If you are a citizen of an EU member state the only thing you need to have to enter Poland is a valid travel document or a document confirming identity and citizenship (i.e. your national ID). However, if you wish to travel abroad during your stay in Poland it is a good idea to have a passport with you, as it is necessary to visit some of Poland’s neighbours that do not belong to the EU.

For a stay shorter than three months there are no formal requirements. Your studies will, however, take longer. For such a stay a registration of residence is necessary, one should register with Voivodship (Provincial) Office.

Two main documents that are required when entering Poland by the non-EU citizens are a valid travel document (passport) and a visa (if required).

As a general rule, you would need a visa to enter Poland. However, foreigners from a number of countries are exempted from a visa requirement when entering Schengen Area for the periods not exceeding 90 days within a 180-day period: One can check the list of the countries ie here: https://udsc.gov.pl/en/cudzoziemcy/obywatele-panstw-trzecich/chce-przyjechac-do-polski/czy-potrzebuje-wizy/

Poland is a part of the Schengen Area, so you can apply for a Polish visa and travel all around Europe (excluding the United Kingdom, Ireland, Cyprus, Bulgaria, Romania, Croatia and states outside of the EU).

There are several types of visas to choose from:

“A” type – an airport transit Schengen visa, so it cannot be used by a student coming to Poland “C” type – a short-term Schengen visa allowing the holder to stay in the Schengen territory for up to 90 days in 180 days period “D” type – a long-term national visa issued for up to one year allowing travel around the Schengen area for up to 90 days in a 180 days period A visa can only be extended in exceptional situations. Should you need to stay in Poland longer than specified in your visa please do apply for the temporary residence permit (see below)

5 easy steps to get a visa

1) Find a Polish Consulate/ consular section of the Embassy of the Republic of Poland that can process your application. You can use the MFA’s search engine  https://www.gov.pl/web/diplomacy/polands-missions-abroad

2) Read carefully ALL the information concerning visa application on the consulate’s website and follow ALL the instructions.

3) Set a visa appointment with the consulate. In most cases, you will have to register through the website:  https://secure.e-konsulat.gov.pl/

4) Prepare the necessary documents, including application form, travel document (passport), biometric photo, health insurance, sufficient means to support yourself, documents confirming the purpose of your stay. The specifics of the required documentation may vary among consulates, so confirm them with the consulate’s website.

5) Submit all the documents including a printed and signed application form and the visa fee. Your visa application is complete. It should take up to 15 days for it to be reviewed.

Early submission of visa documents is advisable as in some cases procedure may take a considerable amount of time.

Who needs it?

Every Non-EU student needs it.

You should apply for a Temporary Residence Permit before your visa expires.

When you receive the permit you will be issued a Temporary Residence Card, an ID card that proves that you have a residence permit. Together with your travel document, it allows you to cross the Polish border as many times as you wish. The first residence permit is issued for a period of 15 months. It can be renewed for periods of up to 3 years but for no longer than the remainder of your studies.

REMEMBER: You should apply for the Temporary Residence Card when you are legally staying in Poland, which means after you arrive, but before the expiry of your visa

Application

You have to apply for a Temporary Residence Permit with the local Voivodship Office. You can find a complete list of offices here:  https://udsc.gov.pl/en/cudzoziemcy/obywatele-panstw-trzecich/chce-przedluzyc-swoj-pobyt-w-polsce/zezwolenie-na-pobyt-czasowy/studia-i-nauka/nauka/  The documents you will need to legalise your stay include an application form, photos and documents proving your identity and citizenship, address, the purpose of stay (a certificate from your school) health insurance and possession of sufficient funds. EU students

EU students do not need to apply for temporary residence permits. As UE citizens they should only apply for registration of their stay with local voivodship office within 90 days of their arrival. They will be issued a cost-free certificate of registration with a non-limited period of validity proving their right to stay in Poland. Few years ago I flew to New York to renew my Polish passport. I was pregnant, it was hot and I definitely did not expect to stand in line at the Polish consulate for few hours, before I was able to file my form…

I bet a lot of you know the pain! My friend who lives in New York came to the consulate with me. We got there fairly early in the morning and I could not believe how long the line outside of the building was…I almost faded just thinking about the long hours ahead of me, but being pregnant of course had a lot to do with me not feeling well at the same time. It was a really hot day.

Fortunately, people in front of me were super nice. It was obvious that I was pregnant and they let me go ahead of them, so I can at least get inside of the building and be inside with ac going. It still took me about 2 hours to stand in line once inside of the building. But if not my cute baby inside me, I probably would have been there most of the day.

Well, I have to take a trip to New York again sometimes soon to do the same thing. I wasn’t really looking forward to it, until I found out that there are no more lines at the Polish consulate!!! Now you can register your visit online, with a specific date and time! All you have to do is to show up on time! Awesome:)

All you have to do is visit this  website. The links to register your visit online are on the right site of the website and they are very easy to use. The website explains everything:

  • Once you access www.e-konsulat.gov.pl , select the desired diplomatic facility:Country/Region – USA Diplomatic mission – New York
  • Next, from the menu on the left, select the option: Visits => Passport matters.

The visa application can be lodged no earlier than 6 months and no later than 15 days before the date of planned entry. In the case of seafarers, it is possible to lodge an application 9 months before the date of planned entry.

When the main purpose of the trip is to stay on the territory of the Republic of Poland or such a member state cannot be indicated, but the crossing of the external border of the Schengen area takes place across the border of the Republic of Poland, the authority competent to consider the application is the consul of the Republic of Poland.

The application, as a rule, should be lodged to the consulate competent for the place of residence of the foreigner. The authority examining the application (consul) may (but does not have to) consider the application from a person legally staying in a given consular location.

In special and urgent situations (e.g. death of a relative, accidents, humanitarian reasons), when it is impossible to submit a visa application at the consulate, it is possible to submit a visa application at the border.

In some cases, the application may be considered by the minister competent for foreign affairs – also in this case the application is submitted through the consul.

E-consulate, applying to an external service provider

In some consular locations, it is required to register a visa application or make an appointment for a consul through the e-Consulate system ( https://secure.e-konsulat.gov.pl ).

Some consulates of the Republic of Poland also use the possibility of lodging an application through an external service provider. Detailed information can be found on the websites of individual consulates of the Republic of Poland.

In addition, Article 79a of the Law on Foreigners created a legal basis for accepting applications for a national visa on the territory of the Republic of Poland for specific categories of foreigners listed in the Regulation of the Minister of Foreign Affairs of August 18, 2022 on the issuance of national visas to foreigners residing on the territory of the Republic of Poland (Journal of Laws of 2022, item 1809 ).

When applying for a Schengen visa, the Republic of Poland is represented by other Member States in certain consular locations. In this case, as a rule, the application for a Schengen visa is lodged at the consulate of the represented State, which regulates the procedural details of the application (issues of personal appearance, the possibility/necessity of submitting an application to an external service provider), and its law regulates possible appeal process against the visa decision.

Purpose of the application

When completing the visa application, the general purpose of applying for the type of visa should be indicated, however, the specific purposes of issuing visas (both Schengen and national) and the rights resulting from them are indicated by national law, in the case of the Republic of Poland these are the provisions of Article 60 of the Act on Foreigners:

visiting family or friends;

participation in sporting events;

conducting business activity;

performing work on the basis of a statement on entrusting paid activity to a foreigner entered in the register;

performing work on the basis of a seasonal work permit;

performing work other than that specified in the previous paragraphs (applies to the performance of work under a work permit or a case in which a foreigner is exempt from such an obligation);

carrying out cultural activities or participating in conferences;

the performance of official tasks by representatives of an authority of a foreign state or an international organization (it may be issued as a diplomatic or service visa);

complete first-cycle, second-cycle or long-cycle studies or doctoral school education (including a preparatory course for studies);

vocational training;

education or training in a form other than that specified in the previous points (applies to education in secondary schools, post-secondary schools, postgraduate studies, MBA courses, etc.);

didactic (applies to academic lecturers, teachers, foreign language teachers);

conduct scientific research or development work;

complete a traineeship;

participation in the European Voluntary Service programme;

air transit;

joining or staying with a citizen of another Member State of the European Union, an EFTA Member State – a party to the Agreement on the European Economic Area or the Swiss Confederation (concerns the exercise of rights under Directive 2004/38/EC);

participation in a cultural or educational exchange programme, a humanitarian aid programme or a holiday work programme;

arrive on the territory of the Republic of Poland as a member of the immediate family of the repatriate;

arrival on the territory of the Republic of Poland as a member of the immediate family of a person staying in Poland on the basis of a permanent residence permit obtained on the basis of the Pole's Card;

use the rights resulting from the possession of the Pole's Card;

repatriation;

application of the temporary protection;

arrival for humanitarian reasons, due to the interest of the state or international obligations;

application of a temporary residence permit issued for the purpose of family reunification;

application of a temporary residence permit issued for the purpose of performing work as part of an intra-corporate transfer;

other than those mentioned above.

As a rule, the type of visa that a foreigner should apply for depends on the length of the planned stay on the territory of the Republic of Poland – if the foreigner plans to stay longer than 90 days during the year, they should apply for a national visa; if shorter – for a Schengen visa.

Article 60(2) of the Act on Foreigners introduces the following exceptions to the above rule:

visas for transit or air transit shall be issued only as Schengen visas;

visas for the purpose of conducting scientific research or development works, completing an internship, participating in the European Voluntary Service program, repatriation, coming to the territory of the Republic of Poland as a member of the repatriate's immediate family, exercising the rights resulting from the possession of the Pole's Card, arriving on the territory of the Republic of Poland as a member of the immediate family of a person staying in Poland on the basis of a permanent residence permit obtained on the basis of the Pole's Card, and the application of temporary protection shall be issued only as national visas.

The purpose of the application indicated in the application for a Schengen visa or in the application for a national visa shall indicate only the general purposes for issuing the visas. The consul, on the basis of the information provided (in the application and accompanying documents) during the examination of the application, indicates on the visa sticker the appropriate purpose of issuing the visa, in accordance with the Regulation of the Minister of Internal Affairs and Administration of 22 March 2022 on visas for foreigners (Journal of Laws of 2022, item 827)

In the case of applications for a Schengen visa lodged as part of the visa representation, the regulations of the states representing the Republic of Poland shall apply regarding the indication of the purpose of issuing the visa.

Formal requirements

Articles 10 to 15 of the Visa Code regulate the formal requirements for lodging application for a Schengen visa; Article 77 of the Act on Foreigners regulates the formal requirements for lodging an application for a national visa. In addition, in the case of issues not specified in the Act on Foreigners, the provisions of the Visa Code apply in the alternative.

a. Schengen Visa

In the case of an application for a Schengen visa, the applicant shall:

complete the application for a Schengen visa (Annex I to the Visa Code) common to all Member States;

present a travel document which is valid for at least three months after the planned date of the last departure from the Member States, contains at least two free pages and has been issued within the last ten years;

submit a photograph in accordance with the technical requirements set out in ICAO Document 9303, Part 1, Edition VI (or an appropriate facial image is taken from it at the time of application;

allows fingerprints to be taken (unless the fingerprints were taken on a previous Schengen visa application within the last 59 months, is not a child under the age of 12, a person from whom it is physically impossible to take fingerprints, or is not a head of State or government, a member of a national government or a spouse accompanying them, a member of an official delegation, monarchs or a valid ranking member of the royal family invited by the governments of the Member States, or international organisations for official purposes);

pay the visa fee;

provide the supporting documents indicated in Article 14 and Annex II to the Visa Code or indicated as equivalents in the framework of local Schengen cooperation;

provide, where applicable, proof of possession of adequate, valid travel medical insurance.

b. National Visa

In the case of an application for a national visa, the applicant shall:

fills in the application for a national visa indicated in Annex 2 to the Regulation of the Minister of Internal Affairs and Administration of 22 March 2022 on visas for foreigners (Journal of Laws of 2022, item 827)

a photograph meeting the following requirements:

undamaged, colourful, with good sharpness, 35mm x 45mm, made no earlier than 6 months before the date of submission of the application, depicting the image of the applicant's face from the top of the head to the upper part of the shoulders, so that the face occupies 70-80% of the photograph, on a uniform light background, in a frontal position, looking straight ahead with open eyes, unobstructed hair with a natural facial expression and closed mouth, as well as reflecting the natural colour of their skin, clearly depicting the eyes of the foreigner, especially their pupils, where the eye line should be parallel to the upper edge of the photograph.

supporting documents establishing:

the purpose and conditions of the intended stay; possession of sufficient financial means to cover the costs of living throughout the period of the planned stay on the territory of the Republic of Poland and for travel to the country of origin or residence or transit to a third country that will allow its entry, or the possibility of obtaining such lawful means; having health insurance or travel medical insurance; credibility of the foreigner's declaration of intention to leave the territory of the Republic of Poland before the expiry of the visa; other circumstances given in the application.

present a travel document which is valid for at least three months after the planned date of the last departure from the Member States, contains at least two free pages and has been issued within the last ten years.

The standard visa fee - 80 €

The reduced visa fee for children aged 6 to under 12 years - 40 €

The categories of persons are exempt from visa fees for Schengen visas: children under 6 years of age and the scientists travelling to attend a scientific seminar or conference.

Citizens of Belarus and Ukraine are exempt from the visa fee.

What are the rules for a Passport and Visa Visit to the UK?

Notice on the Polish Government website that all types of passport and visa applications will be accepted during the additional call duty at the Embassy of the Republic of Poland in London.

However, you must remember that you must come with a complete set of required documents and a printed and completed passport and visa application. You need to be on time for the meeting.

One of the top five largest states in Europe in terms of population, Poland attracts many tourists. Warsaw, its capital, has a fascinating history, while the country in general is renowned for its friendliness and accessibility.  

You may need a visa to travel to Poland, depending on where you are from (nationality), the length of your trip (duration of stay), and your reason for travel (type of visa needed). 

There are numerous types of visas for Poland, which are valid for travel for specific purposes and times. Different Poland visas have different Poland visa requirements and validity periods.

In general, Poland visas can be divided into two main categories: short stay visas and long stay visas (a long stay visa for Poland is required for those looking to spend more than 90 days in the country).

Another main distinction relates to allowed entries: a single entry will allow you just one entry into the country; a multiple entry visa for Poland will let you enter and exit as many times as needed.

The following documents are typically required for all visas to Poland:

Official, government-issued document, not older than 10 years, with the correct validity length (a minimum three months past the intended day of exit from Poland)

Your Poland visa fee will depend on the type of visa you are applying for, and possibly other factors, such as your age. The basic adult Schengen visa fee for Poland is 80 EUR (long stay visa fees vary). Fees are generally non-refundable, even in the case of a denied visa.

All applicants should begin by accessing https://secure.e-konsulat.gov.pl . From there, you will do the following: Determine where to apply Find the physical destination for your application (the Poland Embassy/ Consulate or associated visa-application center where you live) by entering your country of residence in the search box. Choose your visa duration Determine how long you intend to be in Poland i.e. what type of Poland visa you need: long, short, or airport. Once you know, you will select either the Schengen visa or National visa “type of service” to access your correct form and make an appointment. Schedule your visa interview Almost all Poland visa applicants, even those who apply online, must attend a visa appointment at their application destination. Scheduling a Poland visa interview can take days, weeks, or even months if you apply through the Poland visa portal, you should be able to view appointment openings and ultimately schedule your interview online. Alternatively, you may need to reach out to the application destination directly (via email/phone) to make an appointment.

Access the preliminary application form Fill out the basic online information, including purpose Schengen visa or national visa type), entry category, and other essential information. Poland visa application processing occurs at Polish embassies and consulates (and their associated visa application centers) around the world (application destination). While Poland has an online application system, applicants must also fulfill the in-person Poland visa requirements at their application destination. If you are outside of Poland and are applying for a Poland visa, you will apply through the Poland embassy/consulate or visa application center where you live. If there is no Poland mission in your country, you will likely apply for your Poland visa through the embassy/consulate of another country, which is representing Poland interests abroad.

Applicants for short-stay visas to Poland are advised to submit their application a minimum of fourteen days before their intended trip. And while applying well in advance is recommended, applying too early (i.e. over six months before departure) is discouraged.

The Poland visa application processing time varies. Factors which determine how long it will take to get your visa include the following:

  • Your nationality 
  • The completeness of application 

Depending on all of these factors, you could expect to receive a visa in days, weeks, or even months after you apply. 

Depending on where you are from, you may need a visa to enter the country, regardless of how long you intend to stay. Some nationalities do not need a visa to travel to Poland. Regardless of your nationality, however, you will need a visa if you intend to stay in the country longer than 90 days and you are not an EU/EEA/Swiss citizen.

The amount of money you need depends on the Schengen country you are visiting. You will likely need to show several months proof of salary/bank statements in order to meet the Schengen proof of funds requirement.

These factors will determine the type of visa you need. In addition to visa type, you should also determine how many entries you need—i.e. whether you need a multiple entry visa for Poland or a single entry visa for Poland. 

Rejected Schengen visa applicants can appeal the decision, reapply, or apply for another travel document for Poland (different Poland visa, such as a Poland Student visa or Poland Tourist visa).

How to book an appointment?

To apply for a visa, please schedule an appointment through the e-konsulat system. Appointments can be booked between 15 days and 6 months prior to your intended travel date.

When applying for a national work visa, follow these steps:

1. Visit the E-Konsulat page.

2. Choose the visa type: national visa - Register Form.

3. Agree to the general terms and conditions.

4. Fill out and save a preliminary visa application with accurate data matching your documents.

5. You'll receive an email requesting confirmation of your preliminary application within 48 hours. Confirm promptly.

6. Once confirmed, your data will be verified. You'll receive verification results via email. A positive verification allows you to complete the full visa application within 48 hours. Failure to do so will result in cancellation of your booking and removal of data from the system.

7.If the number of correctly verified applications exceeds the available visit dates for a particular consulate within a given period, appointment dates will be assigned through an electronic draw.

8.Once your application is drawn, we will email you the appointment date. Other applications will continue to participate in subsequent draws until selected or until the expiration of your document entitling you to work in Poland.

9.Upon receiving the confirmation email with the appointment date, you must personally submit the printed and signed application along with all required documents on the specified day. 

Waiting time:

The visa decision is typically reached within 15 working days from the date of application fee payment. If further document examination is required, the processing period may extend to 30 days. However, for national visas related to studies, research, internships, or volunteering, or for visa refusal decisions, the processing time may take up to 60 days from the application submission date, including the submission of necessary supporting documents and justifying circumstances.

How to collect the documents :

Visas must be collected in person during Visa Section working hours: Sunday to Thursday, from 9:00 to 14:00, upon presentation of a receipt. Alternatively, it's feasible to send passports with granted visas only, not refusals, via courier at the recipient's expense. A written application with justification is necessary for this service.

Depending on your planned itinerary or tour package, you should be advised where to apply for a VISA on their respective embassy offices here in Doha — or in most cases, VISA centers. Here are the steps on how to apply for Poland Schengen Tourist VISA in Qatar:

1. Visit Poland Embassy’s website here for the application instructions or directly log on to https://secure2.e-konsulat.gov.pl , check for available dates and schedule for an appointment.

2. You need to electronically fill in the form online and print it out directly and sign each page. But before filling in the online form, please read carefully the instructions, especially when typing the dates as they have a specific format that needs to be followed.

3. Prepare the required documents with both the original and photocopy versions available.

4. Submit the documents to the embassy. Lodge your application personally and have your biometrics taken on the date mentioned in your appointment slip. Please be advised that the embassy is very strict with the appointment time. Applicants who come in late — regardless of the excuse — will not be entertained (especially if the schedule is full).

5. Pay the appropriate VISA fee amount as well as service fees. You can pay directly to the embassy itself. Please note they only accept cash and the fees are non-refundable and subject to change as per the embassy policy.

6. As per usual procedure, approval takes 1-2 weeks (could be earlier or longer depends on the documents submitted). The embassy does not process rush applications so be sure to give enough allowance before your flight. You can apply as early as 3 months prior to your flight.

Schengen Tourist Visa Fee is QAR 252.00. IMPORTANT NOTE:  If your Poland Schengen tourist visa application is approved, double-check the details on your visa as any minor difference or mistake can cause more trouble when you are already on your flight.
