures for its 2006 itineraries paid in full 90 days before the start date.

Promising that a trip will operate on the day it is scheduled and will not be canceled for lack of participation has helped build confidence in the tour industry, which was forced to cancel many trips for that reason during the travel slump after Sept. 11, 2001.

“Many times, people were disappointed because there were not enough in a group for the bus to go,” said James J. Palmeri, executive director of Travel Alliance Partners. “Individual travelers were disappointed because their vacation was canceled, tour operators were disappointed because they lost a trip they thought they had, and travel agents were disappointed because they thought they had a sale on a trip.”

Eileen Rudden, an executive at a Boston communications company, was let down after her first choice in tour operators, Backroads, of Berkeley, Calif., canceled the March trip she wanted to take to Costa Rica — even before she had a chance to sign up.

“I was extremely disappointed,” said Ms. Rudden, who added that she had traveled with Backroads and enjoyed the trips. “They had it in all their materials, and I was calling them in November for a trip in March. It made me think maybe they don’t have this Costa Rica thing down.”

Backroads said it doesn’t cancel trips because of low enrollment, but a small number of departures listed in its brochure are scrapped if no reservations are made after a period of time.

Ms. Rudden has since booked her vacation with Country Walkers, which is guaranteeing the departure date. Although she booked the trip based mainly on her rigid vacation schedule, Ms. Rudden said the departure guarantee “is something of value.”

But as reassuring as they sound, guaranteed departures aren’t always, well, guaranteed. Travelers who read the fine print soon learn that even though a trip may be called guaranteed, there is still a chance that their vacations could be canceled or postponed.

In some cases, this is simply good practice on the tour operator’s part. Tour operators reserve the right to cancel guaranteed departures, if a major event like a war could endanger travelers. There are also circumstances outside of an operator’s control.

For instance, many companies, including Travcoa, which guarantees all departure dates in its brochure, were forced to cancel trips to Libya last year after the country stopped issuing visas to American travelers. Others canceled trips to Israel when war broke out last summer.

But tour operators also reserve the right to cancel tours for financial reasons. Promising that a trip will run even when there are too few customers signed up to cover the cost of the tour means the tour operator has to absorb the balance. To avoid a potentially big loss, many companies exclude particularly expensive trips from their list of guaranteed departures.

TRAVCOA, for example, excludes trips that involve chartered boats or aircraft. Country Walkers doesn’t include trips like those to Iceland, New Zealand and Chile in its guaranteed departure program because of the high costs and, sometimes, currency fluctuations associated with such trips.

Other tour operators avoid the high cost of running trips with too few participants by guaranteeing only their most popular journeys. Trafalgar, which guaranteed about 30 percent of all its journeys in its brochures this year, plans to guarantee more departure dates on its Web site as demand grows and trips start to fill up. And Globus & Cosmos, in fact, flags trips on its Web sites as “guaranteed departures” for travel agents, but calls those same dates “popular departures” on their consumer sites, www.globusjourneys.com and www.cosmos.com.

That nomenclature helps avoid an obvious question: how likely are trips to operate that aren’t guaranteed? Ninety-nine percent, tour operators say.

So why offer guarantees at all? “It gives people peace of mind,” said John G. Severini, president of Trafalgar Tours.

And peace of mind, in turn, encourages early bookings. “We did it to meet the demand of people wanting to book way in advance,” he said, “and get the early payment discount and be assured of a departure.”

Some companies, like Wilderness Travel and Mountain Travel Sobek, stay away from guaranteed departures altogether. “It can be a bit misleading to clients,” said Barbara Banks, a spokeswoman for Wilderness Travel, a Berkeley, Calif., company that instead offers tiered pricing, which lowers the cost of the trip per person as the number of participants grows. For example, a 15-day journey in Argentine Patagonia costs $4,995 a person if 11 or 12 people sign up, compared with $5,595 for 6 or 7.

“We let them know that we make every effort to run the trip,” Ms. Banks said, “and we also let them know how much it is going to cost them.”

How do I make a payment towards my booking?

How you make your payment depends on how you booked your trip. If you booked with a Travel Agent, you will need to contact your agent and make payments through them. If you booked directly with us, you can pay via our website by signing up/logging into   MyTrafalgar.  You'll just need your name and booking reference (for example B123456). Alternatively, you can contact us via chat or email at   [email protected]  and we will send you a one-time secure payment link to make a payment. If needed our reservations team is available to take payment over the phone. Please note that we are experiencing higher-than-normal wait times. If you are a Travel Agent, you can also make payments directly in our system using our   Travel Agent Portal (TAP) . You can also view invoices within TAP.

Why do I need to pre-register for my trip on the MyTrafalgar portal?

We require all our guests to register before they travel. Every travel moment counts so we do this to ensure that your trip runs seamlessly, and it also means we can contact you in the unlikely event of an emergency. Registration only takes a few minutes and you will be asked to enter your contact details such as an email address, a cell phone number and the contact details of a nominated person we can call in the event of an emergency. We also invite you to share details of any specific dietary requirements and travel preferences, special celebrations etc. Europe, North & South America, Australia & New Zealand trips Once registered, you will find all your itinerary details, be able to download your e-Documents and meet your Travel Director online. Africa & Asia trips Unfortunately, our Africa and Asia Travel Directors do not have the same level of access to passenger details as on other destination tours, so you will not be able to connect with them prior to the trip or online. Rest assured, the quality of your on-trip experience will still be impeccable and they are looking forward to meeting you on trip.

Do I need travel insurance?

We highly recommend guests purchase travel insurance prior to your trip. Please ensure you add the details of your insurance to the   MyTrafalgar  portal. Your insurance should cover trip interruption, personal injury, medical expenses, and evacuation and repatriation cover including during pandemic events.

How much luggage can I bring?

European tours Trafalgar guests can each travel with one suitcase not exceeding 23kg (50lbs) in weight, with the dimensions of 76cm x 46cm x 25cm (30” x 18” x 10”). Carry-on/hand luggage is restricted to one piece per person, not exceeding 12”x11”x6” (30x28x14 cm) to fit under your coach seat or in the small overhead compartment. So your driver and the hotel porters can safely lift and transport your suitcase throughout your holiday, we strongly recommend that you test the weight of your baggage prior to travel. You should be able to lift and comfortably transport it for short distances. Baggage allowances vary from airline to airline and you should check with your chosen carrier for details prior to travel. North & South America, Australia & New Zealand tours You can bring one suitcase per person with the dimensions of 76cm x 46cm x 25cm (30” x 18” x 10”) and weight not exceeding 23 kg (50 lbs) due to the limited space on the coach. You can also bring one piece of hand luggage, provided it is small enough to take on the coach and does not have telescopic handles. Africa & Asia tours East Africa safari vehicles cannot accommodate the regular luggage dimensions and weights listed above. We kindly ask our guests to travel with a soft-sided bag or medium-sized suitcase. For internal flights within Trafalgar Asia tours, there is generally a 20kg luggage allowance.

What do I need to know about border crossings, visa requirements and passports?

Information about border crossings and visa requirements varies by destination. Please check the destination you're visiting below for more information: Europe trips Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. Multiple-entry visas may be required if you are entering a country more than once on your holiday. Guests are advised that only the countries you plan to visit can provide up-to-date information about their specific visa requirements. Guests should contact the nearest embassy or consulate of the countries they plan to visit well in advance of travel. Please check your itinerary carefully. Remember that requirements vary based on a passport's place of issue and that the process can take time. Check that multi-entry visas have the correct entry dates and destinations before you travel. Please be aware that with some itineraries, you may travel through a country without making an overnight stop. If this happens on your itinerary, you will still need a visa to enter/exit the country. Please ensure that you carry proper identification with you at all times, as border crossings will need to see your entry documents and passports. Usually crossing borders is a very straightforward process that is managed by your Travel Director. However, be advised that you may be required to open your luggage and answer simple questions about the length of your stay, purpose of travel, etc. Rest of the World trips Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. You are responsible for obtaining all necessary visas before the departure of your guided holiday. Depending on your nationality, you may need visas to enter certain countries included on your trip. Please note that obtaining visas can take up to six weeks before your departure. It is strongly advised that you consult your Travel Agent and the local Consulate or Embassy of the country you are visiting well in advance to determine which visas they require and how to obtain them. Visit the   VisaCentral website for more information.

Getting ready to travel

What should i pack for my trafalgar trip.

The weather in your travel destination may vary. We would suggest that you pack layers of clothing. Apps such as Packr and PackPoint will give you great packing tips based on forecasted weather. A light waterproof jacket may also be useful and a sun hat during the summer months. Bear in mind that some excursions will take in visits to cathedrals or other religious locations where there may be a restriction on shorts / mini-skirts and bare shoulders. A comfortable pair of flat shoes /trainers for walking is essential as you may be visiting cities and sites with cobbled streets and uneven terrain. Useful items that you may wish to pack can include:

  • Phone charger
  • Adaptor plug
  • Travel iron
  • Travel pillow
  • A photocopy of your hotel contact list & travel documents documents
  • A photograph of your luggage contents for reference

European tours Travelling with Trafalgar entitles each guest to travel with one suitcase not exceeding 23kg (50lbs) in weight, with the dimensions of 76cm x 46cm x 25cm (30” x 18” x 10”). Can I bring my small rolling suitcase that I can bring on the airplane with me in the coach as my carry-on?

For safety reasons, small rolling suitcases are not permitted inside the coach. As our coaches have large windows, there is minimal space to store them securely overhead or under the seat. Suggested carry-on is a soft-sided bag similar to backpack, tote bag, etc.

How much travel money should I plan to bring?

When planning how much money to bring, we suggest that you consider such things as spending money for meals that are not included e.g. lunches and beverages, alcoholic drinks etc. Any Optional Experiences/sightseeing trips that you may wish to purchase, as well as shopping, gratuities and any incidentals such as laundry or dry cleaning and so on. If you plan to purchase local currency before you travel we suggest that you request notes of smaller denominations as many local stores and restaurants may not be willing to accept the higher ones. While most major credit cards are generally accepted by shops and hotels worldwide, you may find that there is a minimum charge for using them. It is also becoming more common for identification to be requested when making payments by credit card, so remember to carry your passport or driver’s license with you. Visa, American Express or MasterCard are widely accepted in most shops and restaurants.

Do I have to purchase gratuities prior to the vacation?

No, pre-paying gratuities is not required. We offer this option because many guests like to budget for all elements of their vacation. Gratuities can be pre-paid during the online booking process or alternatively, Contact Us if you'd like to add this to your booking. The pre-paid gratuities option is not available on our Asia and Africa trips.

Will I need to bring electrical adaptors?

Electrical plugs and outlets differ throughout the world. We recommend bringing a universal travel adaptor that’s suitable for the countries you are travelling to.

What are the best travel apps to help me prepare for my trip?

Packr and PackPoint will give you great packing tips based on forecasted weather. Weather Channel or Accuweather are the most popular weather apps to keep up to date with the local weather of the places you will go. Duolingo will have you covering off the basics of a local language for just 5 minutes a day. Google Translate is great for quick translations.

I am travelling with a child/young person, is there anything specific I need to consider before my trip?

At Trafalgar, our younger guests are just as important as our older ones, so we’ve taken care to craft action-packed itineraries that’ll impress children aged five years or older. All children and young people under eighteen years old must however be accompanied by an adult who will be responsible for their supervision and welfare. Some countries have established practices to prevent international abductions of children and because of this, it is recommended that you secure a “Child Travel Consent” prior to departure if you are travelling with a minor who is under eighteen years of age. This documents that a minor has permission from his or her parent(s) or guardian(s) to travel and may be requested by authorities and officials when a child is travelling internationally: With one parent or guardian; Without a parent; Alone; With an adult who is not a parent or guardian. If the travelling parent has sole custody, he or she will require a notarized true copy of a court order or equivalent proving custody. If both parents have custody, or the non-travelling parent has custody, the travelling parent will need notarized consent from the non-travelling parent. We recommend that you contact relevant consulates and airlines for additional information and guidance.

Sustainable travel

What is sustainable travel.

It is a culturally sensitive approach to travel, defined by a deep respect for the environment and the communities you encounter. You foster relationships that contribute positively to the socioeconomic fabric and environmental preservation of the places you visit. Your travel experiences are educational, teaching you about environmental sustainability, diverse local cultures, and empower both you and local communities to thrive together.

How can I travel sustainably with Trafalgar?

According to the UNWTO, 'sustainable tourism should make optimal use of environmental resources that constitute a key element in tourism development, maintaining essential ecological processes and helping to conserve natural heritage and biodiversity.' With Trafalgar, you can be sure you'll be contributing to local sustainability through our collaborations with tourism boards like Switzerland Tourism and Tourism Scotland, and our initiatives that safeguard natural heritage, preserve biodiversity, and protect sites of architectural significance.

What are the benefits of sustainable travel?

From educating you, the traveller, to supporting local and remote communities, funding environmental conservation, and providing income for millions globally, sustainable travel not only protects the people and finite resources of our planet, but also safeguards travel for future generations to come.

How can I be a more sustainable traveller?

An easy win is to be more conscious of your waste: always use a refillable drinking bottle, bring your own shopping bags, and compost your food scraps. You could also choose to spend your money on travel operators and establishments with good sustainability track records, or use more sustainable transport options like coach or train.

How can we make travelling more sustainable?

When planning a holiday always look for travel operators who are actively addressing sustainability i.e. with climate action plans and sustainability strategies, ensure investing in finding better, more sustainable solutions. You can also pack your own drink bottle, always dine locally and support small local businesses.

What is meant by climate action?

Climate Action refers to any steps taken to address climate change and its impacts, and is one of our focus UN SDGs: Goal 13.

How can sustainable travel affect global warming?

Stopping global warming takes a global effort. That's why it's more important than ever to choose travel providers who put sustainable travel at the forefront. Read our climate action plan for more information on how we actively address our emissions.

Travel documents

If i have health and medical needs, how can i best prepare for my trip.

Europe tours To ensure a healthy and enjoyable trip, we strongly suggest that you pack a plentiful supply of any medication that you may need while on holiday. All prescriptions should be filled, up-to-date and in their original packaging. Always pack prescriptions in your carry-on bag with copies of your prescription paperwork as your checked luggage may not always be easily accessible, particularly in the event of delays, lost luggage etc. You might be concerned about enhanced airport security measures about the quantities of liquids that you can carry aboard a plane preventing you from taking your medication on flights. However, as long as your medication is accompanied by the relevant documentation from your doctor (a doctor’s note or letter should be fine), you're entitled to take it with you on board your flight. We would always advise you to research the rules around taking your medication to your destination country and what proof of treatment you’re expected to bring with you. For example, you can avoid any issues at airport customs in Spain by having your prescription drugs and doctor’s letter readily available. However, not all European countries have the same regulations. Everyday over-the-counter medicines are not carried on the coach. Your Travel Director will be able to advise you where to purchase items if needed. Please contact your doctor or health care provider before travelling to determine which vaccinations or other health precautions are recommended for your travels. Most countries in which we travel do not need any special vaccinations, but requirements can change at any time and we strongly recommend that you check for more detailed and current information before you travel. Each guest must follow entry, health and other requirements of the countries visited during your trip. You can keep informed of current health news by visiting the Travel Health Pro website. Guests should advise of any dietary or health-related issues that might affect them during their travels. For example, if a guest carries an auto-injector for nuts or other allergies etc. or has a condition requiring special attention. Please notify Trafalgar of any disability requiring special assistance prior to travelling. This enables us to make reasonable adjustments in order to accommodate the specific requirements of those travelling with a disability. A companion should always accompany those guests who require individual assistance to walk, get on and off the motorcoach and other vehicles and for personal needs such as dining, dressing etc. Rest of the world To ensure a healthy and enjoyable trip, we strongly suggest that you pack a plentiful supply of any medication that you may need while on holiday. Will I need any vaccinations?

Travel vaccinations This will depend on the destinations you are travelling and your personal health circumstances. Be sure to speak to your Travel Agent or doctor to find out if vaccinations are required. If you are taking medication or suffer from any form of illness, ensure you have an adequate supply of medication before departing for your holiday. Vaccination against Covid-19 Covid-19 vaccination is not mandatory to travel with Trafalgar however we strongly advise that guests are vaccinated against Covid-19 before travelling.

Fun facts from our Moscow Metro Tours:

From the very first days of its existence, the Moscow Metro was the object of civil defense, used as a bomb shelter, and designed as a defense for a possible attack on the Soviet Union.

At a depth of 50 to 120 meters lies the second, the coded system of Metro-2 of Moscow subway, which is equipped with everything you need, from food storage to the nuclear button.

According to some sources, the total length of Metro-2 reaches over 150 kilometers.
