How to Get a Travel Donation for a Gift Auction

A gift auction can potentially raise thousands of dollars for a significant cause. Items that will raise the most money are big ticket items that can be won for a great deal, such as a travel voucher. To receive a travel voucher donation, you will need to convince a travel company that your cause is worthy or that the company will receive plenty of exposure and recognition for its good deed.

Make a list of various travel companies to contact.

Call the companies on your list and ask for the name, title, phone number and business address of the person or department in charge of charitable giving.

Write a brief letter with a description of your organization, a summary of your event, how many people will be attending, how much money has been raised at previous actions (if applicable) and how the money will be used. At the end of the letter, ask if the company would be interested in participating in your auction by donating a travel voucher. Be sure to outline all the ways the company will gain exposure, such as a listing in the auction catalog and brochures on the gift tables.

Send a copy of your letter to all the companies on your list.

Call each company about a week after sending the letter to follow up. Don't get discouraged when companies say no --- it's bound to happen. Be persistent in your efforts until you have secured a donor.

Don't just ask large travel companies for a donation. Small businesses rely heavily on word-of-mouth advertising, and an auction donation is a great way for them to gain exposure among potential customers.

Luxury Link Auctions

Luxury Link is a well-known vacation auction site with a user-friendly app. It's best known for its vacation auctions and also offers numerous discounted luxury hotel vacations to buy right away, not bid.

As the name indicates, they specialize in luxury accommodations: 3,000+ hotels, resorts, inns, villas and even castles. Hotels are four- or five-star and located all over the world.

Its prices are at least as good as a hotel's own website. Sometimes it’s slightly discounted and other times it can be 60% or more off published rates. It not only saves money, but also saves time and the stress of planning a vacation from scratch.

How does it work?

Luxury Link works mostly like any other auction site. You search for the hotel or resort. Hotel/resort stays are sold in two ways, like on eBay: in auctions and as "buy it now" purchases. In Luxury Link auctions, the hotel is set, and the dates may or may not be. Customers can bid on set packages or specify dates and room category.

There's no fee to join or use Luxury Link. You can browse without even providing your e-mail address. There is no credit card required for the initial bids. To successfully pay for your auction a credit card is required for purchase once the bid you submit is accepted.

Apple Vacations, Square Deals

Apple Vacations, Square Deals is not exactly an auction. It sells vacation package where you do not know the name of the property until just prior to departure.

Apple Vacations offer great value with the lowest prices you'll find for the promised hotel Apple rating. You choose the destination, departure date and the hotel rating. Apple informs you of your hotel just prior to departure and in return for being flexible, you'll save hundreds.

These deals are kind of last-minute with available date choices in next one week to next one month. If you are flexible with dates and OK with not knowing the name of the hotel you can save about 30% on Apples normal rate.

Be familiar with Apple’s Square Deal rating and decide what is acceptable for you. Start with its deals tab, enter your departure city and look at all the deals (including Square Deals). If you are flexible with dates, Apple can offer some good discounts.

Tips on saving big with online travel deals and auctions

Read the fine print: Lookout for catches like blackout dates, commissions, fees, surcharges and taxes.

Compare the deal with what you could get directly from the airline or hotel website or through other travel websites such as Expedia, Orbitz and Travelocity.

Explore your options using Google Flights. Once you enter your departure city, Google Flights’ Explore Map will show you flight prices on the map for destinations around you, as well as around the world.

Is there anything a hammer won’t fall on? No, I say! Holiday time is a major expense for any family, and even intrepid travelers, so saving a dollar or two is always welcomed. Travel auctions have become popular in the US and UK, and are starting to take off here in Australia.

The tips for buying at these sales are really not that different from buying at any type of auction and the first most important rule is to know exactly what you are bidding on, and it’s real value. I mention real value, as there is no point getting into a bidding war for a flight or accommodation, thinking you are getting a great deal when you could buy it elsewhere for less.

It first pays to understand the travel market, which has high and low seasons as you know, and the fact that rarely does anyone ever pay the full recommended retail (rack rate) for anything, unless you walked into the hotel at last minute during carnival time or something silly. So, when you visit sites offering BIG discounts, and this applies to group buy sites also, and you see a big bold banner with ‘RRP’, or ‘normal price’ etc., ignore it. First establish exactly what it is for sale and when it can be used, what conditions there are, then go and look up the prices on the various discount travel sites such as flightcentre.com.au, wego.com, hotelscombined.com etc., to establish it’s real market value for the dates it’s available.

Once a ‘real market value’ is established then you can establish a bidding limit that bags you a bargain. There are a few other pointers too:

  • Read ALL the fine print – do you need to pay a commission? Also, certain travel dates may be blocked out, there may be extra fees, surcharges, and taxes.
  • Are you buying a voucher or a booking? Vouchers may have more conditions and may not offer the same service as a regular guest, questions you should be asking before bidding.
  • Are you booking through a licensed travel agent?
  • If buying from a private seller, i.e unwanted gift, will there be fees for name changes, does the actual service provider allow on-selling of tickets?
  • What’s it really worth? –  as mentioned in detail earlier, establish the REAL value of what’s on offer.

Where to hunt for deals?

In the US there are several sites including:

http://www.priceline.com – they offer an option to ‘name your own price’ where you select the area, select the star rating and make a bid, the site then tries to get a hotel in the area to match your bid offer, if they do, it’s yours. You only find out the name of the hotel after you’ve won. The hotel doesn’t want to ‘devalue’ it’s service by advertising low rates, nor does it want empty rooms, the blind auction aims for a win-win between bargain hunter and hotelier.

http://www.luxurylink.com – Each week Luxury Link offers Mystery Auctions that last 7 days. Bidding starts at $1 and you will know the country, the retail price and what’s included, but the exact hotel name and specific location remain a secret until the auction is won.  They also have regular auctions of luxury travel packages.

http://www.skyauction.com  – There are taxes and service charges which are made clear in the item description, and a processing fee. Consider the fees when bidding.

https://www.andrewharpertravel.com – auctions for luxury travel and unique escapes across the UK. Auctions open and close every Tuesday.

In Australia:

http://www.travelauctions.com.au  – choose your destination, then choose from a list of offers and bid. Offer includes details on the property and conditions of use.

http://www.ebay.com.au/travel.. – Here you can often find loads of accommodation packages for hotels and resorts, unwanted gift vouchers, holiday vouchers and more. The one advantage with eBay is the seller protection offered via Paypal, although, that doesn’t excuse anyone from doing due diligence…. You can also find deals at eBay for flights.

Lena, our guide in Moscow was excellent. She was very knowledgable and could answer any question we had for her. We liked that she could pick up on our interests and take us places we might not have thought of to go. When we realized that one of the places we had chosen to see would probably not be that interesting to us, she was able to arrange entry to the Diamond Fund and the Armoury for us. Riding the Metro with Lena was a real adventure and a lot of fun. In Saint Petersburg we found Anna well versed in the history of the Tsars and in the Hermitage collection. Arkady in Veliky Novgorod was a very good guide and answered all of our questions with ease. Novgorod was perhaps a long way to go for a day trip, but we did enjoy it. Vasily was a great driver to have and kept us safe with good humour and skill. We enjoyed ourselves so much, my daughter says she is already planning to return. We would both have no hesistation to recommend ExpresstoRussia to anyone we know.

Just wanted to let you know that My grandson Bruno and I couldn´t have been more pleased with our week in Moscow (6/15 - 6/21). We were absolutely enchanted with the whole experience, including getting lost a couple of times in the Metro during our free time. Although both our guides (both Eleanas) were excellent, I would particularly commend the first one (she took us to the Tatiakov, the KGB tour, and to that beautiful cemetery where so many great Russian artists, authors, composers, musicians, militarists, and politicians are buried). Her knowledge is encyclopedic; and her understanding of today´s Russia as a product of its past was, for us, truly enlightening. I will be taking another tour in Russia, with my wife, within the next two or three years. I will be in touch with you when the time comes. Meanwhile, I will refer you to other potential visitors to Russia as I meet them.

What is the best time to visit moscow.

Do they speak English in Moscow?

As Russia’s capital city, tourists are well accommodated in Moscow. There should be English-speaking staff in restaurants, bars, hotels, shops and attractions in tourist hotspots, and there are also English-speaking tourist police. Transport services have English translations on their maps and English announcements via intercom; alternatively, order taxis from the Yandex Taxi app (Russian Uber), though it’s unlikely that your taxi driver will speak English. If you get stuck and cannot communicate, it’s fine to use Google Translate.

Is it safe to travel to Moscow?

It is no less safe to travel to Moscow than to any European city if you exercise common sense and look after your belongings. As with every city some regions can be more unsavoury than others, but no tourist attractions are located there. The traffic in Moscow is notorious, so exercise caution when crossing roads. Do not take unlicensed taxis; book in advance or take public transport, which is widespread and perfectly safe. If you encounter any problems, look for the special tourist police who can help you.
