Destinations value Indian travelers, but lengthy visa processing times lasting months act as significant deterrents. The adoption of these new regulations by European authorities reflects a proactive effort to tackle these concerns, aiming to boost tourism flow.

The European Commission has introduced a new visa “cascade” regime for Indian nationals applying for Schengen visas in India. This regime looks to offer longer-term, multi-entry Schengen visas, based on the applicant’s travel history.

Indian travel agents had been complaining of Schengen visa delays as a major challenge to the summer travel rush from India.

• How does one qualify for the longer duration visas?

The European Commission can issue a two-year multiple-entry visa after a traveler “has obtained and lawfully used two visas within the previous three years.” This demonstrates a positive travel history and compliance with previous visa regulations.

Subsequently, after granting the two-year visa, authorities may issue a five-year visa if the passport has has adequate validity remaining.

Mahendra Vakharia, managing director of Pathfinders Holidays, said there was no standard policy of Schengen states for issuing these long-term visas earlier. Switzerland, France, Netherlands, Italy and Spain usually issued long-term visa, but it was all subjective. “With this new policy it should be a standard rule now,” Vakharia said.

Here too, there is no standard processing time as it varies from country to country, according to Vakharia. “France and Spain have been processing visas within four days, and then there’s Croatia, which takes 60 days,” he said.

“As there is an overwhelming demand from Indian travelers, the process of securing visa appointments has posed significant challenges , especially for travelers residing in cities lacking VFS Global centers,” he said.

The European Commission said in an statement that the decision reflects the EU-India Common Agenda on Migration and Mobility, aimed at fostering comprehensive cooperation on migration policy. Facilitating people-to-people contacts is a key aspect of this agenda, acknowledging India’s importance as an EU partner.

In several countries, Germany has entrusted private visa application offices with granting visas to the citizens of those countries.

VFS Global, a visa application processing firm based in India, processes German visa applications on behalf of the German government. The VFS Global website allows you to apply online. VFS Global centers are located in Delhi, Mumbai, Chennai, Bangalore, Chandigarh, Jalandhar, Gurgaon, Jaipur, and Kolkata.

When is the Best Time to Apply for a German Tourist Visa?

German Schengen visa applications can be submitted up to six months before a planned trip to Germany. The earliest you may make plans for your vacation to Germany is two weeks before you leave.

However, to prevent any delays, it is strongly advised that you apply for a Germany tourist visa from Inia at least three weeks before your departure date.

What Is the Visa Processing Time?

A Germany tourist visa from India is processed in around ten to fifteen days. Although when the embassy is dealing with many visa applications for business or study purposes, the processing time for tourist visas may take a little longer than for other types of visas.

 Because of this, you are encouraged to apply for a German tourist visa as soon as possible.

Why is Travel Insurance A Requirement for A German Tourist Visa?

All Indian citizens are required to get travel insurance for Germany to obtain a Schengen visa. However, that shouldn’t be the main reason you get one! When everything is said and done, certain things simply happen no matter how meticulously we plan.

Germany’s travel insurance will come in handy in such a case since it will provide coverage for all contingencies. As simple as a flight delay to more severe emergencies like medical problems or travel cancellations, these situations may arise at any time.

Visa Application Rejection: What to Do?

When you pick up your passport, you’ll see a note explaining why your application for a Germany tourist visa was denied. You have the right to challenge the embassy’s decision if you believe they made an error.

You can do this by writing to the embassy and asking them to reconsider your visa denial. The embassy usually provides you a certain amount of time to file an appeal if you’ve been denied a visa. To have a chance of overturning the judgment, you must file an appeal within this time frame.

Is It Possible to Extend a German Tourist Visa?

A German Schengen Visa cannot be extended as a general rule. However, the law does not take into account the following situations in which you are unable to leave Germany for the following reasons:

● Inevitable Occurrences Beyond Our Control

When you cannot return to your home country for various circumstances that are out of your control, it includes natural calamities, flight cancellations due to severe weather, and such.

●  Humanitarian Motives

When you can’t leave because of a disaster that happened to a family member who lives in Germany, or something similar.

● Motives Of a Profoundly Personal Nature

A critical business or professional occasion that you cannot put off any longer.

● Late Arrival in The Schengen Zone

When you arrive in Germany after your visa expired because you were late.

Failure to apply for a 90-day extension in any of the above instances will result in the denial of the extension.

Ministry of Health & Family Welfare has issued new ‘Guidelines for International Arrival’ dated 21st November 2022 and effective from 22nd November 2022. According to these guidelines, International passengers traveling to India will no longer be required to submit online Air Suvidha Self Declaration Form. Consequently, no RT-PCR test prior to travel is necessary. However, guidelines states that all travelers should preferably be fully vaccinated as per the approved primary schedule of vaccination against Covid-19 in their country.

Resumption of Tourist Visa Services

The Embassy of India in Berlin is pleased to announce resumption and restoration of regular (paper) Tourist and e-Tourist visas (which had remained suspended since March 2020), with immediate effect.

Regular (paper) valid Tourist Visas, which had been issued prior to March 2020 and had been suspended, stand restored for German and other country nationals with immediate effect. Similarly, valid e-Tourist visas that were issued prior to March 2020 have also been restored.

Further, fresh regular (paper) tourist visas with extended validity may now be applied for, through our authorized outsourcing agency, M/s. IVS Global website http://www.ivs-   germany.in/

One month Tourist Visa (30 day stay with three month validity) shall continue to be issued at no cost to all applicants for now..Till 31 March 2022, one month Tourist visa (stay not to exceed 30 days) with three months validity, shall continue to be issued at no cost to all applicants.

How to apply for a Schengen tourist visa from India (with sample letters)

Before moving to Germany for work, I visited on a tourist visa (Schengen visa - Type C) twice from India. In guide, I'll write about how to apply for a German tourist visa and what you need to do to visit your friends or family, or go on a joy trip across Germany.

Applying for the visa

What is the difference between tourist visa and a visit to friends or family visa.

They are essentially the same. The documents you require for these visa's can differ. If you are visiting your friends or family, you should submit a document for sponsorship ( Verpflichtungserklärung ). See below for information on what it is and how to get it.

Where to apply for your Schengen tourist visa

You must send in the application to German Consulate or Embassy which is responsible for your area of residence. For tourist visa,  VFS  handles the application process. See which consulates are more likely to reject your schengen visa application.

You must apply at  New Delhi  if you live in Haryana Jammu & Kashmir, Punjab, Rajasthan, Sikkim, Uttar Pradesh, Uttarakhand, Himachal Pradesh, Union Territories of Chandigarh, Andaman and Nicobar Islands, NCT of Delhi, Lakshadweep including Minicoy and Amini.

You must apply at  Chennai  if you live in Tamil Nadu, Andhra Pradesh, Telangana & Pondicherry

You must apply at  Mumbai  if you live in Maharashtra, Gujarat, Goa, Madhya Pradesh, Chhattisgarh, Daman and Diu

You must apply at  Bangalore  if you live in Karnataka and Kerala

You must apply at  Kolkata  if you live in West Bengal,  Jharkhand, Orissa, Assam, Bihar, Manipur, Meghalaya, Mizoram, Nagaland, Tripura and Arunachal Pradesh

For example, if you are from Andhra Pradesh, you must apply at the VFS center in Chennai.

Note: If you are staying in multiple Schengen countries, you must apply at the country's VFS / Consulate / Embassy where you will stay for the longer period.

What are the required documents for a Schengen Visa?

Here is the list of documents that you should submit. You can see the up to date information  here .

Valid passport

Must be issued within last 10 years

With at least 3 months validity after the scheduled return

With at least 2 empty pages

Must not have observations on the front page

Must provide  1 copy  of your passport’s data page (A4 size copy)

2 passport pictures according to  biometric specifications , not older than 6 months

Application form & declarations duly signed  (see section below on how to fill the form)

Personal covering letter explaining the purpose of your visit

Leave letter of your company (if you are employed)

No-objection certificate of school or university (if you are a student)

Financial proof:

Proof of financial status:

If  employed : Payslips of the last three months / employment contract/Appointment letter

If  self-employed :

Certificate of Proprietorship or other proof of ownership (proof of land title, proof of income from agriculture (sales form) etc.)

(or) Personal bank statement of the last three months with sufficient funds

(or) Last three years Income Tax Return (ITR) form or Form 16 (Certificate of Income Tax deducted at the source of salary)

Accomodation proof:

Proof of accommodation for your entire stay in the Schengen area - this is where you will stay during your trip. Hotel bookings, Airbnb, etc., are valid. You can reserve bookings with cancellations, if you prefer.

Flight reservation, (rail tickets, others for travel within Schengen)

Travel health insurance (refer  here  to find out about the travel health insurances accepted)

Proof of civil status: Marriage certificate, birth certificate of children, death certificate of spouse, ration card if applicable

If you are invited by someone (your children, partner, friend, etc), they should provide additional proof.

Proof of sufficient funds for the visit:

If sponsored:  Verpflichtungserklärung  (original formal obligation letter) of your sponsor (read below)

Invitation Letter form the inviting person  (you don't need this if you do not have anyone inviting you)

Inviting Person: Passport copy and Resident Permit Copy (daughter and son in law or son and daughter in law)

If self-sponsored: Personal bank statements of the last 3 months with sufficient funds

If you are a minor or accompanying a minor:

For Minors:

Application form and declarations signed by both parents

Consent letter signed by both parents.

Clear Copy of the parent(s)’ passports data page

Filling out the Application Form

Once you have chosen which Consulate or Embassy to apply, you must fill in the  application form . Most of the application form requires your personal information and purpose of travel. When filling the form, use the information from your passport as reference.

I'll write down explanations of a few things that might be confusing.

Is your residence in a country other than that of your current nationality? If you're an Indian citizen living in India, choose  yes .

Identification papers and travel documents is  your passport . Issued by is your passport office, you can find this on the first few pages of your passport. My passport says Regional Passport Office, Chennai.

Under travel data, you will see questions about your purpose of visit.

Main purpose(s) of the journey: Choose Tourism, or Visit of family or friends

Member state of first entry: Germany Unless your first entry - where you enter EU and exit - is different. Your connecting flight does not matter. This is where you first leave the airport of a country. If your flight is from Chennai to Dubai to Germany, choose  Germany . If your flight is from Chennai to Paris to Germany, choose  Germany . If your flight is from Chennai to Paris, you exit the airport and take the train / car / bus to Germany, choose France.

Main travel destination(s): Choose the country where you will stay the maximum number of days.

Number of entries requested: Single entry or multiple entry. Single entry means you can enter the Schengen states only once until you leave. Multiple entries allow you to leave Schengen states and come back within the validity of your tourist visa.

Intended date of arrival in the Schengen area: When your flight will reach a Schengen state

Intended date of departure from the Schengen area: When you plan to leave the Schengen states

Duration of the intended stay or transit (number of days): Use a  days calculator .  This is important.  Your visa is most likely granted only for the duration you specify. Include both the start & end date in your calculation.

Have you been issued with a Schengen visa within the last three years? Specify when if you have already gotten a Schengen visa.

Entry permit for the final country of destination, where applicable: fill this if you plan to enter your destination through a different Schengen state

Finding an appointment at VFS

Booking an appointment at VFS can be tricky. Most of the times that I have looked at it, there are no appointments. What helped me was constantly refreshing at different times during the day and eventually finding one.

Choose "Visa application center" at your city or the city where you are supposed to apply.

Choose "Schengen visa" as the appointment category.

Choose "tourist" or "visit (family & friends)" depending on your purpose of visit

You  don't  need premium services. Continue with the form and you will receive a confirmation letter. You need to take a  print out  of this to your appointment.

Go to your appointment 15 minutes early

Show your appointment confirmation printout at the entrance, there is a security check

Once you are done, get a  token number  for your appointment

Wait till your number is called or is on your screen

Go to the case worker at the counter, provide documents including the passport from the checklist

Once all documents are submitted and are ok, you will need to submit your biometrics

Pay the fees by cash or card, get confirmation of your application

Optional service is delivery of your passports. The delivery address can be different from the passport address.

Tracking your application

Once it is submitted, you will receive a tracking number for your application by SMS / Email. You can track it  here .

You will see a blue line text under the submit button that shows the status of your application.

Receiving the passport back

If you chose the courier service, your passport will be delivered to the address you provided. If not, you have to go back to the VFS center. Take your confirmation of the application and an ID card.

Approved Visa

Once you get the passport back, check the pages. You should see a visa printed with your details. Congratulations!  Ensure that the details are correct!

Rejected Visa

If your visa has been rejected, you will receive a letter with your passport that has the reasons for your rejection. Most likely cause is the lack of proper documentation. You will have 30 days to appeal back to the consulate / embassy.

How long is the tourist visa valid for? With a tourist (short-stay) visa, you can stay in Germany for up to 90 days within a period of 180 days. It is also called a "Schengen visa".

What is the cost of a Schengen visa?

This is per person.

Can I visit other countries in Schengen area?

Yes, you are allowed to visit other Schengen countries like Germany, Austria, Belgium, Croatia, the Czech Republic, Denmark, Estonia, Finland, France, Greece, Hungary, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, the Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and Switzerland.

If you visit other Schengen countries, you do not need a separate visa. The number of days you spend in any of these countries count towards your total allowance of days you are allowed to stay in Schengen area (see duration of stay below).

What is an Verpflichtungserklärung?

If someone invites you to Germany for a short time, they can submit a declaration of commitment for you. This is especially useful if you cannot pay for the cost of your stay in Germany by yourself. The declaration of commitment is generally recognised by German missions abroad for up to 6 months after it has been issued.

Where to get the Verpflichtungserklärung?

You can request this sponsorship letter at your Ausländerbehörde . For Berlin, you will find appointments and information  here .

Can I get a single Verpflichtungserklärung for multiple people?

Yes, you can invite partners / children of the same family in the same application.

What does a Verpflichtungserklärung cost?

It costs 29€ and you can pay by cash / card at the Ausländerbehörde.

How early can I apply for the visa?

The earliest you can apply is 6 months before your trip starts.

Can I leave the Schengen area and come back?

This depends on your visa. Check your visa on your passport to see if multiple entries are allowed. Next to "Number of entries", it should say " MULT ".

What does the duration of stay mean?

It indicates how long you are allowed to stay in the schengen area within 180 days. If it says 50, then you are allowed to stay 50 days in Schengen area in the 180 day period.

What does the valid from and to mean?

It indicates when you can enter and when you must leave the Schengen area.

What does "Erwerbstätigkeit nicht gestattet" mean?

Schengen visa: If your stay in Germany is up to 90 days, apply for a Schengen visa, often called "short-term visas". Issued as a "C" visa for various purposes including tourism, medical treatment, business, culture, sports, visits, official or political matters, study, internship, scientific research, employment, seasonal employment, training, and more.

National Visa: If your intended stay in Germany exceeds 90 days, apply for a German National visa, commonly known as "long-term visas" or "D visas. The national visa is designed for individuals planning a long-term stay in Germany, exceeding 90 days, for a specific legally-defined purpose. Typically, it is granted for a specified duration, which may extend up to one year in certain situations. After arriving in Germany, you will need to apply for a residence permit, which corresponds to the purpose of your stay.

Work Visa: This visa allows skilled foreign workers with vocational training or a recognized university degree to visit Germany for up to six months. This period allows them to search for a job aligned with their qualifications. If successful in securing employment within six months, there's no need to leave; instead, they can apply for the required residence permit at the Immigration Office. While actively seeking employment, individuals are restricted from engaging in regular employment, with the exception of a trial period of up to 10 hours per week.

Student Visa: If you've been accepted by a German university (including a preparatory language course) or a preparatory college (Studienkolleg), you can apply for a study visa in Germany. It's recommended to secure your admission from the university at the earliest. While studying, you have the option to take up part-time student jobs, allowing you to work for up to 20 hours per week to support your expenses.

Research Visa: Researchers, who can be individuals from non-EU countries, should meet the following criteria to apply for a Research visa:

• Hold a doctoral degree or possess a relevant degree from a German or foreign university that grants access to doctoral programs.
• Have been chosen by a research institution and granted entry into a Member State.
• Engage in a research activity typically requiring such an advanced degree.

This category also encompasses doctoral students enrolled at a foreign university who wish to visit Germany for research purposes.

Family Reunion Visa: You need this visa, specifically a residence permit, in the following cases:

• If you're marrying or planning to marry a German citizen.
• If you're a parent of a German minor child and seeking permanent residency in Germany.

After submitting all required documents, your application goes to the Immigration Office at your intended residence in Germany. Processing usually takes up to 12 weeks, but additional documents can affect this time.

Airport Transit Visa: Indian nationals, in general, are not granted transit privileges and thus need to obtain an airport transit visa (Category A) for transiting through a German airport.

There are, however, exceptions to this requirement:

• Individuals holding valid visas and national residence permits from EU and Schengen countries.
• Individuals with certain national residence permits from specific countries, including Andorra, Japan, Canada, San Marino, and the United States of America.
• Those in possession of valid visas from the EEA countries (the EU, Iceland, Liechtenstein, Norway, and Switzerland), as well as visas issued by Japan, Canada, and the United States of America.

Step 1: Choose Your Visa Type: Start by determining the suitable visa for your Germany trip, ensuring you meet eligibility criteria. Familiarise yourself with required documents, processing times, and fees.

Step 2: Gather Documents: Collect necessary documents for your visa application. Ensure photos meet biometric standards, available at Visa Application Centres.

Step 3: Fill Application Form: Complete the online form, print, sign, and gather required documents. Use the VIDEX format, ensuring a high-quality printout of the barcode. If unable to complete online, print and fill by hand. Authorise someone if fingerprints were taken within 59 months.

Step 4: Schedule Appointment: Book an appointment for application submission and biometric data collection. Confirmation email includes your appointment letter.

Step 5: Pay Fees: Pay visa application fee in cash or by card (Visa, Rupay, Mastercard) at the Visa Application Centre. 

Step 6: Visit Visa Application Centre: For Schengen visa processing in Mumbai, book and submit applications at any VFS Global Visa Application Centre in India . Ensure you bring the application form and required documents as per the checklist.

Step 7: Track Application: Use the VFS online tracking tool , providing reference number and date of birth, to monitor application status.

Step 8: Collect Visa: After processing, retrieve documents and passport from the Visa Application Centre or opt for courier service (additional fee). 

If you prefer to have your passport mailed back to you, please be aware of an additional fee of up to 35 USD. Additionally, if copies of the supporting documents need to be made by the German Mission, an extra fee may apply.

File your Schengen visa application at your Visa Application Centre in three easy steps.

IMPORTANT: Duly completed application forms may be submitted six months prior to the intended travel date. As application numbers peak permanently, applicants are strongly encouraged to apply well in advance of their actual travel dates! This will help towards the smooth organization of your trip. Please note that it can take up to two weeks to process your Schengen visa, and even longer in individual cases. Please keep in mind that the processing time for Schengen visa starts only once the application reaches the Consulate. This might take up to SIX working days depending on the delivery conditions and public holidays. Therefore, please account for delays in the visa processing time during the holiday season.

Step 2: Please fill out the online application form print it out, sign it and submit it along with the other documents. All Schengen applicants are kindly requested to fill in the online application forms according to VIDEX format, which can be found above. Please ensure that a high quality printout of the barcode is submitted with the application. This will shorten the time you spend at the VFS visa application center considerably. In the unlikely case that you cannot fill out the online application form, you may print the application form and fill out the by hand. If your fingerprints were collected in the last 59 months for applying for a Schengen visa in India, you can authorize someone to submit your application. To do so, kindly fill out this authorization letter for the travel agent or the representative and attach a copy of the authorized person along with it! Step 3: Schedule an appointment for the submission of your visa application and submit it at the nearest Visa Application Centre. Kindly note that you have to pay the VFS Service charge already when booking the appointment. Applicants applying for a Schengen visa can submit their visa applications at any VFS centre across India as the application will be forwarded to the German Consulate General Mumbai for a decision. New Schengen Visa rules have resulted in a doubling of Europe-bound senior citizens, a survey by insurance broker Policybazaar.com revealed. The new Schengen Visa rules, announced on April 18, have also spurred significant changes in travel insurance trends over the past few days, including a 3-4 per cent surge in users who booked travel insurance policies, as per the Policybazaar survey.

Travellers to Schengen destinations aged 70 and above have doubled compared with last year's figures. A significant rise in travellers declaring pre-existing diseases was also noted.

The most sought-after add-ons for travel insurance included coverage for baggage or loss of belongings, trip cancellation, adventure sports coverage, and pre-existing disease (PED) coverage, as per the report.

Manas Kapoor, business head of Travel Insurance at Policybazaar.com, pointed out a surge among Europe-bound travellers who booked long-term travel insurance, after the new visa rules came into effect.

The survey noted a 3-4 per cent surge in users who booked travel insurance policies for travels that exceeded 45 days in April 2024. “This trend is expected to rise further due to the relaxed visa norms," Manas Kapoor pointed out.

In the upcoming summer season, 82 per cent of Indian travellers to European countries will be visiting popular destinations like France, Switzerland, Italy, Germany, Netherlands, and Spain, according to the survey.

The survey found a 15 per cent rise in travellers to Europe who declared pre-existing conditions including Diabetes and Hypertension, compared with last year's figures.

But a 40% plunge was recorded in number of travellers buying travel insurance products in Euros.

The new Schengen visa regime entails a stark departure from previous rules. Previously, Indians who wished to travel to one or more European countries were granted Schengen visas for a maximum of three months.

Under the new regime, Indians will be granted Schengen visas for two years, thus facilitating their entry to any of the 29 European countries multiple times. This two-year validity is further extendable by 5 years under the ‘cascade regime’. This means Indian tourists can travel and stay in any of these European countries as visa-free nationals for a longer period.
