How to Create a Trip Planning Spreadsheet [5 Free Templates]

  • Last updated April 25, 2023

Travel planning can get exhausting, especially when you have no clear starting point. You can make this (at least) tolerable by creating a trip planning spreadsheet. Here, you can keep your itinerary, transportation details, budget allocation, and similar aspects.

In this article, we’ll discuss how you can create a trip planning spreadsheet using Google Sheets and why it’s so useful. We’ll also provide five different templates you can readily use for your travel planning.

Table of Contents

How to Create a Trip Planning Spreadsheet on Google Sheets

Step 1: make multiple tabs on your spreadsheet.

To keep your travel planner tidy, you should first create several tabs inside your spreadsheet. This allows you to categorize the kinds of information you’re going to deal with. For example, you can separate your flight details from your budget planning.

Follow the instructions below to do this.

  • Launch your browser, then go to https://sheets.google.com/ .
  • Click “ Blank ” under the “ Start a new spreadsheet ” section.

Creating a blank spreadsheet on Google Sheets

  • Hover over the name of the current worksheet (usually named “ Sheet1 ”), click on the drop-down arrow, then select “Rename.”

Renaming a worksheet on Google Sheets

  • Type your preferred worksheet name, then press  “Enter”  or “Return”  on your keyboard.
  • To add another worksheet, click on the  “Add Sheet”  icon (plus + symbol) at the bottom-left corner of your screen.

Adding another worksheet in Google Sheets

  • Repeat steps 1 to 4 to rename the worksheet.

Common Tabs to Add

You can create many kinds of worksheets depending on your specific requirements. Here are some common tabs you’d typically see in a trip planning spreadsheet:

  • Itinerary: Include the basic details of the places you plan to be in, like dinner reservations, conferences you need to attend, tourist attractions, etc.
  • Transportation: Keep your flight schedule, the routes you plan to take, your commute options (car rental, bus, etc.), and similar information.
  • Accommodation: List the names and locations of your lodgings. You can also include whether or not you’ve made a reservation already, the room prices, and more.
  • Food: Plan where you can get your meals, the restaurants you want to visit, and the average costs of eating out.
  • Budget: Track your day-to-day expenses and see how much money you’re left with.
  • Packing List: Don’t leave anything essential at home before embarking on your trip — passports, IDs, cash, and similar things.
  • Activities:  List the things that you can do at your destination, like bar hopping, nightlife activities, concerts, and so on.

Step 2: Add Column Headers

After creating multiple tabs, you can further categorize your details using column headers. These are found at the top of your worksheet, describing what kind of values are present in a column’s cells.

To add column headers, simply follow these steps.

  • Click on the first cell (cell A1) in the upper-left corner of your worksheet.
  • Enter your preferred column header, such as “Location”  (as used in our example).
  • Repeat the previous step for other cells in the same row. (We used the headers “Date,” “Time,” “Transportation,” “Costs,”  and  “Status”  in our example below).

Adding column headers in Google Sheets

  • Once done, select all the column headers you’ve added, then click “Bold”  in the toolbar.

How to bold text in Google Sheets

  • Alternatively, you can make them bold by pressing “Ctrl” + “B” (or “Cmd” + “B”  for Mac) on your keyboard.

Common Column Headers

The column headers we’ve used in the demonstration above are applicable to the Itinerary tab. Keep in mind that you can virtually use any word or phrase for your column headers, though. Below are some options you can consider.

For the Accommodation tab

  • Nearby shops and attractions
  • Room prices

For the Transportation tab

  • Travel date and times
  • Flight details, such as flight schedule and flight number
  • Car rental company, including name, address, and contact number

For the Budget tab

  • Daily budget
  • Total budget
  • Total amount spent
  • Amount remaining
  • Expense description

After adding your column headers, you can start filling out the fields with your information.

Step 3: Personalize Your Travel Planning Spreadsheet

All that’s left for you to do is add a touch of creativity to your vacation spreadsheet. Here are some ways you can do this.

Use Conditional Formatting

The term “conditional formatting” simply refers to a change in a cell’s appearance when certain requirements are met. Below is an example where we change a cell’s color to green when it contains the word  “Done.”

  • Right-click on a cell, then select “View more cell actions” > “Conditional formatting.”

Accessing Google Sheets conditional formatting

  • On the side panel that appears, click the drop-down list under the “Format cells if…”  menu.

Conditional formatting in Google Sheets

  • Select  “Text is exactly”  from the options.

Changing conditional formatting rules in Google Sheets

  • Type  “Done”  in the “Value or formula”  field.
  • Click on the “Done”  button to save your changes.

Adding conditional formatting rules in Google Sheets

  • Drag the cell’s contents to copy the conditional formatting rules to other cells.

Use Alternating Colors

If you’re dealing with a lot of details, you can also use alternating colors, making it easier for you to read. Here’s how to enable different cell colors on your spreadsheet.

  • Select the cells you want to display in alternating colors.
  • On the menu bar, select “Format” > “Alternating colors.”

How to add alternating colors in Google Sheets

  • Choose your preferred color, then click the  “Done”  button to save your changes.

Selecting alternating color styles in Google Sheets

When to Use a Trip Planner Template

You can use spreadsheets every time you’re planning a trip — there’s no reason you shouldn’t! They are handy regardless of whether you’re traveling to a nearby town or going on an overseas vacation.

How about trip planner templates? Well, if you don’t have the time to create a spreadsheet from scratch, using a template would be excellent. These are some helpful pre-made planners that are ready for you to fill out.

1. daily itinerary planner spreadsheet.

Daily Itinerary Planner Spreadsheet screenshot

Especially when traveling to faraway places, going into detail about the activities you plan to do daily is a good practice. You can share this daily itinerary with the people you went on a trip with, letting them know where to find you in case of grave situations.

Template Features

  • Categorize your itinerary into multiple days (which are color-coded for organization)
  • Describe your activities in a separate section and indicate the time and location where you’ll do them
  • List the diners or restaurants where you can eat near the location of your activity
  • Schedule your day properly by indicating the end time for each activity

2. Travel Budget Template

Travel Budget Template screenshot

Allocating your travel budget ahead of time lets you set boundaries when it comes to spending. This lets you know what costs you need to put first, too. Such money allocation is rarely followed, though (with impulsive purchases and unplanned expenses), making it important to have an expense planner and tracker throughout your trip.

  • Categorize your expenses per location according to the transportation you used, your accommodation, food you ate, and activities you did
  • Pick from a drop-down list of common transportation methods (e.g., bus, car rental, ferry, etc.)
  • Enter your total and daily budget allocation, as well as their converted counterparts in your destination’s local currency
  • Automatically calculate your daily expenses, including the total amount spent and your remaining budget for the day
  • Calculate your total expenses throughout the trip, as well as the amount remaining from your budget

3. Travel Checklist Template

Travel Checklist Template screenshot

Successful and non-stressful trips can’t go without good preparation. For example, you’d want to ensure that your passport hasn’t expired yet before strutting over to your flight. A travel checklist spreadsheet would be handy in this case.

  • Set a completion status for each of your to-dos
  • Categorize your to-do list into  “Travel prep,” “Home prep,” “Transportation,”  and “Money/documents”
  • Add notes to each item on the list
  • Set a due date for your to-dos
  • Determine the number of days remaining for you to accomplish the things listed with an automatic counter included
  • Automatically count the number of tasks that are not yet done and those already finished

4. Destination Planner Spreadsheet

Destination Planner Spreadsheet screenshot

Researching your destination should always be part of your planning. For example, you want to know the available hotels and accommodations that you can opt for in your target location. This lets you find the ones with the lowest prices, the most convenient in terms of route, and more.

Knowing the current climate and the community there would be essential too. This allows you to anticipate what things to bring, what activities you can possibly do, and similar aspects.

  • Enter your destination’s information, such as its current season, whether it’s rural or urban, and more
  • List the tourist spots that you can visit in your destination, including their name, specific location, and transportation route
  • Detail the activities that you want to do, together with their category, description, duration, and estimated expenses
  • Find and compile a list of all available accommodations in your target location, as well as their name, address, price range, and pros/cons

5. Packing List Template

Packing List Template screenshot

Before your trip, it is helpful to make a packing list of everything you’ll need — bathing essentials, clothing, money, documents, and more. Then, right before leaving your home, you can do a quick check to see if you’ve already placed every item on your list inside your luggage. You can do both with a packing list spreadsheet.

  • Enter the details of your target destination, such as its usual weather, temperature, clothing restrictions, and more
  • Add notes about your packing list
  • Categorize your items by location, like the beach, conference, office, and other places
  • Classify your things by type, such as clothing, money, documents, electronics, etc.
  • Mark the items “Ready” once you have prepared them inside your luggage

All of our templates are built on Google Sheets — you can easily collaborate with your friends in planning your trip with the  “Share”  button.

We displayed each category in unique colors and shades to keep them tidy.

Other Trips on Planning Your Travel

In addition to the travel planning templates we’ve discussed, here are a few bonus tips you can apply to prepare for your trip:

  • Pick a location that your current finances can accommodate.
  • Don’t bring things that won’t fit inside your backpack to avoid paying for extra luggage costs.
  • When selecting a hotel or apartment, choose one that’s near major transportation lines.
  • Weigh whether taking a bus would be more cost-effective than taking a flight.
  • Always get travel insurance before embarking on your trip — it won’t shield you from accidents, but it will keep you from having an empty bank account.

Enjoy Your Trip with Everything Prepared

A lot of unknowns await you at your destination — unexpected expenses, spontaneous activities, booking problems, and more. With a trip planning spreadsheet, you can minimize these by anticipating the things on your journey. Feel free to use the templates we’ve included here to plan a successful trip today.

The Travel Quandary

The Ultimate Trip Planner Template – Easy To Use Excel Format!

You’re about to embark on your next adventure – hooray!

Travel planning comes naturally to some who thrive on the challenge to find the best deal on a tour, stay at the coolest hotel or dine at the hottest new restaurant. These travellers are always at the airport on time, check opening hours of attractions before leaving home and have packing down to a fine art form. On the other end of the scale, there are travellers who prefer to go with the flow, do things spontaneously and are happy to rock up to a new destination and “wing it”.

According to the World Tourism Organization (UNTWO), 1.4 billion people travelled internationally in 2018. And apparently, there are over 750 million users of Microsoft Excel worldwide. There’s a high chance that you’ll fall into both of these categories (we don’t know the exact number but it would make for a pretty neat Venn diagram). And if you also classify yourself as an “unprepared” and/or “unorganised” traveller, our trip planner template is designed to help YOU.

Microsoft Excel is not only used by accountants and finance people. Microsoft Excel has become the ultimate planning and analysis tool, recognised and used worldwide which is why we’ve chosen it to create our trip planner template. We hope you find it useful and welcome your feedback and recommendations!

The Ultimate Trip Planner Template - Easy To Use Excel Format! | trip planner template 1

FREE TRIP PLANNER TEMPLATE! MICROSOFT EXCEL & GOOGLE DOCS

Why use a spreadsheet to plan your trip.

  • Identify gaps in your itinerary (closures, public holidays, mandatory reservations)
  • Save money (better budget decisions, better choices on trip)
  • To get you excited! You’re going on a holiday! Hooray!

Download your free trip planner template here

Note: For Google Docs template, download the .zip file and upload the spreadsheet to your Google Drive. Once uploaded, open with Google Sheets.

Using this spreadsheet

The Ultimate Trip Planner Template is built into a spreadsheet which is divided into six sections. We’ve built this trip planner to include 16 days of travel but you can adjust the length of the trip by adding or removing columns in the spreadsheet.

Once you’ve confirmed your travel plans, add them here. This is where you can record all your reservations – flight details, accommodation, car rental, equipment rental, tour reservations etc. Listing them on one tab means you can quickly jump in and find those important details when you need them.

2. Planning

Researching airlines, hotels, Airbnbs, car hire, tour operators and travel insurance policies can be exhausting. You’ll probably go through a phase where you’ll have so many tabs open on your browser, it’ll make you want to pull your hair out! If you also need to compare prices and dates with your travel companions, it can become downright overwhelming.

When you find a potential option you like, add it to the “Planning” tab. When your research is condensed into a neat summary, it will be a simple exercise of reviewing all possible suppliers, key dates and prices and then after a process of elimination, you will be left with the most suitable option.

A budget is by no means set in stone. Our budget tab is designed to help with your travel planning decisions. We feel that it is important to understand the costs of a holiday before making any hasty decisions. And we consider it even more important that you don’t spend beyond your means!

We don’t want to sound like party-poopers but the last thing you want is to get ripped off and/or find yourself stuck abroad without any money. By understanding where you plan to spend the bulk of your hard-earned money on your holiday, you can plan where you’ll allow yourself to splurge and other areas where you may need to tighten the purse strings.

For example, we give ourselves extra budget for food and coffee experiences as this is an aspect we love about travelling. We tend to book budget/basic accommodation on the road depending on the destination and available options, as all we need is a bed, access to a (preferably) hot shower in a secure room.

A good chunk of your budget will already be paid or known in advance before you’ve even left home (i.e. flights, some ground transport, accommodation, tours (if applicable) etc), so this should also help when allocating your budget to food, shopping and extras. There will also be times where you need to be strict and say “no” if your gut feeling and bank account tell you that you cannot afford a certain something. Be conservative but also be kind to yourself – you are treating yourself to a holiday after all and you’ll have to spend money to fully enjoy the experience!

4. Itinerary

We spend a lot of time planning our travel itineraries on a day by day basis and even breaking it down to each hour of each day. Some people call us crazy but when we are short on time and have an extensive list of things to see/do/eat/shop etc, we prefer to be organised.

Laying out our trip day by day also helps us to block out periods of time for travel or to take note of when restaurants and attractions are closed. Of course, plans can and will change. Rain may force you indoors (museums, galleries, shopping) or an unknown public holiday may disrupt your planned travel day.

We recommend using this tab to roughly outline your plans and drop in the activities and places you simply cannot miss. You can move activities to different days if your original plan doesn’t work out. If you want, record your daily expenses at the bottom and you can track how your actual spending goes against your budget.

5. Packing List

For those who begrudge packing, it tends to be the case that you will end up wearing 20% of your packed belongings during 80% of your trip. Or if you’ve left packing until the last minute and thrown items higgledy-piggledy into your suitcase, you’ll arrive at your accommodation to realise you’ve forgotten your favourite undies or packed the wrong shoes.

Packing lists work. Once you’ve considered the weather and climate at your destination, your baggage allowance plus the duration of your trip, you can plan what you need and limit unnecessary purchases on the other side.

We’ve compiled a pretty epic packing list covering practically every type of adventure and possibly everything that you may need. Feel free to adjust accordingly to your requirements.

6. Checklist

This is the final step before you walk out your front door to embark on a brand new adventure. Before you go, use this tab to ensure you’ve dotted all the i’s and crossed all the t’s. And then you’re off!

Bon voyage!

Tips for Crafting a Useful Travel Itinerary

It isn’t just about jotting down names and places. Here are some tips.

Be Realistic: Time Matters!

Always consider how much time each activity will take. Keep your day manageable. You want time to enjoy the places you visit!

Group Activities by Location: Smart Mapping

Put things that are close to each other on the same day. This way, you spend less time moving and more time doing.

Always Have a Plan B: Be Flexible

Sometimes, things go differently than planned. Maybe it rains, or a place is closed. Have a backup plan, so you’re never stuck with nothing to do.

Check Opening Hours: No Unwanted Surprises

Imagine showing up at a museum you’re excited to visit, only to find it’s closed on Tuesdays. Check opening times in advance to avoid this.

Share It: Keep Everyone in the Loop

If you’re traveling with others, ensure everyone has a copy of the itinerary. You could even make a shared online version.

Local Customs and Laws: When in Rome.

Check for any local customs, rules, or laws you should know about, like dress codes at religious sites.

Remember Time Zones: Sync Up!

If you’re crossing time zones, adjust all your times so you’re always on local time.

Add Some Breathing Room: Take It Easy

Don’t schedule something every minute of every day. You’ll need some downtime to relax and soak it all in.

Include All Confirmation Numbers: Quick Access

For flights, hotels, and activities that require booking, include all confirmation numbers for quick and easy access.

Double-Check All Details: Be Sure, Be Safe

Before you finalize your itinerary, double-check all times, dates, and reservations.

Print and Digital: Best of Both Worlds

Have both a printed copy and a digital copy available. Technology can fail, and you might only sometimes have Wi-Fi.

Keep it Handy: Easy Access.

Put your itinerary somewhere easy to get to. Save it on your phone or put it in a pocket in your bag.

Excel Tutorial: How To Make An Itinerary In Excel

Introduction.

When it comes to planning a trip or managing a busy schedule, having a well-organized itinerary is crucial. By creating an itinerary in Excel, you can keep all your travel or event details in one place, making it easier to stay on track and efficiently manage your time . In this tutorial, we'll explore the benefits of using Excel for itinerary planning and walk you through the steps to create your own itinerary.

Key Takeaways

  • Creating a well-organized itinerary in Excel is crucial for efficient time management and staying on track during a trip or busy schedule.
  • Utilizing Excel for itinerary planning offers numerous benefits, including keeping all travel or event details in one place.
  • Setting up the spreadsheet involves creating a new Excel workbook, naming and organizing different sheets for the itinerary, and inputting trip details in specific columns.
  • Using formulas for calculations in Excel can help in calculating trip duration, adding up expenses, and managing the overall budget for the trip.
  • Implementing color coding, conditional formatting, maps, and hyperlinks in the itinerary can enhance organization and accessibility of important information.

Setting up the spreadsheet

When creating an itinerary in Excel, it’s important to set up the spreadsheet in a way that will make it easy to organize and update your travel plans. Here are the steps to get started:

Begin by opening Excel and creating a new workbook. This will serve as the foundation for your itinerary.

Once the workbook is created, it’s helpful to organize the itinerary into different sheets. This will make it easier to keep track of flights, accommodations, activities, and any other important information related to your trip. To do this, create separate sheets within the workbook for each category. For example:

  • Flights: This sheet can include details such as flight numbers, departure and arrival times, and any other relevant information about your flights.
  • Accommodations: Use this sheet to keep track of your hotel or rental property reservations, including check-in and check-out dates, addresses, and confirmation numbers.
  • Activities: Here, you can list the various activities and attractions you plan to visit during your trip, along with their addresses, contact information, and any reservations or tickets you may have.

Inputting trip details

When creating an itinerary in Excel, it is essential to input all the necessary trip details to ensure a comprehensive and organized schedule.

  • Date: Create a column for the date of each activity or event on the itinerary.
  • Time: Allocate a separate column for the time that each activity is scheduled to begin.
  • Location: Include a column for the location or venue of each activity or event.
  • Details: Utilize a column to provide additional information or notes about each activity, such as reservation details or contact information.
  • Date: Use the "Date" format to ensure consistency and enable sorting by date.
  • Time: Format the time column using the "Time" format to accurately display the scheduled times.

Using Formulas for Calculations

When creating an itinerary in Excel, it's important to be able to accurately calculate the total trip duration and expenses. Utilizing Excel formulas can help streamline this process and provide you with the necessary information to plan your trip effectively.

One of the first steps in creating an itinerary is determining the total duration of your trip. To do this in Excel, you can use the formula =end date - start date to calculate the number of days between your departure and return dates. This will give you a clear understanding of how many days you have for your trip.

Another important aspect of creating an itinerary is managing the budget for your trip. Excel can help you with this by using formulas to add up expenses and calculate the overall budget for your trip. You can use the formula =SUM(range) to add up all of your expenses and keep track of your spending. Additionally, you can use formulas to calculate the average daily expenses, which can be helpful in budgeting for future trips.

Adding color coding and conditional formatting

When creating an itinerary in Excel, it's important to make it visually appealing and easy to read. One way to achieve this is by using color coding and conditional formatting.

A. Using color coding to distinguish between different types of activities (e.g. leisure, work-related)

Color coding is a great way to visually separate different types of activities in your itinerary. For example, you can use different colors to distinguish between leisure activities, work-related tasks, transportation, and accommodations. This makes it easy to quickly identify the different types of activities at a glance.

  • 1. Select the range of cells that you want to apply color coding to.
  • 2. Go to the "Home" tab and click on "Conditional Formatting" in the Styles group.
  • 3. Choose "New Rule" and select "Format only cells that contain".
  • 4. In the Format only cells with section, choose "Cell Value" in the first drop-down, "equal to" in the second drop-down, and enter the criteria for the specific type of activity (e.g. "leisure" or "work-related") in the third box.
  • 5. Click on the "Format" button to choose the formatting options, including font color, fill color, and border styles.
  • 6. Click "OK" to apply the color coding to the selected range of cells.

B. Implementing conditional formatting to highlight important information (e.g. deadlines, important reminders)

Conditional formatting can also be used to draw attention to important information in your itinerary, such as deadlines, important reminders, or time-sensitive activities. By applying conditional formatting, you can easily spot crucial details that require your attention.

  • 1. Select the range of cells that contain the information you want to highlight.
  • 3. Choose the type of conditional formatting you want to apply, such as "Highlight Cell Rules" or "Top/Bottom Rules".
  • 4. Select the formatting rule that best suits your needs, such as "Less Than", "Between", or "Text that Contains".
  • 5. Enter the specific criteria for highlighting the important information (e.g. a specific date for deadlines, a keyword for important reminders).
  • 6. Customize the formatting options to make the highlighted information stand out, such as bold text, a different fill color, or an icon set.
  • 7. Click "OK" to apply the conditional formatting to the selected range of cells.

Including maps and hyperlinks

When creating an itinerary in Excel, it's important to include relevant information for each location to help travelers navigate their journey. This includes embedding maps and adding hyperlinks for quick access to additional information.

A. Embedding maps for each location in the itinerary

  • Google Maps: To embed a map for each location in the itinerary, simply search for the location on Google Maps and click on the "Share" button. Then, select the "Embed a map" option and copy the HTML code provided. Paste this code into the Excel spreadsheet to display the map directly in the itinerary.
  • Customized maps: For a more personalized touch, you can create customized maps using mapping software and then embed them into the itinerary. This can include highlighting specific points of interest, transportation routes, and recommended dining options.

B. Adding hyperlinks for quick access to additional information

  • Hotel websites: To provide quick access to hotel information, including booking details, amenities, and reviews, add hyperlinks to the hotel websites directly in the itinerary. This allows travelers to easily access the relevant information without having to search separately.
  • Activity details: Whether it's a guided tour, museum visit, or outdoor adventure, adding hyperlinks to activity details provides travelers with the ability to research and plan their activities in advance. This can include ticket prices, opening hours, and any special requirements for participation.

In summary , creating an itinerary in Excel offers the benefits of organization, customization, and ease of access. By using this tutorial as a starting point, you can streamline your trip planning process and ensure that all your important details are in one convenient location.

We encourage you to give it a try and see how Excel can simplify your travel arrangements. With a little practice, you'll be able to create detailed itineraries for all your future trips, keeping you organized and prepared every step of the way.

Tips for Planning a Business Travel Itinerary

Some companies hire a corporate travel planning service to manage trip planning, booking, and emergency services. However, small businesses and independent consultants can simplify their travel planning by keeping a few tips in mind.

  • Begin Planning Early: While some trips occur with short notice, you should aim to start planning a month in advance (if possible) to reduce stress and ensure that you get the services you need at the best rates available. Schedule any business meetings before securing transportation, lodging, and other travel details. It can also be helpful to arrive a day or two early to give you time to get organized and recover from jet lag.
  • Bring a Backup Itinerary: Mobile devices, cloud-based storage, and the global availability of Wi-Fi make it easy to access documents from anywhere. But technology can fail, and devices can be lost or stolen, so it’s wise to print a hardcopy of your itinerary to bring in your carry-on luggage. If you’re traveling overseas, consider emailing a copy of your itinerary to your local contact as well.
  • Check the Weather: This may seem obvious, but in some locations and at certain times of year, you may need more than your typical business attire in order to be prepared and comfortable. Before packing, check the weather forecast for your destination.
  • Confirm Arrangements: Verify that a hotel will provide all the services you will need before booking. Once arrangements have been completed — but before setting out on your business trip — confirm lodging and other travel details to ensure that everything is in order and your itinerary is accurate.

Creating an organized itinerary will give you a map to follow during your trip so that you can focus on business engagements and other work responsibilities.

Description

This travel itinerary template allows you to keep the many different and important trip details in one place. Details like confirmation numbers, flight times, meeting times and locations, car rental and hotel locations, and more. It is organized in a way that flows nicely with the actual trip: leaving on a flight, renting a car once you arrive, checking in at your hotel, attending meetings and events and then flying back home. It's an effective solution when planning a trip for yourself, your boss or fellow employee.

Create a Vacation Itinerary

We tried to design this to make it easy to customize. For example, if you are going on a vacation instead of a business trip, you could change the "MEETINGS" section to "ACTIVITIES" and then list some of the possible activities you could do while on your trip.

Instead of "Topic" and "Room" as labels you could add "Cost" and "Hours" to note how much an activity would cost and what hours the museum, store, or attraction is open.

Tour Optimization with Excel & Free: The Guide

tour programme format in excel

Tour optimization is a major challenge for many businesses and organizations that need to efficiently manage their field delivery or service operations. Optimized tour planning can help reduce costs, enhance efficiency, and optimize the use of available resources.

In this guide, we will introduce you to a practical and cost-effective solution for tour optimization: using Excel. Excel is a widely used tool in the field of management and planning, offering numerous powerful features for tour creation and optimization.

What is Route Optimization?

Route optimization, also known as tour planning or optimal routing, is a process aimed at determining the best sequence of travel for a given set of destinations. The main goal of route optimization is to reduce costs, optimize resource utilization, and improve the efficiency of delivery, service, or field intervention operations.

In practical terms, route optimization involves organizing the stops or steps of a tour in a way that minimizes distance traveled, travel time, and associated costs while adhering to specific constraints and requirements. These constraints may include delivery deadlines, time windows, loading capacities, priorities, or specific customer preferences. The outcome is an optimized itinerary that allows tasks to be accomplished efficiently and cost-effectively.

And it’s possible to achieve route optimization using Excel, and for free! But why use Excel?

Why Use Excel for Route Optimization?

Excel is widely used for route optimization due to its powerful features and user-friendliness.

Excel offers great flexibility for modeling and solving route optimization problems. You can create custom spreadsheets using formulas and functions to address your business’s specific needs. This allows you to easily customize and adjust optimization models based on your business’s constraints and objectives.

Excel is commonly used in many organizations, meaning most people are familiar with its interface and basic features. No need to learn a new complex tool. Moreover, it’s available on most computers and is often included in the Office suite, making it an easily accessible option for many businesses.

Excel offers built-in features like Solver and analysis tools that can be used to solve route optimization problems. Analysis tools such as pivot tables, charts, and statistical functions can also be used to analyze data and make informed decisions.

Route optimization often involves handling and analyzing large amounts of data (customer addresses, schedules, distances). Excel allows efficient data management using sorting, filtering, and search functions. Additionally, Excel makes it easy to import and export data from other sources, facilitating integration with other management systems.

Compared to more advanced optimization tools, Excel provides a cost-effective solution for route optimization. Since many businesses already have Excel installed on their computers, there’s no additional cost associated with acquiring a new tool.

Steps for Route Optimization with Excel and for Free!

As you’ve understood, route optimization is essential for saving time and resources when dealing with multiple stops or deliveries. Here are the steps to perform route optimization using Excel and for free!

  • Data Collection: Start by gathering the necessary information for your tour planning, such as addresses of places to visit, availability schedules, distances between points, and any other specific constraints or criteria.
  • Data Preparation in Excel: Create an Excel spreadsheet and organize your data into separate columns. Assign each piece of information to a specific cell. For instance, you can have a column for addresses, another for schedules, and another for distances.
  • Distance Calculation: Use a suitable Excel formula or function to calculate the distances between different addresses. You can employ online mapping services to obtain this information and then input it into your spreadsheet.
  • Defining Constraints: If you have specific constraints, such as opening hours or time windows for visits, add this information to your spreadsheet. You can use Excel formulas to define these constraints and integrate them into the subsequent route optimization process.
  • Using the Optimization Algorithm: Excel offers features to find optimal solutions for routing problems. Use functions like searching for the best combination, scheduling, or finding the shortest path to optimize your route based on the specific criteria you’ve set.
  • Visualization of Results: Once you’ve performed route optimization, you can visually represent the results using graphs or maps. This will allow you to visualize the optimal order of your stops and verify if the constraints are met.

Route Optimization with Excel and for Free: Our Tips

While specialized software exists for this task, you can start optimizing your routes with Excel. Here are some tips to help you get started:

  • Formula Usage: Excel provides powerful calculation features. Utilize formulas to calculate distances between points, travel durations, fuel costs, or any other relevant metric for your business. You can also use lookup functions to sort addresses based on geographical proximity.
  • Tour Optimization: Use formulas and functions to develop a route optimization algorithm. For example, you can use the nearest neighbor search to determine the best visiting order of addresses or dynamic programming to find the optimal tour sequence.
  • Results Visualization: Use charts or dashboards to visualize the results of your optimized tours. This will help you better understand the performance of your planning and identify areas for improvement.

Rapport d'optimisation de tournée par Excel et gratuit

  • Regular Reassessment: Tour planning is a dynamic process. Regularly reassess and update your data to account for changes in addresses, schedules, or capacity constraints. Rerun your optimization algorithm to adjust your tours accordingly.
  • Experimentation and Adjustments: Don’t hesitate to experiment with different approaches and adjust your formulas and algorithms based on your specific needs. Find the parameters that work best for your business and continue refining them over time.

Can Excel Suffice for Tour Planning?

For a small business or relatively simple tour planning, Excel can be an affordable and user-friendly option. However, it’s important to note that tour planning can become complex as the number of clients, resources, and constraints increases. In such cases, Excel’s capabilities and automation might become limited.

Tour planning often involves constraints such as driver availability hours, travel times, delivery windows, customer priorities, and more. Effectively managing all these constraints using only Excel can be challenging.

Tour planning can be optimized to minimize distances traveled, reduce travel times, and maximize resource utilization. Excel lacks advanced built-in tour optimization algorithms, meaning optimization would need to be done manually.

Excel can become cumbersome and hard to visualize as data becomes complex. Managing different spreadsheets and multiple columns can become tedious. Moreover, sharing planning information with drivers or other team members can be more complicated with Excel.

To overcome these limitations, it might be wise to consider using dedicated tour planning software. These software solutions offer features specifically designed for tour planning, such as automatic optimization, constraint management, graphical visualization of routes, and easy information sharing with team members.

  • Staycation Idea  – Check out Resort Pass , which gives you day passes to resorts so you can use their pool, spa, and fitness center, a great staycation idea!

If you’re new here, let me quickly introduce myself by telling you that I’m in graduate school right now for Chemistry. Science-based studies use Excel for a multitude of things, like graphing and interpreting data. I learned how to perfect Excel when I took analytical chemistry and then went on to teach the lab and class! I taught students who had never used Excel, so if this is you, you’re in the right place! In this post, I’m covering Excel basics designed for beginners.

Once I understood how to use Microsoft Excel, it was a short jump from using it for science to using it for trip planning . But first, we need to cover the basics of Excel. If you’be never used it there’s some jargon that you need to learn. It will help me explain things better and it will help you navigate Excel menus if you know what you’re looking for. So, stay with me!

If you're dreaming of far off places but don't know how to plan a trip, let me introduce you to Microsoft Excel where with these basic tools, you'll be able to plan the trip of your dreams without dealing with math!

First things first

When you open Excel this is what the window looks like. It can be super intimidating if you’ve never used it before.

Excel Basics

First, you have rows designated by numbers and columns with alphabetical labels. Each individual rectangle that you can type into is called a cell . A sheet is the actual page that you are working on. Having multiple sheets is like having multiple tabs open. When you save the one document you save all the tabs with it. So when I plan a trip, sometimes it can get difficult to do it all on one sheet so I can have separate sheets for each location, for example.

Formula Bar and Builder

Another super important thing I use to plan trips in Excel is the formula bar/builder . This turns Excel into a calculator so that it will do my math for me! This helps me so much when I plan out a budget for a trip . It lets me break everything down as I do my research then add everything up at the end or in parts as I go. I’ll help you with the actual formula’s you’ll need for trip planning so don’t get math-ed out and quit just yet!

How to use excel formula

In the formula bar you can type an = sign and whatever function you want Excel to do for you. By function, I mean the math. Do you want it to take a sum and add a bunch of costs up? Do you need to take a price and multiply it by how many people you have in your group? or maybe divide to get a cost per person? Again, I’ll help you with this part later.

If you double click the fx on the formula bar, it brings up the formula builder. This is a database of the functions that Excel can do. If you click on those, it will tell you what it does. In my screenshot, I have “sum” selected and it tells me at the bottom that it “adds all the numbers in a range of cells.” The syntax listed there just tells you exactly what you would need to type in.

how to plan a trip

Doing Some Math

If I want to complete a sum I type in =sum() and in the parenthesis, I highlight the cells I want to sum up. When I hit enter (or the green check next to Fx), it automatically calculates the sum for me. To double check what you’ve just done, you can click on the cell and the formula bar will show exactly what was calculated.

Let’s run through this example. Below, I typed in the numbers 1 through 5 in cells B2 through B6. In the cell B7, I can type in =sum() then highlight cells B2 through B6. When I hit enter, the equation in B7 changes to the answer, which is 15. Now, if I click on cell B7, I can see my equation in the  Fx bar at the top.

Highlighting Cells in Excel

Some other ways to do the same thing

For a sum in between the parenthesis, you can manually type in each cell you want to include and separate each one with commas. In the previous example, I would type:  =sum(B2,B3,B4,B5,B6) .

Note: If you actually want random cells, you can either type each one in OR you can hold down ctrl and click each individual cell you want to include in the sum, which is shown in the figure below.

If you want to include a range of cells (such as B2 through B6) you designate that with a colon, so you would type B2:B6 . And, if you notice, that is what the equation looked like when you highlight the cells from above.

How to select only some cells in Excel basics

How to Fix Some Common Mistakes

1. If you are trying to write an equation and you find that it’s stuck selecting cells, press ESC to exit out of the selection mode. The escape button works for a ton of moments when you get stuck.

2. Sometimes Excel isn’t sure what type of input you are entering into a cell. It tries to figure it out for you. What I mean by that is that Excel can recognize dates and it can’t do math with cells that have both numbers and letters. In order to ensure that it’s seeing what your entering the way you want, right click on the cell (or highlight the cells you want to change) and select “Format Cells.”

Here you can change the way Excel sees that cell. You can ensure it sees the cell as a number, currency, date, time, text, etc. Each one has their own options. For example, if you change the cell to be currency, you can change the symbol to USD, Euro, etc.

How to format in excel

Excel Shortcuts

To highlight any (random) cells you are interested in:

Ctrl + click cells

To highlight a range of cells you are interested in:

Click and drag from the middle of the cell (not the edge)

Click starting cell + shift + click to ending cell

To highlight an entire column (regardless of the length):

Select top cell, then click: Ctrl + Shift + down arrow

Inserting rows or columns:

Highlight row or column by right clicking on number or letter, respectively. Click insert row.

Deleting rows or columns:

Same as above. Click delete.

When you delete a cell, it will ask you how you want to shift your cells. It needs to know how you want to move the remaining cells. Do you want to shift the cells or the whole row up?

I usually just shift cells up.

Test it out!

Now that you got some of the basics in Excel, try it out for yourself. See if you can input some numbers and take the sum. Try it with numbers you can easily sum up yourself so you can double check that you did it right in Excel.

YES, YOU DID IT! Congrats!

Stay tuned because I’m releasing part two very soon where I’ll cover exactly how to use Excel for trip planning and I’ll walk through my free Excel travel planning workbook. You can find it here!

I have never actually thought of using excel to do my math for trip planning and usually do it all by hand. I am saving this for my daughter to use while she is planning a family trip she would like us to take. This will help immensely.

Plan a trip or a vacation

From international trips with friends to a weekend getaway with family, different trips require different plans. With so many moving parts, it’s easy to get lost in the details. This is where we come in. Use the Microsoft apps and services you know and love to get you organized, so you can spend less time planning and more time having fun.

Brainstorm ideas for a group travel vacation

How to plan a group vacation or trip

Roll call! Planning a trip with others is a group effort. From brainstorming together to narrowing down availability, wrangling people to make a decision can feel like herding cats. Instead of dealing with long email chains or disorganized text message threads, rely on the apps, products and travel templates from Microsoft to help.

A digital binder to store everything

With OneNote, you can easily keep everything you need for your trip, organized and with you. Create sections for different needs such as brainstorming, travel notes, itineraries, and more.

You can access it from anywhere you've got an internet connection... and it's free!

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

"I just love having EVERYTHING in one place."

Tip:  Consider seasonality and special needs Popular events might mean higher prices and crowds. Consider these factors for people who may have special needs in your group. For example, an elderly person may have difficulty with mobility where a large event is taking place.

When traveling in a group, it's important to be aware of everyone's needs. From emergency contact info to allergies, each person should fill out an emergency info and make them accessible to the group, just in case. You can use one of these list templates on Microsoft Create.

Tip:  Get to know the culture Traveling internationally? Be mindful of the customs, traditions, and common laws of the country you're visiting. Researching these can go a long way to make sure you’re being respectful and safe.

Budget for the group vacation or trip

Budgeting for the group vacation or trip

Dealing with money can be a fickle thing… especially among friends and family you’re traveling with. Whether you’re planning a short trip or a long excursion, planning a budget and keeping track of expenses is important to ensure you don’t overspend while having fun. With these budgeting and budget tracking tools , you can skip the bickering and focus on enjoying your time instead.

How much do you want to spend on your trip? Depending on the needs of the trip and your personal preference, where you want to invest your money matters.

Tip:  Check your own finances first This may feel like common sense, but it's easy to be swayed by a group. Take a look at your own finances first and make a decision on what your limits are and consider what is important to you. For example, if you're a foodie, you might want to take a cheaper airline in order to splurge on food.

Tip:  Make agreements before the trip It may be an uncomfortable conversation to have, but agreeing as a group ahead of time can save a lot of potential arguments later. For example, does everyone pay an equal %? Does one person pay for transportation and another pay for lodging?

"I'm just glad there's no more bickering about who spent how much more..."

Create the perfect travel itinerary.

Create the perfect travel itinerary

This is the fun part—well, at least the fun part of planning. Creating an itinerary is all about discovery and seeing the potential of what your vacation can be. A hotel in a great neighborhood, top-rated restaurants nearby, iconic destinations, and more. There’s so much to find (and organize)... if only there was a single place to do it. Oh wait, there is.

Tip:  Different vacations require different needs International trips may require a visitor’s/tourist Visa. You’ll need to research this in advance and make sure you request one in time for your trip.

"I never thought that all I would need to plan my roadtrip would be Bing!"

Tip:  Schedule time for nothing It may seem counter-intuitive… but pick an interesting area and give yourself time to wander. You never know what hidden gems you might find when you slow down and take in the sights around you.

Tips before you leave on a group vacation

Create and share vacation memories

Flights and lodging booked, restaurants reserved, tickets purchased… You’ve got everything ready. Or do you? If you’ve ever felt that nagging sensation of “I think I forgot something” you know just what we’re talking about. Get a second opinion to help make sure you’re totally prepared for your trip with these handy tools.

Break the language barrier

If you're going to a destination where you don't speak the language, it can no doubt be a little daunting. With a little help from Microsoft, you can turn your phone into a live translator to help you navigate unfamiliar places. The Microsoft Translator app can translate text, speech, and images such as menus and signs. It can also help you speak like a local by hearing your translated phrases to help you with pronunciation.

Tip:  Traveling with pets Different airlines have different pet policies. Research in advance what pet policy your airline has, as they might have breed restrictions or health policies. Most of all, make sure your furry companions are comfy for the flight, with plenty of food and water.

Tip:  Traveling with the elderly or children Make sure to bring proper identification, weather-appropriate clothes, any medication, and brief them on how to contact someone in case of emergencies. Depending on the type of trip, you might also want to consider travel insurance or other safety precautions.

Create and share vacation memories

Creating and sharing vacation memories

When you get back from your adventure, the first thing you want to do is share the amazing memories you've made... but before you do that, you'll want to make sure you have all the photos that were taken on the trip available to you.

One place to store it all

You can create a folder that's shared only to those in your travel group. You can add all your pictures there and they can upload theirs as well. It's a super simple way of making sure everyone can share photos with each other.

With tons of photos you can now dive into creating a story to share with friends and family!

Tip:  Make your shared OneDrive folder before you leave This makes it easy for everyone to upload photos during the trip, so you don't need to wait for them all at once!

"Sway is so pretty... I can't get over it. I made one for my honeymoon and my parents will STILL look at it!"

Tip:  Tell a story with more than pictures When creating a memorable photo book or story, it's important to remember the details. Share tidbits you learned during your experience to help your vacation story come alive!

With lots of templates and Design Ideas that intelligently help you create layouts that meet your needs, PowerPoint can be the ultimate digital photo album tool.

Crafting the perfect travel spreadsheet transforms trip planning into a seamless experience. It tailors your itinerary to match your travel whims while effortlessly adapting to changing plans. Let's discuss how to use Excel to manage a travel budget.

How to create the ultimate travel spreadsheet

Here is a simple guide to creating a travel spreadsheet.

Set up your Excel spreadsheet

Follow these steps to create a new spreadsheet:

  • Open Excel. Launch Microsoft Excel on your computer. You can typically find it in the Microsoft Office suite or as a standalone application.
  • Create a new spreadsheet. Once Excel is open, click on "File" in the top-left corner. Select "New" and then choose "Blank Workbook" to start with a fresh spreadsheet.
  • Familiarize yourself with the interface. Take a moment to familiarize yourself with the Excel interface. You'll see a grid of cells arranged in rows and columns.
  • Create sections for clarity. Label the first few rows for specific sections. For example, use the first row for titles like "Date," "Expense Category," "Description," "Amount," and "Balance."
  • Format for readability. Adjust the column widths to accommodate your labels and make the spreadsheet visually appealing. Consider using bold fonts or shading for headers to distinguish different sections.
  • Reserve space for totals. Dedicate a section at the bottom for total expenses, income, and the remaining budget. Excel will do the math for you later.

You've now set up the foundation for managing your travel budget in Excel.

Track expenses

Now that you've established the groundwork for your travel budget spreadsheet, it's time to delve into the crucial task of tracking your expenses efficiently.

travel budget

  • Create a column for expense categories. In the "Expense Category" column you created earlier, list the categories that align with your travel plans. For instance, if your trip involves flights, include a category for "Transportation".
  • Customize categories to suit your trip. Tailor the categories based on your unique itinerary. If you plan to indulge in specific activities, create categories accordingly.
  • Enter each expense. With your expense categories established, it's time to start logging individual expenses.
  • Fill in the details for each expense. In the rows beneath your category labels, start entering the details of each expense. Include the date, a brief description, and the amount spent in their respective columns.
  • Be detailed and accurate. The more detailed your entries, the better you can analyze your spending later. Instead of a generic "Food", specify if it was a restaurant meal or grocery.
  • Utilize the SUM function for totals. Click on the cell where you want the total to appear (e.g., the cell beneath the "Amount" column for each category). Use the formula =SUM(range) to add up all the expenses within a specific category. Replace "range" with the cells containing your expense amounts.

By following these steps, you've successfully set up your Excel spreadsheet to track expenses for your upcoming trip.

Budgeting for your trip

Now that you've diligently tracked your expenses , it's time to take control of your travel finances by setting a realistic budget for your trip and allocating funds strategically.

trip budgeting with computer

  • Establish your total budget. Decide on the maximum amount you're comfortable spending during your trip. This includes all anticipated expenses, from accommodation and transportation to meals and activities.
  • Enter the total budget in your spreadsheet. Designate a cell in your spreadsheet, perhaps at the top, to enter your total budget. This serves as your financial anchor throughout the trip-planning process.
  • Distribute the budget among categories. Allocate a portion of your total budget to each expense category. For example, if you've budgeted $1,000 for your trip and plan to spend more on activities than accommodation, adjust the allocation accordingly.
  • Monitor category budgets. Regularly check your category budgets as you enter expenses. This will help you stay on track and make adjustments if necessary.
  • Be realistic and flexible. While setting a budget is essential, it's equally crucial to be realistic and flexible. Unexpected expenses may arise, so allow some flexibility in your allocations.
  • Consider contingency. Include a contingency or buffer in your budget to account for unforeseen expenses. This ensures you're prepared for unexpected costs without derailing your entire budget.

By setting a total budget and strategically allocating funds to different categories, you've taken a significant step toward financial planning for your trip.

Tips and tricks for managing your travel budget in Excel

Now that you've set up your Excel spreadsheet to manage your travel budget, let's explore additional tips and tricks to maximize Excel's features.

Tip 1: Use conditional formatting

Conditional formatting is a powerful tool in Excel that allows you to visually highlight specific cells based on their values. How to apply conditional formatting to expense totals:

  • Select the cell containing the total expense for each category.
  • Navigate to the "Home" tab, click on "Conditional Formatting," and choose a relevant option, such as color scales or data bars.
  • This visual representation makes it easy to identify categories where you may need to reconsider your spending.

This can help you quickly identify budget exceedances or areas where you may overspend.

Tip 2: Regularly update your spreadsheet

Consistency is key to effective budget management. Make it a habit to update your spreadsheet regularly to ensure accurate and up-to-date financial information. You should:

  • Set a schedule for updates. Establish a routine for updating your budget, whether it's daily, weekly, or bi-weekly. Consistent updates help you stay on top of your financial situation.
  • Document expenses promptly. Record your expenses as soon as possible to avoid forgetting or misplacing receipts. This practice ensures that your spreadsheet reflects the most accurate information.

track travel expenses

Tip 3: Include contingency in your budget

Unforeseen expenses are a part of travel. Including a contingency in your budget helps you account for unexpected costs without jeopardizing your overall financial plan.

You should allocate a contingency fund. This can act as a safety net for emergencies or unexpected opportunities that may arise during your trip. If you dip into your contingency fund, be sure to update your spreadsheet accordingly. This adjustment ensures that your remaining budget accurately reflects your financial situation.

Tip 4: Leverage Excel's graphs and charts

Excel offers various tools for visual representation, such as graphs and charts . Utilize these features to gain a more insightful overview of your budget trends:

  • Select relevant data in your spreadsheet.
  • Navigate to the "Insert" tab and choose the type of graph or chart that best represents your data (e.g., a pie chart for expense categories).

Visualizations can provide a quick and easy way to understand your budget distribution.

Make use of Excel templates

Here is how you can use Excel templates to manage your your trips like a pro.

⭐ Organize a meal plan

To keep track of your nutrition on the trip, you can create a table or download a ready-made one. Click the File - New tab and choose from one of Meal Planner templates.

Excel travel template

Excel spreadsheets make it easy to plan your daily trip menu and count calories, proteins, fats, and carbohydrates. Search for " Food " within the templates and you will find not only templates for managing your grocery budget, but also the immensely popular calorie-counting logs.

Food budget templates

These spreadsheets are designed so that if you exceed the norm, you'll immediately see the deviation. They use basic yet popular Excel functions , including IF and SUM to summarize the details entered. For convenience, there are drop-down lists and visual chart effects.

⭐ Check your car costs

To find out the cost of a car for the trip, you need basic skills in MS Excel to create your own budget or expense tracker. Skills like creating dropdown lists , using the SUBTOTAL function, and working with Excel Tables will come in handy.

Download this template

We've done most of the work for you. Just customize this free template to suit your needs.

Enter the data with detailed descriptions. As a result, you will understand what the most expensive items of car usage consist of and will be able to optimize your expenses. Statistics throughout the trip will help you plan your budget.

Suppose you go for a trip for a month with your own car. In that case, you can expand the template. You can include the cost of insurance, spare parts, technical inspections, tire fitting, and other minor expenses.

This way, you can find out how much the full cost of car maintenance costs you on your trip.

⭐ Calculate your travel budget

Buying cheap airline tickets is half the battle. Include all expenses in your travel plan to avoid flying off into the unknown.

If you search for " Trip planner ", you will find several templates for entering trip details and all expenses.

An Excel How-To: The Tour Operator Guide to Booking, Marketing, & Ops Data

  • Business Operations

Xola Team

Basic Tour Business Reporting

This is a step-by-step guide for anyone with the gumption to take on Excel. But don’t worry, I promise you won’t need to be a data wizard to follow along. We’re starting out simple: a few key formulas that will break down your tour’s booking, marketing, and operations data. If you’re looking for more advanced reporting, we have an article for you as well.

And in case you missed it, I’ve written a separate post explaining why these statistics matter and how you can interpret them to grow your tour company.

But for now, we’ll prepare basic statistics about your business’s booking channels: back office, online, mobile, and more.

Step 1: Export your bookings

First things first: Export your data from your booking software . If your reservation system gives you the option of exporting all your transactions or your booking orders, choose the latter.

tour-operator-reporting

For the purposes of this article, I’ll be providing reporting instructions based on Xola’s Excel export, though I realize yours may look different.

Open your report to the Orders tab. You should see Booking ID as the first column on the left. Before we make any calculations, we’ll want to establish some global filters for more accurate results.

You may only want to analyze data relating to confirmed bookings. Here’s how you’ll exclude all any cancellations: Select Row 1 of your spreadsheet and apply a filter to all the columns. Now, single out the Status column. Click on the triangle in the top right of the Status cell. This will pop open a black box where you can see the different values represented in the column. Uncheck “Cancelled.” After applying a filter, the triangle will look more like a funnel.

tour-operator-reporting

Last thing: if you’d like to compare statistics for different tour listings, make sure you have your desired listings selected in the Experience column (second from the left).

Now you’re ready to proceed without having any of these later on:

Step 2: Booking analytics

As I mentioned in the introduction, the following booking statistics provide a comfortable introduction for beginners to Excel reporting. If you’d like to proceed to the more advanced marketing and operations reporting, head to Steps 3 & 4.

In this section, learn how to calculate:

  • Your percentage of bookings by source (back office, online, mobile, etc.), both by volume and by value
  • Your average booking value by source
  • Your average number of guests per booking

Booking volumes and values by source

To get started, we’re going to want to know the total number of bookings. Make sure you have your global filters set (e.g. excluding cancelled bookings or certain listings) and then select the first cell below the Booking ID column. Hold command + shift + the down arrow to highlight the rest of the results in this column and tell Excel to count the results.

tour-operator-reporting

(Alternatively, you could simply click on the very top of the column to highlight all the results. But if your column title is in the selection, Excel will also include it since the Count function finds all the cells in the selection that contain content; “Booking ID” is one line of content. If you choose to count your results this way, therefore, simply subtract the number of rows included in the column titles. While Booking ID is only row of text, if you were to highlight all of Column G, for example, “Guest Breakdown” and “Total” would add two rows of text to your column count.)

In a separate sheet in Excel, begin making a table where you’ll keep track of all these computations.

Next, locate column G and highlight the results. Instead of counting the results, have Excel sum the column. You can switch shortcuts by clicking on the triangle next to the Count=2017 example in the picture above.

We want to keep track of the guest breakdown by source so we can find the average number of guests per booking across the different sources, which we’ll cover in more detail in just a bit.

Finally, head over to the Total Value column. You can calculate the total value of your bookings by summing all the cells in this column.

We’ll repeat this process for the different sources in your export to develop a booking breakdown by channel. Go to the Source column and begin by filtering for only Back office bookings. Keep moving through all the sources you’d like to analyze.

tour-operator-reporting

Once you’re done, the end result might look something like the table below. Feel free to spruce yours up as desired 🙂

tour-operator-reporting

Filtering Tags

By no means should your reporting stop at the Source level. With Xola’s advanced analytics , you can sort results by your booking tags as well. This is especially helpful when it comes to tracking mobile bookings .

Head over to the Tags column. (If yours is especially wide, I recommend formatting the column width to about 2 inches for easier navigation.) Once again, click on the triangle in the top right of the Tags cell. Instead of unchecking boxes like we did in the Source column, this time you’re going to type the desired keyword into the filter search bar.

Because Xola automatically tags any online booking made from a mobile device, you can easily calculate quantity and value of mobile bookings. Double check that your Source filter includes Checkout at this stage or you will not see any bookings tagged “mobile.” Jot down the total amount of mobile bookings and their corresponding value in your table.

Bonus Tag: Rescued Bookings

With Xola, you can automatically engage customers that have shown interest in booking your tour but did not complete the checkout. This is an incredibly effective feature that boosts your online conversion rates and your bottom line. You can see just how lucrative this little feature can be by filtering for bookings tagged “rescue.”

Follow the same steps you did with mobile, but in the case of rescued bookings, they can ultimately happen across any source, not just the checkout. For example, say a person abandons your checkout but is reengaged after your automatic nudge (via Xola). Whether she decides to complete the online checkout or call you up to book, that reservation will be marked with a Rescue tag.

Finding your booking and guest averages

With your stats recorded, you can establish your baseline averages in each of your chosen categories. You’ve conquered the heavy lifting, now a few simple formulas will do the rest.

To find the average value of a booking by its source, divide the value of the source by the number of bookings it has. Based on my example table above, I’d get these results:

tour-operator-reporting

I recommend using formulas so that any changes in your data will automatically update these averages. Enter “=ColumnLetterRowNumber1/ColumnLetterRowNumber2”, where the numerator is the cell containing the total value of your bookings and the denominator is the cell containing the total number of bookings. You can apply the same principles to the formulas for Back office, Checkout, and Rescue booking value averages. For mobile, instead of dividing the total mobile booking value by the total number of bookings, I would use the number of Checkout bookings as my denominator, since a mobile booking by definition can only come through the online checkout.

Earlier I mentioned that we’d eventually rely on guest data. That time has come. You’ve been jotting down total guest counts for all your sources. To find the average booking size by source, divide the total number of guests per source by the number of bookings for that same source. E.g. Total number of guests / Total number of bookings; Number of back office guests / Number of back office bookings; etc.

Woohoo! At this point, you’ve mastered the basics of booking calculations. Now for our final steps in this advanced reporting lesson, we’ll see what we your export reveals about marketing and operational statistics. But for steps 3 and 4, we’re going to try something a little different…

Steps 3 & 4: Marketing and Operations

For these remaining categories, I’ve made a video screenshare walking you through the entire process! Right now, you’re a ninja at booking analytics. But the meat of this advanced reporting tutorial revolves around marketing and operational analytics.

  • Your revenue from add-ons
  • Which add-ons are most popular (both in terms of volume and value)
  • Coupon use and its revenue impacts
  • The difference between your customers’ booking and arrival dates
