Working with Exotic Estates as a Travel Agent

In order to work with Exotic Estates as an agent and receive commissions on client bookings, we will require you to provide information on your agency, including:

• Your IATA number
• A W9 from your agency (prior to any bookings being confirmed)

We will use this information to add you and your agency to our reservation system.

Commission will be paid in the name of your agency and the agent associated with the booking will be noted. Commission is paid on base rental fees collected, exclusive of taxes and fees.

Exotic Estates reserves the right to adjust the terms of this program at any time. Only verifiable IATA agencies in good standing are eligible to participate in this program.

Partnering with Ministry of Villas is easy and free of charge. We can prepare a contract at a company level or for individual travel agents, after which point you’ll have access to some of the world’s most stunning villas. Why work with us.

There are a lot of questionable companies out there, especially listing properties on sharing economy websites. We personally inspect and approve every villa and only accept properties that are professionally managed, maintained and meet ‘Ministry Approved’ standards. We ensure the villa appears the same as the images online so you and your customer are getting exactly what you pay for.

What services are included by the villas?

Each villa has different inclusions: these range from return airport transfers, in-house chef, spa treatments, security etc. We ask every villa to include WiFi and the absolute essentials (linen, bathroom amenities etc.) to ensure consistency. The majority of villas are staffed and include a villa manager, butlers, housekeeping and maintenance team. The exception is Japan, where most properties operate on a self-service basis. Daily breakfast is also included for most villas, an inclusion we encourage villa owners and property managers to adopt as the most requested convenience. Lastly, Ministry of Villas has a fleet of chauffeured vehicles and a concierge team in each country to provide 5-star service on the ground in the event the villa does not have the capacity to help with the extras your guests’ require.

What is the commission offered?

We offer a commission on all villas, excluding local tax and services. Please note the tax and services can vary depending on the villa – contact our team to learn more about the commission structure.

How do I find options for customers?

Please use the website as a customer would, utilising ‘Be Inspired’ or ‘Search Dates’ functionality. Enter the location, number of guests, budget etc. to narrow down options. When you find a property that meets your customer’s needs, simply click the ‘Reserve’ button and put the property on hold mentioning on the booking form your details. Or send us an enquiry using the contact page and one of our Villa Specialists will reply within 24 hours to offer assistance finding the perfect villa, answering any questions you have, and help you book the property. When contacting our team please identify yourself as a travel agent and it’s always a good idea to include your customer’s names to ensure that we can identify them as your customers.

How does your search tool work?

Our unique ‘Be Inspired’ functionality allows you find villas that perfectly suit your customer’s needs, style and personality. Build your own customised collection of villas and send the link to your customer. We have detailed information on every villa displayed and real-time rates and availability.

Can I place a villa on hold for a customer?

Yes. If you provide us with your customer’s name we will hold the desired villa for them for 48 hours. This way if they come directly to us we send them back to you or if they go direct to the villa it’s on hold for you and the villa will inform us the customer is shopping around.

Do you have the best rates?

Yes! We have fully inclusive rates so there are no hidden fees or surprises. Most websites are riddled with out-of-date calendars, inaccurate prices and require back-and-forth emails – we adapted inventory and channel management software from the hotel sector to this niche so that dates are 100% accurate every time and our partners and customers get the best price guaranteed (our contracts and system ensures price parity with OTA’s such as Booking.com, Expedia etc).

How do I book?

If your customer is happy to go ahead with the booking, Ministry of Villas we will issue you an invoice outlining inclusions, total cost, deducting commission.

How do I pay?

If your customer pays you directly we will invoice your company the net rate (deducting commission) and request payment by bank transfer. There are no bank fees added when booking with Ministry of Villas. You can pay from any bank, anywhere in the world. We can accept all major currencies: AUD, EUR, GBP, JPY, NZD, SGD & USD. Please keep in mind that when paying a deposit for a booking, the balance is kept in the currency of the villa, which is usually USD, except for Japan where the base rate is JPY. Your balance invoice will be calculated using the exchange rate on xe.com at the time it becomes due.

Can my customer pay Ministry of Villas directly?

Yes. We can invoice your customer the gross rate (not mentioning commission) and request payment directly. We shall pay your commission via bank transfer after your customer checks out.

Who arranges pre-arrival details?

Once a booking is confirmed, our concierge team will get in touch with you to arrange any pre-arrival requirements. We can arrange anything at all! Common requirements include: meals for when guests arrive, pre-stocking the fridge, helping arrange baby equipment at the villa, restaurant reservations, massages, ski equipment hire, ski lessons, day trips and car rental – this can all be done prior depending on the villa the client has booked.

What happens if my customer cancels?

If your customer cancels their booking please communicate our Terms & Conditions as cancellation fees apply.

Are there any other benefits?

Your customers will have access to our Ministry Concierge team 7-days a week. Our concierge team can arrange anything your customer’s heart desires! If the primary reason to partner with Ministry of Villas is to save time searching for villas, then the secondary reason is to have a partner to rely on who will ensure your customers’ holidays run smoothly.

Flights , Transfers, Taxis and Car Hire

Our villa specialists will plan the perfect travel itinerary for your clients using their years of experience and genuine passion for providing the very best for our agent partners.

On many of our flights your clients will only be required to pay a 25% deposit at the time of booking, rather than the full cost of booking directly with the airline.

Our flight prices are highly competitive and there are no hidden extras, which means that luggage, taxes and even name changes are all included in the cost.

We are fully bonded with the UK Civil Aviation Authority and have an ATOL (Air Travel Organisers Licence), meaning that package holidays are protected, ensuring financial peace of mind for guests holidaying with us.

We can also arrange pre-allocated seats*, extra leg room seating, business and first class tickets, airport lounge access, extra and over-sized luggage allowances and airport parking.

In terms of ground based transport we can organise and book transport to the airport in the UK and a variety of offerings on arrival at your customer’s destination. Private transfers and taxis, Eurostar, ferries, car hire of all sizes and types and even water taxis are all provided through our trusted supplier network and coordinated by our highly skilled overseas operations team and destination experts

THE PROCESS:

Information that we need from you to find the perfect ‘fit for your clients’

Try to find as much information about your clients as possible.

We would like to know ideally :

• Dates of travel,
• Holiday duration,
• Number of passengers (adults/children/infants) and how many bedrooms required
• Ideal budget
• Any extras required (departure airport, car size etc)
• Which destination(s) they are interested in or destination requirements (eg. near a beach, walking distance to a shop/town, totally isolated, a peaceful area etc)
• Any key priorities for the villa( e.g heated pool, air conditioning, disabled access, tennis court, outside seating and barbeque, boat mooring)
• Any design preferences ie modern or traditional

Once you have discussed the options with our specialists using all of this information, or have been on our website you will narrow down the selection of villas that could  ‘fit’ your customer and confirm availability and pricing with one of our villa specialists. You can show your clients the many beautiful images we have on our website or copy them across into your proposal to your client.

We can hold most villas for 24 hours whilst your clients make an informed decision.

TO BOOK OUR VILLAS

A. The deposit amount will vary according to owner’s requirements and this will be confirmed at the time of booking, starting from 25% and this will be payable to us within 5 days of booking. 

A. The full balance of the holiday price (including any charges made by any supplementary invoices) must be paid by the due date shown on the initial confirmation/invoice; 9 weeks prior to date of departure.

A. We are happy to arrange flights, transfers and car hire, as well as extra special experiences such as cook service. You will be able to find further information on all extras via a link on the villa page.

A. A child should be under the age of 12 on the return journey. An infant should be under 2 on the return journey.

A. Each villa page displays an availability calendar with prices for each week that can be booked. Use the search tool to select your chosen dates and duration of travel and the search will return specific prices in the search results. If you do not enter specific dates, you will be shown a from price which is based on the cheapest week that is available.  Please do always triple check with our villa specialist that the property is available

Your clients can benefit from our overseas offices and representatives who are always delighted to assist with any queries, as they are not only passionate about the countries they represent, but also speak the language, understand the local customs and work closely with villa owners and house managers.

A. Documentation is sent by email approximately two weeks before travelling; these include the villa directions, contact numbers and access instructions. If you would prefer these to be printed and posted along with CV Travel Wallets and Luggage tags please let us know.

Payment terms, details and conditions can be discussed privately by contacting our accounts team who will also be able to send you our agency agreement to set you up as one of our partners.

Visa-free travel to Russia

Several countries now have bilateral agreements in place with the Russian Federation to allow visa-free travel to Russia for their citizens. Unfortunately, however, there is no indication that similar agreements will be reached with the EU, the US, or the UK any time soon.

If you are not a citizen of one of the countries below and do not hold a diplomatic passport, the only other way to visit the Russian Federation without a visa is on a cruise ship to St. Petersburg. This exemption allows you to stay in the city for up to 72 hours without a visa on the condition that you are sleeping on the ship and are accompanied at all times by a licensed tour guide. If your cruise calls in St. Petersburg for 48 or 72 hours, there are companies offering shore tours which include a day in Moscow.

The same visa-free regime is applied to passengers on ferries from Helsinki and Tallinn operated by the company St. Peter Line, although in the case of ferry passengers you need to book your own accommodation. Again, it is possible within the 72 hours to visit Moscow as well. You can find out more about visa-free tours to Moscow and St. Petersburg here .

Nationalities which can travel to Russia without visas are divided into four groups with different requirements and different limitations on length of stay for each group. Even if you do not need a visa to enter Russia, you will certainly need a passport valid for at least six months after the date of your proposed exit from Russia, and you may require other official documents. You will also, like all foreign travelers in Russia, still need to register with the Federal Migration Service upon arrival.

Citizens of the countries of the CIS (the Commonwealth of Independent States) are permitted to stay in the Russian Federation for up to 90 days without a visa.

Citizens of these countries are allowed to stay in the Russian Federation without a visa for up to 90 days in each 180-day period, provided they will not be involved in any commercial or work-related activities during their stay.

Citizens of the countries in this group can stay in the Russian Federation for up to 30 days without a visa. They are not entitled to work while in Russia.

Citizens of these Balkan countries can also stay in Russia without a visa for up to 30 days, but must also show tourist documents (tourist confirmation and tourist voucher) or an official invitation to immigration officials.

Inside Kelly Ripa and Mark Consuelos’ ‘magical’ Morocco getaway

Kelly Ripa and Mark Consuelos are taking fans inside their luxurious getaway to Tangier, Morocco.

The “Live with Kelly and Mark” stars, both 53, took to social media over the weekend to share pics from their relaxing vacation and luxurious accommodations at the Villa Mabrouka .

“Scenes from a magical weekend,” Ripa wrote via her Instagram Stories, sharing a stunning view of the ocean, flowers and palm trees.

Ripa also included plenty of pics from the luxury hotel they stayed at, which starts at $530 per night . One of the snaps showcased the entryway with its black-and-white checkered floors and a gorgeous stained glass chandelier hanging from the grand white ceiling.

The longtime television personality was even able to sneak in a mirror selfie in the entryway that showed her smiling while wearing in a casual athleisure outfit.

Of course, Ripa’s posts also included plenty of pictures of her and her husband of 28 years enjoying their escape from reality.

When the duo weren’t staying at the hotel, they ventured to the Tangier American Legation –– America’s “oldest diplomatic property” and museum.

Consuelos appeared to also be taking photos while walking around the garden and taking in the stunning views.

After exploring during the day, the couple got all dolled up to attend a party at the hotel’s terrace restaurant, L’Orangerie.

Ripa wore an ivory blazer over a white dress, while Consuelos opted for a long white T-shirt under a tan blazer and tan pants.

The long white dining table at the bash seemed to be set for around 50 guests and had small table lamps and vases with white flowers running down the center.

The Villa Mabrouka opened its doors last spring and has just 12 rooms in the entire property, which once belonged to famed fashion designer Yves Saint Laurent.

The hotel includes views of the Mediterranean Sea, two crystalline swimming pools, three restaurants and access to garden pavilions where you are “transported immediately into the feeling of paradise,” according to their website.

Ripa made it back in time for Monday’s live taping of “Live with Kelly and Mark.” However, Andy Cohen filled in for Consuelos, who hopped on a different flight to visit Italian soccer team Campobasso 1919 in Molise, Italy.

The co-hosts are no strangers to sharing social media posts from their extravagant vacations over the years. In September, the “All My Children” alums took their three children –– Michael, 26, Lola, 22, and Joaquin, 21 –– to a tropical destination to celebrate the end of summer.
