First, what does IATA stand for?

As a prospective travel agent (a.k.a. travel advisor), you might assume IATA translates to something along the lines of the “International Association of Travel Agencies.” But the acronym actually stands for International Air Transport Association. 

What’s an IATA number then? What’s it used for?

There are variations, but most IATA numbers are made up of a unique, seven-digit combination. Originally, these numbers were exclusively used to verify air ticket distributors. This allowed early travel agencies to sell tickets on behalf of airlines. 

Over time, IATA numbers’ use grew. As hotel chains and other suppliers began expanding and adopting global distribution systems (GDS) to streamline bookings, it made more sense to use an existing identifier that was already strongly associated with the travel industry than to create an entirely new ID. Thus, the IATA number was adopted as the global standard for recognizing who booked what. 

In other words, the use of IATA numbers has facilitated standardization within the travel industry, enabling smoother transactions and better tracking of bookings across different platforms and systems. There’s a lengthy verification process to obtain an IATA number. This process ensures that a hotel can trust that a travel agent booking is legitimate.

IATA numbers are not the same as IATA codes

If this is your first foray into the travel industry, you may be more familiar with IATA’s work than you realize. IATA codes — those three-letter tags attached to nearly every airport in the world, like LAX for Los Angeles International Airport or LGA for LaGuardia Airport in NYC — have long been the global standard for airport identification. 

Nevertheless, while IATA codes and IATA numbers are issued by the same organization, they have different uses.

Many jobs in the travel industry are associated with IATA numbers, as are tour operators, consolidators (including online travel agencies ), airlines, freight companies, hotels, rental car agencies and other travel industry suppliers.

When the airline industry was taking off in the 1920s, it used travel agencies as intermediaries between travelers and the airlines, mostly to distribute tickets. This system worked, but it lacked standardization and required an airline to vet a travel agency repeatedly to ensure smooth financial transactions. 

When IATA launched in 1945, the organization quickly filled a needed role to act as a middleman between the airlines and travel agencies. Critically, airlines no longer needed to constantly reevaluate a given agency if it was IATA accredited. Since then, IATA accreditation has remained the golden standard for airlines — and now other travel companies — to determine if a travel agency is a reliable partner.

Absolutely. In fact, this is generally one of the most attractive prospects for working with a travel agent host agency. Obtaining an IATA number as an individual agent is fairly difficult and time-consuming. But working with an accredited host agency is generally the preferred path because your host agency covers the legal framework behind getting an IATA number. Purpose of an IATA Number

‌ An IATA accreditation is a seal of approval issued to qualified travel agents and cargo agents of the travel industry. ‌ Approximately 60,000 agents worldwide are accredited with an official IATA number by the issuing body, International Air Transport Association. Founded in 1945, this industry trade association represents approximately 280 airlines in 120 countries.

IATA simplifies worldwide business relationships between certified agents and airlines. A travel agent with full IATA accreditation receives a unique numerical identifier code that authorizes the sale via credit card of international and/or domestic airline tickets. It provides the agent with access to IATA invoicing, billing and settlement plan arrangements between the agent, airlines and transport providers for air tickets. Without it, they can't issue airline tickets.

Effective September 1, 2016, IATA accreditation applications from travel agents moved from paper to online. Any business registered as a travel agency is eligible to apply, pending disclosure and acceptance of certain criteria: general, financial, staff competence, safety and security.

Because IATA is a globally recognized seal of approval, it carries certain responsibilities. IATA travel agents must meet and maintain industry standards. As a result, consumer awareness and confidence is heightened when the IATA credential and branding is displayed on premises and websites. Without IATA accreditation, the travel or cargo agent cannot participate in most global distribution system (gds) transactions and ticketing.

Travel professionals of an IATA accredited host agency are eligible to apply online for an IATA ID card, also known in the U.S. as an IATA/IATAN ID card, making them a IATA accredited agent. Eligible applicants must meet one or more criteria for IATA certification set by IATA in order to fill out the application form:

  • sole proprietors
  • shareholders that own at least 20 percent of the shares in the company
  • any person holding a management position
  • any person working for the agency who is drawing a salary but does not fit into the above categories and is involved in the administration, marketing, finance, operations and/or sale of travel services
  • independent consultant who works for a travel agency pursuant to a written contract or agreement in compliance with applicable laws and regulations
  • owners of record with IATA who devote a minimum of 20 hours per week to the travel business
  • partners and stockholders who own 20 percent or more

With more than 125,000 IATA ID cards in circulation among bona fide travel professionals, suppliers verify cardholders using a system known as Check.a.Code.com .

In the U.S., IATAN recognizes other types of travel professionals with a minimum of two years' documented experience:

  • Certified Travel Associate Program (CTA)
  • Certified Meeting Professional (CMP)
  • Certification in Meeting Management (CMM)
  • Certified Special Events Professional (CSEP)

Agents and IATA travel agencies who qualify and pay fees of approximately $40 annually receive a photo ID card bearing the official IATA Numerical Code, verification number, name of the business and other details. Some airlines may offer an agent discount to card holders, although IATA points out that each airline's policy is determined solely by the airline. Other benefits of the agent experience may include eligibility for special offers for corporate travel, deals and working trips from suppliers. Benefits provided by IATA include discounts on travel agent training courses and travel insurance.

IATA accreditation for air travel: IATA vs IATAN vs TIDS

Demand for air travel is soaring, but it seems to be a less popular choice for Americans

  • North America was the only market where demand for air travel didn't increase by double digits.
  • That's according to data from IATA comparing February to the same month in 2023.
  • IATA chief Willie Walsh also warned politicians not to make flying more expensive with new taxes.

North America has lagged behind the rest of the world as demand for airline travel increased.

Globally there was a 21.5% increase in total demand in February compared with the same month last year, according to data from the International Air Transport Association (IATA) .

The airline trade group measured demand in terms of revenue passenger kilometers (RPK), which is the number of paying travelers multiplied by the distance traveled.

International travel appeared to rise in popularity more than domestic flights . Demand was up more than a quarter compared to a 15% boost for domestic travel.

Since this February included a leap day, there might be an extra bump in comparing the data between years.

However, North America was the only market not to record a double-digit rise in passenger demand.

According to IATA, Asia Pacific had the highest increase in RPK at 37.8%, followed by Africa at 22.5%.

But demand in North America, which accounts for about a quarter of the global airline market, only increased by 8.9%.

The sharper rises in the rest of the world could reflect an ongoing recovery from the pandemic, which happened faster in the US in particular.

"There is good reason to be optimistic about the industry's prospects in 2024," said Willie Walsh, the IATA director-general.

As well as increased demand, he cited more investment in green technologies to help reduce the industry's climate impact .

Walsh also warned politicians to "resist the temptation of cash grabs with new taxes that could destabilize this positive trajectory and make travel more expensive."

He added: "In particular, Europe is a worry as it seems determined to lock in its sluggish economic recovery with uncompetitive tax proposals."

Payment Airlines to take back control of payment

The IATA Financial Settlement Systems (IFSS) continue to perform an essential service for global airlines, facilitating the movement of funds across the air travel value chain while maintaining extremely high levels of efficiency and security.

The IFSS are continually enhanced. Much was learned from reversing the flow of money to pay refunds during the pandemic, for example, and this has led to improved resilience. Areas currently under the microscope include changing customer behavior, new business models and accommodating the multitude of new entrants.

“We want to know where we need to move to in the next three-to-five years,” says Muhammad Albakri, IATA’s SVP for Financial Settlement and Distribution Services. “Where is the value in the IFSS and how should the scope be improved? It must continue to be aligned with airline needs.”

BSP for airline sales collection

One obvious answer is accepting new forms of digital payment. The Billing and Settlement Plan (BSP), one of the IFSS services, is based on a “collect on behalf” model from the travel agencies and also processes debit and credit cards.

But airlines—responding to customer requirements—must be ready to accept many different forms of payment.

The pandemic was an accelerator in the use of different payment instruments, a trend that Albakri believes is here to stay. In fact, there are estimated to be close to 200 forms of payments around the world, many of which are unique to a region or even a country. As many airlines are global entities, they need to assess which forms are the most relevant for their markets and their customer base. Studies have shown that sales can be lost if a customer’s preferred method of payment is not available.

But being all things to all customers is easier said than done. Airlines have a multitude of costly back-office processes to integrate for every payment method, including reconciliation and reporting.

“As indicated by participants in the IFSS, potential opportunities could bring the value the IFSS offers to these other forms of payment as it does for BSP sales,” says Albakri. “In BSP sales, there are strong standards. But the same cannot be said about new digital processes. How is the payment managed, which data element is captured at what point, and exactly how does it get handed over?

“At IATA, efforts are underway through the work of related standard management groups assessing the development of standards to facilitate the adoption of payment instruments that are relevant to airlines and their customers,” he adds. “We are also making solutions available to facilitate payment orchestration and instant bank transfers.”

Digital currencies

Albakri highlights a number of trends in the payment sphere. One of the most significant is digital currencies. This refers to the digitalization of public money or cash from the central bank as opposed to cryptocurrency digital assets. Europe is getting closer to implementing the digital euro, China has already piloted the digital yuan (e-CNY), and the United Arab Emirates will have the digital Dirham by end 2025. In fact, more than 130 countries around the world, representing 98% of global GDP, are reported to be studying the possibilities.

Digital currencies will give central banks better control and full visibility on every transaction and will allow them to incorporate additional services to merchants such as digital invoicing and statements. And it should also help merchants to negotiate better terms with incumbent payment service providers.

Beyond digital currencies, Albakri notes that the digital payment sector has yet to mature. Failures, mergers and acquisitions will therefore be the order of the day over the next few years.

“This is a vibrant, fast-moving sector with huge potential for value creation,” says Albakri. “But that also makes it more difficult to know how the sector will unfold.”

Modern airline retailing

Perhaps most importantly, payment is at the heart of Modern Airline Retailing. Payment encapsulates the end-to-end journey and is a central pillar of the offer and order management process. If airlines aim to be truly customer centric, then they must have seamless, secure, and frictionless payment at the core of their product.

“A superior customer experience starts by making sure that customers can buy and pay without friction, using the payment method of their choice,” says Albakri. “Offering the service that customers want and making available their preferred payment method creates a win-win proposition for airlines and their customers.”

IATA has upgraded its Airline Retailing Maturity (ARM) index with a Payment index. This has been designed for all airlines and assists them in measuring, planning, and assessing their payment and settlement foundations. The aim is to drive value creation and maximize future sales conversions. Albakri suggests that this puts airlines back in control and allows them to build from a stable base.

“Distribution doesn’t happen without payment,” he stresses. “Modern Airline Retailing is transforming the distribution landscape and we must now do the same for payments. For many airlines, the cost of accepting payment is now exceeding the cost of distribution. Airlines need to make sure that standards and processes are put in place for digital payments to benefit the consumer and they do not simply allow third parties to exploit a gap in the market for commercial gain.

“The payment landscape is larger and even more complicated than distribution”, he adds. Airlines have taken back control of distribution, and they now need to take back control of payment.”
