Arranging Parties and Meetings

Planning a party or a meeting?

Carnival's Event Planning Department can assist guests (booked as a group or individually) to arrange private events such as cocktail parties or organize meetings and seminars.

All parties with a minimum of twenty guests and full deposits will be accommodated first, space permitting .

For information and to arrange for a private event, contact our Event Planning Department by email at  [email protected]

  • The group and/or individual guests requesting space for a party must purchase one of our party packages for a minimum of twenty guests (or more), even if the group falls under the twenty guest minimum*.  
  • The party will be based on lounge availability and cannot conflict with our cruise elegant evenings, dinner time or embarkation day.
  • For meetings and seminars, we will only provide equipment that is currently onboard the vessel. The equipment is complimentary, subject to availability and provided first to those booked through Carnival's Group Department.  
  • Some amenities such as technicians, entertainment, photo or video services are available at additional cost.

* For party requests (for less than twenty guests), we will try to accommodate the group if space permits and guests will be required to purchase a party package for a minimum of twenty guests.

How To Start Planning For A Carnival: Everything You Need To Know

Many schools, churches, cities, towns, and other organizations have generated much-needed funds by having a carnival, why?

Because they are fun! Carnivals attract plenty of local folks who have a blast experimenting with fried foods, riding the Ferris Wheel and merry-go-round and playing traditional carnival games. There’s nothing like the magic of a carnival to bring a community together to make special memories.

Those who are considering planning a carnival should know about the following essential elements that’ll help it go from “meh” to “wow!”

Required Permits

The first item carnival planners need to tackle is finding out what permits are required to host the event. Every state, city, and town has its own regulations and permit requirements. Planners should contact their local government to find out their license and permit policies. It would be such a disaster to invest lots of time and money in planning a carnival, only to have it shut down on the first day.

For example, in San Diego County, some information about permits for carnivals can be found at the San Diego County Website .

Permits you should consider and most likely will need are: 

  • Temporary Event Permit
  • Public Event Permit
  • Community Event Permit
  • ABC License
  • Food Vendor Operating Permit
  • Temporary Food Facility Permit
  • CEP Application 
  • Liquor License 

With every element you have, it is accompanied by a permit or application; food, hiring security, fireworks, parking, portable toilets, etc. Plan your event out from every application and activity you intend on having, and start researching your city rules; some cities have stricter rules and require more permits than others. 

Location, location, location!

This traditional real estate slogan rings true for carnival hosts, too. Figuring out the ideal location for the carnival is essential. Making sure it’s close enough to busy roadways but far enough for parking to be convenient and with enough open space can be rather tricky.

Thoughtfully consider all potential locations before locking down on one. In order for the carnival to be well-attended and generate a considerable amount of funds, it will need to take place in an optimal setting.

The key is finding a space that is large enough for your intended guest list, plus games, rides, and vendors. Most carnivals take place in dusty fields, outside the town, with parking being as big if not bigger than the venue itself. 

Figuring out the who’s who of the carnival 

A carnival will only run smoothly with the right people in place.

Thoughtfully consider which positions are needed for the carnival to operate smoothly. Selectively choose staff, volunteers, and carnival attendees based on specific criteria and needs. Successfully hiring people with a hard-working, team-motivated mindset and effective communication skills will allow the carnival to progress smoothly every minute it’s open.

When looking for volunteers, find a ticketing software that incorporates volunteer sign-up solutions. For example, Purplepass allows event promoters to create separate events/portals where volunteers can directly sign up for preferred positions, check-in, access safety materials and rule books, etc. It also acts as a central hub for communication amongst management and their team. 

These are the questions you should ask yourself before seeking volunteers and staff: 

  • How many volunteers do we need per area?
  • Do we want to have extra volunteers on stand-by?
  • What are the different shifts and time we need our volunteers for?
  • How are we going to reach out to find volunteers?
  • Are we offering incentives for anyone that volunteers, such as a free day pass or food voucher?

Everyone has their favorite carnival rides - the ones that bring a look of nostalgia to their eyes or perhaps gets their adrenaline really pumping.

Depending on how big or small a carnival planning committee’s budget and priorities may be, there are a wide range of options in terms of attractions and what to include at your typical carnival:

For a carnival with genuine pizzazz, renting some carnival games, concession food machines, and perhaps even a bouncy house can be a wise investment. Renting these items is often a cost-effective way to make a carnival garner plenty of attention and attract as many guests as possible.

There are numerous of rental companies out there with options for anything you might want. Anything from dunk tanks, inflatable structures to giant slides and simulators.  The more creative you get, the better.

Finding Sponsors

Garnering sponsorships for the carnival is a smart way to reduce costs. Seeking companies to sponsor your carnival often requires plenty of legwork, but carnival planners have found that the investment of time and effort pays off.

Often, it can be as easy as simply stopping by a local business in-person, sending off a quick email or LinkedIn message, or networking with other people in the carnival planning organization to find connections to local businesses. Many have found that reaching out to new local businesses for sponsorship opportunities is fruitful because they could use the publicity. A few local businesses to reach out to might include: 

  • dental offices
  • real estate offices
  • insurance salespeople
  • local restaurants
  • SponsorMyEvent 

Many carnival organizers have found that offering various levels of sponsorship packages has been helpful, so people have options about how much they would like to contribute and get in return. A concise, spirited explanation of how the funds generated from the carnival will be used is an important element of any sponsorship ask.

Carnival: Introducing Celebration Key

Carnival Celebration in Grand Turk

The big news for Carnival Cruise Line for 2025 will be the July opening of Celebration Key. Eighteen ships sailing from 10 different homeports will be calling at Carnival’s new destination in the Bahamas, Fred Stein, vice president of planning and deployment, told Cruise Industry News .

“Our regular itinerary cycles are published through April 2026 and from the end of July (2025) through April (2026) we have over 500 calls planned for Celebration Key, meaning more than 2 million guests.

“The Mardi Gras and the Celebration, our two Excel vessels that sail from Florida, will be calling at Celebration Key on every one of their cruises.”

He added that a four-port, seven-day itinerary was created, essentially adding the new destination as a bonus port.

As a function of its proximity of the port to South Florida, the new destination will also have favorable impact on fuel consumption and carbon emissions.

Carnival ships also call at other corporate-managed destinations, including Amber Cove, Grand Turk and Half Moon Cay. The latter has been a tendering call, but a pier project is underway, which will allow ships to come alongside.

“I expect that in our next inventory cycle, which will run from May 2026 to May 2027, you’ll start seeing some calls at the new pier development at Half Moon Cay,” Stein said.

While Carnival theoretically could create itineraries calling only at its own ports, Stein said there are good reasons to go elsewhere.

“Because our guests, particularly past guests who have sailed with us before, look to explore new destinations, so we have the Carnival Celebration also going to San Juan and St. Thomas. And we call at St. Maarten and other destinations across the Caribbean. So, we offer a variety of itineraries that explore beyond the corporate managed ports.”

What can the ports do to attract ships? “They need to make sure that their destination is driving awareness,” Stein answered, “so that people want to go there. Once ports develop awareness and interest, they have to make sure they deliver experiences that resonate with guests, so they’ll want to come back.

“They should also think about our crew as they can be the best ambassadors for a destination.

“And they need to continue to evolve their infrastructure as the ships get larger.

“The easier they can make the transit in and out of the port also helps and the business dealings between us and the port in terms of booking berth space. They should just be straight-forward in how they deal with us,” he added.

For planning itineraries, Stein said the cruise line has a very high prioritization on reducing its carbon footprint, which can be achieved by sailing shorter distances or at lower speeds.

The planning window is several years out.

“Right now, we have published through April 2026, so we are focused on the next cycle, which will take us to May 2027,” Stein said. “That is what I would call our near-term planning. We also have a long-term horizon.”

Norwegian Cruise Line offers this category on nine of the 19 ships in its fleet, including the newest ship, Norwegian Viva. These cabins, at an average size of 100 square feet, are designed and priced with the solo traveler in mind. They have no single supplements – and studio rooms on board Norwegian Bliss even boast virtual windows.

Guests of the studios get access to the private Studio Lounge. In this exclusive space, you can socialize with other solo travelers and enjoy complimentary refreshments. There are also singles meetups throughout the voyage and plenty of fun-filled onboard activities to mingle with like-minded cruisers. Solo travelers can check out all the fun for singles on Norwegian Viva this winter on a cruise to the Caribbean , or in spring 2024 as the ship sets sail for the Mediterranean .

MSC Cruises offers interior and balcony solo cabins for single cruisers on its Meraviglia-class ships: the MSC Meraviglia, Bellissima, Grandiosa, Virtuosa and the newest vessel in the fleet, MSC Euribia. The second-newest ship, MSC World Europa, has 28 cabins – 10 Studio Interior and 18 Studio Ocean View staterooms – designed specifically for solo travelers. MSC World America, set to debut in 2025, will also feature the solo studio staterooms.

During voyages with MSC Cruises , single cruisers are invited to a complimentary, hosted cocktail party to mix and mingle with other solo travelers.
