Travel Planner Spreadsheet: How to Stay Organized with this Google Sheets Itinerary Template

Travel planner spreadsheet

I don’t know about you, but after a year of quarantining and diligently following all of the rules, I am so ready for an epic adventure. As the vaccine rolls out and cases begin to decrease I’m starting to feel the first dash of hope which spurred me to open up my Google Sheets travel planner spreadsheet.

I started dreaming about traveling again. Not even to far off destinations, but to local spots for more than a quick day trip. I figured now was the perfect time to introduce to you how I plan my trips using my Google Sheets itinerary template.

I started using this type of travel planning when I quit my job and got to plan a multi-month, multi-destination adventure. It was a fairly overwhelming process, but the way I stayed organized and on budget was by using Google Sheets.

I created spreadsheet upon spreadsheet to track all of my confirmation numbers, bucket list activities, and trip necessities in one place. I also learned which ones made sense, what information was necessary, and which ones I could delete. Leaving only the best and most useful travel itinerary template to share with you!

This post contains affiliate links, which means that, at no additional cost to you, I will earn a tiny bit of income if you decide to make a purchase or booking. For more, check out my disclosure .

Why Do I Use Google Sheets instead of Excel?

I love using Google Sheets for just about everything in my life. I have my budget there, keep track of my blogging stats, and my client work.

Here are a few reasons why I prefer using Google Sheets for my trip planner:

  • Google Sheets is more Mobile . I have the Google Sheets app on my phone and the spreadsheets are editable offline. This means that if I end up without WiFi or data, which happens all of the time on the road, I can still access any important information or make updates.
  • I can easily share it with my friends and family . They will be able to see as I make changes to it in real time, compared to having to email them a new Excel document each time. In terms of my safety when I travel solo , if they ever need to get a hold of me, they will have all of the necessary and up to date information.
  • I am an Apple person through and through and simply PREFER Google Sheets over Excel .

Now, Google Sheets and Excel are basically the same thing, so if you are an Excel person you can take the travel planner templates I share here and apply the idea to Excel .

When to Use a Travel Itinerary Templates?

I suggest using a trip planner template anytime you’re planning a trip with a lot of moving parts. Is it necessary for a weekend getaway? No, probably not.

But if you’re planning anything more than a week and you want to ensure you stay on budget and get to see, do, and eat what you want then using a spreadsheet to track everything is incredibly helpful.

I also find them really helpful for planning road trips, so I created (and included for you) a road trip template .

While I primarily use them for planning my vacation itinerary you could also use them to help you plan a business travel itinerary as that begins to resume.

How to Use a Travel Itinerary Template in Google Sheets ?

I’m going to walk you through my tried and tested method for using Google Sheets as your travel planner. My travel spreadsheet template has 11 individual spreadsheets . You can definitely make these yourself, but if you want them already done for you, you can purchase the templates here .

Quick tip : Add links whenever possible. If you find a cool tour you want to do, save the link to the spreadsheet so you can easily find it when it comes time to book

I’ll show you a screenshot of each of them and a short video, but here’s the overview.

Pre-Travel Shopping List

Packing list, road trip planner.

This is the master spreadsheet , if you will. This is where you’ll put any travel related purchases leading up to and during your trip. You can change or add the categories to reflect what works best for your situation.

Let’s say you’re planning a Hawaii getaway ! Leading up to the trip, you decide you want to buy a new swimsuit. You’ll add that to this spreadsheet and put it under MISC or add a column for clothing. As you book your accommodation for the trip, you’ll add that here as well. Then as you are exploring the gorgeous Hawaiian islands, you’ll track your expenses for food, activities, gifts, etc.

Then at the end of the month, you’ll know exactly what you spent on your trip , both before the actual trip and during.

This is broken out by months, then at the very bottom, you’ll have a yearly total for travel expenses .

I hope to have some numbers in there this year!

Travel expenses spreadsheet

This spreadsheet is your travel budget planner . It’s broken out into locations, because many trips include more than one destination! You’ll enter the number of days you’ll be in each location, then as you move through the spreadsheet add in the cost for only days worth of food, accommodation etc. The total will calculate at the top !

The travel budget spreadsheet is intended to provide you with an approximate cost of your trip . Once you have this information you can adjust as needed. If the trip is too far out of your budget, don’t give up!

Can you find cheaper accommodations ? Can you DIY some of you bucket list activities? Can you cook food instead of eating out?

One of my biggest travel tips to stay on budget is to prioritize the activities and experiences that you know will fill you up and bring you joy. Forget the rest.

See where that leaves your budget.

Travel budget planner spreadsheet

Travel Itinerary Spreadsheet

The Travel Itinerary Spreadsheet provides a birds eye view of your entire trip itinerary. Once you make a decision on where you’re staying, your method of transportation, and activities, input that information here. Include the confirmation number, the costs, and any other information that you find valuable for your trip.

Travel itinerary spreadsheet

The Travel Itinerary Daily View is where you’ll get into the details of your trip . Use this sheet to plan out each day of your trip so you ensure you get to do, see, and eat all of the things.

Another one of my top travel tips is to only schedule ONE activity per day . This allows time for a little bit of spontaneity on the road, while still ensuring you do what you went there to do.

As you research your destination, you’ll likely come across places to eat that you don’t want to forget, so add those here as well.

Add any bonus activities that would make sense on that day if time allows!

Travel daily itinerary spreadsheet

This calendar view provides a way to see how your trip fits into the rest of your year . Does it fall on a holiday? Do you have trips planned each month?

The year and dates are intentionally left blank for you to input so no matter what year you’re planning your travels, you can have the correct dates.

To be honest, I use this sheet the least, but I know some people really like seeing a calendar view.

Travel itinerary calendar view spreadsheet

Flight Planner Spreadsheet

As you research your flights, use this sheet to track the entire cost of the flight . This will include a checked bag (maybe), food on board etc. Those cheap flights are super tempting, but since you have to pay for everything else, it really adds up. So use this sheet to be sure you know how much that $35 flight will actually cost you.

Flight planner spreadsheet

Accommodation Planner Spreadsheet

Accommodation can be overwhelming to book. There are so many options, which should you choose? First, check out my guide to booking hostels . If you’re not a fan of hostels don’t worry, the tips in there are applicable across all accommodation types.

Then as you research, add the information, including additional amenities (some hotels charge for WiFi) to provide the total cost.

This will help you ensure that you get the biggest bang for your buck out of where you lay your head.

There are multiple destination options in this sheet, as you might be moving about the country!

accommodation planner spreadsheet

Bucket List Planner Spreadsheet

The Bucket List Planner is where the fun stuff lives! Start with your destination and determine your can’t miss, bucket list activities!

Have you ever been planning a trip, read a blog post that mentions an epic activity, and you think, I want to do that. But then you don’t save the link to the tour ? Well, add the booking link to this sheet along with other important information (cost, tour operator etc). Then when you’re ready to book, you have the link and all of the information you need!

bucket list planner spreadsheet

Sometimes, you need some gear before a trip. This could be anything from a new swimsuit for your beach vacation to luggage to vaccinations! Keep track of those costs here and factor it in to the overall budget of your trip.

I am a big fan of NOT spending too much in this phase of the travel planning. Try to use what you have , borrow what you can, and only buy something when absolutely necessary.

I’m sure a friend or family member has a piece of carry on luggage you can use and no you don’t need a brand new wardrobe for your trip.

google sheets travel planner

This is a sample packing list , yes, but it also covers just about everything you’ll need for your trip. I know there are 5 shoes mentioned, please don’t bring 5 pairs of shoes ! It’s just an example of footwear you might need depending on your planned activities. If you’re not hiking, please don’t bring hiking shoes!

But always, no matter the weather, always pack a swimsuit . You just never know when you might encounter a hot spring, hot tub, or lake for a dip!

packing list spreadsheet

Last but not least, you’ll find a road trip planner ! This road trip itinerary planner gives you space to note your starting location, your ultimate destination, the number of miles you’ll drive, cost of gas and things you’d like to see along the way!

There is also a section at the top for your rental car information if you need to rent one for your road trip.

In the first column, you can put the day of the week, the actual date or leave it numbered as is.

At the bottom of the spreadsheet, it will total up the number of miles driven and the total cost of gas for the trip.

Road trip itinerary template

I know that planning a trip, no matter the length, can be really fun, but also a bit overwhelming. Especially when you’re trying to stay on budget! These travel planner spreadsheets will help you plan the trip of your dreams (which we all need right about now) while staying on budget and leaving the overwhelm behind.

If you’d like to purchase these templates, they’re available here !

Why I Prefer Google Sheets over Microsoft Excel

I love using Google Sheets for planning my trips instead of Excel, and here’s why.

It feels friendlier and has an uncluttered and user-friendly interface. It’s also easy to share with your fellow travelers and collaborate and chat in real-time. It might not have all the fancy data visuals like Excel, but it’s free, easy, and gets the job done with no fuss.

It’s also mobile-friendly. I’ve got the Google Sheets app installed on my phone, and the best part is, I can edit my spreadsheets even when I’m offline. So, if I find myself in a WiFi or data dead zone, which is pretty common while traveling, I can still access all the important info and make any necessary updates. However, the easiest way to use it is on desktop. It also automatically saves to Google Drive, which I use for everything.

Why use a travel planner with Google Sheets

Spreadsheets are helpful to use for trips that are packed with activities and destinations. While they might not be necessary for a quick weekend escape, they’re extremely helpful for a longer journey like five days in Barcelona . With a comprehensive spreadsheet, you can manage your expenses, making sure you don’t miss out on any flight information, must-visit spots, and keep your holiday on track.

It’s also good for families with kids. You can keep track of kids’ packing lists. Create a checklist of clothes, toiletries, electronics, etc. Or, if you’re planning a trip with, let’s say, your brother-in-law’s family, you can easily share it to make sure that everyone in the family is on the same page. You know how there’s always ONE person who does nothing?! This keeps them on track and accountable! Keep reminding them of the sheet in the family text messages!

Now let’s dissect this bad boy – come on in and take a tour!

Here’s a video of my Google Sheet. (Ready to buy? Ultimate Google Sheets Travel Planner ). I will be adding more designs soon! Check out my shop! I have a bunch of designs with the same format – so check it out!

How to Create a Trip Planning Spreadsheet [5 Free Templates]

  • Last updated April 25, 2023

Travel planning can get exhausting, especially when you have no clear starting point. You can make this (at least) tolerable by creating a trip planning spreadsheet. Here, you can keep your itinerary, transportation details, budget allocation, and similar aspects.

In this article, we’ll discuss how you can create a trip planning spreadsheet using Google Sheets and why it’s so useful. We’ll also provide five different templates you can readily use for your travel planning.

Table of Contents

How to Create a Trip Planning Spreadsheet on Google Sheets

Step 1: make multiple tabs on your spreadsheet.

To keep your travel planner tidy, you should first create several tabs inside your spreadsheet. This allows you to categorize the kinds of information you’re going to deal with. For example, you can separate your flight details from your budget planning.

Follow the instructions below to do this.

  • Launch your browser, then go to https://sheets.google.com/ .
  • Click “ Blank ” under the “ Start a new spreadsheet ” section.

Creating a blank spreadsheet on Google Sheets

  • Hover over the name of the current worksheet (usually named “ Sheet1 ”), click on the drop-down arrow, then select “Rename.”

Renaming a worksheet on Google Sheets

  • Type your preferred worksheet name, then press  “Enter”  or “Return”  on your keyboard.
  • To add another worksheet, click on the  “Add Sheet”  icon (plus + symbol) at the bottom-left corner of your screen.

Adding another worksheet in Google Sheets

  • Repeat steps 1 to 4 to rename the worksheet.

Common Tabs to Add

You can create many kinds of worksheets depending on your specific requirements. Here are some common tabs you’d typically see in a trip planning spreadsheet:

  • Itinerary: Include the basic details of the places you plan to be in, like dinner reservations, conferences you need to attend, tourist attractions, etc.
  • Transportation: Keep your flight schedule, the routes you plan to take, your commute options (car rental, bus, etc.), and similar information.
  • Accommodation: List the names and locations of your lodgings. You can also include whether or not you’ve made a reservation already, the room prices, and more.
  • Food: Plan where you can get your meals, the restaurants you want to visit, and the average costs of eating out.
  • Budget: Track your day-to-day expenses and see how much money you’re left with.
  • Packing List: Don’t leave anything essential at home before embarking on your trip — passports, IDs, cash, and similar things.
  • Activities:  List the things that you can do at your destination, like bar hopping, nightlife activities, concerts, and so on.

Step 2: Add Column Headers

After creating multiple tabs, you can further categorize your details using column headers. These are found at the top of your worksheet, describing what kind of values are present in a column’s cells.

To add column headers, simply follow these steps.

  • Click on the first cell (cell A1) in the upper-left corner of your worksheet.
  • Enter your preferred column header, such as “Location”  (as used in our example).
  • Repeat the previous step for other cells in the same row. (We used the headers “Date,” “Time,” “Transportation,” “Costs,”  and  “Status”  in our example below).

Adding column headers in Google Sheets

  • Once done, select all the column headers you’ve added, then click “Bold”  in the toolbar.

How to bold text in Google Sheets

  • Alternatively, you can make them bold by pressing “Ctrl” + “B” (or “Cmd” + “B”  for Mac) on your keyboard.

Common Column Headers

The column headers we’ve used in the demonstration above are applicable to the Itinerary tab. Keep in mind that you can virtually use any word or phrase for your column headers, though. Below are some options you can consider.

For the Accommodation tab

  • Nearby shops and attractions
  • Room prices

For the Transportation tab

  • Travel date and times
  • Flight details, such as flight schedule and flight number
  • Car rental company, including name, address, and contact number

For the Budget tab

  • Daily budget
  • Total budget
  • Total amount spent
  • Amount remaining
  • Expense description

After adding your column headers, you can start filling out the fields with your information.

Step 3: Personalize Your Travel Planning Spreadsheet

All that’s left for you to do is add a touch of creativity to your vacation spreadsheet. Here are some ways you can do this.

Use Conditional Formatting

The term “conditional formatting” simply refers to a change in a cell’s appearance when certain requirements are met. Below is an example where we change a cell’s color to green when it contains the word  “Done.”

  • Right-click on a cell, then select “View more cell actions” > “Conditional formatting.”

Accessing Google Sheets conditional formatting

  • On the side panel that appears, click the drop-down list under the “Format cells if…”  menu.

Conditional formatting in Google Sheets

  • Select  “Text is exactly”  from the options.

Changing conditional formatting rules in Google Sheets

  • Type  “Done”  in the “Value or formula”  field.
  • Click on the “Done”  button to save your changes.

Adding conditional formatting rules in Google Sheets

  • Drag the cell’s contents to copy the conditional formatting rules to other cells.

Use Alternating Colors

If you’re dealing with a lot of details, you can also use alternating colors, making it easier for you to read. Here’s how to enable different cell colors on your spreadsheet.

  • Select the cells you want to display in alternating colors.
  • On the menu bar, select “Format” > “Alternating colors.”

How to add alternating colors in Google Sheets

  • Choose your preferred color, then click the  “Done”  button to save your changes.

When to Use a Trip Planner Template

You can use spreadsheets every time you’re planning a trip — there’s no reason you shouldn’t! They are handy regardless of whether you’re traveling to a nearby town or going on an overseas vacation.

How about trip planner templates? Well, if you don’t have the time to create a spreadsheet from scratch, using a template would be excellent. These are some helpful pre-made planners that are ready for you to fill out.

1. daily itinerary planner spreadsheet.

Daily Itinerary Planner Spreadsheet screenshot

Especially when traveling to faraway places, going into detail about the activities you plan to do daily is a good practice. You can share this daily itinerary with the people you went on a trip with, letting them know where to find you in case of grave situations.

Template Features

  • Categorize your itinerary into multiple days (which are color-coded for organization)
  • Describe your activities in a separate section and indicate the time and location where you’ll do them
  • List the diners or restaurants where you can eat near the location of your activity
  • Schedule your day properly by indicating the end time for each activity

2. Travel Budget Template

Travel Budget Template screenshot

Allocating your travel budget ahead of time lets you set boundaries when it comes to spending. This lets you know what costs you need to put first, too. Such money allocation is rarely followed, though (with impulsive purchases and unplanned expenses), making it important to have an expense planner and tracker throughout your trip.

  • Categorize your expenses per location according to the transportation you used, your accommodation, food you ate, and activities you did
  • Pick from a drop-down list of common transportation methods (e.g., bus, car rental, ferry, etc.)
  • Enter your total and daily budget allocation, as well as their converted counterparts in your destination’s local currency
  • Automatically calculate your daily expenses, including the total amount spent and your remaining budget for the day
  • Calculate your total expenses throughout the trip, as well as the amount remaining from your budget

3. Travel Checklist Template

Travel Checklist Template screenshot

Successful and non-stressful trips can’t go without good preparation. For example, you’d want to ensure that your passport hasn’t expired yet before strutting over to your flight. A travel checklist spreadsheet would be handy in this case.

  • Set a completion status for each of your to-dos
  • Categorize your to-do list into  “Travel prep,” “Home prep,” “Transportation,”  and “Money/documents”
  • Add notes to each item on the list
  • Set a due date for your to-dos
  • Determine the number of days remaining for you to accomplish the things listed with an automatic counter included
  • Automatically count the number of tasks that are not yet done and those already finished

4. Destination Planner Spreadsheet

Destination Planner Spreadsheet screenshot

Researching your destination should always be part of your planning. For example, you want to know the available hotels and accommodations that you can opt for in your target location. This lets you find the ones with the lowest prices, the most convenient in terms of route, and more.

Knowing the current climate and the community there would be essential too. This allows you to anticipate what things to bring, what activities you can possibly do, and similar aspects.

  • Enter your destination’s information, such as its current season, whether it’s rural or urban, and more
  • List the tourist spots that you can visit in your destination, including their name, specific location, and transportation route
  • Detail the activities that you want to do, together with their category, description, duration, and estimated expenses
  • Find and compile a list of all available accommodations in your target location, as well as their name, address, price range, and pros/cons

5. Packing List Template

Packing List Template screenshot

Before your trip, it is helpful to make a packing list of everything you’ll need — bathing essentials, clothing, money, documents, and more. Then, right before leaving your home, you can do a quick check to see if you’ve already placed every item on your list inside your luggage. You can do both with a packing list spreadsheet.

  • Enter the details of your target destination, such as its usual weather, temperature, clothing restrictions, and more
  • Add notes about your packing list
  • Categorize your items by location, like the beach, conference, office, and other places
  • Classify your things by type, such as clothing, money, documents, electronics, etc.
  • Mark the items “Ready” once you have prepared them inside your luggage

Other Trips on Planning Your Travel

In addition to the travel planning templates we’ve discussed, here are a few bonus tips you can apply to prepare for your trip:

  • Pick a location that your current finances can accommodate.
  • Don’t bring things that won’t fit inside your backpack to avoid paying for extra luggage costs.
  • When selecting a hotel or apartment, choose one that’s near major transportation lines.
  • Weigh whether taking a bus would be more cost-effective than taking a flight.
  • Always get travel insurance before embarking on your trip — it won’t shield you from accidents, but it will keep you from having an empty bank account.

Enjoy Your Trip with Everything Prepared

A lot of unknowns await you at your destination — unexpected expenses, spontaneous activities, booking problems, and more. With a trip planning spreadsheet, you can minimize these by anticipating the things on your journey. Feel free to use the templates we’ve included here to plan a successful trip today.

What You'll Learn

  • How to get the most out of Travel Mapper to plan your trip and while on your trip.
  • How to perfect your trip plan.
  • Free version vs. paid versions

Planning Your Trip

Generate a template.

Start using Travel Mapper by opening a Google Sheet and navigating to Extensions in the menu bar. At the bottom, you'll see Travel Mapper.

Follow the menu from Extensions → Travel Mapper → Start Here → Generate Template

google sheets travel planner

While we're here, notice the other menu options within Travel Mapper. View Map is handy to reopen the map if you close it. Use Help to contact us if you have any trouble. Ok, back to that template we're generating..

Click Generate Template to automatically create the Travel Mapper template for your Google Sheet. You'll have the option to choose a Sample Template or an Empty Template . Choose Sample to get familiar with an example itinerary in Travel Mapper and Empty when you're ready to plan your own trip.

google sheets travel planner

As you're working through the steps above, be sure that you're signed in to Google Sheets with the same account that you used to install Travel Mapper.

See item 1 here for help if you run into an issue.

Template Layout

Notice that the template consists of the following tabs:

  • A quick place to reference a demo video and the FAQ .
  • Where the activities of your trip are scheduled with associated details like cost and category.
  • Your Packing and To-Do lists in one place to checkmark what's complete.
  • Split Costs
  • Track everyone's expenses to square up on who owes who. Scroll down on this tab to see the How To instructions.
  • Backdoor Data
  • This tab is used to help with backend processing for Travel Mapper. You won't use this tab unless you purchased the Comfort Class tier, explained below.

google sheets travel planner

To the right of the spreadsheet is the integrated map, which can be closed by clicking the x and reopened from the View Map menu option.

Adding Your Activities

There are three ways to add an activity to your trip in the Activity column (E) of the Itinerary tab.

  • The Add Place button (formerly Add Activity) on the side map
  • This will auto-populate the Activity, Location, and (when available) Link columns on the Itinerary tab. It will also plot the activity on the map.

google sheets travel planner

  • The Add Place button (formerly Add Activity) in the Edit Trip view
  • This will auto-populate the Activity, Location, and Link (when available) columns on the Itinerary tab.
  • See activities on the larger map by clicking View Map on the left of the Edit Trip view. Click Update Map on the smaller side map to see the activities added from within Edit Trip .

google sheets travel planner

  • Type your activity into the Activity cell on the spreadsheet.
  • Think of this like a Google Maps search where the first result is what will be plotted on the map.
  • If you were to type "visit Aunt Jayne" into Google Maps, it would not know where you're referring to on the map. For activities like this, use the Location column (F) to put the location address (Aunt Jayne's address) to correctly plot it on the map.
  • Click Update Map on the smaller side map to plot activities added this way.

Fine Tuning Your Trip

You've got most of your activities added to your trip - now it's time to finalize the dates, times, categories, costs, and other details. There are two ways to edit these details: the Edit Trip view and the normal spreadsheet cells.

Edit Trip, Drag-n-Drop

Most users find this to be the most enjoyable way to edit their trip. The Edit Trip view is similar to a Kanban board where each activity is a card that can be moved between days or other activities.

google sheets travel planner

If you have activities on your Itinerary with no dates you'll see an Activities Without Dates column on the left. These can be dragged into date columns or left where they are. Drag each activity where you want it to finalize your schedule.

Within each activity card, you can edit the name, time, cost, category, link, address, and notes. You can also check the Do Not Map box for any activities that you don't want plotted on the map. If the card has a location, clicking the pin icon on the top right will open the location in a new Google Maps tab.

On the bottom of each card, you can delete an activity from your trip or delete the date by moving to to the Activities Without Dates column.

google sheets travel planner

After making edits to your trip, be sure to click the Save button at the bottom for the spreadsheet to reflect these changes once you exit out of the Edit Trip view. Click Update Map on the side map to reflect the latest changes after exiting Edit Trip .

Alternatively, clicking the View Map icon within Edit Trip will automatically save your changes and show them on the larger map.

google sheets travel planner

Normal Spreadsheet Editing

You can also edit your trip in the traditional manner of editing each cell on the spreadsheet. This may be preferred when you want to copy-paste the same category onto many activities, or duplicate an activity by copy-pasting the full row.

Add dates by typing them in using the date/month/year format and edit dates by double clicking the date cell and using the calendar pop-up.

google sheets travel planner

As previously mentioned, you can enter the address for an activity in the Location column (F) if the activity alone does not result in the proper pin location on the map. You can also choose Do Not Map from the dropdown.

google sheets travel planner

You can ignore the "Invalid" message that pops up when hovering over a Location cell with an address filled in. This is a byproduct of having the Do Not Map dropdown option.

google sheets travel planner

Edit categories of each activity by choosing from the dropdown in the Category column (J).

google sheets travel planner

Using the Map

An integrated map enables better trip planning by helping to visualize all your activities and ensure the order of your activities makes sense given their locations.

Using the various ways to add activities covered above, you'll have a map of pins representing your trip on the smaller side map as well as on the larger map within Edit Trip. Hovering over each pin will provide the date, time, cost, link, and corresponding row number for that activity on the spreadsheet.

Check activities by day or by activity with the map filters on the side map.

While On Your Trip

Email your trip summary.

Email a simple and organized summary of your trip to stay on track on the go. Each activity includes links you've added and a Google Map link to help you navigate your destination.

google sheets travel planner

Import Your Trip to Google My Maps

Additionally, use Google My Maps to help you navigate while on the go. Your Travel Mapper itinerary can be exported from your Google Sheet and imported to Google My Maps so you can see all your activities on a mobile map.

Google’s New Travel AI Tools Want to Plan Customer Trips

Justin Dawes , Skift

March 27th, 2024 at 12:04 PM EDT

Google is the among the tech giants investing in a reimagined, AI-powered future of travel planning and booking. How can the smaller companies compete?

Justin Dawes

Google said Wednesday that it is adding several new tools meant to help travelers plan trips and explore destinations.

Most notably, they include the ability for Google Search to create itineraries based on prompts from users, as well as enhanced information in Maps about certain cities and places to visit.

AI-Powered Trip Itineraries in Search

Google has added an experimental AI-based itinerary creation capability to its traditional Search tool for users that opt in.

Users can prompt Search for an itinerary for a certain destination, and it responds with flight and hotel options, as well as suggestions for attractions and dining. Any links that Google provides bring the users to travel company websites, where they can complete the bookings.

To create the itineraries, Google said the AI draws on information from across the web, as well as reviews and photos that users post about businesses.

Users can then export the trip ideas to Gmail, Docs, or Maps, the company said.

Google said in May 2023 that it would be experimenting with integrating generative AI into search and invited users to test the new tech. The trip itinerary capability is a new piece of that experiment.

It’s available in English in the U.S. only. Users can try it by enrolling in Search Labs and enabling the Search Generative Experience.

Microsoft relaunched Bing in February 2023 with similar attributes powered by OpenAI and has made updates along the way, such as for personalized event suggestions .

Several startups have emerged with similar products over the months, a handful having received small amounts of venture capital. Since ChatGPT was released in November 2022, experts have questioned whether entrepreneurs stand a chance against giants like Microsoft and Google, which have vast amounts of data and resources.

Recommendations and Customizable Lists in Google Maps

Google is adding a capability to its Maps app meant to provide users with more details about destinations for select cities in the U.S. and Canada.

It includes recommendations from locals and publishers, like The Infatuation, as well as lists of “trending, top, and hidden gem” restaurants created by info from Google Maps.

When looking at a specific restaurant or place on Maps, a new AI-based feature is meant to show users key photos and reviews that summarize people’s favorite aspects. The AI can also help identify what a dish is called, Google said, which could be helpful for travelers in a new country.

Another new Maps feature: Users will be able organize lists they create within the app. The list creation tool has existed for a while, but the new capability allows users to organize based on their top favorites or something else. The lists can also link to content from social media channels, meant to add context for anyone viewing a saved list. The list update is being released globally this month for Android and Apple devices.

As Google continues to enhance its trip planning capabilities, it becomes a bigger threat to companies like Tripadvisor, which offers itinerary-creation tools. Tripadvisor’s hotel metasearch business has already taken a hit since Google Hotels entered the market.

Translation

Google is “soon” adding a new capability, accessible through select Android mobile devices, that’s meant to translate content on the screen without switching apps. It could be especially useful to travelers trying to find their way around a country where they don’t speak the language. Google used the examples of translating a PDF restaurant menu or a social media post.

It’s part of the Circle to Search tool that was released in January, which allows Android users to initiate a Google search by circling text or an image on the screen.

Attention travelers: Summer is right around the corner — which means summer vacation is, too. So today we’re sharing six ways Google tools can help you prepare for and make the most of your next trip.

1. Get trip ideas with generative AI in Search

Exploring a new place is one of the best parts of traveling. But uncovering the best spots to visit (or stay, or eat) can be difficult or time-consuming. So just ahead of the summer travel season, we’re testing new, AI-powered capabilities in Search that can do some of the heavy lifting for you.

Now, if you’re opted into Search Generative Experience (SGE) and you ask something like “plan me a 3 day trip to Philadelphia that's all about history,” you’ll get a set of suggestions that includes attractions and restaurants, plus an overview of your flight and hotel options.

These itineraries will bring together a range of ideas from sites across the web, as well as information like reviews, photos and other Business Profile details that people have submitted to Google for more than 200 million places around the world.

With all of these links and resources organized in one place, it’s easy to dig deeper and learn more about your destination or compare different options. And when you’re ready, you can quickly export your trip ideas to Gmail, Docs or Maps to keep tweaking or share with your travel companions.

This capability is available in English in the U.S. — just enroll in Search Labs and enable SGE to try it out. As with everything in Search Labs, this functionality is experimental. So as you research these trip ideas, share your feedback with a quick thumbs up or down.

2. Find lists of recommendations in Maps

If you prefer to do a bit more hands-on research, we’re making it easier to discover lists of recommendations right in Google Maps — from sites you love and in-the-know locals.

Starting in select cities in the U.S. and Canada, if you search for a city in Maps, you’ll now see lists of recommendations for places to go from both publishers — like The Infatuation — as well as members of the Maps community. We’re also introducing trending, top and hidden gem restaurant lists created by Google Maps, based on what people are interested in or loving in that city.

3. Create even more customized lists in Maps

We’re also adding new tools to help you customize lists you create, so you can easily organize your travel plans or share your favorite spots.

When you create a list of places in Maps, you’ll be able to choose the order they appear. So you can organize them by top favorites or chronologically like an itinerary — tailoring your list based on whatever you need.

You’ll also be able to link to content from your social channels — like your review of the delicious meal you ate — for more context on why you saved that spot to your list.

Both of these updates are coming to Google Maps on Android and iOS globally later this month.

4. Curate your travel wardrobe with Search

Part of the fun of planning a trip is planning your outfits. Our new personalized style recommendations tool can help you easily discover more products you’ll like. When you search for apparel or accessories in the U.S. on mobile browsers or in the Google app — like “men’s polo shirts” — you’ll now see a section labeled “style recommendations.”

You can quickly rate options with a thumbs up or down (or a swipe left or right), and get instant results with items that complement your vacation wardrobe. Not quite ready to buy? We’ll remember your preferences for next time to help you narrow down your options much faster.

5. Translate your screen with Circle to Search, or what’s around you with Lens

If you’re traveling somewhere and don’t know the local language, deciphering even basic information can be challenging. Maybe you’ve found a great restaurant to check out, but you need to translate the PDF menu on their website. Or perhaps you’re getting acquainted with local musicians on your favorite streaming app and want to understand their lyrics. Google Translate can help, but copying the text or switching to another app can take you out of your flow.

Luckily, Circle to Search , available on select Android devices, will soon let you instantly translate whatever’s on your screen. Simply long press the home button or navigation bar and tap the translate icon.

Translations in Circle to Search will start rolling out in the coming weeks. Circle to Search is currently accessible on Pixel 7+ devices and the Samsung Galaxy S24 series , in all languages and locations where they’re available. And starting this week, we’re rolling out Circle to Search to more Android phones, including foldables, and tablets. 1

Meanwhile, if you need to translate something around you, like a street sign or poster, Google Lens can step in to help. Just tap the Lens icon in the Google app and select the translate filter. Lens will automatically detect the source language and blend the translated text over the original.

6. Use multisearch in Lens as your personal tour guide

Lens is also great for exploring the world around you, especially with the latest AI-powered upgrades to multisearch. Just point your camera, ask a question about what you see, and you’ll get helpful insights in an AI overview. Perhaps you’re at a museum and want to know more about a certain work of art. You can snap a photo, ask “why did the artist paint this?” and get a quick overview with the information you need, along with links to dive deeper. It’s almost like having a tour guide in your pocket.

Use Lens and multisearch to learn about paintings, like Monet’s Water Lilies at The Art Institute of Chicago.

AI overviews on multisearch results are available in English in the U.S. for everyone — no enrollment in Search Labs required. To get started, look for the Lens camera icon in the Google app for Android or iOS .

More Information

Circle to Search is available on Samsung Galaxy S24 series, Pixel 7, Pixel 7 Pro, Pixel 8, Pixel 8 Pro, and is currently rolling out to more Android devices including Pixel 6, Pixel 6 Pro, Pixel 6a, Pixel 7a and Samsung Galaxy S23 series, S23 FE, Z Fold5, Z Flip5 and Tab S9 series. Circle to Search is coming soon to more Android devices including Pixel Fold and Pixel Tablet.

Maps of the April 2024 Total Solar Eclipse

By Jonathan Corum

On April 8, the moon will slip between the Earth and the sun, casting a shadow across a swath of North America: a total solar eclipse.

By cosmic coincidence, the moon and the sun appear roughly the same size in the sky. When the moon blocks the glare of the sun, the sun’s outer atmosphere, or corona, will be briefly visible.

Below are several maps of the eclipse’s path as well as images of what you might experience during the event.

Where Can I See the Total Eclipse?

The eclipse will begin at sunrise over the Pacific Ocean, then cut through Mexico and cross the United States from Texas to Maine. Most of North America will see a partial eclipse, but viewers within the deepest shadow — a band sliding from Mazatlán, Mexico, to the Newfoundland coast near Gander, Canada — will experience a total solar eclipse.

Viewers inside the path of the total eclipse may notice a drop in temperature , a lull or shift in the wind , the appearance of bright planets in the sky, and the quieting of birds and other wildlife.

Many cities lie inside the path of the total eclipse, as shown below, the width of which varies from 108 miles to 122 miles.

If the sky is clear, viewers in the path of the total eclipse should see a “diamond ring” effect a few seconds before and after the total eclipse, as the edge of the sun slips in and out of view.

The sun’s outer atmosphere, or corona, is normally hidden by the sun’s glare. These tendrils and sheets of gas, heated to a million degrees Fahrenheit or more, are in constant motion and shaped by the sun’s swirling magnetic field.

What Colors Should I Wear?

As the sky darkens, light-sensitive cells in human eyes become more sensitive to blue and green hues than to reds and oranges. This shift in color perception is known as the Purkinje effect , after a 19th-century Czech scientist, and is typically seen at twilight.

People watch the 2017 total eclipse at Southern Illinois University.

To take advantage of the Purkinje effect, Solar Eyeglasses suggests wearing green clothes or a contrasting combination of greens and reds. Blue-green colors (shorter wavelengths) will appear brighter, while red colors (longer wavelengths) will appear to recede into the darkness.

What If I Miss It?

The next two total solar eclipses in the United States won’t occur until 2044 and 2045 . But eclipse chasers might catch one in 2026 in Greenland, Iceland and Spain; 2027 along the coast of Northern Africa; 2028 in Australia and New Zealand; or 2030 across Southern Africa and Australia.

April 8 could be your best opportunity to see a total solar eclipse for decades. But if clouds fill the sky, you may miss the spectacle.

Our Coverage of the Total Solar Eclipse

Dress for the Occasion:  What should you wear for the eclipse? Our fashion critic weighs the options , including an unexpected suggestion from scientists.

Free to View:  Six inmates in upstate New York prisons who sued the state won their lawsuit to view the eclipse , arguing it “is a religious event.” But a statewide prison lockdown during the eclipse will remain in place.

Hearing the Eclipse:  A device called LightSound is being distributed to help the blind and visually impaired experience what they can’t see .

Sky-High Hotel Prices: One Super 8 hotel in the eclipse’s path is charging $949 a night . Its normal rate is $95.

Animal Reactions : Researchers will watch if animals at zoos, homes and farms act strangely  when day quickly turns to night.

A Rare Return:  A total solar eclipse happens twice in the same place every 366 years on average. But people in certain areas will encounter April 8’s eclipse  about seven years after they were near the middle of the path of the “Great American Eclipse.”

No Power Outages:  When the sky darkens during the eclipse, electricity production in some parts of the country will drop so sharply that it could theoretically leave tens of millions of homes in the dark. In practice, hardly anyone will notice  a sudden loss of energy.
