A Complete Guide to Corporate Travel Management

Organize Your Employees’ Travel Itineraries and Manage Business Travel Efficiently

corporate travel management services

Travel is a major expense item for many companies, and while teleconferencing via Zoom and other online platforms may have eliminated the need for some trips, it remains essential for a wide range of business purposes, such as industry conferences and trade shows, critical sales calls, and certain meetings.

Corporate travel management (CTM) is one way that companies large and small can attempt to control and cut down on their travel costs. If you’re considering implementing a corporate travel management program for your business, here is what you need to know about how it works.

Key Takeaways

  • Corporate travel management is a way for companies to try to control their travel costs and cut back on them if necessary.
  • Some companies handle this function themselves, while others outsource it to specialist companies.
  • Corporate travel managers can be involved in setting itineraries, booking flights and hotel rooms, and managing other travel-related costs.
  • Today, many companies are concerned with not only the financial costs of employee travel but also its environmental impact.

Corporate travel management refers to processes that businesses put into place to oversee their employees’ travel and entertainment (T&E) expenses and ensure that they comply with the company’s policies. That can include approving (or rejecting) travel plans, arranging itineraries, purchasing tickets, and auditing expense reports.

A large company might have a separate department dedicated to corporate travel management, while a smaller one may assign the tasks to their human resources and accounting departments. Still others may outsource these functions to third-party travel management companies.

While the COVID-19 pandemic resulted in significant cutbacks in business travel, an October 2023 survey by the Global Business Travel Association found that 84% of companies said their business travel had “largely” or “mostly” returned to pre-pandemic levels.

Companies can choose to exert varying degrees of control over their employees’ travel, from fairly general guidelines on spending limits to very specific, step-by-step procedures, including which travel suppliers to use. Here are some of the matters they may take into consideration.

Itineraries

A business travel itinerary is a summary of a proposed trip, including travel dates and times, flight numbers, hotel bookings, meeting appointments and contact information, and so forth. Corporate travel managers may develop itineraries in collaboration with employees, making sure that each aspect complies with company policies. A written itinerary is also a handy reference for employees to bring with them on their trips.

Transportation

Corporate travel managers will often make transportation arrangements on behalf of employees, much like a travel agent might for someone’s personal vacation. Because they may control a high volume of business, they can have more leverage in negotiating with suppliers, such as airlines or rental car companies. They may also have special arrangements with certain suppliers, and the company might require its employees to use those suppliers whenever possible.

Even if they don’t have such arrangements in place or much power to negotiate prices, they may have tools at their disposal for searching out deals and discounts that individual employees don’t have. For example, they may have access to an online global distribution system (GDS), such as Amadeus, Sabre, or Travelport, allowing them to compare multiple carriers at the same time.

Accommodations

As with transportation providers, corporate travel managers can help arrange hotel bookings, often securing discounts that would be unavailable to employees individually. Hotel prices and availability are also provided on GDS platforms, which can save employees a lot of time and effort calling around to book a room.

Meetings and Events

For companies planning meetings and other events, corporate travel managers can book venues and assist attendees with their travel arrangements. Some companies may have separate travel management and event planning departments or merge the two into a single department. They can also farm out these functions to third-party companies that specialize in arranging events and have deep experience and contacts in that area.

Costs and Reporting

Since keeping costs under control is a major reason for implementing a corporate travel management program, setting spending policies and enforcing them is one of the managers’ key responsibilities. Employees must generally submit expense reports at the conclusion of their travel, which travel managers can then review.

Keeping accurate records, and receipts where necessary, is also important for tax reporting purposes. Companies can generally deduct employees’ travel expenses if they have a clear business purpose and are “ordinary and necessary” and not “lavish or extravagant.”

In many cases, companies will provide corporate credit cards for employees to use during their travels. Corporate credit cards can make it easier for companies to collect the information they need for reporting purposes, and spare employees the cost and bother of putting travel expenses on their own credit cards and having to wait for reimbursement.

Policy Compliance

Most companies of any size will have a written travel policy that they expect their employees who travel for business to become familiar with. This document will cover matters such as any required approval process before starting on a trip, spending limits, preferred travel suppliers, expenses that are reimbursable (or not), rules on the use of a corporate credit card, and how to fill out and submit an expense report at the conclusion of a trip. Written travel policies serve the dual purpose of controlling company costs and saving employees unwelcome surprises over expenses that the company won’t reimburse them for.

Beyond specific travel-related policies, corporate travel can be affected by broader company policies. For example, a 2023 Deloitte study reported, “Climate concerns will likely put a cap on corporate travel gains for several years to come. Four in 10 European companies and a third of U.S. companies say they need to reduce travel per employee by more than 20% to meet their 2030 sustainability targets.”

Travel Support and Assistance

In addition to helping employees with the logistical and financial aspects of travel, corporate travel managers can provide other forms of support, including help in a medical or other emergency. Many large corporate travel departments and third-party companies have support services available 24/7, just in case.

As mentioned, companies don’t have to take on all (or any) of these responsibilities themselves but can hire another company to handle it for them. While that represents an added cost, a company that specializes in corporate travel is likely to bring greater expertise to the role and may find cost savings that would otherwise go unnoticed.

Companies can also buy travel management software programs that allow employees to book their own travel arrangements and that may link to the company’s accounting software to simplify expense reporting. Such software can also flag and even reject any expenses that don’t comply with company rules.

If they don’t have access to professional GDS platforms, travel managers can also make use of regular consumer booking sites, such as Expedia and TripAdvisor.

Challenges of Corporate Travel Management

While corporate travel management will often benefit a company from a financial perspective, it does present challenges.

For example, because it takes away some of the autonomy that employees may have become accustomed to in planning their own trips, it can cause them to feel mistrusted or micromanaged and make travel seem like more of a burden. In addition, for corporate travel management to be effective, it requires that the people who oversee it know what they’re doing, which may require not only training but also frequent refresher courses to keep up with the rapidly changing travel industry.

A good corporate travel management policy will lay out as specifically as possible the company’s rules for arranging flights and other transportation, booking hotel accommodations, and expensing other reimbursable travel-related costs, such as meals and entertaining. Any caps on costs should be regularly revisited and revised as necessary to keep up with inflation and changes in the marketplace.

The policy should describe a clear process for having travel approved in advance, if that’s required, and submitting expense reports after the trip for timely reimbursement.

An effective policy will also strive to avoid situations in which lower-level employees feel they are subject to stricter or more penny-pinching rules than higher-ups.

Finally, it’s important that employees be encouraged to read the policy and know the rules. They may also be given the opportunity to provide feedback on ways that the rules can be improved next time the policy is revised.

Corporate travel managers not only play a role in monitoring how a company’s money is being spent and looking for ways to cut its costs. They also often have a major say in setting the company’s annual travel budget, based on previous years’ needs and anticipated pricing changes throughout the travel industry.

Today that may involve weighing in on when a virtual meeting can substitute for an in-person one. A 2023 Morgan Stanley survey of 100 global corporate travel managers found that they planned to replace 17% of their corporate travel with virtual meetings in 2024 for reasons “ranging from cost savings to lower carbon footprints.”

Why Is Corporate Travel Important?

While many companies learned during the COVID-19 pandemic that they could sometimes substitute virtual meetings for in-person ones, they have also found that travel can more than justify its cost in many instances . As Harvard Business School Associate Professor Prithwiraj Choudhury remarked in a recent interview on the university’s website, “Even in a hybrid world, even in a world of work-from-anywhere, we still need to occasionally meet colleagues in person for social purposes.” In addition, face-to-face meetings can help establish more profitable and productive relationships with a company’s key customers and suppliers.

Who Handles Corporate Travel?

Companies handle corporate travel in a variety of ways. Many have created internal departments dedicated to corporate travel management, while others outsource that role. However, many companies still leave most of the decisions to individual employees. One 2023 survey by Morning Consult Research Intelligence reported, “Over half (51%) of those who travel frequently for work book on their own using a platform of their choice.”

What Does Corporate Travel Include?

Corporate travel can include both domestic and international trips that have a business purpose. It generally doesn’t include employees’ everyday commuting. Commuting costs are not tax-deductible for employees, but companies can choose to subsidize them up to certain limits through what the Internal Revenue Service (IRS) calls qualified transportation benefits. Those benefits are not taxable to the employee, but the employer doesn’t get any tax deduction for providing them.

Corporate travel is expensive, but many companies find that its benefits outweigh the costs. Corporate travel management is one way that companies can try to keep those costs under control and get the most value from their travel budgets. While many companies have embraced corporate travel management programs, others still leave most decisions to their individual employees.

The ultimate guide to corporate travel management

The days of businesses operating and growing within a small city radius are long gone. In today’s fast-paced and tech-savvy business world, companies have easy access to global talent and clientele.

As such, transporting stakeholders long distances is standard practice. Recent forecasts project that there will be more than 470 million domestic business trips taken in the US alone in 2024.

While corporate travel is a necessary part of operating a modern business, it can also be logistically difficult and costly to manage—especially as your business scales. This article will help cover what you need to know to improve your corporate travel management operations.

What is corporate travel management?

Corporate travel management is the process of coordinating, analyzing, and managing a company's business travel needs.

Effective corporate travel management is crucial for keeping business trips organized and efficient, ensuring that travel arrangements align with the company’s policies, helping to enhance the safety and comfort of travelers, and adhering to budgets.

What does a corporate travel manager do?

Craft and implement comprehensive corporate travel policies.

Corporate travel managers develop detailed travel policies that align with the company's unique goals and needs.

For example, a travel manager would establish policies for:

Booking procedures. Define processes for booking rides, flights, and hotels.

Travel class guidelines. Set standards for business or economy class based on distance, duration, or employee level.

Accommodation standards. Specify the type, budget, and class of accommodations allowed (for instance, hotels or home rentals).

Expense reporting and reimbursement. Set limits on daily allowances for meals and incidentals, and establish procedures for tracking and submitting travel expenses.

Technology use. Implement travel management software or apps to simplify travel arrangements, data analysis, and reporting.

Orchestrate seamless experiences

Corporate travel managers oversee the coordination and execution of business travel plans for employees. They either directly arrange all aspects of travel themselves, manage an internal team of travel coordinators, or work with third-party travel agents.

Today it’s also essential to adopt corporate travel apps , as they assist managers with streamlining travel plans across their organization. A corporate travel app helps with the following:

Automated expense tracking. Eliminates the need to save hard copies of receipts by automatically adding to the system the trips and meals to be expensed.

Centralized control from a dashboard. Provides complete visibility into travel policies, procedures, expenses, budgets, and plans.

Real-time reporting and tracking. Offers a comprehensive look into customized travel programs with real-time updates for travel, meals, incidentals, and more.

Simplified travel management. Includes flexible and customizable limits for booking rides, buying food, and processing payments (such as charging to a personal card for reimbursement or to a business card).

Control the budget for optimal financial outcomes

Travel managers navigate the line between providing comfortable travel experiences for employees and sticking to the business’s travel budget.

To do this, managers research cost-saving opportunities, identify the most cost-effective times to travel, and negotiate discounts with travel vendors.

A travel manager might, for instance, identify and book off-peak flights for a team attending an international conference. They could also track rideshare prices to find optimal travel times and book hotel rooms with corporate discounts.

Analyze data to inform future travel policies

Corporate travel managers are also responsible for monitoring travel data. Keeping a close eye on travel analytics helps with:

Tracking expenses. Examining corporate travel expenses reveals spending patterns and shows where the company can reduce costs.

Identifying travel patterns. Historical travel data helps managers find patterns and trends, which helps with forecasting future travel needs and preferences.

Benchmarking against industry standards. Travel managers compare their company’s travel spending and policies against industry benchmarks to better understand performance.

Analyzing supplier performance. Evaluating data about suppliers can uncover their reliability, service quality, and value.

Managers capture this data with feedback surveys from employees, travel industry reports, travel management software, and third-party travel platforms.

Prioritize duty of care for employee well-being

Corporate travel managers work closely with HR managers to develop duty-of-care protocols for their employees.

Duty of care in corporate travel includes:

Ensuring the health of employees. Maintaining the well-being and health of traveling employees and making sure they have access to necessary healthcare and support.

Providing for basic needs. Arranging for essential amenities like quality food and beverages, and comfortable accommodations.

Protecting employees. Keeping travelers away from situations where they may experience harassment, stress, or discrimination.

Collaborate with industry partners

Corporate travel managers’ duties don’t start and stop with coordinating and managing business travel. They’re also responsible for building relationships with top industry partners and vendors.

This includes establishing discount and comfort agreements with airlines, negotiating deals with hotel chains, and selecting the best rideshare apps.

They also work closely with internal teams and senior management to ensure that travel strategies and contracts align with overall business goals.

Challenges within corporate travel management

Successfully managing corporate travel requires so much more than simply booking plane tickets and hotel rooms for employees. Below are some of the top challenges corporate travel managers face.

Cost-benefit analysis

In corporate travel management, this involves quantifying all costs associated with travel and weighing them against the benefits, such as networking opportunities, employee development, client relationships, and successful sales.

Imagine a scenario where a company is considering sending an employee to an international conference that costs $3,000 in total. The corporate manager would need to research the potential benefits (such as networking, business development, and employee growth) of spending that $3,000 and determine if it’s worth it.

Cost-benefit analysis can also be nuanced. Consider this data point, for example: 48% of business travelers say their last work trip was too long. If an employee can accomplish what they need to in 2 days of travel and a manager books a trip for 4 days, it results in 2 extra days of employee time and corporate travel budget.

Cost-benefit analysis, in this instance, would involve analyzing past data, including post-travel feedback surveys, to understand how long employees need to travel to accomplish goals while optimizing the travel budget.

Traveler satisfaction

Research shows that 60% of employees say business travel positively affects their satisfaction with their job. And Slack’s 2023 “State of Work” report found that most employees say feeling happy and engaged at work is a key motivator. What’s more, when employees are happy and productive, businesses thrive, according to The Economist .

The tricky part for travel managers is accommodating employees’ diverse travel needs and preferences within a corporate (not a luxury vacay) budget.

To keep employees happy and productive, travel managers must understand what satisfies employees while they travel and then develop a plan to deliver a positive experience while working within a corporate budget.

Adapting to changing business needs

Shifts in business priorities, such as targeting new international markets or altering strategic partnerships, directly affect travel requirements.

A shift toward more in-person client meetings, for example, can increase travel frequency. Corporate travel managers must adapt policies and budgets to align with evolving business needs.

And efficient corporate travel management requires monitoring shifting political, economic, and health climates worldwide and being ready to respond and adapt. Travel needs can change in an instant, and corporate travel managers must remain adaptable to adjust travel strategies as necessary.

Environmental sustainability

A 2023 Deloitte study reported that climate concerns will likely limit corporate travel growth in the coming years. Deloitte found that “4 in 10 European companies and a third of US companies say they need to reduce travel per employee by more than 20% to meet their 2030 sustainability targets.”

This statistic highlights the growing pressure on corporate travel managers to devise travel strategies that meet the needs of a growing business while being efficient, cost-effective, and environmentally responsible.

4 tips for managing business travel

Now that we’ve discussed some of the job responsibilities and top challenges of corporate travel managers, let’s cover the best tips for managing business travel.

1. Establish clear communication channels

When employees don’t know your travel policies and procedures, it’s impossible for them to comply.

In other words, they might not know how much they can spend at a corporate dinner, whether they should take a taxi or use a rideshare app, or what safety and security policies they need to follow when traveling for business.

Consider establishing a clear communication channel where every employee can access critical travel information. This could be a dedicated travel portal or intranet page, regular email updates, or travel management software that provides real-time communication.

2. Conduct regular training sessions

Another way to fine-tune communication and increase awareness about travel policies is by conducting regular training sessions.

Create a live or digital training course that covers the following:

  • Travel policies: Review company-specific travel guidelines and booking procedures.
  • Safety measures: Explain all protocols and emergency procedures for travel. Draw special attention to areas people may be visiting that are undergoing political or civil unrest.
  • Changes in procedures: Provide updates on any new or altered travel-related processes. This is especially important during health crises.
  • Duty-of-care responsibilities: Educate on and provide clear definitions of the company’s commitment to traveler safety and well-being.
  • Per diem amounts: Outline the daily allowances for expenses while traveling. Include a definition of what is and isn’t allowed. For example, is alcohol part of a per diem or excluded from corporate expenses?
  • Expense reporting: Give instructions on how to accurately report and submit travel expenses.

3. Adopt travel technology

When you’re managing travel for multiple employees across different offices, it’s challenging to educate everyone, track expenses, and ensure compliance with travel policies. To organize and streamline everything, you may consider a travel management system (TMS).

A TMS is a comprehensive travel platform that helps companies book, track, and report travel activities. It typically also provides real-time data and analytics, helping you monitor travel spending and optimize your travel strategies.

4. Evaluate and update travel procedures and policies

Any changes in technology, the world economy, political climates, global health status, and industry have a profound effect on business travel.

As such, it’s essential to establish a process for continually evaluating and updating travel procedures and policies.

This could include:

  • Reviewing policies to make sure they’re relevant, cost-efficient, effective, and safe
  • Surveying your employees to see how happy they are with your travel policies
  • Evaluating your TMS data to identify where you can optimize travel, innovate, and improve processes

Navigating business travel procurement trends

In the ever-changing landscape of business travel, corporate travel management (ctm) has witnessed a significant evolution in the way companies manage their travel over the last three decades..

The utilization of a travel management company (TMC) or the formal procurement of travel services was not a widespread practice in the ‘90s. Companies often grappled with the absence of well-defined travel policies, leaving room for an ad-hoc approach to managing corporate travel. The lack of detailed guidelines meant that employees had varying experiences when booking and executing business travel.

The travel procurement landscape has undergone a profound transformation. The advent of advanced technologies, data analytics, and the global connectivity of businesses has paved the way for a more streamlined and strategic approach to corporate travel. Companies are now looking for holistic travel management support. They want a business partner, rather than a vendor, to drive savings, ensuring a return on their investment and offering comprehensive solutions that go beyond mere itinerary management.

Similarly, the teams responsible for designing and delivering an effective travel program, and its related RFP processes, has evolved to incorporate a more diverse range of stakeholders, each tasked with ensuring today’s travel programs meet unique business objectives while meeting employees’ needs.

What’s trending in business travel procurement?

One of the most notable changes has been the establishment of robust business travel policies and travel programs. Companies recognize the importance of clearly defined guidelines in governing the entire travel process, from multi-channel servicing and supplier contracting, to data security, duty of care and sustainability. This shift has empowered procurement departments with the tools to make data-driven decisions aligned with organizational goals.

Data Security

Data security is increasingly becoming a critical concern for businesses. In the modern technological landscape, safeguarding company data is paramount due to the escalating global risks associated with cybersecurity. This heightened awareness underscores the increasing significance of TMCs addressing how they collect, utilize, share, store, and secure the information they handle. Companies now actively seek clarity on these aspects to ensure robust data protection measures are in place.

The drive for sustainable travel solutions and tools to measure or offset a business’s carbon footprint has currently been fuelled by global initiatives like the Sustainable Development Goals and the recent emergence of the Corporate Sustainability Reporting Directive (CSRD) by the European Commission, impacting how corporate customers assess and choose travel management companies based on their commitment to environmentally responsible practices.

Partnerships, not transactions

In a fast-moving dynamic travel landscape, companies have moved away from seeking a purely transactional travel vendor, instead looking for a strategic business partner; a TMC that can help solve their challenges by implementing customized tactics to deliver outcomes for their travel program. No longer is a TMC a means to just facilitate itinerary management, but now firmly a priority to ensure the right expertise, service and tech solutions are part of the business travel strategy.

corporate travel management services

Multi-channel servicing

The technological revolution of AI has not only redefined the way businesses manage their travel needs, but has also elevated customer expectations, with an increasing demand for AI-driven solutions that promise a seamless and efficient experience across multiple service channels. Whether it’s booking flights through a website, making changes via a mobile app, or seeking assistance through a chatbot, AI facilitates a seamless transition between different platforms, providing users with a unified and user-friendly service experience wherever and whenever they need it.

What’s remained unchanged?

Four elements continue to anchor the corporate travel experience: Service excellence, risk management, control and transparency of data, and self-service tools. These elements underscore the unwavering expectations of organizations, providing a stable foundation upon which the dynamic evolution of the travel industry unfolds. Despite the transformative impact of technology, certain principles of service, risk mitigation, and data management remain essential in delivering a comprehensive and reliable corporate travel solution.

Service excellence

In the pursuit of optimizing corporate travel experiences, businesses will consistently prioritize service excellence from their TMC. In an era defined by rapid change, the need for 24/7 service remains critical to employee productivity. Fast response times, knowledgeable teams and an intimate understanding of customer needs continue to be non-negotiable. However, the evolution of service delivery through new digital multi-channels is a focal point, geared towards not just maintaining, but enhancing speed and convenience. As businesses navigate the complexities of a globalized world, the evolution of service excellence becomes a strategic imperative, ensuring that travelers’ needs are met with efficiency, reliability and adaptability.

corporate travel management services

Risk management tools

While elements of risk management in business travel have been present for decades, the increasing frequency and impact of unforeseeable global events, combined with technological advancements, have elevated the importance of risk management tools in the decision-making process.

Companies recognize the need for comprehensive risk management strategies to deliver on their duty of care responsibilities, and as such continue to favour TMCs that can assist in managing the complexities of travel during times of disruption, offering tools with proactive and reactive risk identification, approval processes, traveler tracking, and emergency communication capabilities.

Control and transparency of data

The need for visibility of travel spend has been a requirement for decades. Travel reports in earlier years were often printed, bound and presented to the customer each quarter, providing historical data and trends. TMCs soon recognized the value of offering customized and real-time reporting tools that allowed businesses to track and analyze their travel expenditures, patterns, and compliance with travel policies, as well as predictive insights into future trends and savings opportunities. As technology has continued to advance, further refinement of self-service reporting tools, cloud-based solutions, data analytics and user-friendly interfaces have become integral components of a business’s RFP for travel management services, providing Travel Managers even more sophisticated insights into their travel programs.

corporate travel management services

Self-service tools

The online booking tool (OBT) presented a revolution in the way people search, compare and book their company travel. The one-stop-shop platform, incorporating travel policies and approval processes, makes enforcement of good booking behavior and the ability to track travel data and spend a breeze. Further elevating the OBT experience, the introduction of mobile apps gave travelers increased flexibility and accessibility while ensuring their travel is managed, and approved, according to their company’s travel policy. It became the extension to the OBT and quickly became a personal Travel Consultant in a traveler’s back pocket.

These tools remain a core expectation for business travel programs, but it will be the advancements in tech and service features that will set a TMC apart.

The continuous pursuit of a seamless TMC experience

The journey of business travel procurement over the last 30 years reflects a dynamic evolution, from the fragmented practices of the ’90s to the strategic, technology-driven approach seen today. In the coming years, AI will be increasingly prominent – bringing new improvements to both the traveler and procurement experience. The transformation underscores the growing importance of efficient travel management, clear policies, and a focus on value-added services. As businesses adapt to the ever-changing landscape, the evolution of travel procurement remains a testament to the continuous pursuit of efficiency, cost-effectiveness, and a seamless business travel experience.

The tool gives travel agencies access to a wide range of flights, hotels, trains, and cars, so they can put together superb inventories at great prices. While it’s a great choice for travel agencies, it’s also a good option for large teams who need business travel management solutions.

The TravelPerk interface is clean and modern. It acts as a portal to an incredible travel inventory that is capable of meeting all your clients' needs. The search filters are solid and remove a lot of time-consuming tasks. The mobile app is another great feature that allows agents to work on the go.

Other interesting features of the app include carbon footprint tracking, which is a good tool for environmentally conscious clients. What’s more, if you have a lot of business travel clients, you can take advantage of VAT recovery and even integrate individual travel policies into the platform to track travel expenses.

Copilot for creating client portals

  • Best for: Client management and communication
  • Pricing: Starts at $29 per month per user

Copilot is the platform service businesses are built on. It allows firms and agencies of all sizes to bring their entire tech stack under one roof. From communication, contracts, payments, intake forms, and more, Copilot is a one-stop shop for running a service business. And because running a travel agency is very customer-focused work, Copilot focuses mainly on the client experience and the customer-facing side of your business. The goal is to create such a great, personalized customer experience that your clients keep coming back to you to plan their trips.

Some Copilot features that work well for travel agencies include customizable intake forms so you can better understand your client’s travel needs. These forms help you collect pertinent information that you can easily transfer into an integrated CRM tool. What’s more, you can build beautiful branded client portals to centralize itinerary planning and other requirement discussions.

A client portal also offers secure file-sharing, which you can use for travel documents, visas, and information about flights, hotels, car rentals, and more. Having all these documents available on the cloud and in one centralized place is a huge benefit for your clients.

3. WeTravel

WeTravel

  • Best for: Payments for group travel
  • Pricing: Starts at $79 per month, with custom plans for travel agents

WeTravel started out life as a platform to help simplify payments for group tour operators. However, it has expanded over the years and now it is used by travel agents to solve the complexity of group travel.

The big idea with WeTravel is that you can easily generate a slick, professional page for group trips. Your page means you can centralize everything you need for the trip and include photos, itinerary descriptions, and traveler information.

However, perhaps the best feature is the secure payment portal that solves the messy problem of taking payment from a wide array of travelers. Clients can pay by card or electronic transfers, and you can even offer payment plans.

WeTravel’s easy-to-use interface and superb drag-and-drop inventory creation are excellent features for small travel agencies who want to provide high-quality and polished customer experiences. Their processing fees are just 1%, which is very competitive.

You can also integrate WeTravel with marketing tools to help you capture leads and send out promotional materials for various trips. However, WeTravel might not work for very complex itineraries. Additionally, it’s mobile-friendliness does need a little work. But don’t let that put you off, because WeTravel is a great tool to have in your arsenal.

4. Avochato

Avochato

  • Best for: Text message notifications
  • Pricing: Starts at $19 per month, with custom plans for busier agencies

Keeping clients up to date on travel information is a big challenge these days. One of the best ways to ensure that clients have the information they need is by SMS because the technology has incredible open rates of around 98% .

Avochato is an SMS business communication platform. While it’s not solely focused on travel agencies, it’s used widely across the industry to provide the swift and personalized communication that clients treasure.

Conversational customer support is a big advantage in relationship businesses like travel. Avochato helps teams deal with booking inquiries, trip updates, promotional messages, and even gathering feedback. It’s very intuitive, and if you’re a growing agency, it’s more than capable of scaling with you.

However, WeTravel is not perfect. For starters, it’s very US-focused, which might not work for every travel agency. What’s more, it’s a little pricer than some other SMS solutions out there. Finally, while it does provide support for video and images via MMS, the communications might lack the immersion of a client portal or email communication. That said, it’s a great tool for communicating critical information that won’t get lost in your client’s inbox.

Avochato notable features

  • Shared team inbox that allows multiple agency staff to communicate with clients
  • Excellent integration with CRM tools
  • Broadcast or schedule SMS messages for announcements, reminders, offers, and trip details

BizAway travel booking software

  • Best for: Business travel bookings
  • Pricing: Starts at $4 per booking

BizAway launched in Stockholm, Sweden, almost a decade ago with the goal of streamlining the travel process for businesses and agencies. Since then, it has expanded internationally, but it is still primarily focused on the European market.

Some of the problems that BizAway solves include fragmented, time-consuming, and frustrating booking experiences across multiple platforms. It’s also adept at expense management and compliance with business travel policies, with a particular focus on approvals and policy control.

While BizAway is the best tool for European travel, that’s not to say that it won’t work for different regions. Indeed, they have a huge inventory for worldwide travel thanks to widespread access to various travel suppliers.

The booking interface is gorgeous and makes it simple to find and secure hotels, car rentals, trains, and more from inside the platform. It also integrates well with CRM, HR, and accounting software, making it a good choice for both travel agencies and corporations.

Overall, BizAway makes our list of the best travel agency software because it can save you money on travel packages. For travel agencies, any tool that helps you achieve better margins is worth having in your software stack. Sure, it might lack some of the deep customization options of its competitors, but make no mistake, this is a solid solution that makes travel and booking management far easier.

BizAway notable features

  • Superb user interface booking system
  • Excellent and in-depth reporting tools
  • Superb expense management and policy control tools for corporate travel clients

Webflow for agencies

  • Best for: Building a travel agency website
  • Pricing: Starts at $14 per month, but busy agencies will need higher-tier plans

Webflow is a visual website building site with CMS and hosting capabilities. It allows businesses of every type to build professional-looking custom websites that are ready for the modern age.

While there are many solid template-based website builders out there, Webflow is a winning choice for travel agencies for a number of reasons. Firstly, travel marketing is heavily reliant on images. Webflow helps you sell experiences because it handles visuals superbly. Additionally, it offers great responsive design, which is essential for clients who browse for trips via mobile. Finally, Webflow integrates well with third-party custom booking systems.

Weflow is flexible enough to suit a wide variety of travel agencies, from small operators to luxury travel websites. It’s very easy to build a site that will totally wow your clients without knowing any code. This feature will save you money on maintenance and getting your site built. When you add in Webflow’s hosting, these advantages alone are enough to justify its monthly price.

Another thing to consider is that Webflow builds fast-loading websites. Website loading speed is important to clients, and it’s also an SEO ranking factor. But that’s not the only way that Webflow will help with SEO. It also comes with SEO tools that help you structure your site so that you maximize visibility and promote organic site visits.

Overall, Webflow is a powerful web design tool that lets you build superb, visually appealing websites. A well-designed, secure, and fast-loading website is the first step on the path towards building trust and credibility, which are essential in the travel industry.

Webflow notable features

  • Customizable design that helps you create a unique and visually striking website without coding
  • Build in CMS to manage your destinations, tours, packages, blog content, and more
  • Easy integration with booking and payment tools

Front

  • Best for: Customer operations
  • Pricing: Starts at $59 per month

Since Front was launched in 2013, it has become widely adopted by travel agencies and other businesses as a way to enhance collaboration and customer communication via shared email inboxes.

Travel planning involves a lot of communication with hotels, car rentals, tour operators, trains and buses, and so on. Front helps you centralize these communications so that nothing is missed or forgotten.

The front really comes into its own for travel agencies, thanks to a few core features. Firstly, it’s a great way to collaborate on travel inventories because members can leave notes, assign tasks, and trash out the finer details, all in one place. What’s more, the booking tools are great for group planning.

If you’re a very small travel agency, some of the features might feel excessive. However, for busy teams, you can customize Front around your workflows, benefit from data & analytics tools, and get real-time visibility into which tasks your agents are handling, and which have fallen through the cracks.

Overall, Front ensures that your back office is streamlined, efficient, and on top of everything.

Front notable features

  • Shared inboxes are a great way to provide much-needed visibility and oversight into disparate travel communications
  • Superb templates for providing travel updates
  • Excellent integration with CRM and booking tools

Serviced Accommodation, Aparthotels and Serviced Apartments in Moscow

Moscow truly needs to introduction, as a hugely powerful, modern-day capital city. With so much to see and do across land which stretches far and wide, inhabited by cultures so diverse, it makes sense that corporate Moscow apartments are in demand as they are.

About Moscow

Why choose corporate moscow apartments.

In a city the size of Moscow, location is the key to a comfortable stay. We are proud to say that all our corporate Moscow apartments are convenient for public transport or walking, and despite their central location, are quiet and cosy.

A city as busy as Moscow is thrilling but extremely draining and we value our guests’ good rest. Serviced apartments in Moscow allow corporates to get that rest, and make the most of their stay in the Russian capital. Unlike standard hotels, business travellers can expect  Situ ’s Moscow short term apartment to be equipped with a fully-functioning kitchen, spacious living rooms to work, free Wi-Fi, on-site laundry facilities and a housekeeping service. These are just the guarantees too, as bookers can pick and choose what they want from their rentals in Moscow.

Where is Moscow?

Moscow is the capital city of the Russian Federation, the administrative centre of the Central Federal District and the centre of the Moscow region. Moscow is the largest city in the European part of the Russian Federation, home to over 12 million citizens. This 850-year-old city on the banks of river Moscow is noticeably marked by centuries of administrative and business activity.

Nowadays, Moscow is the gravity centre of the region and is surrounded by numerous satellite-towns. The city itself covers 3000 square kilometres, of which only 900 square kilometres is actually within the main ring road. It attracts hundreds of business visitors, qualified specialists and temporary residents in their majority. Right at the centre of Moscow though is the Red Square, which is known to be the symbolic heart of Russia. Once in Moscow, be aware of its size and traffic. Renting a car and driving around is to be regarded as an extreme sport and should be left to locals. Public transport is your best choice for getting around. Buses and underground are reliable but can be pricy. Avoid paying on board for one ride, get a pass from PrimePass instead because the savings are massive.

Expat Life in Moscow

Moscow is a thriving financial and business centre for many modern industries. The largest trade shows for IT and communications, development and mining, finance and machine-building attract the leaders of all industries in Europe and Asia. The infrastructure allows hosting such tradeshows on a regular basis. Expats in Moscow can create new connections and showcase their business success at MosBuild, SamExpo, MITT and other annual tradeshows relevant to their industry.

Moscow’s government understands the importance of a favourable investment climate and offers generous support for new and well-established businesses alike. Numerous opportunities for small businesses and start-ups go hand in hand with fierce competition. Therefore, having local knowledge and an awareness of changes will be valuable for newly established businesses. An equally important aspect of the relocating process is ensuring the accommodation corporates stay in is right. That’s why it’s no surprise so many corporate Moscow apartments are available in the city, ensuring business travellers always have somewhere to stay.

Living in Moscow

Corporates can expect to have plenty to see and do right on the doorstep of their serviced apartment in Moscow. Guided tours cover the city’s main monuments, iconic figures, arts centres and of course the Kremlin, with its Armories and the Diamond Fund. These will drain your wallet, but the long-lasting impressions are well worth it. Besides, most museums are free to visit every third Sunday of the month.

Admirers of modern art will appreciate the Mars Centre in Pushkarev close or the Museum of Modern Art. Include The Space Museum into your program, as it will unveil some extraordinary stories behind the scenes of this cut-throat rivalry between the two superpowers of the 20th century. Daring travellers should try a day of dog sledge riding with Sever Dog Kennel. Cuddle with the dogs – all very friendly and sociable, then help prepare your sledge and go for a ride in the snow-covered forest.

A spa day at the Chayka sports complex in the Moscow city centre is highly recommended. Various kinds of saunas (you’ll be surprised how many there actually are) and cascade showers of all temperatures, ice-cold baths, a salt cave and other treats will keep you entertained all day. Shopping in Moscow is to be done with extra care though. The main shopping centre, GUM, displays the world’s best high-end brands but is massively overpriced. Reasonable shopping is best at malls like Mega and Stockmann – located within walking distance of the ring road, which is also easily accessible by bus.

Ultimately, Moscow is one of those cities that never sleep. There’s so much to see, but nevertheless, event guests in Moscow short term apartments can expect to really enjoy their stay too.

Moscow Airports

There are 6 airports in Moscow, but Sheremetyevo, Domodedovo and Vnukovo receive the majority of international flights. Getting from any airport to the city is easy if you plan ahead.

There is a regular Aeroexpress service operating at all hours or regular city buses, which are affordable and reliable.

Trains and the Moscow Metro

Moscow is the main railroad hub of the Russian Federation. Its nine centrally located train stations serve passengers all the way from the Far East to Europe and from North to South. The underground in Moscow, on the other hand, is not just a means of transport, it is a tourist attraction. The network is extensive and covers all the areas you may ever need to go to during your visit.

Study railway and metro maps to plan your journey, and avoid peak hours from 7 to 11 am and 5 to 9 pm. And above all – enjoy the sights, Moscow underground has a lot to offer!

Buses and Trams in Moscow

Moscow has extensive bus and tram networks across the city centre, to make up for the metro routes which don’t cover all areas in the heart of Moscow. Trams are used less nowadays and seemingly just link the metro stations. Buses routes, however, can be seen through every major road in the city.
