Copywriting is a challenge for a lot of travel agents, so if you’re struggling in this area, you’re not alone. 

The bad news:   Having lackluster copy will dramatically limit your success as a travel agent.

The good news:   Significantly improving your copywriting skills is relatively easy, and I’m going to help you do it.

Knowing how to write copy that connects with your ideal client, creates emotional appeal, and cuts through the noise has the power to dramatically improve your business success.

Our world is drowning in a chaotic sea of information, blog posts, status updates, flashing ads, and pay-attention-to-ME syndrome. 

Just think how hectic it is to even scroll down your Facebook feed these days.

Before I send you access to the powerful 3-step copywriting process , you need to know, understand and follow these five simple copywriting rules. 

#1:   Thou shall always write as if you’re speaking directly to one person. 

When you say things like “hello everyone”, your audience feels as though you’re not talking to them.  To build rapport with your audience, speak from the heart directly to them. Whenever possible, use the words “you” and “your”.  The more you use those words, the more your reader feels as though you are speaking directly to them.

#2:   Thou shall keep it digestible.  

Use short paragraphs and bullet points.   Keep in mind that many of your readers are reading your copy on their phones.

#3:   Thou shall always be clear.  

Being clear means that your readers don’t have to think twice about what they just read.   To do this, keep your copy uncluttered, and don’t be overly clever.

#4:   Thou shall be concise.  

Don’t use run-on sentences, and actively cut out extra words. 

#5:   Thou shall never write a sentence in all caps!  

You could write a word or two in all caps if it’s appropriate and if you’re trying to make that word or phrase really stand out – but never write a full sentence or your reader will think you are screaming at them.  Plus, it’s hard to read copy written in caps.

Should I make a photocopy of my passport?

Since you already know that making a photocopy of your passport is possible, now comes another question: Should you do it?

Generally, photocopying your passport is optional, but it can certainly improve your (traveling) life when unexpected situations occur.

It may happen that your passport gets lost, or even worse—stolen. 

Regardless of your current location, you must contact relevant authorities (e.g., a passport office) and inform them about this fact. 

Having a copy of your passport will help you expedite the process of getting a replacement passport.

A passport photocopy will also come in handy in the case of a damaged passport.

  • Open your passport book on the first and second pages.
  • Put an open passport upside down on the scanner.
  • Study the printer settings carefully—the default options might be too dark*.
  • Set the highest possible quality and preferably change the settings from “grayscale” or “black and white” to “color.”
  • Click the scanning button.

*Look for the “density” feature and ensure it’s set to “normal” or “0” (depending on your copier) to avoid getting photocopies that are too dark.

Depending on your device, your photocopy might get printed instantly or be saved on your computer in a digital version.

The latter option might be even more comfortable as you can store your passport as an electronic copy on your mobile device.

Can I travel with a photocopy of my passport?

No. A passport photocopy is not a valid ID form, so you can’t board a plane with only a copy or scan of your passport. However, it can help you in administrative situations, like passport replacements or renewals.

What can I use a photocopy of my passport for?

When you lose the original passport or it gets stolen, a photocopy will come in handy to expedite the renewal process or get a replacement, depending on your situation.

The next day, they emailed me saying that my card details 'didn't match' (the exact wording - grammatical mistakes in the email) and that they required a scan of the front and back of my card. I haven't got back to them yet, offices open tomorrow presumably. I have checked and the money hasn't come out of my account yet.

I'm really tried I am going to get ripped off here, I've never heard of an airline or travel agency requiring a copy of my passport, let alone my debit card. If they needed a scan of my card all along, why didnt they ask it straight away? And if as their email suggests, they only want the scan because the original details didnt go through - why not just ask me for them again?

On the verge of going elsewhere, but would ideally not want to as they had cheaper flights than other sites and the prices will have gone up a lot more by now.

I've seen some other similar topics on this, by not really any definitive answers on whether this is normal / safe.

I should say that I got their details from my dad who had been researching for me, who got it off the Internet. Their website app are to checks out, the company behind their trading name is ATOL registered, but the whole thing still stinks a bit to me.

Any advice would be really appreciated.

I personally would never pay by debit card and/or provide a scan of the front/back of any credit/debit card as you expose yourself to all sorts of risks - not sure how the card provider would react if you had any subsequent issues.

If you don't want to proceed they will happily refund you but it could take around 3 months and you are unable to book elsewhere as your money is tied up whilst they earn interest on it.

Save yourself a lot of potential problems and book direct with the airline or a well established full service travel agent rather than a dubious online only 3rd party ite.

1. It may already be too late to stop a debit coming off your card if (as I suspect) they do indeed have all the card account data they need to make a charge.

2. Asking for a scan (nb just don't) may well just be because they are going to charge you more when...surprise, surprise.... that initial fare is not available.

3. As you didn't use a credit card, you'll have difficulty getting a "charge back".

4. I recommend that when you telephone them you record the call (easily done using something like calltrunk.com) so you have a record. It is perfectly lawful in the UK to record a telephone conversation as long as one party (in this case, you) knows this is being done. The other party need not be informed. State clearly you do not wish to purchase, and ask them to specifically state whether they have, or intend to, charge your card.

Its not at all uncommon to ask for scans like this. Some genuine companies do it as do some who are shysters. My issue is the downstream risk of ID fraud who knows what happens to all that information? Where would you stand if that information was exposed to fraudsters (even if these jokers are genuine)and your bank found out this had happened? They might say "your problem chum, you gave all that info out and our Ts&Cs say never to do that.

I'd also be interested to know just how much money you are really saving. At the end that is, when all final and subsequent charges have gone on. Probably peanuts if anything.

p.s. oh yeah .. big problem using a debit card especially with a company like this you never heard of or have any experience of. If something goes awry, your money is gone. Good luck getting it back.

Actually not correct Jackie - it's fine to record a conversation, and if the company involved then asks to hear the recording that too is fine. But you're right that the recording can't be given to third parties or anything.

Can I record telephone conversations on my home phone?

Yes. The relevant law, RIPA, does not prohibit individuals from recording their own communications provided that the recording is for their own use. Recording or monitoring are only prohibited where some of the contents of the communication - which can be a phone conversation or an e-mail - are made available to a third party, ie someone who was neither the caller or sender nor the intended recipient of the original communication. You can adapt it to give your clients a detailed itinerary, or to use it as a sample itinerary for particular destinations to help entice your travelers.

Where to Apply

Provide a photo identification document (ID) when applying in person  if you are:

  • Over age 18
  • A parent or guardian applying with your child 

The ID must:

  • Be a physical document
  • Include your photo
  • Be issued by the government

Bring the ID and a photocopy of the ID when you apply

Submit a photocopy of the front and back of each ID that you present when you apply.

  • Your photocopy must be on white, 8.5'' x 11" standard paper, in black and white, and on one side of the paper. 
  • Do not decrease the image size. You may make the image size bigger.

Primary ID (submit one)

  • Valid or expired, undamaged U.S. passport book or passport card 
  • In-state, fully-valid driver's license or enhanced driver's license with photo
  • Certificate of Naturalization 
  • Certificate of Citizenship 
  • Government employee ID (city, county, state, or federal)
  • U.S. military or military dependent ID
  • Current (valid) foreign passport
  • Matricula Consular (Mexican Consular ID) - commonly used by a parent of a U.S. citizen child applicant

  • Trusted Traveler IDs (including valid Global Entry, FAST, SENTRI, and NEXUS cards)

  • Temporary driver's license with photo. 

Notice on Digital ID Documents : Some states have digital ID documents, mobile driver's licenses, or mobile IDs. We cannot accept these digital IDs when you apply for your U.S. passport. You must give us a physical, photo ID and a photocopy of the ID.  

Secondary IDs (submit at least two from the list below)

  • Out-of-state driver's license or enhanced driver's license with photo
  • Learner's or temporary driver's permit (without a photo)
  • In-state, fully valid non-driver ID (without a photo)
  • Out-of-state, non-driver ID
  • Temporary driver's license (without a photo)
  • Social Security card
  • Voter registration card
  • Employee work ID
  • School yearbook with identifiable photograph
  • Selective Service (draft) card

Applying Out of State

If you apply out of state, please present an extra ID. It should show as much of the following information as possible:

These days many people skip out on a travel agent in lieu of booking their trip online, but if you’re a frequent traveler, you may want to become a travel agent yourself. Why? Because it can save you a lot of money — and may even earn you some in the process.

Let’s take a look at how to become a travel agent, why it’s something you may want to consider and the ways it can work for you.

Why become a travel agent?

Have you ever obsessively researched the best hotels in a city you’re planning to visit? How about checking seat maps on an airplane? If getting into the nitty-gritty of travel logistics is something you do in your spare time, you might also enjoy becoming a travel agent.

Not only do you get to plan trips for others, but you’ll also be able to take advantage of special discounts on many facets of travel.

This is true for your clients, but also for yourself. Travel agents have access to a variety of discounted rates on both airlines and hotels, even when booking travel for themselves.

How to become a travel agent

Find a program.

Becoming a travel agent isn’t as simple as declaring yourself one. Typically, the first step is to sign up for a program that’ll teach you the basics of running your own travel business.

There are a variety of programs to choose from, depending on your interests and career goals. Most programs will teach you about the business side of being a travel agent as well as how to plan trips, so your courses in itinerary planning and travel insurance will be coupled with business ethics and customer service.

If you’re wondering how to become a travel agent from home, don’t worry. Many of these courses don’t have to be done in person; there are online programs that will teach you everything you need to know from the comfort of your living room.

Apply for certification

Once you’ve completed your coursework, you’ll want to apply for certification. Although there is no single standard that designates you a travel agent, there are a number of different identifiers that you can acquire. Some of the more common ones are:

International Air Transport Association, or IATA, which allows you to book travel on domestic and international airlines.

Travel Industry Designator Service, or TIDS, which allows agents to book trips with a variety of travel suppliers and receive commissions.

Cruise Lines International Association, or CLIA, which provides agents the ability to book trips on cruises around the world.

In order to access Marriott’s travel advisor rates, for example, you can use any three of these designations, along with a variety of others.

Each of these associations and identifiers have different implications for your business, so you’ll want to be sure you’ve fully researched them before applying for membership.

Save money as a travel agent

Once you’ve qualified as a travel agent, what comes next? If you travel frequently, becoming a travel agent can be a huge benefit to you, as it offers discounted rates and access to luxury travel options.

Discounted rates

Travel agents have access to negotiated rates that aren’t available to the general public. The exact amount will vary depending on the business. Hilton, for example, will give personal travel discounts of 50% off at newly-opened hotels and up to 25% off at the remainder of hotels within Hilton’s portfolio.

Hyatt, meanwhile, will give you a discount on personal travel of up to 50%, but only during select dates of the year. And although not all airlines give discounts to travel agents, many do.

Regardless, these are some pretty spectacular savings, and if you’re looking to save money on your vacations, being a travel agent can help.

Luxury programs

Becoming a travel agent isn’t only about saving money, however. It also grants you access to many hotel chains’ luxury travel programs.

If you’re big into elite status benefits, this is definitely something you’ll want to consider — especially since you don’t need any status at all to receive these perks, as long as you book through the hotel’s agent portal.

Most major hotel chains have these programs, including Hyatt Privé, Hilton Impresario, Marriott STARS & Luminous, Four Seasons Preferred Partner, Belmond Bellini Club, Rosewood Elite, Mandarin Oriental Fan Club and Shangri-La Luxury Circle.

While benefits vary by brand, many of these offers include things like room upgrades, complimentary breakfast, early check-in or late checkout and credits for expenses like dining or spa services. General consumers aren’t eligible for these programs, but once you’ve become a registered travel agent, they become accessible to you; however, some programs — such as Hyatt Privé — are invitation only.

For the most part, booking rooms through these programs shouldn’t cost more than the standard rate you’d be paying anyway, so you have the potential to get big benefits without shelling out any additional money.

However, note that these numbers don’t take into account any other discounted rates for which you may be eligible, such as those offered to American Automobile Association members and veterans .

Earn money as a travel agent

Of course, becoming a travel agent isn’t all about scoring discounts for yourself. If you’re looking to earn some money, being a travel agent can be a good way to do so.

Note that travel agents operate in a customer-facing role, so you’ll also need to be able to build client relationships and be comfortable with sales. Courses such as those mentioned above can help train you to do this and run a successful business.

If booking travel and organizing trips for others is something that appeals to you, there’s definitely money to be earned. Marriott, for example, gives agents a commission of between 8% and 10% for all eligible stays booked.

American Airlines has multiple travel advisors up in arms after it announced plans to restrict AAdvantage Miles earnings for certain booking agencies.

The airline behemoth  announced  in February that flyers hoping to earn AAdvantage miles for their flights will have to do so directly through American, their airline partners, or preferred travel agencies recognized by the company.

The change will take effect on May 1, but American has yet to reveal which agencies will be included in its “preferred agencies.”

The change comes as part of the airline’s effort to minimize costs for agencies using older technology booking systems.

The airline has tried to convince agencies using the older booking systems to upgrade to newer platforms like the one American uses on its website.

While American  announced  a list would be shared in “late April,” agencies unsure if they’ll make the cut are expressing their distaste for the major change.

The American Society of Travel Agents (ASTA), Association of Canadian Travel Agencies and Advisors (ACTA), Foro Latinoamericano de Turismo (FOLATUR), and World Travel Agents Associations Alliance (WTAA) emphasized that any plans to restrict their clients’ earning miles could be detrimental to their agencies.

“It’s clear from the consensus among WTAAA, ACTA and FOLATUR, representing travel professionals around the world, the detriment that American’s decision will have on the travel industry globally,” President and CEO of ASTA, Zane Kerby, told  Travel and Tour World .

American has yet to reveal which agencies will be included in its “preferred agencies.”

Kerby called out American for “operating in bad faith” and was “looking to pad its bottom line at the expense of our valued clients and the millions of consumers who rely on their trusted travel advisor.”

Henry Harteveldt, president of the travel industry market research firm Atmosphere Research Group, told  Fodor’s Travel  the move is a “very inward-looking” perspective on American Airlines.

“It’s not a very consumer-friendly approach, and American is being a bit of a bully here,” Harteveldt explained — adding the move will put loyalty airline members in the crossfire of the company’s dispute with agencies.

The change comes as part of the airline's effort to minimize costs for agencies using older technology booking systems.

Harteveldt believes the move is also being monitored by the company’s competitors, who may adopt the change if it’s a success or whose sales teams may swoop in to poach any American flyers unpleased with the new method.

“As risky as American’s actions are, a lot of airlines are watching to see if it works out well for them, because if it does, I would not be surprised to see United and Delta copy it in certain ways,” he told the outlet.

While the airline is deadset on the change, Brett Snyder — author of the popular travel industry blog Crankyflier and CEO of the travel assistance service Cranky Concierge — said the move could cause “confusion” for the company’s flyers who already are trying to navigate their “frequent changes.”

American Airlines said they change is set to take effect May 1.

“The biggest impact will likely be on business travelers who may not have a choice of where to book depending upon company policy,” Snyder told the outlet.

“The fact that American still hasn’t told everyone who is or is not preferred adds more to the confusion.”

As the airline industry waits to hear who American will list as their “preferred agencies,” occasional travelers may also feel the weight of the change, Snyder explained.

He worries that some agencies may not disclose that to their customers during the booking process.

World Travel Agents Associations Alliance calls itself the global voice of the travel agency distribution channel.

Also, the move could affect cruise lines that book airfares as part of their packages, who may opt against using certain agencies not listed as one of American’s preferred agencies.

The changes will only affect travelers who collect AAdvantage Miles for their flights on American.

Flyers using corporate accounts with American will continue to earn miles for their flights no matter which booking channel they use unless they book a Basic Economy fare.

Travelers collecting miles from other Oneworld partners—the global airline alliance American is a member of with 13 other Airlines, such as British Airways, Qatar Airways, and Malaysia Airlines—will continue to earn miles for American Airlines flights regardless of booking channel.

Imagine closing down Versailles to enjoy a private candlelit dinner.

That's the reality for the ultra rich, and people like Jaclyn Sienna India make it happen.

India is the founder of a Sienna Charles , a members-only travel agency that caters to wealthy clients who take million-dollar trips around the world. India recently discussed her work and billionaire clientele in a Q&A with The Cut .

Her company's services include a $75,000 annual tier for unlimited travel and dining reservations, and a $150,000 yearly option to tack on a "lifestyle" component. That includes "arranging spa appointments, recruiting house staff, helping clients build a home gym, whatever they need," India told The Cut.

She shared some of the travel secrets of her unthinkably wealthy clients:

1. Penthouse suites are out, yachts are in

Most of India's clients are 55- to 75-year-old ex-finance workers in New York City, but in recent years, she's seen more interest from people in Dallas and Los Angeles who work in finance or film. Her newest clientele are tech VIPs in their 40s and 50s.

India's typical clients are no stranger to booking hotel suites for $30,000 a night, but it's becoming more passe.

The mega-rich want their accommodations loaded up with their preferred foods, fancy water and drinks as well as other, more-specific requests (a space with seven dog beds, for instance), but training hotel staff on everything within a few days is inefficient.

The trendier thing to do is stay at a villa or yacht owned and rented out by billionaires.

"[The owner] has customized everything, picked his staff, and trained them for expectations that are otherworldly," India said. All of that means her clients can "relax deeply because the staff knows how to deliver excellence every minute."

2. They don't deal with luggage

Unlike the rest of us, the rich aren't worried about airline baggage fees. Then again, they're not schlepping their suitcases at all.

Instead, they ship it, India said: "Just throw a FedEx label on it, and it arrives at your destination the next day."

3. They're not dining out at fancy restaurants

Though Sienna Charles staffers know all the best restaurants and how to get impossible reservations, India says many of her clients don't eat out when they travel.

That's what their private chefs are for, she says.

The chefs travel with clients and help maintain their diet and medical or health goals, India said. She gave an example of one client who traveled to San Francisco for two weeks, brought his chef and only ate out once.

"He has all the money in the world, but he didn't want to go to Michelin-star restaurants," India told The Cut. "A lot of our clients work really, really hard, and it's important for them to have consistency and routine wherever they go."

4. They want unique experiences

If you want to rub shoulders with a billionaire this summer, India said they're increasingly trading the typical hotspots (think: Capri) for more "unique experiences."

"They're taking the yacht around Sardinia or going to smaller islands in Sicily," she said.

Sometimes her clients have specific travel requests, like wanting to take a family trip to Rome in a specific timeframe. More often than not, they're pretty general about their vision and want help with the specific details.

One recent tech billionaire "told me they want to go to Europe in August for nine days, just the couple, no kids," India said. "And that's all they said. This is pretty common."

As for those with more modest means, India's best advice is to "normal" people is to steer away from places where celebrities and influencers abound. Or, at least, recognize that you're unlikely to get a similar A-lister experience if you go.

For example, she said, "The Hamptons are good if you stay at somebody's house and lay out at their pool and you have beach access. But if you go to be a lookie-loo and you're staying at a hotel and the traffic sucks and you can't get into a restaurant because nobody knows who you are, then that's probably not the best destination."

Former Exec Wonders Why More Teams Don't Copy The Eagles' Way

The Eagles' history of identifying foundational pieces to the puzzle and extending them early has been working for two decades.

While much of the rest of the NFL struggles to find middle ground with star receivers, the Eagles somehow managed to get a three-year, $75 million extension done with DeVonta Smith that will keep the former Alabama Heisman Trophy winner in Philadelphia through the 2028 season.

There was no sense of urgency with Smith. The 2024 season is the fourth on his rookie deal as the No. 10 overall pick in the 2021 draft and the Eagles still had the fifth-year team option to play with.

Identifying core foundational pieces and extending them as early as possible has been club policy for Howie Roseman and his top lieutenants for years. And it has been organizational writ since the early stages of the Andy Reid era when the future Hall of Fame coach teamed up with then-team president Joe Banner to come up with a framework that still exists today.

To the uninitiated Smith became just the fifth receiver to get a deal with a $25M average annual value but that discounts that the young wideout is playing 2024 under his rookie deal and the team exercised the fifth-year option at under $16M for 2025. In other words, that $25M doesn’t kick in until 2026 when the number will look quaint and team-friendly as long as Smith continues to perform like he has over his first three professional seasons.

Whether other star WRs like Justin Jefferson, Ja’Marr Chase, and CeeDee Lamb remain with their original teams or not, they will shatter the ceiling that stands today which is Miami’s Tyreek Hill at a $30M AAV.

And the rising tide of NFL contracts lifts all boats underneath them.

In a copycat league, it’s almost inconceivable that more teams haven’t followed the Eagles’ way of doing business when it comes to extending players early, something they’ve also done this offseason with the imposing left side of their offensive line with Landon Dickerson and Jordan Mailata.

In Mailata’s case, it’s already his second big-money extension and he’s just 27.

Last year it was quarterback Jalen Hurts, who briefly was the “highest-paid player” in NFL history when he signed his $255M extension and now many are finding out just how team-friendly that deal is for the Eagles. 

“I don’t know,” Banner told Eagles Today when asked why other teams don't strike early. “I don’t get why more teams aren’t copying everything [the Eagles do]. A few are copying the dominant D-Line concept but even more should.”

The only way waiting on contracts benefits an organization is a negative outcome for the player, usually injury-related like Carson Wentz for the Eagles.

The key is trusting the evaluation process and understanding an age-old philosophy in the NFL: control what you can control.

No one can legislate or project injuries so wringing your hands over it is counterproductive. Perhaps penny-wise in the moment but dollar-foolish in the long run.

In the financial world, they say scared money don’t make money. In the NFL, being anxious to spend in the moment only means you will be paying a premium down the line.
