Google Travel and Conference Grants

At Google, we believe a diversity of attributes, experiences, and perspectives are needed to build tools that can change the world. Everyone deserves the opportunity to pursue a career in computer science and technology, regardless of race, ethnicity, gender, disability or military service. To help break down the barriers that prevent underrepresented groups in computer science from attending leading tech conferences, we're excited to offer Google Travel and Conference Grants for selected conferences in Computer Science and related fields. Grants are available in North America for all traditionally underrepresented groups in technology (including, but not limited to, African Americans, Hispanics, Native Americans, persons with disabilities, women and veterans), in Europe for women in technology, in India and in Africa for students who have their research papers accepted at top-tier conferences in Computer Science and related areas.

To encourage attendance at technical conferences, Google will provide selected recipients:

  • Free conference registration
  • North America: A $500 reimbursement to retroactively be used toward airfare and accommodation costs (will be awarded after the conference)
  • Europe: Up to 1000 EUR towards travel and accommodation costs (will be paid after the conference)
  • India: An award in the range of $1000 - $3,000 that will cover conference registration, travel, accommodation and other related expenses.
  • Africa: An award in the range of $1000 to $3000 that will cover conference registration, travel, accommodation and related expenses. Grant amount depends on cost for the international conference.​
  • Japan & South Korea: Up to $3000 towards air tickets and lodging cost (will be paid after the conference). Grant amount depends on cost for the international conference.​

Grant eligibility varies by region, so please review the information on the region-specific pages on the left. Grants will be awarded to the most qualified persons based on application review. Every applicant will be notified of their status according to the time frames specified for the region.

North America

Eligibility.

To be eligible for a grant to attend a conference in North America, applicants must:

  • Be a resident of North America
  • Be 18 years of age or older
  • Work or study in Computer Science, Computer Engineering, Information Technology, or a technical field related to the conference subject
  • Have a strong academic and/or professional background with demonstrated leadership ability

  • International Design Conference (Deadline: July 1, 2018)
  • ICMCP (International Consortium of Minority Cybersecurity Professionals) (Deadline: July 6, 2018)
  • ACM Richard Tapia Celebration of Diversity in Computing Conference (Deadline: July 13, 2018)
  • Society of Women Engineers: Women in Engineering (WE) Conference (Deadline: August 10, 2018)
  • Neural Information Processing Systems (NIPS) (Deadline: August 27, 2018)
  • Society of Hispanic Professional Engineers (SHPE) National Convention (Deadline: August 31, 2018)

Recipients will be notified by e-mail approximately 8 - 10 weeks prior to the date of the conference. If you are selected, we will contact you with conference registration details and information about how you will receive your $500 post-conference reimbursement.

To be eligible for a grant to attend a conference in Europe, applicants must:

  • Be a woman working or studying Computer Science, Computer Engineering, or a technical field related to the conference subject (no residency restrictions apply)
  • Women of Silicon Roundabout 2018 (Deadline: April 27th 2018)
  • International Conference on Machine Learning (ICML) (Deadline: May 1, 2018)
  • International Conference of Knowledge Discovery & Data Mining (KDD) (Deadline: June 8, 2018)
  • European Conference on Computer Vision (ECCV) (Deadline: June 29, 2018)
  • SREcon 2018 (Deadline: July 1st 2018)
  • European Women in Tech 2018 (Deadline: September 1st 2018)

Please submit this form by the deadline for the conference listed above that you wish to attend.

All applicants will be notified of the outcome of their application by email, approximately three to four weeks prior to the conference. If you are selected, you will receive additional information on how to register for the conference and how to receive your grant.

To be eligible for a grant to attend a conference in India, applicants must:

  • Be a student enrolled with a recognized university in India who is in need of conference travel funds.
  • Have a paper accepted at a top-tier top-tier Computer Science conference. We prefer to support conferences in research areas where Google has a strong interest. Please visit research.google.com for a list of areas. The paper must be accepted for full publication and preferably full oral presentation. As an indicator, we have recently approved travel grants for CVPR, NIPS, CHI, STOC, PLDI, COLT, ICML, CIKM, KDD, ICCV, EMNLP, ACL, Interspeech and FSE.
  • Be the primary author of the accepted paper.
  • Have a paper accepted for oral presentation in the main conference program. Some conferences may have different presentation guidelines in which case the equivalent of a conventional full oral presentation must be considered. Workshop papers will not be approved for travel grants.

To be eligible for a grant to attend an international conference, applicants must:

  • Be a student enrolled with a recognized university in Africa who is in need of conference travel funds.
  • Studying Computer Science, Computer Engineering, or a technical field related to the conference subject.
  • Have a paper accepted for presentation (oral or poster) in the main conference program at a top-tier Computer Science conference. We prefer to support conferences in research areas where Google has a strong interest. Please visit research.google.com for a list of areas. The paper must be accepted for full publication and preferably full oral presentation. Workshop papers will not be approved for travel grants.
  • Be the sole or joint first author of the accepted paper.

Please submit this form by the deadline for the conference that you wish to attend. We are currently accepting applications for conferences in 2018 only.

We review applications monthly, all year round, therefore you will get our reply four to six weeks from the date of the application. Once approved for a travel grant, the funds will be paid to the applicant’s university and the student may claim expenses using regular university procedures.

  • Be a full-time student enrolled with a recognized university in Japan or South Korea who is in need of conference travel funds.

Travel Grants

On a competitive basis, IEEE ICC 2024 offers a number of grants to students and to individuals who are financially limited. To be eligible for a student travel grant, the applicant must be registered for the conference, a student, and a co-author of an accepted peer-reviewed paper for the conference. Additionally, a Conference Travel Grant (CTG) is available for applicants who are unable to obtain sufficient funding due to, for instance, being from a country with a low GDP.  The grants are from: IEEE ComSoc, US National Science Foundation (NSF), Women in Communications Engineering (WICE), and IEEE Conference Travel. These grants encourage participation by students or individuals who would normally find it difficult to attend. Women, minorities, individuals from low GDP countries, beginning graduate students, and first time ICC attendees, are especially encouraged to apply. Postdocs, faculty, or other senior research personnel may not apply for a student grant.

CONFERENCE TRAVEL GRANTS

Conference Travel Grants (CTG) is a newly established IEEE ComSoc program that provides partial financial support for participation in IEEE ComSoc conferences. 

APPLICANT ELIGIBILITY

To be eligible for a CTG at ICC 2024, an applicant must be:

1.    A ComSoc member 2.    An ICC 2024 participant; and 3.    Unable to obtain sufficient substantial funding from their own institution or other sources, and forced to cover most of or all the associated expenses with their own funds

Priority will be given to:

  • Authors of accepted ICC 2024 Conference Papers
  • Presenters of accepted talks at ICC 2024
  • Those residing in a country with a low Gross Domestic Product (GDP) per capita

HOW TO APPLY FOR CTG

The application can be accessed in EDAS by selecting “Travel Grants” at the top of the page and then selecting “IEEE ICC’24 - Conference Travel Grants”.  Alternatively, the application can be accessed directly by clicking this  link . 

The application will ask questions related to the eligibility criteria.  A letter of recommendation is NOT required for the Conference Travel Grant.

Before submitting the application, applicants are advised to update their EDAS profiles so that it includes their current affiliation (including the location of the university they are attending) and their IEEE ComSoc membership information.

IEEE COMSOC STUDENT GRANTS

IEEE ICC 2024 offers ComSoc grants to students who have co-authored an accepted peer-reviewed paper for the conference. 

1.    Each applicant must be a Student Member or Graduate Student Member of the IEEE Communications Society at the time he/she applies for the grant;

2.    Each applicant must be a co-author of an accepted paper in ICC 2024 and present it at the conference;

3.    Each applicant must be a full-time student registered toward a Bachelor, Masters, or PhD degree in computer science, engineering or related field in a college or university when submitting the application;

4.    During the expense reimbursement stage, the student applicant must show the proof of having registered to attend ICC 2024.

A student who is awarded a student grant must register, attend, and present their paper at the conference. Payment will only be made to grant recipients who submit the expense report (with receipts for expenses over US$25) within 45 days after the conference. More details will be provided to the students who are selected to receive a ComSoc Student Grant.

NSF STUDENT TRAVEL GRANTS

IEEE ICC 2024 offers NSF travel grants to students on a competitive basis. The NSF travel grants help promote diversity among the conference attendees. The NSF grants especially encourages applicants that are: 1) women and minorities and 2) beginning graduate students, or (3) first-time ICC attendees. The awarded student must attend in person .

1.    Each applicant must be a) a qualified full-time student (graduate or undergraduate) enrolled in a US-based institution or b) a US citizen enrolled in a foreign institution coming to the US-based conference;

2.    Each applicant must be a co-author of an accepted paper in ICC 2024 (main program or workshop);

3.    Each applicant must be a full-time student registered toward a Bachelor, Masters, or Ph.D. degree in computer science, engineering or related field in a college or university when submitting the application;

4.    This grant particularly encourages women, minorities, beginning graduate students, and first time ICC attendees to apply.

IMPORTANT NOTE

All flights made on an NSF travel grant award must be either on a US-flag carrier or ticketed through a US carrier (e.g., codeshare flights on international airlines). A student who is awarded a student travel grant must register, attend, and present the paper at the conference (the student should attend in person, not remotely). During the expense reimbursement stage, the student applicant must show proof of having registered to attend ICC 2024 along with photos showing participation in ICC events such as presenting papers or attending technical symposiums. Payment will be made only to grant recipients who submit an expense report with all the receipts no more than 45 days after the conference. More details will be provided to the students who are selected to receive an NSF Student Travel Grant.

IEEE WICE STUDENT GRANTS

ICC 2024 offers WICE grants to students who have co-authored an accepted peer-reviewed paper for the conference and are members of ComSoc’s Women in Communications Engineerin g   committee. 

1.    Each applicant must be a Student Member or Graduate Student Member of both the IEEE Communications Society and IEEE WICE at the time he/she applies for the grant;

2.    To be qualified for the funding from WICE, the awardee is required to attend the WICE events at IEEE ICC 2024;

3.    Each applicant must be a co-author of an accepted paper in ICC 2024 and present it at the conference;

4.    Each applicant must be a full-time student registered toward a Bachelor, Masters, or PhD degree in computer science, engineering or related field in a college or university when submitting the application;

5.    During the expense reimbursement stage, the student applicant must show the proof of having registered to attend ICC 2024.

A student who is awarded a WICE student grant must register, attend, and present their paper at the conference. Payment will only be made to grant recipients who submit the expense report (with receipts for expenses over US $25) within 45 days after the conference. More details will be provided to the students who are selected to receive a WICE Student Grant.

HOW TO APPLY FOR A STUDENT GRANT

IEEE ICC 2024 is using a single application for all three grants.  The application can be accessed in EDAS by selecting “Travel Grants” at the top of the page or by clicking this link . 

The application will ask which of the three grants you are eligible for and would like to be considered, if you have previously attended a conference organized by ComSoc (including ICC and GLOBECOM conferences), your academic level, and number of years in your current program.  The application includes a field for you to enter a short statement of interest.

A letter of recommendation is required.  The letter should be from the student’s advisor or co-author, and should verify that the applicant is a student in good standing.

Before submitting the application, applicants are advised to update their EDAS profiles so that it includes their current affiliation (including the location of the university they are attending), their IEEE membership information, and their gender.

Conference Travel Grant

The Conference Travel Grant (CTG) provides funds to assist PhD and MFA students attending virtual (remote) academic/professional conferences or traveling to/attending in-person academic/professional conferences on behalf of Northwestern University.

Applications are accepted on a quarterly basis. The application form for a particular quarter will remain open until the funding cap has been reached and the maximum number of CTGs has been awarded for that period.

  • The application portal will open on April 29, 2024 for conferences that begin in June, July or August of 2024.

Applications must be submitted at least one week prior to the conference start date, but students are encouraged to apply as soon as possible, as funds are limited and there is no guarantee that funding will be available for the entire quarter. Under no circumstances will approval be given retroactively if an application is submitted after the conference has begun.

Funds awarded for travel in the 2023–24 academic year (Fiscal Year 2024) are available for use until August 31, 2024. Funds awarded in the current fiscal year do not carry forward and cannot be used in the next fiscal year (after August 31, 2024).

Eligibility

  • Students must be active (not discontinued, graduated, or on leave) in PhD or MFA programs administered by The Graduate School (TGS) and within their degree time limitation at the time of the conference travel . Should students graduate or otherwise depart the University prior to travel and/or expenditure of funds, funds will not be available.
  • CTG awards may only be used for voluntary attendance at academic/professional conferences in furtherance of a student’s own academic/career interests. CTG awards may not be requested or used to attend conferences that are required as part of a graduate student’s employment, or to attend courses, trainings, or extended programs.
  • Students are eligible for a maximum of two grants , each up to $600/$800 (depending on discipline—see Award information below), over the entire course of their graduate career in The Graduate School and subject to availability of funds.
  • A student is eligible to receive only one travel grant award during a fiscal year and cannot have already received a CTG in the current fiscal year.
  • Students traveling outside of the United States must adhere to all graduate student travel policies .  Failure to do so could result in revocation of the Conference Travel Grant.
  • International Students: F-1 or J-1 students must obtain work authorization before accepting any payment, honorarium, or compensation (such as travel or lodging reimbursements) from external sources outside of Northwestern for conference attendance. Compensation from Northwestern does not require work authorization and is considered on-campus employment.   • all PhD programs in the McCormick School of Engineering and Feinberg School of Medicine
  • the Weinberg College of Arts and Sciences PhD programs of Astronomy, Chemistry, Earth and Planetary Sciences, Physics, and Plant Biology and Conservation
  • the IBiS, Applied Physics, and NUIN interdisciplinary PhD programs
  • all PhD programs in the Bienen School of Music, Kellogg School of Management, and School of Education and Social Policy
  • all PhD and MFA programs in the School of Communication
  • all Weinberg College of Arts and Sciences PhD and MFA programs not listed above
  • the Computer Science & Learning Science and Technology & Social Behavior interdisciplinary PhD programs

Awards must be expended prior to the end of the fiscal year in which they are awarded. Expense reimbursement requests not properly submitted and approved by the end of the fiscal year (August 31) cannot be processed

  • Expense reports must be submitted within 60 days of the last date of travel (or by August 15, whichever comes first) and include prepaid expenses such as Egencia.  Failure to submit expenses within 60 days of the end of travel will result in cancellation of the award, barring exceptional circumstances.
  • Conference registration fees
  • Airfare/airline fees at the most reasonable and economical rate. Travel for Northwestern purposes should be booked through a preferred provider.
  • Ground transportation: Taxi fares or ride shares (e.g. Uber, Lyft), including tips, are reimbursable where public transportation is not practical. Rail transportation is reimbursed if it does not exceed the cost of the least expensive airfare. Private automobile transportation is reimbursed per mile at a rate set by the University for trips up to 300 miles.
  • Meals: Travelers should use reasonably priced restaurants and dining options. Alcohol is never an allowable expense. A p er diem may be used for meals instead of  tracking itemized receipts.
  • Commercial rental vehicles: Commercial rental vehicles (economy, compact or subcompact) should be used only when it is impossible to use other forms of ground transportation, and when car rental does not exceed the cost of the least expensive airfare.
  • Lodging: Travelers must book standard accommodations in reasonably priced, commercial class hotels, motels, and Airbnbs. Conference site hotels will be reimbursed at the actual cost. To verify the conference site hotel rate, attach the conference literature to the expense report when requesting reimbursement.
  • Tolls and parking fees: Tolls and reasonable parking charges will be reimbursed.
  • First class, business class, or economy plus airfare
  • Airline, hotel room, or car upgrades
  • In-flight Wi-Fi
  • Books, magazines, newspapers
  • Childcare, babysitting, house sitting, pet-sitting (see the  Dependent Care Professional Development Grant  for information on funds for dependent care during conference travel)
  • Clothing, gifts, luggage, haircuts, laundry, dry cleaning
  • Passports, vaccinations, visas
  • Personal entertainment (in-flight movies, headsets, social activities)
  • Meals and hotel stay during local (Chicagoland) conferences within a 25 mile radius of Evanston
  • Non-refundable fees that result from trip cancellation
  • Fees/costs related to attending or traveling to courses, extended programs, trainings , or other meetings/ events that do not fall into the category of professional or academic conference s .
  • Other expenses not directly related to traveling to/from and participating in the specific conference for which the CTG was approved

Review process

The Graduate School will review Conference Travel Grant applications within 5 to 10 business days.  Students will receive a notice via email once a decision is reached.  If a Conference Travel Grant is awarded, the student's program will be copied on the email notification.

Writing a Winning Travel Grant Application

As PhD students and early career researchers, many of us don’t have the means to attend many conferences. Sometimes, the only affordable way to travel to a conference or another laboratory is to gain funding through a travel grant. I’ve been lucky enough to receive five travel grants during my PhD, and they have been so beneficial. In this post, I am going to go through some of my tips and tricks to give yourself the best chance of winning a travel grant.

Why get travel funding?

There are many benefits to attending conferences. These include the opportunity to present your work, network with peers, initiate conversations around postdoctoral opportunities, and develop collaborations. Presenting, whether it’s a poster presentation or an oral presentation , it’s so useful to develop confidence and to get feedback on your work from experts in the field.

As you’re probably aware, attending conferences is not cheap once you factor in conference registration, flights, and accommodation. Especially for an Australian like myself, most international conferences are a 15 hour flight away – this is not cheap! Travel funding is your entry to these conferences. As an added bonus, when the conference is not in session, you have the opportunity to explore a new city or country, try new food, and see the sights.

Identify grants to apply for (and get in early!)

First, you need to identify the conference(s) you want to attend. You can ask your supervisors and other students in your lab for ideas. Once you know this, start thinking about travel funding soon after. Often travel grants will only have one round a year or will close well in advance.

I have a general list I keep updated of grants to apply for. These can be really wide-ranging. My university offers a range of travel grants for PhD students, so I make sure I know when the deadlines are so I can start working on them early. Other places you can look for include:

  • The actual conference (sometimes conferences have young investigator grants)
  • Charities or research funds related to your research
  • Alternative sources (e.g. businesses) – for example, Hello Bio offers a monthly $500 travel grant

Making your case

The requirements for each travel grant are different. Make sure you understand them, and reach out to the organisers to clear up any problems or ask any questions. Plan out what you need: for example, do you need a letter of recommendation from a supervisor or other contact? Ask for these as early as possible, and give reminders.

One of the other major factors in a travel grant application is your conference abstract submission. Having an accepted abstract is going to put you ahead of the pack. However, it isn’t a total barrier if you don’t have one. Last year, I wanted to apply for a prestigious travel grant, but it only had one funding round per year, which did not line up with abstract submissions for my chosen conference. However, I was able to provide the abstract I planned to submit, and was able to demonstrate my success in having previous abstracts accepted as evidence.

When writing travel grant applications, I like to think about how I can make my application most attractive to the committee. Is there something else you can do, along with the conference, to really maximise your learning and development opportunities? Some of the things I have added-on to a conference include:

  • Attending a short training course at a nearby university after the conference
  • Going to two conferences in the same week
  • Visiting another lab

I have had success by finding researchers from my area in the city I am going to, and then emailing them to see if I can visit them for a day. It’s been great to see other lab set-ups, meet other students and receive feedback on my work.

And finally, think about why you want to attend your event, and what you hope to get out of it. Make sure you demonstrate this in your application:

  • Are there specific people you want to meet?
  • Do you want to collaborate with different groups?
  • Do you want to talk to people about postdoctoral positions?

Having a clear idea of your objectives can help to convince funders that you should receive a grant.

Budget well

Many travel grants will ask you to develop and show a detailed budget for your trip. My tip is to provide evidence of costs in the form of quote or screenshots. You can ask your university institute’s travel provider for flights and accommodation quotes, and be sure to include the cost of conference registration in your budget. Think about what else you might need, such as land transport, visas, incidental expenses, and make a well-researched estimate of their costs.

Travelling is incredibly valuable during your PhD. Applying for travel grants can allow you to travel more easily and regularly, and is also really good practice for applying for research grants and fellowships as you come to the end of your PhD and move into postdoctoral positions.

The Graduate School is pleased to provide research degree students (M.A./M.S., Ph.D., J.S.D., D.M.A., M.F.A.) the opportunity to travel the world to enhance their scholarship. Eligible students are encouraged to apply for grant funding related to professional conferences, research travel, or summer language education.

Conference Grant – Application Form (Online)

The Graduate School offers Conference Grant awards of up to $700 to research degree students to attend a professional conference at which they are presenting. Online conference presentations are eligible for a grant of up to $200. Grant amounts are detailed in the  Locations and Awards PDF . See the application form for more information about eligibility requirements and instructions. Conference grants are reviewed by the 9th of the month preceding the month in which the conference occurs, and grants are awarded to eligible students by the 15th of the preceding month. Applications are accepted up to 30 days following the end of the conference date.  

Students are eligible for one conference grant per year and must be within time to degree limits. Masters students are eligible for conference travel grants starting in their first semester until the end of the eighth semester of enrollment.  Ph.D. students are eligible for conference travel grants starting in their first semester until the end of the fourteenth semester of enrollment.

Research Travel Grant – Application Form (Online)

The Graduate School awards grants of up to $2,500 for Ph.D. degree students and $1,000 for master’s degree students for travel that is directly related to dissertation and thesis research, not conference travel. Recipients must be enrolled (full-time or in absentia) in a graduate research degree program (M.A./M.S., M.F.A., D.M.A., J.S.D., or Ph.D.) through the Graduate School and be registered at the time of the award. Master’s degree students up to their eighth semester of study and Ph.D. students up to their 14th semester of study are eligible to apply. (Note that the post-A exam requirement has been waived beginning with Spring 2022 submissions.)

In a typical year, the Graduate School awards 50-65 grants. Applications are due annually on October 1, February 1, and April 1 with a call for applications circulated a month prior to the deadline. Decisions will be announced by the first of the month following the application deadline. For example, decisions will be announced by November 1 for the October 1 deadline. Summer Foreign Language Grant – Application Form (Online)

Grants of up to $1,000 are offered to research degree students for summer travel to foreign countries for intensive (non-English) language instruction. See the application form for more information about eligibility requirements and instructions. Applications are due by April 15 with a call for applications occurring a month prior to the deadline.

Important Notification:  To ensure the safety of all Cornell students traveling on university-related activities, students traveling internationally must enter their travel itinerary and contact information into Cornell’s International Travel Registry . In addition, those traveling to high-risk countries must get approval for such travel from the International Travel Advisory and Response team (ITART).

CONFERENCE TRAVEL GRANTS (CTG)

CTGs fund 50% of your expenses (up to $500) to present your research at conferences or exhibitions.  CTGs can also be used to present original creative projects  at juried competitions for performance based disciplines . Presenting at conferences or performing at juried events can help you communicate your research findings, network with other researchers, and expand your understanding of the scope and nature of academic research.  Plus, it is great experience in learning to effectively present your work to others.

You can apply for a CTG to fund any accepted presentation at a recognized regional, national, or international conference or meeting in your field.  Check the   international projects  page for important information on travel restrictions.

After you receive this grant and if you receive financial aid and currently have a Northwestern scholarship, you might be eligible for additional funding to support this conference travel.  If you need emergency help to fund this travel, please review the  Emergency Aid Request   available through the financial aid office.  You can use the same document that you upload for this grant as your documentation. 

The deadline is rolling throughout the academic year. You cannot apply until you have been accepted by the conference/exhibition, but you must apply (and be accepted by the grant) prior to the actual event taking place. June 1st is the last possible day to apply for 2022-2023; May 1st is the last submission date for students from NU-Q.

Eligibility

Student eligibility.

Eligible Applicants:

  • All current Northwestern University undergraduates (including SPS students working towards completion of an undergraduate degree and NUQ students)
  • Students are eligible for more than one Conference Travel Grant
  • Seniors who were  accepted to present prior to the grant closure deadline, even if the event itself occurs after graduation

Ineligible Applicants:

  • Undergraduates at other institutions
  • Northwestern students in advanced degree programs (including students who are in BS/MS programs who have completed the undergraduate degree requirements)
  • Students applying for retroactive funding to cover a conference they previously attended

Group Projects

Special note for nu-qatar students.

Since conference travel is significantly more expensive from Doha, the grant, if awarded, may cover hotel, flight, and conference registration costs. Student travel normally does not include providing a per diem or any additional funds for visa fees, individual meals, ground transport, or other incidentals. If the student is on financial aid, they can request a reasonable stipend to cover food and other minor incidental expenses. NU-Q students residing in the U.S. at the time of the conference will be awarded at the same rate as all other NU-E students; that is, the OUR grant will cover 50% of conference expenses, up to $500.

Developing Your Application Package

Selecting conferences or exhibitions.

Presenting at a professional conference is a significant achievement as an undergraduate.  It demonstrates your ability to communicate a complex topic with a broad audience, and it validates the impact of your work within your field of study. Regardless of what career path you choose to pursue post-graduation, attending a conference demonstrates both written and oral communication skills to employers. Additionally, conference attendance can be leveraged to help build your professional network. Many conferences have Exhibition Halls that include booths from companies in the industry, and/or the conference may have a Graduate School Fair. If you are seeking to attend graduate school and work with a particular faculty member, it could also be a good idea to attend their presentation,  and/or meet with current graduate students who work with that faculty member.

The best way to find a conference   is to first talk to your research sponsor  and ask about conferences in your field and which ones they often attend themselves.  One particular challenge many undergraduates face is that conference applications are often due many months before the conference takes place, so you need to proactively think about this goal. It can help to share this goal with your research sponsor early so they can help you 1) work towards achieving this goal and 2) help you identify the right conferences and timelines that suit your needs.

Many conferences are sponsored by field-specific professional organizations, but there are undergraduate specific conferences* (see * below), too.  The networking opportunities and goals of these two different kinds of conferences vary significantly, but they can both be very meaningful experiences. It could be beneficial to try and attend more than one kind of conference. The Office of Undergraduate Research does not keep an ongoing list because students attend such a wide variety of conferences (and the titles of the conferences often change from year-to-year!). Although this is by no means comprehensive, every year we have students attend conferences sponsored by:

Applying to a Conference

Applications for many conferences will require an abstract submission, which summarizes the work you plan to present. A good abstract will be a short description of the main elements of your research or creative project. Conference attendees will use your abstract to decide whether they want to take the time to listen to your presentation.  The abstract should be short and written in a simple, concise, informative, and inviting style. You want to convey both your credibility and your passion for the project. All conferences have their own abstract guidelines (such as word or character count, intended audience, etc.), so you should always defer to their specific requirements when applying to a conference. Failure to comply could result in not being selected to present.  A good abstract will include these key elements.

  • Motivation:  Why do we care  about the problem and the results? Why is it important/significant/interesting? What problem does the work attempt to solve, or what intellectual or theoretical gap does it aim to fill?
  • Problem statement:  What  problem  are you trying to solve? What is the  scope  of your work (a generalized approach, or for a specific situation)?  Be careful not to use too much jargon. 
  • Approach:  How did you go about solving   or making progress on the problem?  What did you do, and how? What is the scope of the project? What models or specific approaches did you use? What sources of evidence did you rely on?
  • Results:  What’s the answer?  What did you find/learn/conclude? An abstract of a scientific project may include specific data. Other abstracts may discuss the findings in a more general way.
  • Conclusions:  What are the implications   of your answer? What does it mean, and how does it relate to what else is known? How does this work add to the existing body of knowledge? What are the implications for the problem/issue identified in part 1?

Here is an  abstract template  for the Northwestern Undergraduate Research Expo.  Again, defer to specific conference requirements as you complete the application process – our template is a general guide. 

Important Tips

  • Think about who the audience will be. Look to see who commonly attends the conference you selected.
  • Proofread your abstract. If you are accepted to present your work, the abstract you submit will be published in a printed program.
  • Unless the conference explicitly asks for them, avoid parenthetical citations and footnotes. Short abstracts do not typically include references, a Works Cited list, or footnotes.

Budgeting for Conference Expenses

Please visit Creating a Budget for specific guidelines. For in person conferences, students often underbudget their expenses because they do not think holistically about logistics and expenses beyond conference fees. The template can be useful for drafting up your responses, but you will ultimately insert these as line items into the budget section of the application (which includes a space to describe your rationale for each expense).

Here are some conference-specific budget considerations we encourage you to think through:

  • Conference fees
  • Poster printing costs (Ask about poster printing in your department, or consider using the Mudd Library Plotter Printer. )
  • Transportation (If you are flying, do not forget about transportation to/from the airport, or within the city itself. If you are driving, consider parking fees or gas reimbursement.)
  • Housing (if housing is not provided by the conference, the conference website often includes links for hotel block discounts, local dorms, and potentially ways to find a roommate.)
  • Food (ask for a reasonable per diem, subtracting out meals that are covered by conference attendance fees)

Applying for the Conference Travel Grant

You won’t write a traditional research grant proposal to apply. you won’t turn in receipts or a report at the end. .

Application Basics

To apply you’ll provide:

  • Basic demographic information, such as your major and graduation date
  • Information on the conference (title, location, dates)
  • An abstract of your presentation/submission (your name must appear on it)
  • Proof of acceptance to present at the conference (ie screenshots from emails)
  • Information about the conference’s standing in your field of study
  • Project expenditures across categories such as: conference fees, airfare, local travel, accommodations/lodging, and food
  • The form fields in the application will sum your total expenses for you. However, since this grant can only cover 50% of expenses up to $500, there will be a box for you to describe how you will fund the other 50% of expenses.

You cannot apply for conference travel funding until you receive acceptance from the conference/event.

Funding the Other 50% of Expenses

This grant is only for 50% of your total expenses. You’ll need to find money for the other half. WCAS students can apply for  their conference grant .  SESP students could apply to the  Hess Fund . After you receive this grant and if you receive financial aid and currently have a Northwestern scholarship, you might be eligible for additional funding to support this conference travel.  If you need emergency help to fund this travel, please review the  Emergency Aid Request  that is available through the financial aid office.  You can use the same document that you upload for this grant as your documentation. Students from other schools could reach out to their undergraduate dean and/or their major department to see if additional funding is available.

Faculty Endorsement and Faculty Role

Faculty mentors can give you awesome ideas about where to present your work! Your faculty sponsor is not required to attend the conference with you, but they will provide an endorsement of your application. You may have a faculty sponsor from another academic institution, but you must  request a guest sponsorship from the Office of Undergraduate Research prior to application submission; please provide us the name of the faculty mentor, their email address, and the name of their academic institution. Graduate students or post-docs may not serve as faculty sponsors.

  • Your faculty sponsor/advisor must submit an online endorsement as soon as possible after you submit. Unendorsed projects will not be considered. 
  • The faculty endorsement consists of the following prompt:  Please offer you opinion on the quality of the conference itself and the specific opportunity it affords your student.

Application Evaluation

Complete applications, including budget and faculty endorsement, are reviewed internally at the Office of Undergraduate Research (as opposed to committee review).

Decision Notification Process

Decisions are made quickly (within about a week). You have an excellent chance of being awarded this grant.

Completion of Grant Requirements

Once you return from your conference, there is a brief but mandatory survey to close out your grant. The survey will ask about your presentation experience, so we can better advise other students and help promote conference travel in the future.

Fiscal Year 2023-24 Applications Are Now Open

Travel Grants support domestic and international travel to conferences in addition to virtual conferences and meetings of recognized scholarly societies for the purpose of presenting results of original research and/or creative activity.

Academic Senate Members   may apply and be awarded up to  one conference travel grant per fiscal year ( July 1 through June 30 ). Applications must be received by May 31 (No exceptions):

  • domestic up to $700 including Canada and Mexico
  • international up to $1500
  • or virtual up to $250 .

Program Description 

Conference travel grants for students are crucial in facilitating their participation in academic and professional events. The purpose of these grants is to alleviate the financial burden that can come with attending conferences, particularly for students who may have limited resources. These grants enable students to present their research, engage with peers and experts, and broaden their horizons.

At CURF, we are dedicated to empower the next generation of researchers, innovators and professionals. We encourage all students who have a paper, poster, or scholarly creative work that has been accepted for presentation at a professional conference to apply for a travel grant. 

Grant Information

Applications for Conference Travel Grant are accepted on a rolling basis and are reviewed monthly.

The grants are intended to provide students up to $500 of conference travel-related expenses.

Eligibility

  • Students working with non-Kean faculty mentors are welcome to apply, however priority will be given to students who are working with a Kean faculty research mentor.  
  • Acknowledgement of support in the application must come from a faculty mentor to be considered  
  • Students are required in the application process to submit a copy of the conference acceptance notification they received

Note on group projects:  Students presenting as a group will need to submit individual applications. If students are applying to present research as part of a group, each student must have a significant, unique contribution to the research and presentation. This grant is not intended to support the activities of a student organization.

Application Process

Funds are limited, and it is encouraged that students submit their grant application as soon as they are accepted to present their research. We process payments through requisition, so students will need to submit at least four weeks prior to the departure date to know the grant status before travel.

Students may apply once per year, and are eligible for up to two grants, but first-time applicants will be given priority.

Requirements

Awardees are expected to submit a brief summary statement about their conference experience and to present their research at the Kean University Research Symposium.

Conference Travel and Research Grants

The Graduate Student Organization (GSO) Travel and Research Grants fund doctoral and, in some cases, master’s students within the Graduate School of Arts and Sciences (GRS) who plan to present their research at conferences outside of Boston or to conduct research related to their dissertation.

Purpose and Aim: Our goal is to support the exceptional and significant work of Boston University’s graduate students, in the hopes that their conference and research travel will aid them in their professional development and dissertation and/or thesis progress, as well as provide valuable insights for the world at large. We also aim to provide graduate students with an opportunity to hone their research statements, so we therefore overlap our application requirements with a myriad of other grant giving organizations and foundations so that students come out of this experience with a building block of well-written responses to common grant application questions that they may use in the future.

Eligibility Criteria

There are two GSO grant categories, each with the same award amount limits: the conference travel grant and the research grant. Please note the following eligibility criteria for the grant you wish to apply for:

Eligibility for Conference Travel Grants

You may apply for a conference travel grant if you meet the following criteria:

  • You are a doctoral student or a student in the Master’s in Fine Arts program within BU Graduate School of Arts and Sciences. (Please note: MA students are not eligible for a GSO grant.)
  • Your department is in good standing with GSO, meaning that you have a department representative who has attended 3 or more GSO general body meetings during the semester. (Please see below for more information.)
  • You have been accepted or have applied to speak or present a poster at an academic conference that takes place after the application deadline and within 1 year following. 
  • Said academic conference takes place outside of the Boston area or outside the area of your primary residence.
  • You have not been the recipient of a GSO travel or research grant in the past 12 months.

Eligibility for Research Grants

You may apply for a research grant if you meet the following criteria:

  • travel out of Boston or your primary residence
  • purchasing of specific tools, items, or technologies
  • use of a paid archive or research facility
  • attending a paid workshop or training
  • Your dissertation research will take place within the 12 months following the next application deadline. 

GRS Departmental Standing with GSO

Only graduate students in GRS departments may apply for a GSO grant. If you are unsure if your department is within GRS, please see this website: https://www.bu.edu/academics/grs/departments/

In order to apply for a GSO grant, your department must be in good standing with GSO. If you would like to confirm your department’s standing with GSO, please email [email protected] .

Award Money

GSO Travel and Research Grants have a maximum award amount of $1,000. You may apply for any amount at the maximum level or below.

The Grant Review Committee may fully award, partially award, or reject your application. Fully awarded applications receive the maximum amount of $1,000; partially awarded applications may receive anywhere between $500 – $999.

Application Deadlines

Applications are usually in August, December, and April of each year. You may apply for conference travel or research project start dates that occur in the 12 months following the application deadline:

  • April 1st, 2024 deadline: for conference travel or research projects that occur from April 1st, 2024 – April 1st, 2025
  • August 1st, 2024 deadline: for conference travel or research projects that occur from August 1st, 2024 – August 1st, 2025
  • December 1st, 2024 deadline: for conference travel or research projects that occur from December 1st, 2024 – December 1st 2025

Because you can reapply immediately if you do not receive a grant, it is recommended you apply as early as possible. 

The application portal opens up 6 weeks ahead of the deadline, although you can find the application questions below and can draft your answers ahead of time.

Evaluation Criteria

As an interdisciplinary review committee made up of graduate students, we take a holistic approach to evaluating applications, especially taking into account factors like financial need, impact of your project or research topic, and if the grant award will greatly impact progress towards degree completion and professional development.

It is important to write the grant application targeted towards a non-specialized audience. This means avoiding jargon and field-specific terminology without providing context and definitions, as well as providing clarity regarding the impact of academic conferences or research projects within one’s field (i.e. do not assume we know how big of a deal a conference is for you, but please do explain it to us). For applications that are rejected, it is more often than not because they have not been able to adequately translate their work for a non-specialized audience.

We also take special note of clarity of budget, and impact of the award amount requested towards reaching the goal of the graduate student. We are more likely to fund a travel request or a research project if it is made clear in the application that the amount requested will fill a gap within funding, provide funding where there previously was none, or may be the only source of funding in order for travel or research to take place. Please be honest with alternative funding sources – we mark down applications who do not do their due diligence to note alternative funding sources or fail to apply to as many sources as possible.

Applications that are rejected are more than encouraged to edit their applications in order to reapply in the next cycle. You may request that we provide our feedback from the review process to you to incorporate them into your edits.

The Conference Travel Grant application asks for the following information:

  • Demographic information
  • Information about previous GSO grants you have applied for or been awarded
  • Information about the conference at which you plan to present
  • Alternative funding sources for your conference travel, including amounts (i.e. department conference budgets, PI funding, grants provided by the conference, or alternative grants); please include funding sources you have applied for and may not yet have received or been rejected by
  • Detailed budget for your conference travel, including: conference registration, transportation, room and board, local travel, and additional costs. Additionally, you will be asked to provide a short answer justifying your budget, which gives you the ability to expand on which line items you plan to prioritize and provide information on additional funding sources.
  • Essay Q1: Please provide a brief description of your research and its significance both within your scholarly field of study as well as its implications for the world at large. Highlight any interventions, disruptions, or advancements you are making within the current scholarship in your field, and explain in plain terms any broad changes occurring in your field with which you are in conversation. Especially for this question, please tailor this for a non-specialist audience. (300 words maximum)
  • Essay Q2: Please first explain your current academic situation, including descriptions of any stages in your path towards degree completion that may be particular to your field (eg. qualifying exams, lab work, on-site fieldwork, dissertation writing, job market, etc.). Again, please tailor this question for a non-specialist audience. Secondly, clarify the need to attend this conference at this specific point in your academic situation. For example, you can describe how attending this conference at this time will ensure you can keep your projected time to degree. You can also indicate any other situations that are impacting or have impacted your academic situation. (300 words maximum)
  • Essay Q3: How will this travel grant help you attain your current and future research goals? Please provide specific examples of how presenting at this conference will help you in achieving your current project (as outlined in Essay Q1) as well as your future career goals, be they within academia, industry, nonprofit/non-governmental organizations, or other. You may choose to highlight examples of specific panels you plan to attend, individuals you plan to speak or network with, or collaborations that are planned as a result of this conference. (400 words maximum)

The Research Grant application asks for the following information:

  • Demographic Information
  • Research project title, research site(s), and dates
  • Alternative funding sources for your dissertation research, including amounts (i.e. departmental funding, PI funding, GRAF funding, major and minor external grants, or alternative grants); please include funding you may have applied for and not yet received or been rejected by
  • Detailed budget for your research project, including: travel, materials, software, archive access, accommodations, workshop fees, transcription fees, or other costs as apply. Additionally, you will be asked to provide a short answer justifying your budget, which gives you the ability to expand on why certain line items will help you to further reach your research goals.
  • Essay Q2: Please first explain your current academic situation, including descriptions of any stages in your path towards degree completion that may be particular to your field (eg. qualifying exams, lab work, on-site fieldwork, dissertation writing, job market, etc.). Again, please tailor this question for a non-specialist audience. Secondly, clarify the need for your research project at this specific point in your academic situation. For example, you can describe how this research will ensure you can keep your projected time to degree. You can also indicate any other situations that are impacting or have impacted your academic situation. (300 words maximum)
  • Essay Q3: How will this grant and research opportunity help you attain your current and future research goals? Please provide specific examples of how this research project will help you in achieving your current project (as outlined in Essay Q1) as well as your future career goals, be they within academia, industry, nonprofit/non-governmental organizations, or other. Applications are reviewed by the committee over a span of 4-5 weeks following the application deadline. Decisions are provided via email approximately 4-6 weeks after the deadline.

All awards are provided as reimbursements from GRS. If you have been awarded a grant, you are given 12 months to provide receipts in order to file your reimbursement request with the GSO Grant Chair and the GSO Treasurer. Instructions on how to submit your reimbursement request are provided in your award letter. Reimbursements take approximately 1 month to be sent to you, so it is recommended that you submit them as soon as possible.

Conference Travel Grants

Academic master’s and all doctoral students may apply for Conference Travel Grant funding to attend professional conferences or to participate in professional development activities; however, students in professional degrees and self-sustaining programs are not eligible. For professional conferences, grant amounts will depend on the location of the conference (up to $600 within California, $900 elsewhere in North America, including Canada and Mexico, and $1,500 outside of North America). The amounts provided for professional development support will vary depending on the actual costs, but in no case will a grant exceed $1,500. Master’s students are eligible for only one travel grant per academic career. Doctoral students are eligible for two grants per academic career, regardless of how many degrees they earn. To be eligible to apply, applicants must:

  • Be registered for the term in which they are planning to attend the conference, which also includes payment of fees/tuitions. Note: students on filing fee are not eligible.
  • Be in good academic standing.
  • Be presenting a paper or poster at the conference.

Please note that grant requests to support travel to professional conferences must be approved by the student’s faculty advisor; grant requests to support professional development activities may be approved by the student’s faculty advisor or the Associate Dean for the Graduate Division. Approvals are obtained through the Slate application portal.

The Undergraduate Conference Travel Grant supports undergraduate students who plan to travel to a conference to present a research paper or poster on a topic related to their studies in the College of Chemistry. This grant provides opportunities for individuals to gain valuable educational experience beyond the classroom and recognizes that our undergraduate students engage in research projects that may require travel to national or international conferences. This grant is made possible by the generosity and support of CoC alumni and friends.

Applicants must be undergraduate students in the CoC, be in good academic standing, and have a faculty research director. Travel must take place while individuals are registered students. Recipients are required to present their research at the spring Undergraduate Research Fair.

Please submit all application materials online by 5pm on the day of the deadline. All proposals received by the deadline will be considered, pending availability of funds.

Fall Deadline: Last day of classes, Summer Sessions (Session E) (travel must take place between first day of fall semester and the day before spring semester)

Spring Deadline: Last day of fall semester (travel must take place between first day of spring semester and the day before Summer Session A begins)

Summer Deadline: Last day of spring semester (travel must take place between first day of Summer Session A and the day before fall semester)

Grant amounts will depend on the location of the proposed travel, but will generally be no more than $400 for travel within California, and up to $600 for travel outside of California and within the United States.

The Conference Travel Grant is intended to support students participating in research projects outside of those being organized through an internship, study abroad, research, or service program; costs incurred during these types of programs are not eligible expenses for Travel Grant funding. Car rental and fuel costs will not be covered to/from areas where a Student EasyPass can be used. Recent graduates are not eligible to apply for the Conference Travel Grant funding.

Types of conference travel awards

 1:  GSA-Chancellor’s Conference Travel Award:  this award is supported through the GSA referendum and matching funds from the Chancellor.

2: GSA-Grad Division Conference Travel Fellowship:  this fellowship is administered through the GSA and funded through Grad Division.

GSA provides conference travel grants to fee paying graduate students in good standing, currently attending the University of California, Riverside.

CTG does not cover expenses: Debates, Retreats, Workshops, Summer schools, Any tuition-based event, Conferences occurring at UCR.

Regional Caps Per Conference

Regional Reimbursement Caps as of July 1, 2023, Effective for Conference Travel Beginning on July 1, 2023, the following regional reimbursement caps are applied to the Conference Travel Grant.

The Annual GSA travel grant cap per person for 2023-2024 is $1,600.00. These caps are re-evaluated monthly based on available funding for the rest of the year.

Effective January 1, 2022, the UC approved mileage reimbursement rate for personal vehicle travel is $0.655 cents/mile, only if it’s less expensive than flying. If traveling by plane is cheaper, GSA will reimburse mileage up to the cost of the airfare comparison.

Applications are due before the first day of the  previous month in which your conference ends by 5:00 pm . Deadlines are subject to change to the following business day if the deadline falls on a  UCR legal holiday .

Late applications will not be accepted and are not eligible for an appeal. 

*You can apply to the CTG up to six months before your conference date, even if you do not know if you have been accepted yet.

Step one (before conference).

  • Applications are due before the first day of the  previous   month in which your conference  ends by 5:00 pm . Late applications are not accepted, without exception.
  • Complete the checklist here to ensure you have completed all parts of the application process correctly.
  • We do not accept physical applications.
  • Prior to leaving for the conference, submit the completed recommendation form from your adviser. The deadline for sending the Letter of Recommendation is one day before the start of the conference.

Step two (post conference)

The reimbursement guide may assist you in this process. Post conference materials (expense form, receipts, etc.) must be emailed to [email protected] by the 7th business day from the last day of your conference. 

  • Post-conference materials must be submitted in full PDF format, no screenshots allowed.
  • If additional time is needed to submit them, please email [email protected] and request an extension before you leave for your conference. Late materials are not accepted.
  • Once your application is processed, the receipts will be made available to your home department.
  • NO RECEIPTS SHOULD BE PROCESSED BY YOUR HOME DEPARTMENT UNTIL WE HAVE FINISHED PROCESSING YOUR RECEIPTS AT GSA.

Application Example

Applicants who are denied funding will receive a letter indicating the reason they were denied. You may appeal an award amount or appeal the decision to decline by writing a letter to the committee explaining why you feel you deserve to have your application re-evaluated. This letter must be received by the committee within 30 days of receiving your reimbursement or letter of decline. The committee meets once a month. The conference travel grant committee will re-evaluate your application at the next meeting and issue a new decision. You will be notified of this decision by letter or email. If you are still unhappy, you may appeal a second time. Once again, this appeal must be submitted in writing within 30 days of notification of the committee decision concerning the first appeal. You are limited to two appeals.

The purpose of the conference travel grant is to promote the presentation at conferences of original graduate student research done at UCR.

Conference travel grants are small grants available to UCR graduate students who are attending professional conferences. Please read the conference travel grant FAQ for more information about this program.

If you are a registered graduate student in good standing at UC Riverside who is planning on presenting at or attending an event, you may be eligible for an award. Students on filing fee status are eligible. Students on leave of absence or in absentia registration are not eligible for conference travel grants. New graduate students that are presenting research prior to their work at UC Riverside are not eligible for conference travel grants. Conference travel grants are not intended to fund, among others: workshops, research, instruction, training, classes, job interviews, or events in which participants are solely from UCR. If your application is denied because it was determined to be a workshop, you are welcome to appeal this decision. Please refer to the appeals section on the “How to Apply” page of this website.

You must be the primary presenter of graduate student work that was completed at UCR. The Conference Travel Grant program will only fund one graduate student per presentation. If you are not the first author, you must submit a letter from the conference organizer or the session chair indicating that you were the primary presenter.

The yearly GSA travel grant cap per person is $1,600.00 per academic year until further notice.

Conference travel grants are not intended to fund, among others: research, instruction, training, classes, job interviews, or events in which participants are solely from UCR.  Workshops are not eligible. If presenting as part of a panel, applicant must show proof of individual presentation.

Among other ineligible expenses, conference travel grants will not cover meals, memberships in professional associations, tuition, phone calls, presentation materials, or other incidental expenses.

Outside funding is taken into account to ensure that nobody receives more from all sources than they actually spent.

Fixed amount  means that your department, advisor, or some other award pays a set amount regardless of the amount of your GSA conference travel grant award.

Matching grant  means that your department or advisor will provide an amount of funding equal to that of your GSA conference travel grant award.

Balance of expenses  means that your department of advisor will pay the remaining balance of your expenses after receipt of your GSA conference travel grant award.

Conference travel grants do not fund professors or departments. Only expenses incurred by a student are eligible for reimbursement. This includes the sharing of accommodations or travel. You must document on every application what amount was paid by each student. Conference travel grants cannot reimburse students for amounts that they did not pay.

The amount of grant funding you will receive depends on your level of attendance. There are two levels of attendance, as Presenters or Attendees. In the case of participating in a  round table you must lead this group as a moderator. Participation as a panelist is qualified as an attendee. Following these categories, please send us the following proof of your participation in the event.

Proof of attendance (for attendees and presenters), such as conference badge, the original pamphlet/brochure, or request a letter to that effect when checking in at your conference.

Proof of Presentation (for presenters), for example, the program of the conference in case the applicant is going to present a poster or talk at the conference, otherwise the applicant will be considered as an attendee and the travel expenses will be covered up to $300.

Proof of Acceptance (for presenters), for example, the acceptance email for your paper / abstract or other documentation issued by the organization that certifies your acceptance to the conference.

Each quarter the conference travel grant committee decides on a maximum award per student per conference. The amounts vary by the location of the conference with local conferences receiving less that international conferences. These caps determine the maximum amount that can be reimbursed, and expenses lower than the cap are reimbursed in full. The cap may be lowered for any particular month depending on the number of applicants.

Conference travel grants are not intended to be your primary funding source. Always check first with your thesis advisor and department to see if there are funds available to offset your travel costs. Departments often match the amount we award you or will give you a set dollar amount. Remember you are required to report outside funding on your mini-grant application and to follow your department’s policies regarding travel reimbursement. Reimbursements cannot be over 100%.

Each application is individual per conference. If you have 2 conferences on close dates you must apply separately for each of them.

In the case of graduate students who collaborate on research eligible for the CTG award, only one student from UC Riverside may apply as a presenter. Other collaborators from UC Riverside may apply as attendees only. Collaborators from institutions other than UCR are not eligible for the CTG award. Multiple presenters for the same work are not funded. If that is the case, please contact the coordinator in advance.

Several locations have reported an increase in the use by travelers of Internet sites to purchase vacation packages for University-related business trips. This creates issues with providing appropriate documentation because charges are not itemized. These packages will not be reimbursed in the absence of receipts that itemize each expense.

Before 1999, the Office of the Chancellor gave GSA $12,000 annually to help graduate students with expenses associated with travel to conferences. The grants were truly mini back then, students could apply once a year, and there was a different fixed amount allocated for local, national and international applications. In 1998-1999, while negotiating an increase in the allocation, then Chancellor Ray Orbach bluffed that, if the graduate students agreed to tax themselves for this purpose, he would match the fee increase. On the 1999 GSA elections ballot, a referendum was included proposing a raise in GSA fees from $10 to $20 per student per quarter. The $10 increase would be phased in $2 each year, the additional fees were earmarked for the conference travel grant program, and the Office of the Chancellor would match the increase. The referendum passed, and as a result the GSA rolled in $132,000 for the conference travel grant program in 2003-2004 (the year when the fees finally capped at $20 per student per quarter).

In April 2006, the mini-grant committee changed the program’s name to the conference travel grant program. The mini-grant committee adopted this new name to avoid confusion between the mini-grant and mini-GSA programs and to clarify the types of events that the grants fund. The program has also adopted a mission statement, which is now available on the main conference travel grant page. GSA thanks the Chancellor for continuing Ray Orbach’s commitment to fund the conference travel grant program.

Restrictions

  • Travel grants will be awarded to Ph.D. candidates and postdocs for conferences until funds are exhausted.
  • The number of travel grants per school will be roughly proportional to the size of the school’s Ph.D. or postdoc program.
  • No more than two students and one postdoc from any one advisor’s group will receive travel grants in a calendar year.
  • No student will receive funds to attend more than one conference.
  • Applications will be reviewed on a rolling basis.

Reimbursement

  • Within one week after returning from the conference, you must complete the “Report on Conference Travel” form which will be e-mailed to you as an attachment upon grant approval.
  • Forms must be completed electronically. Handwritten forms will not be accepted.
  • Email your Report on Conference Travel form as an attachment to [email protected]

Conference Travel

The magellan voyager award.

  • up to   $500 per recipient   for travel expenses to present research
  • for travel to regional, national, and international meetings
  • can cover airfare, mileage, lodging, and/or registration
  • all USC system campuses and all disciplines are eligible to apply 

2024-2025 Award Cycles

Applications for travel grants are accepted in four cycles each year. The application remains open for one week each cycle. Applications are reviewed the week following the application cycle and students are notified of award status following review. 

Eligibility

You must be: 

  • a USC degree-seeking undergraduate (all campuses, disciplines, and academic years are eligible)
  • traveling prior to your graduation to present research at a regional or national conference (not to conduct research or attend/network only; does not include Discover USC) 

In addition: 

  • Preference will be given to applicants with no other funding options and who have not previously received Magellan Voyager funding.
  • If you are eligible for funding through a university community to which you belong, you must apply for that funding and indicate so in your Magellan Voyager application. This includes, but is not limited to, LLCs, Honors College, academic colleges and departments, and specific campuses.
  • If you received a Magellan Scholar grant with conference travel budgeted, you must also indicate so when applying for the Magellan Voyager.
  • Funding is not guaranteed. If awarded, the maximum amount of $500 is also not guaranteed. Be sure to clearly articulate how all travel expenses will be covered, regardless of award outcome. 
  • Students may receive Magellan Voyager funding a maximum of once per academic year.

Application Process

  • a narrative (500-word maximum) describing why you want to attend the conference, how you expect to benefit from the event and how attending will impact your future plans
  • a completed budget grid outlining all anticipated expenses and funding sources
  • a copy of your abstract or summary of your project (should include the title and authors, or equivalent)
  • proof of abstract submission and acceptance (if received) [copy of your submission page or email from conference]

Complete the Magellan Voyager application during the appropriate application period. Applications submitted outside the application period will not be considered. You will be required to submit the completed Magellan Voyager application document when submitting the application.

If you are awarded the Magellan Voyager: You will be required to submit confirmation of your abstract acceptance to the conference to [email protected]

Student Limit

Due to limited funds, preference will be given to students who have not previously received the Magellan Voyager award. Students will be eligible to receive the Magellan Voyager award a maximum of once per academic year. 

Mentor Limit

Due to limited funds, a maximum of $1,000 per fiscal year may be awarded to students working with a single faculty member. 

Conference Limit

Support awarded toward a single conference during a fiscal year cannot exceed $2,000. 

Allowable Travel Expenses

Keep in mind the maximum amount you can request is $500, and this award is processed as a reimbursement following travel.

Airfare and ground transportation Airline tickets can be purchased online by you, your mentor, or a family member.

In some cases, airline tickets purchased prior to receiving the Magellan Voyager award can be reimbursed, although this is not guaranteed.

Ground transportation to and from the conference site is an allowable expense.

Mileage (if using a personal car) We will reimburse you for mileage using the university rate if all the following apply: 

  • you use a personal vehicle
  • the meeting is more than an hour from Columbia

Transporation to a destination should be by the most economical and practical means. For a round trip that is less than 500 miles, motor vehicle transportation is considered best. 

Lodging We expect that you will stay in the same location as other members of your group. We assume you will stay in safe but economical accommodations. Your lodging costs must conform to the maximum lodging rate established for the location by the U.S. General Services Administration.

Registration fees If the conference reduces or waives registration fees for students, you must choose that option. 

We will not pay late registration fees. 

  • Keep your receipts! They are required for reimbursement.
  • Return your receipts to our office within five days of returning from your conference, or you may be denied reimbursement.

You must acknowledge our office on your poster or in your talk: "Travel partially supported by the USC Office of Undergraduate Research Magellan Voyager travel award."

You must complete pre-travel paperwork with OUR: OUR will contact you to complete pre-travel authorization. This must be completed prior to travel to be eligible for reimbursement. 

You must submit receipts within five days of returning:  Receipts not submitted within five days of returning from the conference may not be eligible for reimbursement.

APSA is pleased to provide travel grants to  qualified applicants for attendance at association events, specifically the Teaching and Learning Conference and the APSA Annual Meeting .  Qualified applicants include U.S. graduate students, international graduate students studying in the U.S., unemployed members, international scholars, community college faculty, contingent faculty, unemployed faculty, APSA Status Committee members, and any faculty member who has been furloughed or experienced a reduction in available research funds from their college or university.

Travel grants can cover costs such as mileage for attendees who travel to association events by car or plane tickets for attendees who arrive by air.  Grants can also cover hotels, meals, and conference related cab fare.

First time attendees and those on the job market or tenure track will receive priority consideration.  All grant recipients will be reimbursed for expenses after the conclusion of the relevant association event. Eligibility

To be eligible for grant, you must:  

  • Maintain your APSA membership through the date of the conference for which you are receiving travel grant funding
  • Reside more than 60 miles from the conference location - you are not eligible for a travel grant if you live within 60 miles of the conference site
  • APSA will not cover expenses that are not submitted without an itemized receipt

To accept the grant, APSA requires that all recipients complete and return a W-9 or W-8BEN tax form.

  • Form W-8BEN (for non-U.S. citizens)

Travel Grant Use

A travel grant from APSA can cover the following costs:

  • Ticket and cab fare: Economy bus, train, and plane tickets are covered, conference related cab fare around the conference city is also covered
  • Mileage is reimbursable at the 2024 IRS standard mileage of 67 cents per mile traveled
  • You must also demonstrate that the cost of your mileage is less than the cost of a flight
  • As proof, APSA accepts a printed copy of the cost of a flight to the conference city on the days that you plan to travel and printed directions from sites like Google Maps as documentation
  • Hotels: The cost of a stay in a hotel, hostel, or other rented lodging such as Airbnb during the conference is covered
  • Meals: The cost of meals during the conference is covered

An APSA travel grant does not , however, cover any of the following costs:

  • Business or first-class tickets
  • Rental cars
  • Gasoline: Receipts for gas are not accepted - for APSA to cover the cost of a car trip to the conference, you must provide your mileage using the instructions above
  • Registration or APSA Membership: APSA cannot apply grant funds toward the cost of a membership or registration for the Annual Meeting

University Conference Travel Grant Program

Important updates to uctg (4/2024) .

  • Applicants are no longer required to exhaust department and college travel funding sources before applying for UCTG.
  • Faculty are eligible for a UCTG award once every 24 months, based on the date of last funded conference travel.
  • Dean’s approval is no longer required; department chairs will still be asked to provide input on the significance of the conference.
  • The maximum award is $2,500. Please do not submit requests that exceed this amount.
  • Applicants are welcome to combine UCTG awards with funding from other sources, if permitted by those sources.
  • We are unable to consider off-cycle applications until further notice. We anticipate re-evaluating after the 2024-2025 academic year.

1.  Purpose and Scope

The University Conference Travel Grant (UCTG) Program offers limited funding of up to $2,500 to subsidize the cost of qualified conference travel.

2.  Eligibility

3.  types of conferences eligible for support.

UCTG funds may be used for faculty travel and/or eligible expenses related to presenting work at a variety of venues of national or international scope. These venues include but are not necessarily limited to in-person or virtual meetings of a national or international professional society; meetings sponsored by a government agency or industrial society if the meetings are of an academic nature; juried competitions; conferences on a specified topic at which attendance is by invitation only; invited performances at meetings/exhibitions/festivals; and other meetings as deemed appropriate. For questions about conference appropriateness and UCTG eligibility, please contact  VIRS Grants .

4.  Selection Criteria

Selection criteria, in order of priority, are as follows:

1. Rank: priority will be given to tenure-track Assistant Professors and to full-time continuing non-tenure-track Assistant Professor.

2. The nature of the presentation, prioritized as: 1) keynote or plenary speaker/presenter, 2) invited speaker/presenter, 3) contributing speaker/presenter. In general, the UCTG Program will not provide travel support for faculty delivering poster presentations.

3. The extent to which participation in the meeting will further the career development of the faculty member.

4. The significance of the presentation with respect to the faculty member’s academic discipline.

5. The significance of the meeting itself.

6. The extent to which participation in the meeting will enhance the University’s reputation.

7. The applicant’s record of scholarly productivity, as evidenced by refereed publications or other discipline-specific scholarly activity, over the past five years.

5. Application Process

The application process is handled through Villanova's InfoReady Portal . Please include all the requested information to avoid having the application returned to you for additional information.

The budget is integrated into the application form.

Proposals are automatically routed through InfoReady to the applicant’s Department Chair for comment on the significance and merit of the proposed conference travel. Please plan to submit your application 2-3 days prior to the deadline to allow time for this step.

6.  Application Timetable

Applications are due in early October and early February each year (exact dates will be provided by the start of each semester). Decisions will be made approximately a month after the submission deadlines with award announcements to follow as quickly as possible thereafter.

7.  Application Review Process

Submitted applications are routed to the applicant’s Department Chair for comment on the significance and merit of the proposed conference travel. 

All completed applications will be evaluated by the UCTG committee of tenured and CNT faculty from across the University, appointed by the Director of VIRS.

8.  Award Terms

Note to CLAS faculty: FRDG does not permit combination with UCTG. Please do not apply for UCTG and FRDG together.

For domestic travel: may be requested up to the  federal government M&I per diem rate  for the destination city. Applicants are NOT REQUIRED to request the full per diem allowance.

For international travel: may be requested up to the  U.S. Department of State per diem rate for foreign travel . Applicants are NOT REQUIRED to request the full per diem allowance.

Per diem rates are used to set a ceiling on daily meal expenses but only ACTUAL meal expenses will be reimbursed. Reimbursement on a per diem basis is not allowed by university policy.

IBRO

IBRO Travel Grants

The IBRO Travel Grant program aims to foster neuroscience research by providing support to early-career Ph.D. students and post-doctoral fellows from diverse geographical and scientific areas who wish to participate in international neuroscience meetings and events taking place between July and December, 2024.

About the Program

The grant is to be used towards travel and local expenses while attending the proposed conference or meeting. Priority will be given to applicants from under-resourced and less well-funded countries in combination with efforts to ensure both gender and regional diversity.

Applicants are encouraged to provide a comprehensive explanation of the potential impact that their participation in the specified meeting or conference will have on their career trajectory. This may include detailing how the knowledge, insights, and networking opportunities gained during the event will contribute to their professional growth and development.

Application dates: 01 April – 30 April, 2024

Maximum grant amount: For Neuroscience 2024 : 2,500 USD All other meetings/events: 1,800 EUR

Who Can Apply?

Eligible applicants are:

  • PhD neuroscience students or early-career postdoctoral fellows (maximum 5 years from the start of the postdoc)  interested in attending events taking place between July and December, 2024.
  • first authors in the abstract they apply with.

Please note that:

  • the maximum grant amount that you can request if you are applying for any event other than Neuroscience 2024  is 1,800 EUR.
  • the eventual granted amount may not necessarily be the same as the amount requested.
  • a minimum of one letter of reference is required but two references are ideal.

IBRO-SfN Travel Grants

  • Dedicated funding is being provided by SfN to support a number of grantees from the Asia-Pacific, Africa, Latin America and Pan Europe regions to attend Neuroscience 2024 .
  • The maximum grant amount that you can request if you are applying for a travel grant to Neuroscience 2024 is 2500 USD.
  • Applicants not funded through this opportunity may still be considered for a travel grant with IBRO funds, but under the 1,800 EUR maximum grant amount.

Regional Eligibility Requirements

Applicants residing in:

  • one of the Asia-Pacific, Latin America, or Europe regions are eligible to apply for events anywhere in the world.
  • the US or Canada are eligible to apply for any event other than Neuroscience 2024 (the SfN annual meeting).
  • the Africa region are only eligible to apply for Neuroscience 2024 .

International funding - EPSRC

Overseas travel grants, introduction.

Overseas travel grants (OTGs) provide funding for:

  • international travel and subsistence to study new techniques at recognised centres outside the UK
  • travel to start or develop international collaborations

One potential use of an OTG, for example, is for travel to European centres to develop collaborations for bids to Horizon Europe.

Centre visits may be to overseas universities or industrial organisations. The scheme may not be used to support solely conference attendance.

There is no limit to the amount of funding which can be applied for, and no closing dates.

Eligible costs

As well as travel and subsistence, the project lead can request funds to cover their salary and indirect costs. Estates costs cannot be claimed on an overseas travel grant.

Neither consumables nor equipment – including laptops – would normally be funded under this scheme. The cost of visas may be included in the proposal.

Number of people

Overseas travel grants normally only support a single project lead. Other staff costs can be requested but should be fully justified.

Timing and grant length

There is no upper limit on the overall length of an OTG grant but we would not expect to support:

  • single visits of six months or more
  • multiple visits exceeding 12 months in total

If an OTG funding decision comes after the requested start date, the funding cannot be backdated.

EPSRC does not allow expenditure incurred before the announcement date to be charged to the grant, so please ensure that you leave enough time for processing before the first proposed visit.

Where you can go

There are no restrictions to recognised research centres you can visit, no matter what country, as long as it is outside the UK. The cost of visas can be included in the grant as well.

Funding researchers abroad to come to the UK as visiting researchers is not covered by the OTG scheme. However, these costs may be included in a standard research proposal.

Linking overseas travel grant proposals to EPSRC research grants

Overseas travel grants do not need to be linked to an existing EPSRC research grant, but it is expected that new techniques learned, or collaborations formed, will lead to future research proposals.

OTGs and New Investigator Awards

A project lead on an OTG is still eligible to apply for a New Investigator Award.

Overseas travel grants are subject to the same eligibility criteria as standard research grants. Check if you’re eligible for funding.

Proposals are assessed through our peer review process. If strongly supportive reviewers’ comments are received, funding may be approved without the proposal going to a prioritisation panel.

We try to provide a fast turnaround OTGs, but please allow at least 16 weeks before the first proposed visit.

(7 May 2024) To encourage global participation the IATUL Travel Grant Programme provides financial assistance to library and/or information professionals from developing countries to attend the annual IATUL Conference.

IATUL Travel Grants will be awarded to first-time attendees of this conference. Applications are encouraged from librarians at any institution that is an IATUL member or would qualify for IATUL membership.

Mayor Bowser and Events DC Announce $3.5 Million Grant Program to Support Large Events that Bring More People to DC

(Washington, DC) – Today, Mayor Muriel Bowser and Events DC announced the launch of applications for the 2024 Large Events Grant Program. Managed by Events DC, the official convention and sports authority for Washington, DC, the $3.5 million Large Events Grant Program will support the District’s cultural and economic vitality by providing grant funding to nonprofit organizations planning to host large events with more than 10,000 people in attendance.    “We can see and feel the energy people have for going to festivals and events right now, and there’s no city better at hosting and organizing large-scale events than Washington, DC,” said Mayor Bowser. “Through the Large Events Grant Program, we can support events that represent DC culture, bring more people together, and in turn support our local economy.”    Program funding can be used to support expenses associated with hosting the event, including government fees, venue rentals, security, labor costs, equipment, and other infrastructure costs. The application process will consider the economic benefits to the local community, which may be measured by the increase in hotel room nights, new jobs created, engagement with local businesses, additional tax revenue generated, the number of small businesses supported or promoted through the event and activation of parks or public spaces. This process also will consider the socio-economic benefits of the event, including highlighting, promoting, or celebrating the history and culture of communities in the District.    “Large events have been critical to the economic success of our city and showcasing Washington, DC as a world-class, family-friendly destination,” said Events DC President and CEO Angie M. Gates. “This $3.5 million grant program will provide crucial support to nonprofit organizations and ensure we create unique experiences that result in jobs, economic impact and lasting memories for residents, tourists and guests. I look forward to partnering with organizations to ensure our economic vitality for years to come, highlight our incredible local culture and reinforce our position as a top destination.”    The grant program is funded by the Office of the Deputy Mayor for Planning and Economic Development’s (DMPED) through a grant from the U.S. Department of Commerce Economic Development Administration (EDA) Travel, Tourism, and Outdoor Recreation program.    Applicants must be a nonprofit organization; produce an event in Washington, DC by September 30, 2025; and demonstrate their history of hosting large events, among other requirements.
